LOGGING IN

Log in using the following information:

• Username: {Email Address}

• Password: Enter the password you created above

In the event you have forgotten your password, you may reset it by selecting the “Forgot username or password?” link located immediately below the Log In button.

ADDING USERS TO WEBADMIT

As the designated primary residency program representative, you are able to add additional users to your WebAdMIT account once you have successfully logged in to the system. To add a user:

1. Go to the “Admissions Users” link found under the “Management” menu on the left-hand side of the screen.

2. Click on the “New User” button and enter the requested information.

When prompted to select the “Work Group” the majority of users will have a single option, “WebAdMIT administrators.” WebAdMIT can be configured to define different user groups with differing levels of access and function. CONFIGURING RESIDENCY PROGRAM(S), APPLICATION REQUIREMENTS AND APPLYING BRANDING

The Configuration Management Portal through WebAdMIT enables you to personalize your residency program(s) to match your practices resident selection administrative work-flow, identify specific requirements for the candidates and apply branding including pertinent information, links to resources and any images/logos you would like to share.

To access the Configuration Management Portal once you have successfully logged in to the system:

1. Select the “Management” panel located on the left-hand toolbar.

2. Select the “CAS Configuration Portal” link, which will open the Configuration Management Portal in a new tab. In the event the “CAS Configuration Portal” does not open, you may need to disable your popup blocking function for the WebAdMIT website.

3. Select the “OPRESCAS” link on the left-hand side of the screen when prompted choose the “OPRESCAS 2017 – 2018 Cycle” option.

4. Select your practices name.

5. You will now be viewing the “Programs and Applicants Gateways” page.

6. Hover your mouse over the double blue right arrow icon and select it to view the “Details” for a specific residency program.

If you have previously utilized OPRESCAS / WebAdMIT, you will likely see copies of the programs offered during the previous cycle. A separate program should be created for each unique residency program being offered. In the example above, you can see an 18-month prosthetic residency and a 12-month orthotic residency were both previously offered.

If this is the initial cycle that your residency program is participating on OPRESCAS, then you will see a default program titled “Orthotic and Prosthetic Residency” which you may edit to better describe the discipline(s) of your residency program. Candidates will see what you name the residency program, so it is suggested you include the discipline, track and season that the program will start in. For example: “Orthotic Research Residency – Summer”

7. To edit the program, select “edit” from the “Program Settings” option show once you have accessed the program “Details”

8. Enter all of the required information, which are marked with an asterisk (*). All of these fields will be visible to candidates in the OPRESCAS system.

• Under the “Residency Program” field, please do not enter the name of your facility or practice listed under the “Organization Field” as that will already be visible to the candidate. Enter a more descriptive title such as “18 month combined orthotic & prosthetic residency – clinical track”

• Only identify program types and tracks that your residency site is accredited for. Any programs that contain information that is not reflective of the sites NCOPE accreditation will be removed.

9. If your practice offers multiple residency programs (for example a clinical prosthetic residency that starts in the fall and a research orthotic residency that starts in the spring), you will need to create additional programs until you have the correct total number of programs listed. To add a program, select the “+ Program” button while viewing the “Programs and Applicants Gateways” page:

10. Adding a program can be done by either creating a new program from scratch or by coping a program and editing the duplicate to reflect the correct information.

• To create a new program select the “+ ADD” button located towards the bottom of the window:

• To copy a program select the “COPY” button located towards the bottom of the window:

• Select the program you wish to copy and identify if you wish to “Copy All Program Settings,” which you will likely wish to do if the programs have some similarity in terms of the application materials or information shared. To complete the copying process select “COPY” from the bottom right-hand side of the window pictured below.

PROGRAM SETTINGS

1. There are four program settings that can be made visible to candidates that each residency program has the ability to define:

• Home Page/Branding (required)

• Questions

2. To determine which program settings you would like to share with candidates, you will need to select the 3rd icon at the top of the program page:

• Documents

• Evaluations

3. Select “Pages” and identify which program settings you wish to make visible to candidates by ticking the appropriate check box. After selecting a check box, you may click on the name to the right and edit the settings contained within in chosen page.

Home Page/Branding

This page will serve as the primary source of information that the candidate will view allowing the residency site to list critical information to individuals interested in the residency program(s). While each residency program has the ability to customize this page to their liking, below is a list of information that we strongly recommend be listed on the home page:

• The individual who serves as the primary point of contact for the residency site (often the residency director) and their preferred means of contact (including a personal email address or phone number).

• A link to the clinical practice home page or if available residency program information page.

• The total number of residency positions being offered during this cycle.

• The number of clinical supervisors that have completed NCOPE’s residency mentor training who will be engaged with the training of resident practitioners.

• Settings where the resident will have the opportunity to provide care (outpatient clinics, inpatient acute care, specialty pediatric clinic, amputee clinic, etc).

• Practice locations where the resident will rotate through if the residency site has multiple offices.

• Transportation requirements.

• Any required information or documentation that is not being captured via OPRESCAS.

• A description of the sequencing/rotations that residents participate in including an orientation period.

• If the residency site allows individuals completing a single discipline residency program the ability to continue their training in the opposite discipline.

Questions

The residency site can identify specific questions that they would like the resident to answer at the time of application.

Evaluations

The residency site can request that the candidate provide instructor evaluations be provided by the faculty of their O&P school using a standardized form.

Documents

The residency site can identify specific documents that are requested/required of the candidates to submit including:

• CV/Resume

• Observation Hours

• A Writing Sample

4. You may preview the pages you have elected to add to the program and the content in each page by selecting the preview icon listed to the right of each program setting page.

• Personal Statement

• Photograph

• Other (Allowing the site to identify any other digital documents the site requests)

Submitting the residency program for review

Once all the information that you wish to enter regarding the program meets your standards and you are satisfied with the overall appearance, it must be submitted for review in order to be made visible to the candidates on the OPRESCAS system. To submit a program for review, select the “Submit for Review” button shown below:

The review process takes business days to complete and you will be notified once it has been approved by a member of the OPRESCAS team.


Recommended
