The faculty, staff, and administration welcome you to

Hairston Middle School, Home of the Mighty Jaguars.

It is our sincere hope that you will find this year

challenging, exciting, and rewarding. Success at HMS

depends on our students’ commitment to effective

study habits, regular attendance, and maintaining a

positive attitude. The goal of HMS is for each student to reach his/her

fullest potential. To reach this goal, it will take

students, parents, teachers, and administrators

working together. We encourage everyone to take an

active role in our school both academically and in

extra-curricular activities. Participation in school

activities will create a sense of loyalty and pride. This

is YOUR school! This is OUR school! The purpose of this handbook is to help our students

and our parents become aware of the expectations and

responsibilities students will have as part of the HMS

family. Each student should read this information

carefully, be knowledgeable about the content, and

follow the expectations as outlined. We would also

ask our parents to do as likewise. If you or your parents have questions or concerns

regarding the information outlined in the handbook,

please feel free to contact a teacher, counselor, or

administrator.

Otis L. Hairston, Sr. Middle School is a MYP (Middle

Years Programme) school. Hairston Middle will

continue to serve students from its attendance zone

and will enroll 150 new magnet students each year by

magnet application. Students at Hairston celebrate

diversity among cultures by identifying the

International Baccalaureate Learner Profile

Characteristics in themselves and others. They are

involved in rigorous concept-based instruction as they

engage in eight content areas (Language A, Language

B, Humanities, Sciences, Math, Arts, Physical

Education and Technology) that are intertwined

through five distinct areas of interaction. These areas

include how students approach learning, how human

ingenuity factors into creativity, how participating in

one’s community and the world fosters positive

change, how environments are linked to all content,

and how health and social education play an

important role in today’s world. MYP will help

students grow intellectually, personally and socially to

enable them to become lifelong learners in a global

society. Teachers at Hairston plan interdisciplinary

units of study both horizontally and vertically with the

academic end as their result. Opportunities for

students to participate in global studies include units

such as Cultural Awareness, the election process and

the eradication of poverty. The staff at Otis L.

Hairston, Sr. Middle School is committed to providing

a safe, purposeful learning environment for all

students.

As a result, our students will become responsible,

contributing citizens within their home community as

well as our diverse world. The IB Saturday Academy

provides extra enrichment activities that reach beyond

the wall of the classroom. Students and parents gather

on the second Saturday of each month for an

energetic, motivational, or hands-on performance

focusing on our theme, “EXTREME”. Each month

will dedicated to one of the eight International

Baccalaureate content areas where the word

“extreme” promotes a different meaning, but has the

same mission.

Absences State law requires that persons between the ages of 7 and 16 attend school. When a student returns to school after being absent, he/she should submit a note to their AA teacher with the following information: Full name of student Date of absence Reason for absence Signature of parent/guardian

All absences are coded unexcused until a note for a lawful absence is presented. Anytime a student is, absent for reasons other than an illness, doctor’s/dentist’s appointments, death in the family, court proceedings, religious observations, educational opportunity, or suspension, it is considered an unlawful absence. If the parent feels the absence could be considered educational and excused, a note should be sent to the Principal before the proposed absence for possible acceptance as excused. Students have three days to bring a note; otherwise, an absence will be coded unexcused. Parents will be notified of their child’s absence through an automated Hairston Middle School voice message. The following absences are considered lawful absences according to the NC State Board of Education Attendance rules:

• Illness/ injury

• Quarantine

• Death in family

• Medical/Dental Appointment

• Court proceedings

• Religious observances

• Educational opportunity

• Suspension

• Expulsion If a student becomes ill or injured during the school day, he/she should report to the front office with a note from a teacher. Parents will be notified of the illness or injury and are expected to pick up the students as soon as possible. Students must be present at least one-half of the school day to be counted present. Any student arriving later than 12:35 p.m. or leaving earlier than 12:35 p.m. will be considered absent for the day. Note: Magnet parents and students, please make every effort to have your child present and on time for school. The Guilford County Schools Board of Education gives magnet

school principals the authority to request that magnet school students return to their home school if efforts to resolve attendance and tardiness problems fail. After five absences or ten tardiness, a request will be made to reassign the students to their home school.

Achievement Grades The achievement grade is to serve as a measure of the progress of the individual child in relation to his/her ability. Traditional grading symbols (A, B, C, D, and F) will be used in most subjects. All GCS students in grades 3-12 will be graded on a 10-point grading scale. The following scale will be used as a guideline by all teachers:

A 90-100

B 80-89 C 70-79 D 60-69

F 0-59

Afterschool/Pick Up Students participating in afterschool activities must be picked up promptly after all school activities are scheduled to end. They may not remain on campus unattended. Students are required to be picked up within 15 minutes of the scheduled end time of their activity. Students wishing to attend sporting or other school events are required to report home and then return back to school with the exception of school dances, which are typically held immediately after school. Arrangements must be made by the parents/guardians for the student to be picked up within 15 minutes of the conclusion of the activity. Students not picked up within 15 minutes of the conclusion of the activity will not be allowed to participate in future activities. DSS will be contacted for any student not picked up by 15 minutes prior to the conclusion of an afterschool activity.

Assembly Expectations Students are expected to:

1. Enter quietly with class. 2. Respect performers or speakers by not talking. 3. Sit still in seats. 4. Keep feet on the floor. 5. At conclusion of the program, line up with class.

Attendance/Tardies We believe that it is essential that students attend school regularly and arrive on time in order to get the most benefit from school. Punctuality is important. Students should arrive at school no later than 8:25 am in order to start the instructional program on time. Classes begin at 8:55 a.m. If a student arrives after 9:00 am, they must report to the main office and obtain a tardy slip. We expect students to be in their assigned classroom and ready for instruction by 8:55 a.m. Excused tardiness includes illness or medical appointments. A student who arrives late or leaves early, not only misses valuable instruction but also interrupts the flow of the instructional presentation. Excessive tardies and absences are reported to our school social worker, school administration, and appropriate personnel. Please make every attempt to schedule appointments after the school day. It is our expectation that our students report to each class on time. Our schedule is designed to allow ample time for transitions. Failure to report to class on time will result in the following steps being taken. is for… Book Bags Students may carry a traditional size book bag to and from school; Traditional size book bags WILL NOT BE ALLOWED in the classroom once lockers have been issued. Students will be allowed to carry drawstring bags with them throughout the day. Book bags are NOT allowed in the classrooms due to safety concerns.

Book Fair

Twice a year, we have Book Fairs in which children will be able to purchase books. Children and parents will be invited to visit the book fair during school and at a scheduled PTA meeting. Contact the media specialist if you are interested in helping make this event a success!

Bullying Bullying: when a person or group uses power - such as physical, verbal or social - to hurt or intimidate someone or a group who has less power.

1. Listen & be empathetic - Be an active listener and let your child lead the conversation. Occasionally, rephrase the information your child gives you and repeat the information back to your child in your own words.

2. Listen for the '5 Ws' - Listen for the who, what, when, where, and why - but be aware, your child may be sensitive to being asked a lot of questions at one time. Plan on multiple conversations to get the information you need to help your child.

3. Make changes / Build skills - Based on the '5 W's", discuss ideas on how to safely and effectively stop the bullying. Role-play different approaches and responses with your child so that he or she will be prepared to stop the bullying but not get into a physical or verbal fight. Also, brainstorm ways to increase friendships by developing physical and social skills that are appreciated by other children.

4. Discuss emotional expression - Being bullied can create feelings of anger, frustration, sadness, depression or vengeance. Teach your child how to relieve these feelings without being violent to themselves or others. Ideas may include talking with other adults and trusted friends, writing in a journal, creating art, doing physical activities and deep-breathing.

5. Work with the school - If the bullying is happening at school, speak to your child's classroom teacher or administrator so they can help.

Bus Behavior Bus riding is a privilege and not a right. The principal can remove the privilege to ride the bus for unsafe riding conduct. In order to guarantee the safety of your child and other children who ride the bus, we ask your help in maintaining good bus behavior. Listed below are rules and policies, which will be guidelines for expected behavior on our school buses. Please discuss bus behavior and rules with your child and make clear your expectations for good bus behavior. 1. Arrive at the bus stop at least 10 minutes before the

scheduled arrival time for the bus. 2. Remain well out of the roadway while waiting for the bus. 3. Get on and off the bus in an orderly manner only at your

designated stop. (No pushing or shoving). 4. Stay seated in assigned seat unless getting on or off the

bus. 5. Keep hands, feet, and objects to one’s self.

6. No shouting, teasing, or inappropriate language. 7. No fighting or threat of physical harm. 8. Keep the aisle clear of objects. 9. Keep the bus clean and do not mark or damage

the bus in anyway. 10. Use appropriate language. (No profanity or

obscene language) 11. Observe safety rules while crossing the street

and boarding the bus. Consequences for minor inappropriate behaviors are outlined: Violation #1: Warning/Student conference held Violation #2: Parent Contact Violation #3: ½ to 1 - day suspension from the bus Violation #4: 2 -day suspension from the bus Violation #5: 3 -day suspension from the bus. *Additional offenses will result in long-term suspension on the bus. If a violation of this Code also violates other rules, consequences in addition to those listed above may be implemented. GCS Student Handbook page 25 In the event a student commits a serious offense which could cause danger to others or him/herself, that student can be suspended from riding the bus immediately without following the above steps. Please note that delaying the bus will result in a consequence. Reporting to the bus in a timely manner is of the utmost importance.

Please encourage your child to report any problems to the bus driver. Parents who have concerns should contact the principal or the appropriate bus transportation supervisor.

Cafeteria All HMS students are eligible for the free breakfast and lunch. Parents and guardians will not need to complete an application for free or reduced meals for any students attending Hairston Middle.

appropriate doors ➢ Keep cafeteria free of litter and graffiti ➢ Remain seated until dismissed ➢ Remain in cafeteria until dismissed

Car Riders If your child is a car rider at dismissal, they should be picked up in the car rider line daily. Faculty members will be there supervising. For safety purposes, we do not want children walking in front of or behind cars in the parking lot. Please

remain in your car. Do not use this time of the day to address concerns or ask lengthy questions. Instead, contact the teacher by phone, note or email if you have concerns about your child’s day.

Change in Address and Phone Numbers Please inform the school immediately of any changes in phone numbers (work, cell, or home), addresses, emergency contacts, or formal custody agreement. During the school year, there may be times that the school will need to reach you regarding your student. Please make sure emergency information remains correct and that your student is also familiar with the appropriate contact numbers for you and other family members.

Check-in/Check-out Students arriving after 9:00 am. are tardy and must be check into the office before arriving to class. All children who leave school prior to 3:50 p.m. must be signed out at the office by a parent. They will not be called to the office until you come in the building. If your child is to ride a different bus or be picked up by someone other than you or their normal driver, the school must have this information from you in writing prior to 10:30 am.

Child Custody If you and your spouse are separated or divorced and you have been granted custody of your child through a court order or deed of separation, please advise us of this fact. We must be able to present a copy of the court’s order should a situation arise. Please be assured that this information will remain confidential and is shared with appropriate school personnel only.

Conduct/School Wide Student Expectations We believe appropriate behavior is essential for effective learning to take place and is necessary for the safety and welfare of our students. Students will receive a copy of the Guilford County Schools Student Code of Conduct. Hairston will follow closely the policy guidelines as outlined. There are guiding principles that are important in building strong student character and enhancing both peer and adult relationships. Personal Responsibility with Integrity Determination and Excellence

In addition, Hairston is a Positive Behavior Intervention Support school. Additional information about school procedures will be coming home to you addressing consequences for students tardy to class, movement within the building, as well as, expectations within all classrooms. Consequences will be clearly articulated to both parents and students. Any items that may detract from the instructional program at Hairston Middle School should be left at home. Items such as skateboards, headphones, cell phones, radios, balls, personal gaming devices, iPods, and mp3 players should remain at home. If a student brings items as stated, he/she will be directed to put the item(s) in their lockers. Failure to comply will result in the student being written up for violation of GCS Rule 6 (Non-Compliance). This violation can bring about a consequence of ISS up to 3 days. The school is not liable for lost or stolen items. The school will not reimburse for lost or stolen items.

Concerns/Changes at Home If a significant change occurs in your home, please inform your child’s teacher as soon as possible. All information will be regarded as confidential. We will accept your judgment as to the kinds of changes that may affect your child’s behavior, security, and general well-being. Common causes of distress include: either one or both parents being away from home for an extended period of time, new person living in the home, illness of either parent, illness or hospitalization of a sibling, accident or death in the family, a new caretaker, moving, a new baby, etc. The teacher will keep you informed of any significant changes in the school environment, which may affect your child as well.

Conferences Formal conferences are schedule for each child in the fall during the 1st quarter and in the spring. Informal conferences are held as needed and may be requested by either the parent or the teacher. Teachers can schedule additional conferences when the need arrives. You are welcome to contact your child’s teacher by email, a note, or call the school office to schedule a school conference when needed. Please check with the teacher in advance to see if it is necessary to bring your child to the conference with you.

Counselor The purpose of the guidance and counseling program is to serve the academic, social, and emotional needs of students through classroom guidance activities, individual and small group counseling, consultations with teachers, parents, and school psychologist, and coordination of services to other

professional and community agencies. Our school counselors, Mrs. Reid and Mrs. Meekins, are available to assist students and families with school related concerns.

Criminal Background Check All parents/volunteers who work with children are required to have a criminal background check. This includes escorting a child to the media center, restroom, etc. The safety of the students at Hairston is a priority.

Crisis Drill Crisis drills are conducted to help the staff and students practice safety procedures, should they be needed in the event of a real emergency. This drill focuses on the proper response to take if the building is entered by a dangerous individual or group. “We are in lockdown” is called out on the intercom. This puts the staff on alert that a dangerous situation may be imminent. An immediate lockdown is carried out and all doors in the entire building are locked. Doors will remain locked and secured until there is an announcement that the drill has been successfully completed. Students are not permitted outside of classrooms during the drill.

Dentist/Doctors Whenever possible, please schedule your child’s doctor and dentist appointments after 3:50 p.m. or on teacher workdays. In an effort to improve attendance and achievement, we want children to be in school as much as possible.

Discrimination Policy The following policy must be written on all school and PTA information that is distributed. In compliance with federal laws, HMS administers all educational programs, employment activities and admissions without discrimination because of race, religion, national or ethnic origin, color, age, military service, disability or gender, except where exemption is appropriated and allowed by law.

Dismissal Routine No announcements will be made to the classroom during the instructional day; therefore, a note signed by the parent or guardian must be sent to the teacher if there are any changes in the usual routine of a student. Please understand, because of safety issues you must send a note informing the teacher of

the change. We will not accept phone calls. If a parent or guardian needs a student excused before dismissal time, then a note stating the time student should be sent to the office. The parent/guardian must come to the office to sign the student out.

Upon entering the building, please sign in at the office. A child cannot be released into the custody of anyone other than parent or parent designee without approval by the principal. Identification will be required from the individual picking up the child. We strongly discourage attempting to pick up children between 2:30 – 3:50 pm unless an emergency situation exists.

Doors For safety reasons, all outside doors, except, the front door, remain locked throughout the school day. When entering the school, enter through the main entrance. Do not signal any students or staff to open locked doors for you – this is a practice we do not want to promote.

Educational Trips Educational trips may be considered as excused absences providing the following criteria are met. 1) The parents make the request in writing. 2) The student completes assignments given by the teacher. 3) The student keeps a daily journal with pictures. 4) The student shares this journal with classmates.

Emergency Medical Treatment/Accidents Members of the staff take every precaution to ensure the safety of students throughout the school year; however, accidents do occur. When a student is injured on the campus or in the building, he/she is sent to the school nurse or the guidance office/main office. In the event of minor scrapes or bruises, the area is washed and bandaged. Appropriate staff will complete an accident form and a copy will be provided to you. It is essential that all contact information is kept current.

Expectations The classroom is the center of learning within the school setting and teachers will each have a set of expectations to govern orderly conduct. Students are to abide by these expectations and those contained in Board of Education Policy.

The Guilford County Schools System has an approved “Student Code of Conduct” that applies to all students throughout the system. Parents and students should read and discuss the policy. Students are also required to follow all school and

classroom expectations. HMS uses a positive approach to school discipline. Close contact is maintained with the parent to ensure appropriate behavior.

Extracurricular Activities/Athletics Hairston Middle School provides students with a wide variety of extracurricular activities. By state law, sixth graders cannot participate on interscholastic athletic teams. Athletic activities include basketball, cheerleading, football, soccer, golf, softball, track and field, volleyball, and baseball. A physician’s examination report and parent permission are required before a student can try out for any team. Students are expected to maintain satisfactory academic grades and conduct. Appropriate conduct is expected both in the school, as well as, on the playing field. Either short term or permanent removal from a team will occur for any participant who chooses to display disrespectful or unsportsmanlike conduct. Students who are assigned to ISSC (Individual Student Services Center) will not be allowed to participate in any athletic event for the days assigned. Students receiving Out of School Suspension (OSS) will not be able to attend practice for the week or play. Three ISS assignments or two OSS assignments within a single season will result in removal from the team.

Family Educational Rights & Privacy Act (FERPA) Family FERPA is a federal law that governs the maintenance of school records. Under the law, parents and/or guardians of students (students who are 18 years of age or older) have the right to inspect all records kept by the school about the student and the right to correct any inaccuracies in those records. Requests to review student records and requests to correct inaccurate records may be made to the principal. Student cumulative records are maintained in the Guidance Office. These records are confidential and are protected by the “privacy act.” A child’s custodial parents may schedule an appointment to see these records and/or receive copies of these records.

Family Partnerships Family partnerships are an essential part of student success at HMS. When parents are actively involved in the life of the school, students are more engaged and motivated. We view our families as valued stakeholders in all aspects of the school. Talk to your child’s teacher and the principal about

how you can become involved in classroom activities and school activities.

Field Trips Field trips are used to extend and enrich the educational program. Trips are carefully planned and characterized by pre-trip discussions and post-trip follow-up. Great care is taken to provide safe transportation and adequate supervision. When a student leaves the school grounds any time during the day for school-sponsored activity or participates in evening or a weekend school trip (excluding athletic events), he/she must have written permission from the parent or guardian. Students who are experiencing prolonged behavior issues resulting in In-School Suspension or Out of School Suspension may not be eligible for field trips or may have to have a parent/guardian attend. The school must have a permission slip signed by the parent in order for the student to go on any field trip.

Fighting Among Students Fighting or hitting other students is totally unacceptable behavior. If a student attempts to involve another student in a fight, the other student should immediately report it to the teacher or principal. If a student is a victim of a sudden unprovoked attack or fight, he should defend himself only long enough to disengage from fighting to report to an appropriate school official. Students who instigate fights will be subject to the same consequences as those who are actually involved in fighting. We discourage children from horse playing and pretend fighting because this can get out of hand and lead to something serious.

Fire Drills A fire drill will be held during the first week of school and once each month thereafter. All students, staff, and parents must evacuate the building upon hearing the alarm. Check the posted instructions in each classroom indicating how to leave the building in case of fire. There is to be no talking or disorderly conduct during the fire drills and students are to move quickly and quietly to the designated areas. Since it is not possible to have all drills under ideal weather conditions, and we want students to be prepared in the event of a real emergency, children will be asked to exit the building without coats. Children will stay outside no longer than five minutes. Students who pull the fire alarm under false pretenses are subject to disciplinary action.

First Aid Non-emergency first aid will be limited to soap and water with an appropriate bandage. Emergency first aid will be administered according to approved procedures. Notification of parents and medical personnel, if necessary, will take place (please keep

phone numbers current). If a student is suspected of running a fever, the temperature will be checked. Any temperature over 99.6 will result in parent notification and arrangements must be made to pick up the student as soon as possible.

Food Allergies If your child has a food allergy, please notify your child’s teacher, the principal, and the cafeteria manager. Special diet forms must be completed if a modification in your child’s diet is required.

Food Policy Food and drinks are to be eaten in the cafeteria during the assigned period. Students should not bring glass containers for safety reasons. Students are not authorized to purchase snacks or soft drinks from vending machines during the school day. This is a violation of federal regulations that govern child nutrition programs. Lunches brought from home should be ready to eat and require neither heating nor refrigeration.

Homework The staff supports the concept of homework as an extension of the student’s classroom learning experience. Students can expect regular assignments in most classes. Homework assignments are considered as a part of the grade a student earns. Teachers will provide students and parents with the weight of homework in determining the students’ overall average. Students may also call the Homework Hotline at 333-6888 for assistance in Language Acquisitions (ELA), Health/Physical Education, Individuals and Societies (Humanities) and Science. Students access live, on-demand academic help and state-aligned skills building lessons from expert tutors. Philosophy – Two of or our primary purposes of assigning homework are to reinforce what has already been taught and to practice new skills. Policies – Homework will be evaluated by the teacher to provide feedback regarding students’ progress (credit will be given for homework). Projects --Student created projects that reflect a synthesis of information and skills. Homework can be and should be assigned daily. Please check with your child’s teacher.

Health Information Report all absences due to contagious diseases to the school office. Keep your child at home, if he/she is feverish, or has an upset stomach. If they vomit at school, you have to come and pick them up. This is a matter of courtesy towards the other children, parents, and teachers. If your child is sick at school, someone will call the parents to take the child home. Please be certain that the office has an up-to-date list of business telephone numbers and emergency numbers including friends and relatives. Please ensure that your child receives an adequate amount of sleep. It is very difficult for a tired child to concentrate and focus on work. Please give medication at home whenever possible. If a child must receive medication at school, the school provides a state-required form for this purpose. No medication will be allowed on campus or given except upon written permission from your physician.

High School Course Credit

Middle school students in grades 6-8 will receive

graduation credit for high school mathematics and second

language courses taken while the students are in middle

school. To receive credit, students must pass the course

and score Level III on any EOC associated with the

course, if applicable. The EOC score is 20% of the

student’s final grade. The courses must conform to the

high school standard course of study. While the courses

will count toward graduation requirements, the student’s

GPA will be computed with courses taken during the high

school years.

Honor Roll Honor roll means excellence in academics and is published each nine weeks. To make honor roll, students must maintain an A or B in all subjects. There are several programs that recognize and reward academic achievement and citizenship. At the conclusion of each quarter, an Honor Roll Assembly will be held to recognize the following:

Immunization North Carolina Tdap Vaccine Requirement North Carolina law requires proof of immunization be provided to the school upon enrollment. Consult your physician or County Health Agency. The North Carolina Commission for Public Health approved new vaccine requirements for students. The changes were made to better align North Carolina with current Advisory Committee on Immunization Practices (ACIP) recommendations. The changes take effect beginning with the 2015-2016 school year. There are two vaccines required for seventh grade students: Tdap and Meningococcal conjugate vaccine (MCV). The Tdap vaccine protects children from tetanus, diphtheria and pertussis (also called “whooping cough”).

It was previously a sixth grade requirement, but becomes a seventh grade requirement effective July 1, 2015. A Tdap booster is required of individuals who have not previously received it and are entering seventh grade or by 12 years of age whichever comes first. One dose of MCV is required for individuals entering seventh grade or by 12 years of age whichever comes first.

Inclement Weather On days when weather conditions create questionable circumstances for opening school, parents should listen to the local TV and radio stations for public information announcements (Educational Access Channels carry school information). Should there be a delayed opening; students should not arrive earlier than 15 minutes prior to the announced opening time.

If early dismissal is deemed necessary, closing times will be announced on local TV and radio stations. Parents should develop a plan with their children to cover these circumstances. It is important that school telephone lines be open in such a situation, so that the superintendent’s office may contact us on closing plans and times. The school will contact parents with the most recent information available.

Injury and Illness HMS does not have a full time nurse and is therefore not equipped to maintain sick students at school. If it is determined that a child has a fever, diarrhea, or vomiting, you will be notified to pick them up immediately. They are not expected to return to school prior to 24 hours after symptoms have ended. The school should be notified of any changes in address, telephone numbers and places of employment, in the event of an emergency. Parents are requested NOT to send a sick child to school on the assumption they will feel better later in the day.

Instructional Fees Each student is asked to pay a $20.00 fee to cover the cost of locks for lockers, Physical Education dress and Student Planners

Interim Reports Students and parents will receive one interim per quarter. Interim progress reports will be sent home with the student. Lockers Locks and lockers are issued to students in homeroom and gym class at the beginning of the school year. Combination locks will be supplied. Locks supplied by the school are the only locks that will be allowed on lockers. At the end of the year or upon withdrawal from school, locks must be returned to homeroom and gym teachers. Administrators will have individual combination numbers and can assist your student with forgotten combinations or with locks that will not open. Combination locks not only safeguard the students’ belongings but also prevent other students from placing stolen or prohibited items in their locker. Students are responsible for the care of their lockers. Damaged lockers should be reported to the teacher. Students are to use their assigned lockers only and not leave their belongings in other’s lockers. In order to reduce the chances of your possessions being taken, please follow these guidelines: • Label articles of clothing • Do not leave personal possessions in the cafeteria or classrooms • Lock up all possessions during physical education classes • Do not leave your locker combination ‘set’ on the last number •Make sure your lock is completely closed Note: The school is not liable for lost or stolen items.

Lock Down Drill In order to provide a safe environment at all times and in all situations a “Lock Down" procedure is in place and will be practiced during the school year. Lock Down is used when students need to stay inside of their classroom due to unsafe circumstances around the building. All doors, inside and out windows, and fence gates are locked and students are held in their present site until the emergency is resolved.

Lost and Found If a student finds something not belonging to him/her, it should be turned in to the classroom teacher. If it does not belong to anyone in that class, the item will be sent to the office. Students should check the lost and found if something has been lost.

Lunch Students may eat a completely free and healthy lunch from the cafeteria or bring their lunch. Lunch should be limited to a sandwich, drink, fruit, vegetable, etc. Due to limited time in the cafeteria, teachers do not have time to preheat meals. Please try to keep chips, candy, cake, pies, and soda, at home. Your child will be learning about proper nutrition and the basic food

groups. We would like this knowledge enhanced by providing healthy lunches.

When a child is finished eating lunch, he should wrap uneaten food and return it to his lunch bag. Cores, pits, and peelings as well as empty wrappings should be thrown away. If you find peelings or leftovers in your child’s lunch box, it would be helpful

to remind your child of the procedure to discard these items. .

Make-Up Work Students are responsible for all work missed when absent from school. Immediately upon returning to school students must make arrangements with their teacher(s) to make up all work (assignments, tests, projects, etc.) missed while absent.

Medicine If a student must take any form of medication at school, the following procedures must be followed: 1. Students on long term, everyday medication must have a

completed Medical Authorization Form with the doctor and parent’s signature on file in the school office.

2. School personnel cannot administer nonprescription or over the counter medicines to students.

3. Prescription medicine will be administered under the following conditions:

It is the parent’s responsibility to remove the medications when they have expired and at the end of the school year. Students may not self-medicate. The school will assume NO RESPONSIBILITY of any students who self-medicate.

It is the parent or guardian’s responsibility to inform the school if he/she wishes to withdraw authorization for medication given at school. The withdrawal of authorization is documented on the “Authorization of Medication for Student at School” form. All medication will be discarded if not pick-up at the end of the school year.

Message from the Principal You will receive messages throughout the year from the principal informing you of important events and exciting happenings at HMS through the county’s Connected program. These messages will be very brief (less than 3 minutes) and to the point.

Middle School Athletic Eligibility Requirements The following requirements must be met to participate in middle school athletics in the seventh and eighth grade. 6th graders are allowed to participate except in football. Age: A student may not participate on a seventh- or eighth-grade team if his or her 15th birthday comes on or before August 31st. of the present school year. Medical Examination: A player must receive a medical examination once every 365 days by a duly licensed physician, nurse practitioner or physician’s assistant. Student-athletes and their parents must complete the concussion awareness form annually prior to participation, including tryouts. Attendance: A student must have been in daily attendance 85 percent of the previous semester. Daily absences cannot be made up under any circumstances, even if a student attends Saturday classes, extra help sessions or any other means to make up academic work. A student must, at any time of any game in which he or she participates, be a regularly enrolled member of the school’s student body, according to local policy. (In determining attendance, ALL absences count towards the total.) Academics: In grades, seven and eight a student must pass three of their four core courses each semester to be eligible for athletics. Promotion: In grades, seven and eight a student must meet state and local promotion standards each semester. This includes the academic requirement listed above. Residence Requirement: a student is eligible to participate at the school to which they are assigned by the Board of

Education. Transfers within the GCS are governed by Board of Education policy. Four Semester Rule: From the time a student first enters the seventh grade, they have 4 consecutive semesters to complete their middle school athletic eligibility. Parent/School Communication Announcements, messages, and progress reports from the office and classroom teacher will be sent home for parents with the students. It is important, that as parents, you emphasize that you expect your child to behave responsibly by bringing home all information. Parents are asked to be involved with their child’s daily learning by committing to grade level expectations. All grade level expectations contain the following:

• Support the efforts of the teacher and the school

• Check student’s homework each evening

• Read all notices and work sent home

• Encourage children to follow school rules

• Have children at school on time (8:25 am for breakfast)

Parent Involvement The best way for parents to be involved at HMS is through PTA. The PTA has various volunteer opportunities through a number of committees. Please contact your child’s teacher, or the school secretary for more information. Volunteers available during the school day may be asked to help with making materials. The school always needs help with making educational material for the children. Parental support is greatly appreciated by the teachers.

Parent Portal To use PowerSchool Parent Portal, go to pa.gcsnc.com to obtain your secure access ID and password, which should be used to create your account. Once that is complete, you will receive an email instructing you how to create your account and then you will be able to manage your account information and link students to the account. You will need your child’s unique Student ID number, which also serves as their lunch number. If additional assistance is needed, you may also contact, Ms. Ingram, Hairston’s Data Manager. Please note that teachers will post grades to Parent Assistant within 5 working days of assignments being returned to students. If you have any questions regarding grades and/or work, you may call, email, or send a note by your student’s school agenda.

Personal Property Students should bring to school only those materials that are necessary for the instructional program. Radios, cell phones, game boys, DVD/CD/MP3 players and other electronic devices are not allowed at school or on the school bus. Toys, games, trading cards (yu-gi-oh, Pokémon, dragon ball z, etc.) and athletic equipment should be left at home. These materials are

not a part of school instruction. If such items are brought to school, they could/will be collected by a staff member turn in to the principal and parents must pick them up. It is the responsibility of your child to tell you that these items have been taken. If these are lost, damaged, or taken, the school is not responsible. These things should be left at home.

Each student is expected to be responsible for all personal property (money, book bags, clothing, jewelry, etc.) that is brought to school. Personal belongs such, as these items should be locked in lockers at all times.

Physical Education Physical education is a state requirement and an essential part of the school curriculum. Regular participation in P.E. classes is required. Students who have frequent or chronic illnesses or have an illness that prevents the student from participating for more than three days must have a doctor’s note. Dress: The student is expected to wear plain gray t-shirts, black/navy blue shorts, and tennis shoes. Shorts (male/ female) should be longer than the students hand when the arm is fully extended. Five points will be deducted from a student’s participation grade each day they do not dress out. Students who fail to dress out will be expected to walk laps while their peers participate in the regular PE class. Participation counts 50% of a student’s nine-week P.E. grade.

Pictures Individual pictures are taken twice a year, fall and spring. Different photo packages are available.

School Dances Student dances are scheduled occasionally to provide supervised social experiences for our students. The highest level of student behavior is expected at all dances. The school dress code will be enforced. The following rules apply to student conduct at school dances: 1. Only Hairston Middle School students may attend. 2. Inappropriate behavior shall result in:

• Parents being called to pick up the student before the dance ends.

• Invocation of the HMS Student Code of Conduct

• Suspension of after school privileges 3. Permission slips must be presented at the door when the student purchases a ticket. 4. School Supplies All teachers will provide parents with a supply list needed for class. Student Code Students are to obey all federal, state, and local laws, codes, policies, and regulations as set forth in the Guilford County Board of Education Student Code of Conduct. In addition, students are to obey the following School Wide Rules: 1. Pushing, running, horseplay, inappropriate touching, and any other type of physical contact are unacceptable. 2. Individual sales by students of any items at school or on the bus are not allowed unless the sale is under the direction of the school or a school organization. The principal must approve any school sale. 3. Misbehavior for a substitute teacher is a serious offense. Consequences may include an immediate office referral.

Headgear/Hats - Students will not be allowed to wear headgear in the building. Headgear and bulky coats should be placed in lockers. 4. Anti-social language, hate speech, hate literature, obscenity, and profanity are unacceptable on this campus or at any school event. 5. Personal electronic devices or any items that create a disruption are not allowed at school during the instructional day (8:55am – 3:50 pm). These items may be removed from the student’s possession and safely secured in the office until they can be collected by the student or their parent. If a personal electronic device is collected from a student, it will be stored in the main office. Multiple occasions of being in possession of electronic devices may result in other disciplinary consequences including the device being held at school for multiple days. Hairston Middle is NOT responsible for loss or damage of personal electronic devices. 6. No skateboards are allowed. 7. Students should consume all food products/drinks while in the cafeteria. Food/beverages may not be eaten by students in the hallways, gym, commons or classrooms unless a teacher pre-approves a classroom celebration. 8. Entering the hallways in the mornings or at lunch without permission from a teacher is unacceptable. 9. SAFETY: Throwing or shooting any article in the building, on the school grounds, or on the bus will result in a disciplinary consequence. 10. Students riding buses will obey all school and bus rules, as well as the school bus driver. The bus discipline plan for Hairston Middle School will be followed throughout the year. 11. is for… Tardy All students arriving after 9:05 a.m. must be checked-in at the office and accompanied by a parent. Remember when your child is tardy; valuable instruction time is lost. Excessive tardies will require written documentation and may be reported to the proper authorities.

Teachers We consider all of our staff members to be teachers who serve as positive role models for your children. This includes bus drivers, custodians, food service workers, teacher assistants, administrators, secretaries and teachers.

Telephone Students may get permission from classroom teachers to use class phones for situations such as cancellation of after school events due to weather conditions. In the event of illness or the need to make a long distance call, the school office phone should be used. To use the school office phone, students should obtain permission and a hall pass/note from his/her teacher and permission from one of our office staff. Students may not use personal cell phones or text during the regular school day. We request that parents call the school office if a message needs to be relayed to your child. We would appreciate parental compliance as well including not texting your child during the school day. Please keep all phone numbers current.

Testing Our students will participate in all state and county assessments and testing. Information will be sent home concerning what tests your child will take.

Textbooks If your child is assigned a textbooks or textbooks, help your child be responsible for his books by buying or making covers. You will be required to pay for lost or damaged books.

Tornado Drills All emergency evacuation diagrams are displayed in each classroom. When the tornado alarm is sounded, students are to move quietly to the designated area in the hallway outside the classroom. Students are to kneel on the floor with heads down

and hands clasped over the back of the head. A bell will sound to indicate when classes should return to the classroom. There will be no talking or disorderly conduct during tornado drills. Tornado drills will be held in March and when recommended. Tornado drills are performed to instruct students about all safety rules to follow during a tornado. Tornado drills are reported over the public address system. Students report to their locations as indicated by their teachers. Talking is not permitted during such drills.

Visitation Guidelines Visitors are always welcome at HMS. All visitors must report to the main office upon arrival to school. Parents are always welcome at Hairston and are encouraged to visit the school as often as possible. All visitors, including former students, must be at least 18 years of age to visit while school is in session. Parent volunteers are welcome and are an important part of the school program. Anyone desiring to serve as a volunteer at Hairston may contact the school office, our School Social Worker or PTA officers. Volunteers are requested to be Board of Education approved. Criminal Record checks are required for all volunteers. All persons coming to the school must go first to the office and sign in. Please help us protect your child by following this procedure.

If you desire to speak with your child’s teacher without an appointment, you must do it before 8:10 am or after 4:00 pm.

Unscheduled conferences with teachers during the school instructional day are strongly discouraged. This interrupts instructional time for the classes involved. If you desire to meet with the teacher, please send a note to that effect to the classroom teacher. Call the office at (336)378-8280 to schedule a conference.

When visiting the classroom, please refrain from bringing other children with you and be conscientious of distractions to the learning environment. Always put your cell phone on vibrate. Students will not be called out of the classroom unless it is an emergency.

Voice Levels All staff members will strive to ALWAYS talk in a calming, low voice level. We recognize how important it is to set a positive example and model what we expect from the students.

Volunteers Volunteers play an important role at HMS. So that accurate records may be kept of volunteers, please sign in and out on the Volunteer section on the computer located in the office. Volunteers will be given a nametag, so that faculty, staff, and students can welcome them.

Withdrawal Parents should notify the Guidance Office at least one week in advance if a student is withdrawing from school. This period of time is necessary to complete withdrawal forms, check textbooks, and collect fees.
