General Information
PARKING The Renaissance Long Beach Hotel will be delighted to provide you with special parking rates for your guests. You may chose to host this charge or have your guests pay individually. Parking charges may be added to the master account if desired.
GUEST COUNT
Your final guarantee of attendance is due 72 business hours
prior to the event. At that point, it is possible to increase
the guest count number but not reduce the number
below your final guaranteed count. If guests exceed the
guarantee, appropriate charges will be incurred.
SERVICE CHARGE AND SALES TAX
A 16% taxable service charge and applicable state sales tax will be
added to all food and beverage charges as well as any audio visual
equipment charges and function room set-up/rental fees.

You may choose a caterer who is not on our preferred list. The caterer must be approved by the Hotel Management and provide the Hotel with the following information:
Copy of business license. Two (2) hotel references and two (2) client references. for 1-99 guests, proof of $1 million dollars liability insurance. for 100-249 guests, proof of $3 million dollars liability insurance. for 250-749 guests, proof of $5 million dollars liability insurance. GUIDELINES FOR OUTSIDE CATERER A list of equipment that is needed must be sent to the hotel no later than one week
prior to the event. A description of the menu and all items must be sent to the hotel prior to the event. It is the responsibility of the caterer to clean any area of the hotel that is used, including kitchen areas or a $500.00 cleaning fee will apply.
RESPONSIBILITY OF OUTSIDE CATERER Make sure that all borrowed equipment is returned to the hotel steward. Any missing
equipment will be charged to the client if kitchen or steward staff are needed there will be an additional cost of $100.00 per person. Caterers must be ready with food to be placed in chafers half hour prior to service. Caterers must arrive early for prep and have enough backup food for event. Caterer must go over all details of the menu with the banquet captain. Caterer must adhere to service standards (catering staff to be in uniform) and the hotel policies while in the hotel.
*Outside caterer to provide a signed copy of hotel’s banquet pull sheet. This will be
due (3) three business days prior to scheduled event. The hotel pull sheet will indicate catering company’s menu items and equipment needed.
All package prices and meeting room rental fees are subject to 15% taxable service charge and local sales tax (subject to change). Room sets outside the standard hotel guidelines may be subject to additional labor fees. Requests to set the event prior to contracted time will be considered based on function space availability and may be subject to additional labor fees.

CATERER INFORMATION
AUDIO VISUAL Our in-house audio visual company, Renaissance Visual Presentations, provides a complete line of modern presentation aids. Your Event Manager will be glad to procure the equipment suited to your needs. All audio visual prices are subject to 15% taxable service charge and local sales tax (subject to change). ELECTRICAL CHARGES The hotel can accommodate most electrical needs, however, there may be charges for those electrical requirements beyond standard capacity. Please consult with your Event Manager for details. DEOCRATIONS Arrangements for event décor may be made through the Event Management department at an additional cost. All decorations must meet with the approval of the Long Beach Fire Department. The hotel will not permit the affixing of anything to the walls or ceilings of rooms unless written approval is given by the Event Management department.
LIFE SAFETY All events are subject to local life safety codes and may require Fire Marshall approved diagrams and appropriate liability insurance for all participating parties. SMOKING The California smoking ban prohibits smoking indoors. This includes all banquet rooms, exhibit areas, bars, restaurants, lobbies and public function space of hotels/motels, office buildings and private banquet rooms where employees and food service are present. YOUR RENAISSANCE CATERING SALES MANAGER WILL Provide a personalized tour of the Renaissance Long Beach hotel, to show you the banquet facilities we have to offer. Establish event, food and beverage minimums fees. Customize a wedding package fit for you. Recommend special event professionals to provide; music, floral and photography. YOUR RENAISSANCE EVENT MANAGER WILL Act as a consultant for all beverage selections. Detail your banquet event order and wedding outlining all of your event specifics and ensure that it is communicated flawlessly to the hotel operational team. Create an estimate of charges outlining your financial commitments. Monitor the status of the guestroom reservation block (if applicable). Personally oversee the details of the bride and groom’s room reservations (if applicable). Meet and greet bride and groom Oversee the ceremony and reception room set-up, food preparations and other hotel operations. Ensure a seamless transition to the hotel’s banquet manager/captain. On the day of the event, our banquet manager/captain along with his/her assistants will coordinate each detail that has been communicated through your Event Manager review your banquet checks for accuracy prior to the completion of the final bill. YOUR RENAISSANCE BANQUET CAPTAIN WILL Check set-up of ceremony and ballroom area according to the banquet event order contract. Review schedule of events with the dj, photographer and videographer, etc. Move gifts, guest book etc. from ceremony area to reception area. Move guests to ballroom. Greet guests as they enter ballroom. Assist the bride and groom to their seats. Check pathways to reception area and ballroom for cleanliness. Ensure all food & beverage service meets the agreed banquet event order. Oversees banquet personnel servers/houseman/bartenders to ensure excellent service is provided. Assist taking gifts, reception items, flowers, etc. to guestroom or car. Present final banquet check to bride and groom or designated contact. WEDDING COORDINATOR (highly recommended, hotel may provide referrals) Coordinate wedding rehearsal. Line up the bridal party for the ceremony. Review schedule of events with the dj, photographer, videographer and hotel banquet manager/captain. Alphabetize and set out place cards. Set out programs, party favors, cake knife & server, toasting glasses, cameras etc. Line up bridal party for introductions. Coordinate bouquet and garter toss and/or all activities related to reception event. Coordinate with all outside vendors the hotel does not provide. Liaison between hotel and bride & groom regarding details of the event.
