ST. MARY’S EPISCOPAL CHURCH VESTRY MINUTES November 19, 2019

PRESENT: Father Mark Story, Sr. Warden Andy Smith, Jr. Warden Mike Ryan, Jr. Warden-Elect Tim Bridges, John Harrison, Debbie Hand, Traci Hampton, Bill Lambert, Mark McLochlin, Kyle Baker, Treasurer Ben Kenyon ABSENT: None GUESTS: None I. MEETING Andy Smith called the November meeting of the Vestry to order. II. AMEND OR APPROVE MINUTES Minutes from the October meeting were reviewed. A motion was made by Bill Lambert to approve the minutes, as amended, with a second by Mark McLochlin. PASSED (1) III. FINANCE TEAM REPORT Ben Kenyon. a. Wells Fargo investments. We are $476,000 up for the year, which is about 14% net of expenses. b. October financials. Revenue and expenses were -$6370, and -$29,916 for the year. We were $5000 under on pledges for the month. Also our plate offerings are falling below budget. c. Stewardship. As of today we have 59 pledges totaling $226,000. That is 70% of our 2020 budget goal of $320,000. The average 2020 pledge is $3800. So far there are 43 who pledged for 2019 who have not yet pledged for 2020, or a total of $117,000. Adding the $226,000 pledged and the $117,000 we can reasonably project to receive a maximum of $343,000 in pledges out of our existing membership. Motion to receive the financial report made by Deb Hand, second by Bill Lambert. APPROVED (2)

III. SR.WARDEN’S REPORT a. Sunday School. Carol said on average we have about 12 kids in elementary Sunday School, and we have about 6-8 in the youth program with Donna Costello. b. Sunday breakfast. The Sunday breakfast is being well received. We usually have about 30 to 40 for breakfast. The “sign up genius” is working well to help people sign up. c. Move. We need to start focusing on planning our move and getting a schedule for that. We need to decide what we’re going to do about the organ, what we’re going to do with the stained glass, figure out what we’re going to do about Fr. Mark’s temporary office, and negotiate a guaranteed max contract with the contractor. d. Vestry. We need to come up with a list of nominees for Vestry (three at-large nominees) and Senior Warden elect. IV. RECTOR’S REPORT a.Temporary office. At the last school board meeting it came out that the school is going to need two additionarooms for the lower school and they will no longer have room for us for temporary office space. Fr. Mark thinks the school may still have space for us and he is going to pursue it further. b. Advent mission opportunity. Susan came up with the idea for families in the church to fill a reusable grocery bag with food items each day in Advent. Then the church will collect them and take them to the UCO pantry or other local mis-sions. c. Adult formation. Alan and Jennifer’s class has a good group. They are doing a book study. The Wired Word continues with its core group. d. Youth class. There are 8 to 10 kids in Donna’s youth group and many of them are new. Instead of a mission trip we are planning for the youth to go on a racism pilgrimage that goes through Mississippi and Alabama. It is a bus trip set up like a tour.

Approved Vestry Meeting Minutes…………….. Page 2 of 2

    V. JUNIOR WARDEN’S REPORT Mary Lee Lane status. Ben is soliciting bids for some of the painting and thinks it could run up to $4000. Motion to authorize spending up to $5,000 to complete the repair and renovation of the Mary Lee Lane house, to come out of the Mosier fund, made by Deb Hand, second by Bill Lambert. PASSED (3) V. OLD BUSINESS/NEW BUSINESS a. We received a notification of the bankruptcy filing of Alta Mesa Resources and a Notice of Pendency of Class Action filed against Sunoco. John Harrison will review these to see if we need to do any thing to respond. b. Traci suggested that we call people who have not yet pledged for 2020 and update them on what’s going on in the church with a bullet point outline, and ask them to turn in their pledge card if they have not already done so. Traci will develop talking points for people to use when they call. c. The Bishop apparently just became aware that Deacon Ann and has been driving from Norman to do ministry. The Bishop asked Ann if she wanted to be relocated to Norman and she said yes. Ann will be relocated sometime soon. Fr. Mark doesn’t know if we will be getting a replacement d. We are still looking at chairs for the new sanctuary. The ones we are looking at now are stackable. e. Fr. Mark thinks it would be fun for the church to put on a musical. He talked to Mary Jane Bartely, a retired theater person, about it. She said that she would look into Godspell which she has done before. It needs about 13 people that could sing or dance. It would be something we would do in the new sanctuary to demonstrate the flexibility of the space. No further business being brought forward, following prayer, the meeting was adjourned. Submitted,

John Harrison, Clerk MOTIONS: A motion by Mark McLochlin to approve the minutes, with a second by Mike Ryan. PASSED (1) Motion to receive the financial report made by Deb Hand, second by Bill Lambert. Approved (2) Motion to authorize spending up to $5,000 to complete the repair and renovation of the Mary Lee Lane house, to come out of the Mosier fund, made by Deb Hand, second by Bill Lambert. PASSED (3) Email vote: On 11/5/2019 the Vestry voted by email on the following question:

The development of the new church should take place on the North Broadway property; or The development of the new church should take place on the school’s property that fronts on Covell.

The Vestry voted unanimously that development of the new church should take place on the North Broadway property.
