Generalregulations
Art. 1 : Organizations wishing to obtain exhibition space in the FairmontMonte-Carlo unreservedly accept the terms of these regulations and thestipulationsofpubliclawapplicabletoeventsorganizedinthePrincipalityofMonaco.Theyacceptany further stipulations imposedby circumstancesorintheinterestoftheevent.
Art. 2 : Reservation applications signed by an exhibitor willonly betakeninto account if they aremade using the official order formandaccompaniedby a down-payment, the amount of whichis 50%of the total cost ofreservationincludingVAT.The balance is due at the latest by August 1 2020; failingthistheorganizerreservestherighttomakeuseofthespaceappliedfor.
Art.3:Boothsareallocatedinorderofreceptionofapplicationsdependingon spaces available at the time of reception and, as a priority, onreservationsduringpreviouseditions. Theorganizerswill attemptas far aspossibletosatisfyexhibitors’preferences.
Art.4 :The transfer, sub-lettingor sharingofbooths, freeofchargeor forvaluable consideration, is strictly prohibited without prior written agree-ment. Exhibitors are also prohibited from hiring spaces in theFairmont Monte-Carloother than those made available by the RVSAssociation.
Art. 5 : Distribution of advertising material or flyers is possibleonly onpartners’boothsandinareassetasideforthispurpose.
Art. 6 : Distribution of business gift objects is strictly prohibited.Theorganiserreservestherighttoremoveanybusinessgiftobjetwhichhasnotbeen validated by the organiser. Advertising is prohibited withoutprior agreement from the organiser. Distribution of flyers ormagazines is authorised within the booths only, unless authorisation todistribute outside of stands, on public roads especially, has been given bytheorganisers.
Art.7:Ifpaymentforaboothhasnotbeenmadeinfullbytheopeningofthe RVS on 12 September 2020 the RVS Association reserves the rightto dispose of the space and shall be under no obligation to repay sumsalready received. In the event of cancellation by an exhibitor before 1stAugust 2020 the RVS Association shall retain by way of compensationthe 50% down-payment received. If cancellation occurs after thisdate all sums due are payable and shall be retained by way ofcompensation forbreachofcontract.
Art.8:Exhibitorsshallaccepttheallocatedspacesintheconditioninwhichthey find them and shall leave them in the same condition, and shall beliable directly to the Fairmont Monte-Carlo for payment for any damageresultingfromtheirinstallationordecoration.
Art.9:TheexhibitionplanshallbedrawnupbytheRVSAssociationwhichshall allocate spaces in the order of reception of applications, taking intoaccount preferences expressed by exhibitors and, as a priority, taking intoaccountthespaceoccupiedduringpreviouseditionsoftheevent.
Art.10:IftheRVSAssociationisobligedtomodifyspacesorinstallationsitshall not be held liable in anyway and exhibitors undertake to accept thedecisionsmade.
Installationofboothsandsecurity
Art.11 :Allocatedspacesshouldbeoccupiedbyexhibitorsatthe latestbynoonon12September2019.Otherwisesuchspacesshallbeconsideredasvacant and can be reallocated, with no rights of compensation or repay-mentfortheabsentexhibitor.
Art. 12 : Exhibitors must restrict themselves to the allocated booth spaceand not store items outside the limits indicated by the Fairmont Monte-Carlo.
Art.13:Allboothsmustbecompletelyfittedoutandwithexhibiteditemsinplace by noon on 16 September 2020. Packaging materials shouldbe removed from the Fairmont Monte-Carlo as quickly as possible.Exhibitorsare individuallyresponsibleforthetransportation,receptionandstorageoftheirequipmentandmaterials.
Art. 14 : Exhibitors shall comply with instructions given by the FairmontMonte-Carlo.
Art. 15 : During the fitting-up period, materials and equipment shall bebrought into the Fairmont Monte-Carlo under the sole responsibility ofexhibitors. Exhibitors are responsible for material exhibited and hired. TheRVS Association shall not be held liable for loss or damage of material orequipment that has not been removed by companies in the conditions laiddown.
Art.16 : Ingeneral,exhibitorsareunderobligation to complywith regula-tions applicable to trade shows and safety measures as laid down by thePrincipality of Monaco. They should consult the safety regulations of theFairmontMonte-Carlo.
Art.17:Thesignatoryherebywaivesallrighttoclaimsagainsttheorganiz-ers or theownersof thepremises.He/sheundertakes toobtain insuranceagainst all risks towhichexhibited itemsareexposed (theft,damage,etc.)and third-party liability coverage for all employees or temporary staff pre-sentduringtheevent.
Art.18 : Each exhibitor is responsible for obtaining customs clearance formaterial or products brought in from abroad. The organizer shall not beheldliablefordifficultiesarisingfromtheseformalities.Theexhibitorthere-fore guarantees the organizer against any actions or claims in this respectandshallcompensatetheorganizerforanyprejudicesufferedasaresultofnon-compliancewithnecessarycustomsformalities.Theorganizerreservesthe right to refuse access to the Fairmont Monte-Carlo for any items forwhichapplicablecustomsdueshavenotbeenpaid.
ForceMajeure
Art.19:Intheeventthat,forreasonsofforcemajeure,theeventcouldnottake place, exhibitors undertake to waive all rights to compensationfromtheorganizer.
