We anticipate that the Congress will attract over 2,500 scientists working within and outside the microscopy sector. There will be a large interactive trade exhibition where leading suppliers are set to launch ground-breaking new instruments.

The Congress theme is ‘Microscopy: Bridging the Sciences’. About the Host Organisations The Australian Microscopy and Microanalysis Society is a non-profit organisation dedicated to the promotion and advancement of the knowledge of the science and practice of all microscopical imaging, analysis and diffraction techniques useful for elucidating the ultrastructure and function of matter in diverse areas of biological, materials, medical and physical sciences. According to our Constitution, the objects of our Society are: • To promote within Australia and Internationally all forms of microscopy and microanalysis, including,

but not limited to, electron microscopy, light microscopy, scanning probe microscopy and electron beam microanalytical techniques.

• To co-operate and form affiliations with other organisations having similar objects both within and outside Australia.

• To encourage specialist sub-groups in different areas of microscopy and microanalysis. • The Society's major activities are the convening of multidisciplinary conferences and workshops, the

publishing of a quarterly newsletter and the co-ordination of activities with similar groups within Australia and overseas.

AMMS Inc is a member of Science & Technology Australia (STA), a lobby group that seeks to influence government decision making about science and technology. AMMS Inc. is also a member of the International Federation of Societies for Microscopy (IFSM) which has members from microscopy societies from around the world and aims to advance microscopy in all its aspects. The aim of The International Federation of Societies for Microscopy (IFSM) is to contribute to the advancement of microscopy in all its aspects. It comprises of microscopy societies from all around the world. The most important activity of IFSM is the sponsorship of the most important series of meetings on microscopy: the International Microscopy Congress (the IMC) held every 4 years. IFSM also supports young scientists to attend meetings of our Members. Activities between the IMCs are managed by the IFSM Executive Board which is led by the President, the Immediate Past President (Vice-President) and the General Secretary. The General Assembly takes place every 4 years at the IMC. At that time, the General Assembly selects the site for the next IMC from proposals submitted by Members of IFSM

ICMA Members participating at IMC19, will receive the following in addition to their selected sponsorship or exhibition benefits: • Priority booking period until 31 January 2017 – Priority booking rights on all partnership and exhibition

bookings made prior to 31 January 2017. (Non-members are still encouraged to book, however only ICMA Members can have their preferences confirmed prior to 31 January 2017).

• ICMA Members Networking Event –The purpose of this event is to provide ICMA Members with a valuable and intimate gathering to connect with Key Speakers/VIP/ICMA Representatives and members of the IMC19 Organising Committee. This provides the opportunity to thank the members and acknowledge their continued support. It is expected this event will run for approximately 20-

30mins and possibly just prior to the Welcome Reception. • 2 additional Vendor Registrations – Regardless of the level of participation at the Congress, ICMA

Members will receive two (2) additional Vendor Registrations at no extra cost. Vendor Registrations will also have access to attend all program sessions at the IMC19 Congress.

• Vendor Workshop (Symposium) – ICMA Members taking up a Major Level Congress Sponsorship will also receive the opportunity to host a vendor workshop during the Congress in addition to their respective benefits. This can consist of a demonstration within the exhibition, or a site visit (pre or post Congress) or if required, a meeting room can be provided within the Congress venue. The Local Organising Committee will assist with each Major Partner’s operational requirements.

Workshops will be allocated on a first booked basis once approved by the IMC19 Program Committee. • It would be expected for breakfast or lunchtime sessions that some light catering be provided by the sponsor, at the sponsor’s expense. • Dedicated meeting room can be provided inclusive of basic AV and presentation screen. • Vendor workshop to be listed within the Congress program.*

NETWORKING LOUNGE LIBRARY Within the industry exhibition is the delegate networking lounge, providing a comfortable space in which to relax and network with fellow colleagues in between sessions. Included in the lounge area will be a library of publications and literature for delegates to peruse or to take at their discretion any literature of interest. • Literature displayed (minimum 1 facing) within the Industry Lounge.

PRE-SESSION ADVERTISING “ON THE BIG SCREEN” Just like at the cinema, have your brand or message played on the big screen as delegates are taking their seats. Sponsored advertising will revolve in sessions that do not have pre-existing sponsorship and will run for the duration of the Congress. Adverts can be a still image or video with sound, with each running for 15 seconds per time. (Artwork/video production to be produced by the sponsor).

SPONSORSHIP: Where appropriate, Goods & Services Tax (GST) is applicable to goods and services offered by the Congress Managers. All prices in this document are inclusive of the GST. GST is calculated

at the date of publication of this document. The Congress Managers reserve the right to vary the quoted prices in accordance with any movements in the legislated rate of the GST.

Sponsorship will be allocated only on receipt of a signed Booking Form and Booking Terms & Conditions. A letter of confirmation will be provided to confirm the booking, together with a tax invoice for the

required 50% deposit. The deposit is payable 30 days from the date of the tax invoice. The balance is due and payable by 08 June 2018. Applications received after 08 June 2018 must include full payment.

All monies are payable in Australian dollars. Cheques should be made payable to Arinex Pty Ltd for and on behalf of the IMC19 2018 and must be drawn on an Australian bank.

All monies due and payable must be received (and cheques cleared) by the Congress Managers prior to the event. No organisation will not be listed as a sponsor in any official Congress material until full

payment and a booking form have been received by the Congress Managers.

CANCELLATION POLICY: In the event of cancellation, a service fee of 50% of total fees applies for cancellations prior to 09 March 2018 No refunds will be made for cancellations after this date and full payment

will be required. Should a cancellation be made prior to payment being made, the appropriate cancellation fee will be applicable and the Congress Managers will issue an invoice which will be payable within

seven (7) days. After Sponsorship has been confirmed and accepted, a reduction in Sponsorship is considered a cancellation and will be governed by the above cancellation policy.

No sponsor shall assign, sublet or apportion the whole or any part of their sponsorship package except upon prior written consent of the Congress Managers.

Sponsorship monies will facilitate towards the successful planning and promotion of the Congress in addition to subsidising the cost of management, communication, invited speakers, program and publications.

Sponsorship monies are not expended on any entertainment incurred which is incidental to the activities of the Congress.

Sponsorship entitlements including organisation logo on the Congress website and other marketing material will be delivered only after receipt of the required deposit or full payment.

Speaker’s contract will make it clear that these speakers must present leading edge non commercial papers with no obvious product endorsement and they must act ethically, not commenting on other

speakers their presentations or sponsors’ products. Sponsorship of any session is not a direct endorsement of the sponsor by the speaker in that session. Sponsors entitled to host an endorsed private function, do so at their own expense and at a time and date approved by the Congress Managers and IMC19 Committee

The Delegate List may be used by the sponsors up to and not beyond 14 September 2019 for the purposes of contacting IMC19 Congress delegates. The list must not be used in conjunction with any other non-

related Congress matters nor is the list to be used for future Congress marketing, or transferred in whole or in part to any third party.

site publications until full payment and a booking form have been received by the Congress Managers.

Public and Product Liability insurance to a minimum of A$10 million must be taken out by each exhibitor at their own expense. A copy of the organisation’s public and product liability certificate must be

submitted to the Congress Managers at the time of submitting their booking form or by no later than 08 June 2018.

CANCELLATION POLICY: In the event of cancellation, a service fee of A$1,000.00 applies per 9 square metre space booked for cancellations made on or before 09 March 2018. No refunds will be made for

cancellations after this date. Should a cancellation be made prior to payment being made, the appropriate cancellation fee will be applicable and the Congress Managers will issue an invoice which will be

payable within seven (7) days. After space has been confirmed and accepted, a reduction in space is considered a cancellation and will be governed by the above cancellation policy. Reduction in space

can result in relocation of exhibit space at the discretion of the Congress Managers. Any space not claimed and occupied before move in will be reassigned without refund. The Congress Managers reserve the

right to rearrange the floor plan and relocate any exhibit without notice. The Congress Managers will not discount or refund for any facilities not used or required.

If the exhibitor intends to install a custom built stand, the Congress Managers must be advised and such advice must include full details and stand dimensions. This information must be received no later than xxx. All display construction requires the approval of the Congress Managers and venue management. A pro rata fee will apply if any construction occupies space outside the specified space as indicated on the

floor plan.

No exhibitor shall assign, sublet or apportion the whole or any part of their booked space except upon prior written consent of the Congress Managers.

Delegate List may be used by the Exhibitor for the purpose of contacting IMC19 delegates only. The list must not be used for the purpose related to future Congresses, and shall not be transferred in whole or in

part to any Third party.
