The meeting, sponsored by the American Academy of Facial Plastic andReconstructive Surgery, consists of a cutting-edge program to include the latesttechniques and technologies of facial plastic surgery.

The meeting will showcase the knowledge and expertise of experienced surgeonsfrom the specialties of facial plastic surgery, plastic surgery, ophthalmology, anddermatology. Trend setting techniques in eyelid surgery, laser resurfacing, brow,forehead and face lifting, rhinoplasty, and implants and fillers will be addressed byprominent surgeons. Experts with years of experience will also discuss marketingand practice management advice, from starting a new practice to running a moreefficient established practice.

The AAFPRS is the largest professional society of facial plastic surgeons in theworld. The Fall Meeting is the largest annual meeting of this Academy. Itattracts not only surgeons from the U.S. and Canada, but from around the world.

Rules and RegulationsThese Rules and Regulations are incorporated into theexhibit epplication and form a binding contract betweenthe exhibitor and the Educational and ResearchFoundation for the American Academy of Facial Plasticand Reconstructive Surgery (AAFPRS Foundation). Theyhave been formulated in the best interest of the exhibitorand full cooperation of these rules and regulations isrequired. Any details not specified are subject to decisionby the Director of Continuing Medical Education.

Admission to HallProperly badged exhibitors will be admitted to the exhibithall one hour before show opening each day, and mayremain up to one half-hour after show closing eachevening. No badges will be issued without identificationof company affiliation.

Americans with Disabilities ActExhibitors will be responsible for compliance with theAmericans with Disabilities Act within their booth andassigned exhibit space.

Booth AssignmentExhibit booths are assigned on a first-come, first-servedbasis.

Booth CarpetIf carpeting is not already provided in the Exhibit Hallarea, it is the responsibility of the exhibitor occupying thatspace to provide carpeting.

Booth ManagementDismantling of booths prior to the official closing of theExhibit Hall is strictly prohibited.

Cancellation of Exhibit SpaceExhibitors are requested to telephone, fax, or e-mail theAAFPRS with cancellations. However, the cancellation isnot effective until it has been received in writing at theAAFPRS Meetings Department. No refunds will begranted after Friday, June 17, 2016. If the exhibitor cancelsbefore Friday, June 17, 2016, 50% of the total cost ofbooth space will be retained by the AAFPRS. If theexhibitor cancels after Friday, June 17, 2016 the AAFPRSwill retain 100% of the total contract obligation. Anyspace not claimed and occupied, or for which specialarrangements have not been made by 5:00pm onWednesday, October 5, 2016 will be forfeited. Fullpayment for all booth space assigned is due with thesubmission of your exhibitor application. No applicationswill be processed without full payment.

ChangesAny changes in exhibitor information will result in a$50.00 fee per change, i.e., change in companydescription, and change in names of representatives orbadge names. On-site badge names or additional namesnot given with the application to exhibit will result in a$75.00 fee per name badge. Exhibiting companies willnot be billed. Payment is expected at time of registration.All changes or additions that are not received beforeFriday, September 16, 2016 will be made on-site at thetime of registration.

Contracts for SpaceFull payment must be submitted with the application.Applications without full payment will not be processed oraccepted. The signed application and the full payment forrental charges constitute a contract for the rights to usethe space allotted only. A completed application for spacewith full payment and all requested information must bereceived by mail. Fax applications will be accepted onlywith credit card information and valid signature.Telephone requests will not be honored. Applications are considered complete when submittedwith the following:· Exhibit application· Company description· Names of representatives for badges· Payment· Completed and signed Standards of Disclosure for

Commercial Support Form

Non-Contracted Exhibit SpaceAny person, firm or organization not having contractedwith the AAFPRS Foundation for the occupancy of spacein the exhibit hall will not be permitted to display ordemonstrate any products, processes, or services, solicitorders, or distribute advertising materials in the exhibithall or in any hotel used by the AAFPRS Foundation tohouse registrants. Any noncompliance with thisregulation will result in the prompt removal of theoffending person and property from the area. Any personcanvassing in any part of the Exhibit Hall will be requiredto leave the building. No exhibit will be permitted in ahotel room.

Corporate RepresentativesThose companies unable to exhibit, but who would like tosend a representative, can pre-register the individual bycontacting the AAFPRS Foundation at (703) 299-9291,ext. 223 or e-mail: [email protected]. The fee foreach individual is $400.00. This fee entitlesrepresentatives to one day of activities in the exhibit hall

and general session. Representative badges may be pickedup at the Registration Desk. No distributors,manufacturers, or suppliers will be allowed admission tothe exhibit hall unless registered by an active exhibitor. Inthis case, the badge will note only the name of theexhibiting company.

Demonstrations/PresentationsLive demonstrations on any individual are strictlyprohibited. Activities must be confined to the limits ofthe exhibit booth. No demonstrations are to be conductedat any other time or location. Space requested must belarge enough to accommodate any activity conducted inconjunction with the actual product. Exhibitors areresponsible for monitoring and controlling attendance toprevent aisle congestion. In situations where overflowcontinues to be a problem, presentations will be requiredto be limited or eliminated. The exhibitor is required tomaintain the cleanliness of the booth. Aisles must not beobstructed at any time. Exhibitors may not conductactivity of any kind that leads to congestion of aisle traffic.Exhibits that include the use of musical instruments,sound projection equipment, or any other type of sound ornoise-making apparatus must receive advance approvalfrom show management and must not disturb adjacentexhibitors and their patrons. Music may not be played inany form without the proper license of copyrighted music.

ExhibitsExhibits will be inspected during set-up and the ServiceProvider, at the direction of the AAFPRS FoundationExhibit manager, will provide draping to cover anyunsightly areas and submit charges to the exhibitor.Exhibits must be arranged so as not to obstruct the view orotherwise interfere with the display of other exhibitors. Exhibitors are not permitted to dismantle or alter anyportion of space leased. This includes the dismantling oralteration of pipe and draping. Identification badges may be picked up at theregistration desk. Two company representatives arepermitted in the exhibit hall during exhibit hours perevery booth purchased. No other representatives areallowed in or around the exhibit area unless an additionalbadge is purchased. Additional badges are available for$150.00. Badge exchange between exhibitorrepresentatives is not permitted. The AAFPRSFoundation requires that all representatives be registeredfor the meeting. Exhibit badges permit attendance at anyGeneral Session.

EXHIBITOR POLICYThe Foundation intends for its exhibits to further theFoundation’s mission. Accordingly, the Foundationwelcomes exhibitors who provide attendees theopportunity to advance their knowledge of science, tofurther their education, or to involve themselves incharitable activities. The Foundation accepts exhibitorsthat it determines in its sole discretion, advance thosegoals and do not impair the mission of the Foundation orthe Academy. The Foundation will, in its sole discretion,determine which exhibitors to accept. The Foundation isunder no obligation to accept any exhibitor. Withoutlimiting the generality of the Foundation’s discretion toaccept or refuse exhibitors, among those exhibitors thatwill not be accepted are the following: 1. Those who do not follow the Foundation’s Rulesand Regulations for Exhibitors, as amended from time totime. 2. Those who do not advance scientific,educational or charitable goals. 3. Those who could bring discredit to theFoundation or the Academy if the exhibitors were linkedin professional or public perception with the Foundationor the Academy. 4. Those whose activities conflict with theFoundation’s or the Academy’s mission. 5. Those who do not maintain standards ofdecorum consistent with the Foundation and theAcademy. 6. Those promoting medical or surgical products orservices that have not been authorized by the Food &Drug Administration in ways not sanctioned by the Rulesand Regulations for Exhibitors. 7. Those selling products or services that, ifacquired or used by attendees, would violate the Academy’sadvertising guidelines.

Exhibitor Registration ScheduleExhibitors will be able to register their company duringexhibit hall hours from Wednesday, October 5,, 2016through Saturday, October 8, 2016.

Failure to Occupy SpaceAny exhibitor failing to occupy space is not relieved of theobligation to pay full rental price for booth space. TheAAFPRS Foundation will have the right to use exhibitspace as it sees fit, provided the space is not occupied onehour prior to the scheduled opening of the exhibit hall.

Food and Drug Administration (FDA)All medical devices or pharmaceuticals exhibited musthave fulfilled all applicable FDA regulations.

Non-FDA Approved Drugs and DevicesExhibitors are reminded that the FDA generally prohibitsthe advertising or other promotion of investigational orunapproved drugs and devices. The FDA also forbids thepromotion of approved drugs or devices for unapproveduses. Unapproved Class III devices may be displayed onlyif they are the subject of an effective investigational deviceexemption (IDE). Class I or II devices that have not beenapproved by the FDA may be displayed only if they arethe subject of a pending 510(k) pre-market notificationapplication. Any investigational product (including anyproduct subject to a pending 510(k)) that is displayed orgraphically depicted within the exhibit must:· contain only objective statements about the product;· contain no claims of safety, effectiveness or reliability;· contain no comparative claims to other marketedproducts;· display the statement “Caution: Investigational Devices.Limited to Investigational Use” in prominent size andplacement;· not be sold or be the subject of order taking or leadretrieval until approved. Signage that is easily visible should be placed near thedevices themselves and on any graphic depicting thedevice stating: “This device is not cleared by the FDA fordistribution in the United States,” or “This device islimited by Federal Law for investigational use only.”

Gifts and Promotional ItemsExhibitors are permitted to give gifts and promotionalitems, but the item MUST be approved by the AAFPRS.Individual gifts in the general range of $100 areacceptable. No gifts more than $100 are allowed.Exhibitors must follow the AMA Guidelines on “Gifts toPhysicians from Industry”. Any gift accepted by physiciansindividually should primarily entail a benefit to patients.Accordingly, textbooks, modest meals, and other gifts areappropriate if they serve a genuine educational function.Cash payments may not be offered. All shopping bags arepermitted.

InsuranceInsurance on all exhibits is the responsibility of theexhibitor. The AAFPRS Foundation will not assume anyresponsibility for property loss or damage to personalproperty, as stated in the section on Limitation ofLiability. Exhibitors are advised and encouraged to carryinsurance to cover their property against damage and loss

and public liability insurance for claims of injury to theperson and property of others.

Installation ScheduleExhibit companies may begin set up on Wednesday,October 5, 2016, 8:00am - 5:00pm. Installation must becompleted by 5:00pm, Wednesday, October 5, 2016.

Labor InformationUnion Labor may be required for your exhibit installationand dismantle. Please carefully read the UNION RULESAND REGULATIONS form included in the fullexhibitor kit to determine your needs. Exhibitorssupervising labor will need to pick up and release theirlabor at the Service Desk. Refer to the order form underDisplay Labor for Straight Time and Overtime hours.

Limitation of LiabilityIt is mutually agreed by and between the AAFPRSFoundation and the exhibitor that the AAFPRSFoundation will have no liability whatsoever to anyexhibitor, his employees, or his business invitees, or anyliability for loss or damage to the property of theexhibitor, his employee or business travel invitees resultingfrom any cause. It is further understood and agreed thatall claims against the AAFPRS Foundation for any suchdamage, loss, or injury are expressly waived by theexhibitor as the exhibitor’s responsibility. Space is leasedwith the understanding that the AAFPRS Foundationand the contracted meeting service contractor will act forthe exhibitor and his representatives only in the capacityof agent, and not as principal. The AAFPRS Foundationand the contracted Official Service Contractor assume noliability whatsoever for damage for any act of omission orcommission in connection with the said agency, and theexhibitor and his representative(s) hereby keep foreverharmless the AAFPRS Foundation, its officers, directors,employees, and agents from any and all liability for lossensuing from any cause. It is further understood andagreed that the AAFPRS Foundation will in no event beliable to an exhibitor for any lost profits, sales or businessopportunities, or any other type of direct or consequentialdamages alleged to be due to a breach of this contract. Itis understood and agreed that the sole liability of theAAFPRS Foundation to the exhibitor for any breach ofits contract will be for the refund of all amounts paid bythe exhibitor pursuant to the contract, as an exclusiveremedy. The exhibitor agrees to abide by all applicablelaws, ordinances, and rules and regulations, including butnot limited to those of the city and state where theexhibits are being held, as may be amended from time totime.

No SmokingAAFPRS Foundation’s policy restricts the use of tobaccoproducts in all areas of the exhibit hall (including set-upand dismantle of exhibits). Thank you for not smoking.

Operation and Conduct in ExhibitsExhibitor personnel may not enter the exhibit space ofanother exhibitor without permission from the latter. Atno time may anyone enter an exhibit space that is notstaffed. Exhibitors may not leave merchandise or printedmatter in the registration areas, lounges, meeting rooms,or other facilities of meeting/exhibit site. Themanagement reserves the right to restrict exhibits which,because of sound, method of operation, materials, content,or any reason, become objectionable. This includes theright to prohibit or evict any exhibit that, in the opinionof the management, may detract from the generalcharacter of the exhibits as a whole. This reservationincludes persons, things, conduct, printed matter, food andbeverages, or anything of a character which themanagement determines objectionable to the exhibit. Inthe event of such restriction or eviction, the AAFPRSFoundation is not liable for any refunds of rental fees orother exhibit expenses. As a condition for exhibiting, eachexhibitor agrees to observe all policies stated in thisdocument. Violations will result in the ineligibility toexhibit at future AAFPRS Foundation meetings.

The AAFPRS Foundation reserves the right to control allexhibitor activities that take place outside an exhibitor’sallotted exhibit space during the meeting dates.Exhibitors may not schedule hospitality suites,educational, entertainment or social functions to conflictwith AAFPRS Foundation programs or other activitytimes. All functions must be approved by AAFPRSFoundation in writing. For further information regardingany exhibitor’s allotted exhibit space, contact the Managerof Meetings & Exhibits at(703) 299-9291, ext. 223.

PhotographsAn exhibitor may not photograph or videotape theexhibits. Photographs or videotaping is not permitted inthe general session or meeting rooms without explicitapproval of the AAFPRS.

Sales and Order TakingExhibitors are free to solicit sales and take orders, butmust at all times maintain professional behavior. TheAAFPRS Foundation reserves the right to limit or restrictsales activities if such activities are causing a disturbanceon the show floor. Rule: All exhibitors who sellmerchandise from the show floor, or who take orders on

either a wholesale or retail basis, must meet, city,Department of Revenue requirement for the city/state inwhich the show takes place.

SecurityExhibitors are cautioned to have a representative inattendance during set-up hours. The possibility of theft or“mysterious disappearance” of equipment will be greatlyreduced if exhibitors take this precaution. All exhibitorsare well advised to follow this same procedure whendismantling exhibits. Be sure a representative is presentuntil boxing and crating of exhibit materials has beencompleted. The AAFPRS will provide a professionalsecurity guard service beginning the first day of move-inand continuing until the exhibit hall is vacated. However,the AAFPRS and the Mucis City Center are notresponsible for any loss or damage to exhibitor property.

STANDARDS OF DISCLOSUREIn order to maintain objectivity and balance as well as to disclose any known limitations on data, the AAFPRSFoundation Policy provides the following guidelines regarding disclosure at scientific meetings and ancillary functionsincluding, but not limited to, exhibits. 1) AAFPRS Foundation will make every effort to ensure that data provided during educational activities regarding acompany’s products (or competing products) are objectively selected and presented with favorable and unfavorableinformation and balanced discussion of prevailing information on the product(s) and/or alternative treatments. 2) AAFPRS Foundation shall ensure, to the extent possible, meaningful disclosure of limitations on data: for example,ongoing research, interim analyses, preliminary data, or unsupported opinion. 3) AAFPRS Foundation will require that presenters at educational activities disclose when a product is not approved inthe United States for the use under discussion. 4) Faculty/presenters are required to make disclosure concerning any relationship(s) with a commercial entity(ies) inregard to the presentation(s) to be given during an educational activity. 5) When commercial exhibits are part of the overall program, arrangements for these should not influence planning orinterfere with the presentation of CME activities.
