Issue No.35 Wednesday, 15th November Thanks to the amazing fundraising efforts at KPS this year. We have been able to purchase some exciting additional take-home reading resources for our children– and there are more to come!!!!! In order to ensure the longevity of this books we need to cover them. There are a lot of books to cover so if you can spare some time to help it would be greatly appreciated. We will be covering on: Friday,17 th November & Friday, 24 th November from 9am (in the Spanish room off the stadium) Morning tea will be provided and it is a great opportunity to meet other members of our school community for a chat. No previous experience necessary. As the saying goes – More hands make light work. Dear Community, Last week our neighbouring school St Pats and their community were deeply saddened by the loss of one of their Foundation students fathers in a tragic farm accident. Our thoughts go out to the family and the community. Daniel Sage was a police officer and has a family history of serving members. There will be a full police honours funeral for him on Friday at St Pats starting at 11.00am. Conway Street will be closed off for the guard of honour. Mounted police will also be present and the air wing will do a fly by at the end of the funeral. Michael Bourne, Principal of St Pats, has informed me that they are expecting 1000 people to attend the funeral. He has asked that I inform our community and reassure staff and students that if you hear the helicopter, see police vehicles or uniformed officers there is nothing to worry about. Last week our neighbouring school St Pat’s and their community were deeply saddened by the loss of one of their Foundation student’s fathers in a tragic farm accident. Our thoughts go out to the family and the community.

From the Principal’s Desk…………... Welcome to Term 4 Week 6 at Kilmore Primary School. Parent Complaints and Concerns Policy draft In the newsletter this week is a draft copy of the Parent Concerns and Complaints Policy. It is up for discussion as part of our three-year review cycle. The Education Committee have looked at it and will present it to School Council to be ratified next Tuesday night. Please have a look at it. If you feel there are any changes that need to be made, or areas that are not clear, please send me a letter or email with your feedback. It is important that these policies reflect the needs of the community and this is your opportunity for input [email protected] Thanks for your fundraising support! If you access the school from Sutherland Street you may have noticed that a new pathway has been installed from the road to the portable classrooms. This has been installed to improve the safe access of students. From now on, staff, students and parents will be asked to use this path and not walk through the carpark. Money raised through fundraising this year has helped to pay for this extra bit of safety for our children and I thank everyone who contributes to our fundraising. We are also looking at getting some repairs to one of the shade cloths out of fundraising money from this year. Mrs Cooney has purchased a range of new reading materials from fundraising money as well. Your contributions are essential to making a difference in what we offer students. School Fees and Booklist Information about 2018 school fees and book list are out today. Please read the cover letter carefully as there will be some changes to the way the book packs are distributed next year. The changes are to ensure the most efficient use of class time and maximise learning. In a nutshell, the main differences are that book packs will not go home for labelling. This will be done at school. Children in most grades will work with class sets of pens, pencils, rulers and glue sticks which will be topped up from book pack supplies. If we run out, the school will provide the extras. From a class management point of view the time saved daily with this organisational process is significant. I am happy to explain this further if you feel the need. I thank you in anticipation of your trust and support. School Family Occupation Index (SFO) Forms This week, families will have a form come home, requesting information about family occupation codes. The SFO is one of the key tools which determines our funding and we ask parents to update this periodically so that our funding can be calculated accurately. It is very important that parents update their details accurately and not overstate their current position as this can affect the funding we receive for example: You may be a qualified teacher which is Group A, but if you haven’t worked as a teacher for twelve months or more and are currently involved in home duties, the code would be group N. Another example is a farmer who owns their own farm is a group B, while a farm hand who works on a farm is group D. We thank you for your assistance and request that forms are returned to school as soon as possible. This information is strictly confidential and is only collected to provide a statistical number to the Department so we can receive the appropriate funding.

Thank you to Sean Williams (& his next door neighbour) for giving up their time and for using his equipment to dig out a new path in the teacher top carpark over the Melbourne Cup weekend The new path, when finished, will provide pedestrian access at the south end of the school on Sutherland St.

The KPS Facebook page is a great way to keep up to date with what is coming up and to get quick questions answered by other parents between each newsletter. Lots of reminders for things like bankbooks, when special food days are and even upcoming due dates etc are listed For any of our parents/guardians/grandparents who are interested in joining the KPS Facebook page there is a form that needs to be completed, signed and given to the office before they can be added to the page, this is for the safety of your child’s privacy and so we can be sure that we only have people on the page associated with the school and current students. There is also a code of conduct that should be read when you join the page, it is pinned to the top of the page and saved in files. If you are having trouble getting the request to join form to the office or just keep forgetting it, you can also email your completed form to [email protected] for a prompt email back with the FB link to the page. The form required is in this newsletter for easy access. You can also pick up a hard copy from the office. I hope this is handy information to anyone who has been considering whether the page might be something worth being a part of, please feel free to ask any questions to the same email above. Dear Parents / Carers, Kilmore Primary School would like to offer you the chance to purchase a Graduation Bear. The Graduation Bear is approximately 15 cm high and costs $20.00. It is a well stitched, sturdy bear and will sit upright on a bed, chair or shelf. The bears are white and students often have their teachers and friends sign them as a keepsake of their time at primary school. A sample of the Graduation Bear is at the office for viewing.

Right: One of my favourite times of day is playtime. Even if I’ve been fast asleep, snoring my little head off, when the bell goes, I wake up ready to go and play with my friends. Left: On Friday we held a special assembly to mark Remembrance Day. The School Captains explained the importance of the day and also laid a wreath at our flagpole. Below: I helped Mrs Cooney unpack a whole heap of boxes filled with brand new books. I spied lots of animal books that I’m looking forward to hearing read to me. Rationale: Our school has both a desire and a responsibility to ensure that high standards of conduct are maintained by staff and students at all times, and that complaints and concerns are managed and resolved fairly, efficiently, promptly and in accordance with relative legislation.

Aims: To provide a harmonious, positive and productive school environment. To ensure that our school will respond to parent concerns and complaints in an effective and timely manner.

Implementation: The school’s approach to handling concerns and complaints is based on our values of: providing a safe and supportive learning environment. building relationships between students, parents and staff. providing a safe working environment for staff. This procedure covers concerns and complaints about: general issues of student behaviour that are contrary to the school’s code of conduct. incidents of bullying or harassment in the classroom or the school yard. learning programs, assessment and reporting of student learning. communication with parents. school fees and payments. general administrative issues.

The school expects a person raising a concern or complaint to: do so promptly, as soon as possible after the issue occurs. provide complete and factual information about the concern or complaint. maintain and respect the privacy and confidentiality of all parties. acknowledge that a common goal is to achieve an outcome acceptable to all parties wherever possible. act in good faith, and in a calm and courteous manner. show respect and understanding of each other’s point of view and value difference, rather than judge and blame. recognise that all parties have rights and responsibilities which must be balanced.

The school will address any concerns and complaints received from parents: courteously efficiently fairly promptly, or within the timeline agreed with the person with the concern or complaint in accordance with due process, principles of natural justice and the Department’s regulatory framework

Raising concerns or complaints Approach the child’s teacher at a mutually suitable time to discuss the concern. Write a note or email to your child's teacher outlining your concerns Make an appointment to speak on the phone or in person with their class teacher, the Assistant Principal or Principal.

Help with raising concerns or complaints Complainants can seek the services of an advocate when they feel they are unable to express their concern clearly. An advocate can be a friend or someone who is available through an appropriate support organisation who does not receive a fee for service. All parties involved in addressing a complaint may seek the services of a mediator when there is difficulty coming to an agreement. The school will ensure that the complainant is aware of these supports. A complainant who wishes to use these support services should ensure the person addressing the concern or complaint is aware of their intention and is in agreement.

The school will record the following details of all complaints received. A brief note in the school’s/principal’s/teacher’s diary recording the issue and the resolution may be all that is required when the complaint is easily resolved.

In all other incidences, the following will be recorded: name and contact details (with permission) of the person with a concern or complaint the date the concern was expressed or complaint made the form in which the concern or complaint was received (such as face-to-face, by telephone, in writing, by email) a brief description of the concern or complaint details of the school officer responding to the concern or complaint action taken on the concern or complaint the outcome of action taken on the concern or complaint any recommendations for future improvement in the school’s policy or procedures.

Addressing concerns or complaints The school will make every effort to resolve concerns and complaints before involving other levels of the Department.

The school will determine whether a concern or complaint should be managed through the school’s concerns and complaints process or through other complaints processes of the Department. All complaints will be noted and acted on promptly by the staff member who receives the complaint. The school will make every attempt to resolve a concern or complaint as quickly as possible. If the complaint involves many students and a range of issues, the school will need more time to investigate and resolve it. Should the complaint involve complex issues, the school might need to take advice from the Department’s regional office which may take more time.

Remedies If a concern or complaint is substantiated in whole or part, the school will offer an appropriate remedy. For example, at its discretion and depending on the circumstances, the school might offer: an explanation or further information about the issue mediation, counselling or other support an apology, expression of regret or admission of fault to change its decision to change its policies, procedures or practices to cancel a debt (such as for school payments) a fee refund. The school will implement the remedy as soon as practicable.

Referral of concerns or complaints If a person with a concern or complaint is not satisfied with the outcome determined by the school, they should contact the Department’s appropriate regional office. The officer from the region will ask the complainant for a complete and factual account in writing of the concern or complaint and the complainant’s opinion about why the school did not resolve it to their satisfaction. If the complaint cannot be resolved by the complainant, school and regional office working together, the regional office may refer it to the Department’s Group Coordination Division.

Monitoring this policy The school will monitor parent concerns and complaints and consider issues raised through the parent complaints process, and any other relevant information from the parent opinion survey, when undertaking a review of the school’s policies, procedures and operations. The school council will regularly review its policy and procedures to effectively address parent concerns and complaints as part of its cyclic policy and procedures review schedule. The school will review its information about complaints made over time to: identify common or recurring issues that may need addressing use information provided to the school through the parent opinion survey on the views of parents.
