DOCUMENT OVERVIEW This document is a cashier User Guide covering the standard use of the RICS Point of Sale (POS) specifically entering
sales, time clock functionality, and price checks. Store Managers are responsible for communicating specific store
policies and procedures with their staff.
BASIC NAVIGATION The POS has up to eight navigational tabs but the number of tabs visible will vary based on user permissions.
As a cashier, you will spend most of your time selling product in the Point of Sale tab. The Time Clock and Price
Check functions are also available.

ENTER SALES Transactions are entered on “Enter Sales” under the Point of Sale tab.
Users navigate between three sub tabs under “Enter Sales” to complete a transaction:
• Ticket Header: Collect customer information
• Ticket Detail: Add product to the ticket
• Ticket Payment: Collect payment and finish sale

CUSTOMER Collect customer information on the Ticket Header tab when on the “Enter Sales” page:
ADD CUSTOMER TO TICKET
There are several options for adding a customer to the ticket:
• No Customer on Ticket
• Add Existing Customer
• Add a New Customer

NO CUSTOMER ON TICKET
A customer making a purchase may choose not to provide personal information as a new or existing customer. When
this is the case, scan product to automatically advance to the Ticket Detail tab.
ADD EXISTING CUSTOMER
1. Click the magnifying glass next to Customer to search for a customer in RICS. You can also press Ctrl+P
on your keyboard to display the Lookup window.
2. Search by Last Name, First Name or Account Number. Enter at least one field in the search box and click
Lookup.
If you have only a portion of the customer information, enter a % sign in any field and the partial data, also known as
a wilcard. The results will return any customer containing the partial information provided.
In the example below, the cashier knew the customer’s last name ended in ‘son.’ Therefore, RICS returned all
customers with ‘son’ appearing anywhere in the last name.

3. Click on the corresponding customer row and click Select to load this customer on the ticket. You will be
returned to the Ticket Header tab.
Once a customer is selected, the customer’s data appears on the ticket:
ADD A NEW CUSTOMER
1. If the customer does not exist in RICS, click New Customer.
2. When the Manage Customers screen appears, enter customer information and use the Tab key to move
between the fields.

Frequent Buyer Plan status and accumulations

3. Click Save and Close or press Alt+S on your keyboard when finished. The new customer will be saved and
you will be returned to the Ticket Header tab.
Ask Store Management what specific information to collect when adding a new customer in RICS.

ADD PRODUCT
To advance to the page to add product, do one of the following:
1. Scan products to automatically advance to the Ticket Detail tab
2. Hit the F6 key on your keyboard
3. Click on the Ticket Detail tab
BY DEFAULT, THE TICKET DETAIL TAB WILL DISPLAY THE REGULAR SALE TRANSACTION
TYPE.
Ask your Store Manager what Transaction Types are used in your store.

SCAN PRODUCT Scanning the product barcode is the recommended method for adding items.
As you scan individual items, confirm that the correct SKU, Size, Color and Price are displayed.
Talk to Store Management regarding specific store procedures and other items to watch for when scanning
products to a ticket.
PRODUCT SEARCH 1. Click the magnifying glass next to SKU to search for product in RICS if a product cannot be scanned or has no
barcode. Or, press Ctrl+P on your keyboard to access the Lookup window.
2. The Lookup window will allows you to locate product by SKU, Description, Color, or Supplier Name.
If you have only a portion of the SKU information, enter a % sign in any field and the partial data, also known as a
wilcard. The results will return any SKU containing the partial information provided.
In the example below, the cashier knew the SKU contained ‘234.’ Therefore, RICS returned all SKUs that contain
‘234.’
3. Click on the corresponding SKU row and click Select to add the product to the ticket.
MANUALLY ADD PRODUCT To manually add product to the ticket, enter the SKU number in the SKU field:

SELECT COL/ROW
Products with a corresponding COL (Size) or ROW (Width) must be specified on the Ticket Detail tab. Click on the
drop-down arrow for COL or ROW and select the appropriate product details.
Note: The POS will display a message in red when additional product information is needed.
REMOVE PRODUCT
To remove product from the ticket, click the row of the item to remove and click Clear Item.

COUPONS 1. To add a coupon to the ticket, select Coupon from the Transaction Type drop-down.
2. Scan the coupon provided by the customer or click the magnifying glass next to Coupon Code.

You can also search for the coupon using the Lookup function.
If you have only a portion of the coupon information, enter a % sign in any field and the partial data, also
known as a wilcard. The results will return any coupon containing the partial information provided.
In the example below, the cashier knew the coupon description contained a dollar symbol. Therefore, RICS
returned all coupons that contain ‘$.’
3. Click Select next to the desired coupon to add it to the ticket.

4. Advancing to the Ticket Payment tab opens the Apply Coupons dialog box.
5. Click the checkbox or radio button next to each item to which the coupon applies. Click Apply when finished.
Note: Coupons can be configured in three different ways. When the Apply Coupons dialog appears, the coupon
can be applied to one or multiple line items depending on how it was created.
Ask Store Management what specific procedures regarding coupons are in place in your store.

MULTIPLE COUPONS
If more than one coupon is included on the ticket, apply the first coupon to the appropriate items on the ticket. Click
the Next button to advance to the next coupon.
The active coupon will by highlighted in the header:
Remove Coupon
To remove a coupon, click the line item with the coupon on the Ticket Detail tab and click Clear Item.
FREQUENT BUYER RICS offers a loyalty program called Frequent Buyer to encourage repeat customers.
If the customer loaded on the ticket is enrolled in a Frequent Buyer plan, you will see the plan details on the bottom
of the screen.
In this example, the customer is only $22.05 away from earning a $20 Frequent Buyer reward.

If an earned reward can be used on the current sale, a notification will appear as you navigate to the Ticket Payment
tab:
Inform the customer that a reward has been earned. Confirm that he/she wants to use it on the current ticket. Click
Apply to add the reward to the ticket. The amount will be deducted from the total due.
Ask Store Management if your store uses a RICS Frequent Buyer program, and if so, how it works.

COLLECT PAYMENT
1. To collect payment and finish the sale, press the F7 key on your keyboard or click on Ticket Payment.
Note the number shown before each tender which can be used as a keyboard shortcut. For example, press 1
to select Cash Tender as shown below. You can also select the payment method from the Tender drop-
down menu.

2. Edit the tender Amount if different from the Total Due. If the Cash tender is used, the cash drawer will open
for the cashier to provide change to the customer. Change due back to the customer is shown here in red as
Cash Change:
Note: More than one tender can be used to complete a sale. Select the additional Tender from the drop-
down and indicate the amount to apply to the selected tender. Once all tenders have been selected, the
Total Due should be zero.
3. Click End Sale to process the tender and complete the transaction:
Note: Using multiple tenders may prompt the cash drawer to open, depending on your store settings. If no
change is due, close the cash drawer immediately.
PAYMENT CARD PROCESSING If a payment card was selected as a tender, swipe the card and process the authorization.
Follow instructions provided by your manager to process a payment card tender.

TIME CLOCK
CLOCK IN POS users may be asked to clock in and out to create a record of all hours worked.
1. Click the Time Clock tab.
2. Type your Cashier Code or select your name from the Cashier drop-down.
3. Click Save to record the Time In.
The Time Clock dialog also includes a checkbox for Non-Sales Hours. This checkbox should be used when doing
activities not related to working on the sales floor.
Checking this box does not affect the time clock entry, but will be reflected when running reports.

CLOCK OUT
Perform the same steps to record the end of your shift.
1. Click the Time Clock tab.
2. Type your Cashier Code or select your name from the Cashier drop-down.
3. Click Save to record the Time Out.
Note: The Time Clock is configurable. Therefore, the screen may require your POS password to validate the
Time In/Out.
Check with Store Management to understand specific time clock requirements for your store.

PRICE CHECK 1. Click the Price Check tab at the top of the POS.
2. When the Price Check pop-up appears, scan the barcode or enter the UPC/SKU to retrieve the price:
Click Clear to check the price of another item. Click Close when finished checking prices.
