This includes governance and administrative activities related to the CEO’s role as Company Secretary, and ensuring the efficient management of the office of the CEO. The position will also assist in the rollout and implementation of key projects. Key Responsibilities Governance Fulfil the duties required in supporting the CEO in the role of Company Secretary including: o Preparation of documents for the Board and management of minutes; o Supporting the Board in the application of the Board Governance Manual. Project Management Develop, monitor and review projects plans for projects that the CEO is responsible for. Provide project coordination when required, and play a key role in change management, internal communications and reporting for CEO projects. Identify gaps in the organisations rollout and implementation of key projects. Continuous Improvement Draft and support the implementation of procedures in the role of Sub Process Manager, for areas of the business that the CEO holds Process Owner responsibility. Undertake tasks that support the ongoing implementation of Governance policies and procedures. This would include collaborating with the Strategy and Innovation Group, the Corporate Services Group and the People and Culture Group. Media and Public Relations In the absence of the Manager – Communications, be a point of contact for media enquiries. Provide media responses on behalf of the CEO that are reflective of RAQ’s values and direction. Executive Support Support the CEO to manage information exchange and ensure effective communication occurs across key stakeholder groups. Assist in the preparation of papers, including those for the Board, Sub Committees of the Board; Executive and Senior Management Meetings. Assist in the preparation of agendas and capturing of minutes for meetings such as Board Meetings, Sub Committee Meetings; Executive and Senior Management Meetings. Distribute Board papers within specified timeframes via the RAQ Board portal. Draft correspondence to be sent on behalf of and signed by the CEO. Ensure that urgent enquiries and emerging issues are brought to the CEO’s attention.

About the Role Reporting to the CEO, this position will provide high level advice and support to the CEO. Assist with the recording and storage of information in accordance with records management policies and procedures.

Provide administrative support to the CEO as required.

About You To be successful in this position you will have:

Required Highly Desired

Qualifications Undergraduate level qualification in Business or Project Management.

Experience A strong track record of managing and delivering projects within specified timeframes.

Previous delivery of support to senior management.

Delivery of policy and procedure development, review and implementation.

Previous experience in a complex industry.

Experience in governance and Company Secretary duties.

Knowledge

Understanding of project management principles and application of relevant associated tools.

Ability to identify effective frameworks that match organisational need and context.

An understanding of Governance and Board functions.

Understanding of project management principles and application of relevant associated tools.

Comprehensive understanding of change management principles.
