What selling options are best for your troop?

Benefits of selling onlineOnline sales in the MagNut Program are easier than you think!

Girls and families love online orders because there’s no money to collect or extra paperwork, and troops earn 2% more in proceeds. They receive weekly emails on their progress and can customize their very own site.

Customers love ordering online because they get their order quickly (which works especially well for holiday gifts), and there are even more great products to buy online to support their favorite Girl Scouts — even corporate gifts.

Troop leaders benefit from online sales because you don’t need to handle money, and your troop earns 2% more with online sales (Get 17% instead of 15% in proceeds!). Your TMM may even qualify to create her own personalized MyPatchCreation™ patch (see below).

Here’s how you get started:1. Remind families about the magazine/candles/tumblers/organic veggies/nut/candy

Online Program email (QSP will begin sending out Oct. 1) or that they can go to gswpa.org/magnut-resources to access the link.

2. Look for your email to log in to your Troop Dashboard.

What’s a Nut Promise?Nut Promises are a great option for girls to engage customers for in-person nut & candy orders, but through email. In a nutshell, a Nut Promise is an online order that’s girl delivered. When sending emails to potential customers from their online account, girls can select which emails will include the Nut Promise option by checking the peanut icon. So, if Aunt Juliette lives in Alaska and the girl won’t see her soon, she wouldn’t check the peanut icon because Alaska’s pretty far to deliver.

CHANGE FOR THIS YEAR: Nut Promises placed by customers online are automatically ordered and should not be written on the girl’s order card. These orders are visible on the Girl Dashboard under the Order Summary tab. These Nut Promise orders will be delivered with the troop’s order. Girls are responsible for delivering the promised order to the customer and collecting the money/payment. Because customers place their promise online, Nut Promise orders count toward online proceeds and recognitions, including the MyPatchCreation™ personalized patch.

Remember! The last day for customers to place an online Nut Promise order is Monday, Oct. 23 (lockout 11:59 p.m.).

MyPatchCreation™• Girls earning $200 in online sales (NEW! Nut Promise orders

are NOW INCLUDED!) can customize their own personalized MyPatchCreation™ patch through the QSP/Nut Online Program.

• Once a girl’s online goal is reached, a link to create the patch will be sent to her online sales participation email address.

• TMMs can earn a MyPatchCreation™ if your troop has $750 in online sales. Once this troop goal is reached, you’ll receive an email to create your patch.

• MyPatchCreation™ patches will be shipped directly to the recipient.

MARK YOUR CALENDAR: Nov. 17 is the last day for online orders to count toward girl recognitions and proceeds.

MyPatchCreationTM

Create & EarnYour Own Personalized Patch!

Even if you’re not selling online, there are fun games and activities girls can do online, including creating their own personalized Hero Cat avatar.

Operation:Sweet

Appreciation

Benefits of selling in personSelling in person to friends, family and neighbors can be a lot of fun for Girl Scouts. Girls get lots of experience learning and enhancing their people skills as they interact with customers, and customers respond more favorably to an in-person ask. Girls also get real-life money management skills training while giving change, delivering orders and spending proceeds.

In-person sales are great for customers because they don’t pay shipping charges with in-person sales, and they can also help your Girl Scout make a difference to our U.S. military at home and overseas by donating Honey Roasted Peanuts for Operation: Sweet Appreciation. Yum!

Some things to remember with in-person sales:1. Girl Scouts do not collect money for nuts & candy from the customer when taking orders. Customers pay when

products are delivered.2. Girl Scouts do collect money for magazines at the time of the order.3. Products are not returnable or exchangeable.4. Magazine discount offers or coupons are not accepted. Combo magazines count as one subscription in Nut-E.

59 Minute Quick Start for Online SellingTry this new troop activity! It counts toward online sales and recognitions!• Once girls sign up to participate with the QSP/Nut Online Program, they click Text & Share

and send themselves a text payment link. • Together, girls spend 59 minutes at a troop meeting calling family and friends offering a

$20 magazine gift card and then forward the text link for payment. • Find more details at girlscouts.qspgao.com/59min• Check out the cute patch available to order in the GSWPA shop!

Make Operation: Sweet Appreciation a part of your sale!Girl Scouts can ask customers to donate a can of Honey Roasted Peanuts to the military through this virtual sale. The Honey Roasted Peanuts will be sent directly from the vendor to U.S. military men and women. • Girls collect $6 donations from customers (at the time of delivery or when placing the order if the

customer is only supporting OSA) and enter the quantity in the OSA column on the order card. • TMMs enter the quantity in the Troop Dashboard in Manage Orders next to the Thank You row.• If a customer wants to donate to OSA online and pay by credit card, girls must direct them to gswpa.org/military.

Donations can still be attributed to the girl but count as in-person sales, not online sales.

Nuts & Candy DeliverySUMM to TMM• Your SUMM will notify you in advance of the time and location of product pick-up. • Check for damaged and missing products in each case. Report any discrepancies/damages to your SUMM

immediately. • Make sure that you and your SUMM agree with the product count before you leave the site. • You are responsible for what you sign for on the receipt!

TMM to Girls• Notify parents of location/time to pick up nuts & candy (including Nut Promise orders). • Print two copies of each girl’s Rewards Delivery Ticket under “Delivery” on your Troop Dashboard for each parent to sign.

This acts as their delivery receipt. One signed copy remains with the troop and the other copy is given to the parent. • Parents are responsible for all products they sign for on the receipt. • No product should be removed until the entire order is unloaded, counted, and a signed receipt is provided.

Additional Product• There are no nuts & candy cupboards.• A limited supply of tins and product are available at designated offices to replace damaged items after ALL

deliveries are made. Parents must contact their TMM to make arrangements.• No returns or exchanges can be made.

Reach Out BookletReach Out Booklets are a quick and easy way to participate in the MagNut Program and earn funds for your troop. Troops receive $2 per booklet (one per girl), and girls can earn the 2017-2018 Lightning patch.

Here’s how you get started:1. Consider planning a Reach Out Booklet party! Encourage families to bring their address booklets

and fill out the nine postcards together. Only one booklet per girl can be entered on your Troop Dashboard by Nov. 3.

2. Be sure each booklet has GSWPA (council name), the girl’s name and troop number on the front of each booklet. Suggestion: make labels (with GSWPA, the troop number and the girl’s name) for each girl in your troop to place on the front of the booklet.

Next:1. Submit your troop’s Reach Out Booklets to your SUMM. 2. Verify that girls may not use each other’s names and addresses. This voids the booklet/proceeds and should not be

entered on your Troop Dashboard before the recognition lockout.

Please note:1. The postcard and a magazine flyer will be mailed to the addresses the girls submit. Names to do not get sent to a

mailing list or saved in a database. 2. Troops/girls do not receive additional proceeds/recognitions on orders generated by Reach Out Booklets.3. Troops participating only with Reach Out Booklets will receive proceeds in the form of a GSWPA Shop gift

certificate. This will be mailed directly from GSWPA to the troop.

Displeased Customers If a customer is displeased with their nuts or candy (Ex. damaged):

◆ Collect the damaged product from the customer, and replace it or refund the customer’s money. ◆ Damaged item must be returned to get a replacement or a refund. ◆ GSWPA will issue a troop credit for the damaged item if it cannot be replaced.

6

Financial Procedures

ALL MONEY collected through the MagNut Program must be deposited into your troop bank account. (This includes money owed to GSWPA and troop proceeds.)• It’s the troop’s choice if they’ll accept parent or customer checks. Any checks must be made out to the troop and are

not to be made out to GSWPA.• Nuts & candy money is collected at the time of delivery to the customer. No money is collected at the time of

ordering unless the order is only for Operation: Sweet Appreciation.• In-person magazine and Photo Keepsake money is collected when customers place their order.• TMMs should collect all money from girls and deposit it promptly and frequently into the troop account.• Enter girl payments on the Manage Orders page on your Troop Dashboard. Payments will appear in the troop reports.• Troops retain their proceeds for all sales, including online sales (automatically calculated on the Troop Dashboard

and visible in troop report). • Troops earn an extra 2% proceeds for online orders including magazines, Photo Keepsakes, tumblers, candles,

organic veggies, and nuts & candy. This is automatically calculated on your Troop Dashboard.

ACH (Automated Clearing House)Troop Payment• If you’re a new troop or if your bank information has changed (including signers), complete and mail a new

ACH form (found in the Forms section at gswpa.org) by Nov. 22, 2017, with a canceled check from your troop checking account to: GSWPA, Finance Dept., 30 Isabella St., Suite 107, Pittsburgh, PA 15212.

• The ACH Debit Sweep will be processed December 12, 2017. “Amount Due to Council” will be automatically deducted from your troop bank account.

Not enough funds to cover the ACH Sweep?• An ACH Adjustment form must be submitted to GSWPA by December 5, 2017, if the total amount due to GSWPA

is not available in your troop bank account. Find the ACH form and the ACH Adjustment form at gswpa.org in the forms section.

Delinquent Accounts • Troops DO NOT PAY for a girl’s balance due or RETAIN the proceeds from a delinquent girl’s sale. Ensure that an

ACH Adjustment form is submitted by December 5, 2017. • Troops that have a girl with a delinquent payment must also submit delinquency paperwork by December 15, 2017.

Submit the following documents:• a copy of the balance due letter sent to the parent*,• completed delinquent forms*,• the signed permission form, and• the signed Girl Rewards Delivery Ticket.

Mail by Dec. 15, 2017 to: GSWPA, Attn: Yvonne Colleran, 30 Isabella St., Suite 107, Pittsburgh, PA 15212 Failure to submit the documentation could result in GSWPA not being able to collect on this debt. If the troop pays for the delinquent girl and the Girl Delinquency paperwork (including documentation) is not received by Dec. 15, the troop will not be reimbursed for this girl until if/when full payment is received by GSWPA from the parent.

• Do not delay submitting delinquent forms to GSWPA. Your troop will be held responsible for the balance due if no delinquent forms are received.

• REMEMBER: If a parent or volunteer fails to pay on time, they understand they are liable for the amount not paid in addition to all costs, interest, legal and/or collection fees expended by Girl Scouts Western Pennsylvania in the collection of this debt.

• If the financial obligation is not fulfilled, they will be ineligible to be appointed as a volunteer or participate in any volunteer/program/camp position or activity until the debt is paid in full.
