This Quick Reference Guide covers the process of logging samples for MSES backfill material. This process assumes a user will begin the sample entry from the Material Inspection Detail (MID) window, in the Daily Work Report (DWR) area. Samples can also be logged by navigating directly to the Sample Information window, but the system will not pre-fill some sample details using this approach. Samples entered directly into the Sample Information window will need more details entered manually.
Here is an example on logging a sample of MSES backfill materials from the DWR area of SiteManager.
On the Main Panel, double-click on the Daily Work Reports (+) icon.

Open the DWR for the contract, Inspector and date of the installation. You can pick the inspector or EIC, someone on the project who has a DWR for that day. In general, DWR’s are entered each day by inspectors.

This message is OK. You can not edit the DWR, but you have Read access. You can still document a sample for a specific pay item, with Read access to somebody else’s DWR.

Any pay items that were installed that day will sort to the top, and be checked. The rest of the pay items will be sorted by Line Item Number, not necessarily Item Code. Watch out! Some jobs, like this one, have more than one Item for MSES! Some contracts may repeat pay item codes across several different payment sources (shares). Funding sources or shares are shown under Category Number. Be sure to tie your MSES backfill sample to the correct combination of pay item and category number (e.g. 0001). Scroll down to find it.

Click the Red Triangle to open the Material Inspection Details (MID) window.
Refer to the values in the Cont Est Matrl Qty column.
Note that four possible material components are available for this MSES pay item. By default, MSES walls will use MSES Backfill material, but it is the contractor’s option. MSES backfill material has a value of 501.000 in the Cont Est Matrl Qty column, indicating this material components is “turned on” for this pay item. The remaining three material components show 0.000, meaning these material’s sampling and testing requirements have been turned off for this contract. If the contractor elects to use another backfill material, project staff will turn off MSES backfill, and turn on MSES backfill RCA, for example.

Click the Lightning Bolt to launch the Sample Information window, with some fields pre-filled from known information, like Material and Contract data.
Each test method shown in the lower window equals a basis of acceptance for the MSES Backfill material (733-0211). To satisfy (top row) the acceptance requirement that a monitoring sample of backfill material be taken for this pay item, a sample needs to be entered at a rate of 1 per 60, and these samples need to entered using a Sample Type of Project Granular Material Acceptance (see sample record on the next page).

Section 733 was created to separate the Material information from the Pay Items. For example, for Item 554.0101, the Material Code 733-0211 is turned on, and 733-0212, 733-0221 and 733-0222 are off. Use the backfill material that is on your contract, which appears in the center window on the MID window.

o Geog. Area: select the Region where sample was taken, required field Not where the material source is, which may be another Region, or even out of state, but

By tying to the Contract, the Project Name, PIN, and County are also tied to the Sample o Since MSES samples are tracked by the number of samples, not by Represented Quantity, use
zero (0) in the field for Represented Quantity. o You still must SAVE the Contract Tab (with a zero Rep. Qty) to tie this sample to the
contract.

Sample has been logged, status should change to “Logged”
Print a label, and send the backfill sample to Reg. Lab for “testing”. If you are the Lab, keep reading. Launch LIMS using the bulldozer Icon (blue circle).

Receive the sample in the Regional Lab Unit. If the sample was Logged in the field, by the EIC or Inspector, the process may begin here for Regional lab staff.

Check the sample to indicate you received the sample, and click Save.

Select Enter Test Results from the LIMS main panel, to record test details. For the MSES backfill process, “testing” involves just indicating that the sample was received by the Regional GEB lab. (see next page for screen details)

You must indicate that you received a sample. Just type something in the box, check Test Complete and click Save.
Once this test screen has been completed and saved, the sample should move forward on to the Review Sample window in LIMS.

Double-click Review Samples. You must Authorize (finalize) the samples to have them count on the project. If this process is not completed here, and an estimate is run to pay for quantities of the MSES item (554.0101), the estimate process will be looking for 1 sample for each 60 square meters of MSES wall installed.

Select your sample, select Complete, Accept, and click Authorize. These are the only valid selections for this sample type. If they do not match, the sample will not satisfy the contract’s sampling and testing requirements for MSES wall pay item, for the 733-0211 backfill material component.
You have successfully completed the Sampling and Testing requirement for MSES Backfill for SiteManager. This completes the project portion of this process. The project portion of this process is designed to insure that backfill samples are taken for MSES pay items, to double check that the correct stockpile was used to construct the MSES wall.
The sample can now be sent to Albany for verification testing using the GSLA system, using the appropriate procedures in place today. At some point in the future, it is envisioned that GSLA testing will also be done in SiteManager.
