Instructions for Template Use This document gives you a template to quickly create a complete and compelling customer proposal for transitioning from HP 9000 or Alpha environments to HP Integrity.

The first part of the template provides overview information that explains why your customer should consider a move to Integrity today. These sections require only that you customize the address information in the cover letter and replace the [CustomerName] instances with the name of your customer. This can be done easily using the “replace” function (listed under the Edit menu on the toolbar in Microsoft Word).

The IT Consolidation Design and TCO Analysis sections of the template require the insertion of the proposal configuration and TCO analysis prepared for your customer by Presales Shared Services (PSS.)

Throughout the template, you will see instructional text formatted in italic and highlighted in yellow. Be sure to read and follow all instructions provided. Boilerplate text that may need to be customized is also highlighted in yellow (with the exception of [CustomerName], which is not highlighted to facilitate the quick use of find and replace).

After you have customized the proposal, read through it carefully before delivering to your customer to make sure that

Executive SummaryIT departments are challenged on many fronts. Business units are demanding higher service levels. Mergers and restructurings may require rapid systems integration as well as database and server consolidation. Security is a never-ending concern.

[CustomerName]’s IT staff is probably trying to meet these and similar challenges with a complex infrastructure that is already supporting tens, hundreds or even thousands of applications. There may be a wide array of servers, including both outdated and underused machines. At the same time, there is likely mounting pressure to meet ambitious new goals while cutting costs, to conserve valuable floor space, and to reduce power and energy consumption. [CustomerName], like many other companies, may find that these IT challenges can best be addressed by making incremental improvements that yield immediate benefits.

One approach is to replace older HP Alpha Server and HP 9000 systems with new HP Integrity servers running the HP-UX, OpenVMS, Linux or Windowsoperating system. HP Integrity servers offer [CustomerName] a flexible, reliable and cost-effective solution platform. They are designed to help you achieve your business goals and earn a higher return on your IT investments. By transitioning to modern HP Integrity servers, [CustomerName] can attain higher levels of performance and availability at significantly lower costs compared to older HP server systems. Simply stated, that is the price/performance advantage of HP Integrity servers.

If [CustomerName] decides to replace its current HP Alpha Servers or HP9000 systems, HP recommends first developing a transition plan to the Integrity server, and then determining if any obstacles prevent you from making the move. [CustomerName] can work with its HP account representative or HP partner to determine what obstacles exist and whether or not they can be removed in an acceptable timeframe. If they cannot, then purchasing a new HP 9000 server may be the best choice to address your requirements.

HP’s goal is to make [CustomerName]’s transition from HP Alpha Servers and HP 9000 systems to Integrity servers as smooth as possible—with less complexity, lower cost and reduced risk. To that end, HP created the HP Alpha Retain Trust (ART) and HP9000 Evolution Programs. These programs provide tools, guidance, and services to help [CustomerName] make a successful move to the Integrity server family. Program resources include comprehensive planning, design and implementation services and generous system trade-ins. HP also offers a set of complimentary tools based on a framework designed to enable your IT team—together with HP or an authorized HP partner—to plan, design and implement the transition and establish management procedures for the new environment. Finally, HP will work with [CustomerName] to accomplish the transition at your pace and within your budget.

Addressing [CustomerName]’s IT ChallengesThere are several factors that might prompt [CustomerName] to consider moving its IT infrastructure to HP Integrity servers. These can be considered “pain points” or “planning triggers” that affect the management or operation of your current or future IT computing environment.

If your answer to questions in any of the following scenarios is “yes,” now is a good time to contact HP or your authorized HP channel partner to plan your move.

•Performance—Does [CustomerName]’s IT infrastructure need greater performance now or in the near future? Are [CustomerName]’s end users or clients complaining about their response times? Are service level agreements (SLAs) not being met or getting close to not being met? Are there new business or IT changes coming that will put additional loads or complexities on [CustomerName]’s IT infrastructure? Are new or enhanced applications or database volumes expected? Is [CustomerName] experiencing more pressure for its IT investments to support the changing needs of your business processes? Are new development projects taking much longer to achieve completion and implementation? Are you considering additional upgrades to CPUs, memory, and storage resources? Does [CustomerName] need a higher level of application or database availability, backup or disaster tolerance and recovery? Are you nearing capacity for datacenter cooling, power consumption or available space?

•Equipment Lifecycle and Financing—Is the existing lease on equipment up for renewal, or at a transition point? Are [CustomerName]’s capitalized servers reaching or exceeding their end of depreciation schedule? Is [CustomerName] reaching the policy-based lifecycle end of the existing server infrastructure? Are you experiencing increased component or system failures? Are upgrades and add-ons a regular activity in your IT budget or planning cycle? Is [CustomerName] starting to experience “server sprawl” with the policy of deploying a new server for every new application? Are [CustomerName]’s development, quality, test or backup demands rapidly climbing?

•Support—Will [CustomerName]’s current operating systems or ISV application versions no longer be supported by your product or service vendors? Will [CustomerName] be implementing new application or database versions that are only available on the Integrity platform? Is there a need to respond to end-of-life plans for applications, databases, operating systems or server hardware? Are service and support contract costs rapidly climbing for older versions of [CustomerName]’s hardware and software? Are time and materials or per-call charges much more expensive due to out-of-revision products supporting [CustomerName]’s enterprise application?

Thanks to forwarding-thinking design and planning, the transition from HP 9000 to Integrity servers is a simple process in most cases. Integrating Integrity servers running HP-UX with existing HP 9000 systems is “normal” practice. If the transition proves to be more complex, though, HP has all the tools and services to help.

The transition of Alpha servers to Integrity servers can be more complex, but HP offers programs, tools and services to reduce the cost, risk and time required to bring Integrity servers into your IT environment. HP bases this model on extensive, real-world experience with actual transitions for many types of customers. All of the services in the awareness, plan and design phases are complimentary. In the implementation phase, [CustomerName] may use either HP Services or HP partners to implement the transition. Alternatively, [CustomerName] may manage its own transition, with guidance provided by HP as your needs dictate.

During the awareness phase, [CustomerName] identifies the benefits to its business of transitioning to Integrity servers. In this phase, HP’s goal is to make sure that [CustomerName] understands our product roadmaps and the various options that are available. HP programs allow for direct interaction to address [CustomerName]’s specific needs, based upon where [CustomerName] is today as well as your short- and long-term business and IT goals. HP has structured the HP 9000 Evolution and ART Websites to help you quickly find the information you need at any point during the transition cycle.

Transition ApproachesFour major transition approaches (not mutually exclusive) are available for consideration.

•Integrate HP Integrity servers into [CustomerName]’s existing HP 9000 and HP Alpha infrastructure.

This would facilitate, where needed, an increase in performance or the introduction of a new solution into the existing environment.

•Consolidate multiple systems onto fewer servers to reduce total cost of ownership (TCO)—either on HP Integrity servers or HP 9000 servers.

This approach optimizes IT to increase business value by reducing TCO, improving reliability, increasing efficiency and requiring less management intervention to keep the IT infrastructure working efficiently. The combination of HP Integrity servers, OpenVMS and HP-UX 11i Virtual Server Environment enables [CustomerName] to consolidate the IT infrastructure and increase efficiency.

•Platform transition—replace existing HP 9000 and Alpha systems without re-architecting the solution stack (those applications that comprise [CustomerName]’s environment).

In this scenario, [CustomerName] is reasonably satisfied with the solution stack, but sees benefit from upgrading the system or revising the operating system or application software, or both. In this case, [CustomerName] should consider an HP Integrity server system unless there are circumstances that dictate continuing with a new HP 9000 or HP Alpha server.

•Re-architect [CustomerName]’s solution and install it on the new server platform.

This is the most complex transition. In this scenario, [CustomerName] chooses to discard the present solution stack, identify or develop a replacement solution stack, and then size and implement it. In most cases, [CustomerName] would want to engage HP Services or a systems integrator to assist with this type of transition.

Transition Phase DescriptionsThe planning phase typically starts when [CustomerName] creates a transition team. The team should assess [CustomerName]’s business needs, identify areas to improve, and decide which areas to address first. The first step is to inventory [CustomerName]’s current environment to identify key applications and revisions, server platforms, operating-system releases and storage capacity—specifically, which parts of [CustomerName]’s IT infrastructure continue to deliver business benefits and which items need to be replaced. During this phase, [CustomerName] develops a transition plan that defines IT requirements, service level objectives, required functionality or ISV solution stack, transition schedule and available resources.

During the design phase, [CustomerName] prepares to put the transition plan in motion. The first step is to define how to implement the plan. This involves sizing the system to address workload requirements and identifying the tools and methods needed to move data and applications to the target server and establish the timeframe. [CustomerName] may find it helpful to do a proof of concept to verify that the design meets [CustomerName]’s business objectives. HP has developed tools and techniques to help [CustomerName] design the process to make a smooth transition to HP Integrity servers. [CustomerName] can choose to work with HP or use its own transition team to design a transition plan.

Once a good design is developed, [CustomerName] is ready to transition to the HP Integrity server. Thorough testing is an essential part of the implementation phase, including data migration testing, pre-migration testing, and post-migration validation testing. [CustomerName] tests the system in its test environment, tunes the solution for optimal performance, and then establishes a timetable for introducing it into the production environment.

When [CustomerName] reaches the management phase, the HP Integrity server will already be integrated into your IT infrastructure. But are the new server and its resources being managed to maximize potential business benefits? Complimentary consulting sessions and transition workshops are available from HP and selected HP-trained partners. Account consulting sessions are two- to three-hour interactive discussions, tailored to [CustomerName]’s particular situation, between HP technical and business personnel and key members of your team. They address information technology issues; discuss key business issues and requirements; and assist you in understanding the considerations, tools, and processes available in the transition process. These sessions are available from HP in selected cities around the world.

Often, the initial consulting session leads to a transition consulting workshop, an in-depth one- to three-day collaborative technical exchange involving account teams; HP personnel; and, where appropriate, ISV or HP authorized partners. These customized planning and problem-solving workshops address [CustomerName]’s key business and IT requirements in detail. They can be conducted at [CustomerName]’s site, with facilitation by one or more HP Transition Specialists.
