Once the system is installed, it’s possible to produce reports on staff movement and to track individuals around a site. It’s also possible to give visitors and contractors temporary access to ‘public’ areas with badges that will cease to function after a pre-determined time.

Finally, for companiesrequiring a higher level of security, remember that the access control supports the latest timeware® fingerprint reader technology.

Introducing access controlNow you control who goes where... The first step in introducing access control should be to upgrade to timeware® 2013 – it’s fast, easy to use, compatible with all versions of Windows and performs well over remote desktop connections.

Next, you need to consider the zones within your building that you need to protect. timeware® is scalable – start off with one zone and you can introduce more as your company requirements change.

Each door will be fitted with a ‘magnetic lock’ or ‘door strike’ – different types of doors require different door furniture and a site survey by a member of the timeware® access installation team will confirm your exact requirements.

Next we must consider how your staff and will open the door when it is

locked! This is achieved using a proximity or biometric readers. Remember that if you chose proximity, staff will need to carry their badge with them at all times.

Many companies use the implementation of access control as an opportunity to introduce ID badges bearing employee photographs.

Should you fit a reader on both sides of the door or just one? A reader on both sides allows timeware® to track an employee’s movements more accurately. If you chose only one reader, the opposite side of the door will be fitted with a ‘press-to-exit’ button.

Where necessary, ‘emergency break glass’ devices can be fitted to doors to override the access system.

Access Control Case Study #1 CAl BankCurrently the most innovative indigenous Ghanaian Bank in Ghana, CAL Bank formerly Continental Acceptances Ltd and CAL Merchant Bank commenced operations in July 1990, providing world class financial solutions to the Ghanaian banking sector.

IntroductionAt CAL Bank, the promise is to deliver services you can always bank on. Our customer-centric approach in our service delivery is underpinned by the bank’s ethos of customer delight. It is out of this that the slogan ‘Bank on our service’ continuously drive the bank to play an important role in the Ghanaian financial sector by providing total banking services to personal, commercial and corporate clients in Ghana and beyond.

RequirementEmploying around three hundred staff at twenty locations throughout Ghana and with expansion plans that could see the numbers grow considerably, the company needed to source a biometric attendance monitoring solution with a proven track record that was easily saleable. A combined access control solution was also included on the ‘must-have’ list and the bank began to short-list potential systems.

SolutionFollowing a lengthy evaluation process, visisure (West Africa) was chosen to provide the timeware® attendance and access control solution. What followed was a carefully co-ordinated installation as the visisure team installed twenty-three timeware® t9-5150 biometric terminals and registered the biometric data for over three hundred staff at twenty sites in Accra, Kumasi, Takoradi and beyond. For

the access control, timeware® biometric was also chosen, providing security to various management offices and server rooms.

Extensive user training was provided by visisure on the HR, attendance, access and reporting modules ensuring that CAL Bank management received the correct information at the right time.

Summary‘’This large-scale implementation proves that timeware® can provide an effective attendance and access solution across wide-area networks. The biometric have once again proved to be extremely reliable in some quite

Access Control Case Study #2 RPC ContainersRPC Containers, Llantrisant produces a range of injection stretch moulded and extrusion blow moulded bottles and containers from 50ml to 2 litres for the personal care, pharmaceutical, car care, veterinary, household chemicals and lifestyle drinks markets.

IntroductionIn addition to our standard containers, our in-house design facilities can create bespoke packs for specific customer requirements. Silk screen printing is also available.

Containers can be produced in a variety of materials, including PET, HDPE and PP, and we have particular experience in the incorporation of post consumer recycled (PCR) plastics.

The site is ISO and BRC accredited.

RequirementThe company’s requirements were initially attendance driven - the need for an effective time management system, preferably biometric based to eliminate both ‘buddy punching’ and the cost of proximity badges, was identified and a number of possible systems were shortlisted. Following several demonstrations to identify the systems suitability, timeware® was awarded the contract and the software and hardware were installed and operators trained on HR, absence management, attendance and the extensive reporting features. Fairly soon after the initial installation, the customer’s requirements changed to include the need for biometric access control. What started off as a fairly

standard installation soon encompassed both multiple biometric attendance booking points and multiple biometric access points. At this site, an interesting problem to overcome was the replacement of the existing access control hardware. The original system was hardwired, with upto one hundred metres of cable installed beneath the company carpark and loading

bay, controlling two vehicle barriers. Unfortunately, the original cabling was not suitable to provide network communication for the timeware access control terminals and so an alternative method had to be considered.

SolutionThe obvious choice, due to price and ease of installation, was WIFI communications. timeware® technicians installed two 802.11g wireless access points inside the timeware® access control terminals adjacent to each barrier and following some initial testing, the wifi comms method proved to be just a reliable as the hardwired terminals in the factory!

Summary“Combining the company’s attendance and access control systems into one package means that we now have a secure, cost effective solution that benefits from regular yearly upgrades. In my experience, timeware take an active interest in customer suggestions which means that the product development is primarily user driven. timeware® was a great choice - highly recommended to any company requiring a biometric workforce management solution.”

Q1. I have added a new employee but they don’t seem to be registering on the attendance terminal.

A1. Check the essential tab to ensure that the correct terminal policy has been selected.

Q2. We have a message on the agenda that reads “unable to collect bookings…’, followed by a high number of anomalies. What Should I do?

A2. There could be an issue with the power supply to a terminal or possibly a network problem. Report the fault to your timeware super user.

Q3. When I click on the find option within timeware® personal it lists everybody including leavers.

A3. Go to the sort and filter tab located on the menu bar at the top of the screen, you can then filter the leavers out of the system.

Q4. I have a problem on the adjustment screen: the total hours worked for some employees is displaying ‘??:??’

A4. This is generally caused by the period schedule not being correctly setup, please organise some training or call support to discuss how to rectify this!

Q5. The attendance terminal time has ‘drifted’ by a couple of minutes, is there a quick way to rectify this?

A5. All v10 based (and above) timeware® terminals can have their time set by the event handler which gathers the time from the company server. The server, in turn, can be configured to

set its own time from the internet. Please contact timeware® support for assistance.

Q6. Quite often our staff change schedules without notice! Is there an easy way to make these changes?

A6. If you look on the quick links slider panel on the left side of the Agenda summary you will see an icon called ‘Planner’. This option provides an extremely easy way to modify future, or past daily schedules.

Q7. When I am booking an absence, there appears to be a white plain box on the right side of the screen, what is this for?

A7. The white box is used to display information such as holiday entitlement and tactical absence info.

Q8. I am running the “pay period totals report“ I was wondering is it possible to somehow export this to an excel document so I can edit it?

A8. A very good question! One of the new features in timeware® 2013 was the export feature which can be located on the quick links panel on the left of the Agenda summary. Simply select the pay period export and after as short delay an editable excel document will open.

Q9. I have installed an update to our SAGE payroll software this morning and now the timeware® to SAGE transfer does not seem to run?

A9. IT IS ESSENTIAL that before upgrading SAGE you inform timeware® support so we can confirm that there will be no issues! In most instances we can email an update license key and any required .DLLs.

Q10. On the Agenda summary there is a message ”please renew your sage license”. How do I go about this?

A10. Please call timeware® customer care and they will help you renew your SAGE transfer license by giving you the correct order details.

Q11. I wish to setup a fire roll call report that can be e-mailed automatically daily is this possible?

A11. Yes!!! Call timeware® support for help in configuring this feature.

Q12. In the adjustments screen, I seem to have two days attendance bookings muddled up, what is the cause of this?

A12. This is usually due to the incorrect set up of a daily schedule. Please contact timeware® support for assistance.

Q13. Is it possible for my employees to check their status, (either In or Out) , at the terminal?

A13. Yes this is possible by implementing a special script. Please contact timeware® support for assistance.
