Revised Phase 3 Policies & Procedures (revised 8/22/17)Attendance/Absence Policy

1. Patient care teams are responsible to each other in order to provide high quality care and a good learning environment. Being absent or late, even for good reasons, may affect the team. Therefore, if a student is absent or late for any reason, on the same day s/he is required to contact:

If in Augusta: The attending physician and/or resident for that rotation, and The Clerkship Director’s office

If on a regional campus: The attending physician and/or resident for that rotation, and The appropriate Site Clerkship Director (or the Chair of Clinical Sciences on the Athens campus or the Clinical Campus Dean on a clinical campus) with copy to the Clerkship Director’s office

For all campuses: At the end of each clerkship, the Clerkship Director, Site Clerkship Director, or Chair of Clinical Sciences must report all student absences, planned or otherwise, to the appropriate Class or Campus Student Affairs Dean

2. All absences must be excusedExamples of excused absences: Personal illness and family emergencies. Also, during the 4th Year, residency interviews, USLMLE exams, and the Phase 3 OSCE are also considered excused absences. Requests for excused absences should be made as soon as feasible

3. Recognizing the need to have sufficient time in the clinical learning environmentIf approximately 15% of a rotation is missed by absence (3 days in 4 weeks, 5 days in 6 weeks, 6 days in 8 weeks) a decision will be made by the Clerkship Director (or the Site Clerkship Director at a regional campuses) as to how best facilitate the student’s learning. Effort will be made to ensure that the student has adequate clinical exposure by arranging make up experiences for time off. If time missed is significant, it may be best to repeat the rotation in its entirety. This policy applies to all rotations, including both on‐campus and off‐campus.

4. Students must meet with the Associate Dean for Curriculum, Augusta (or the Chair of Clinical Sciences on the Athens Campus) who would then notify the Associate Dean for Curriculum) prior to beginning Phase 3 or as soon as feasible if: They need to be away from their clinical responsibilities on any required rotation for more than three days or three 26‐hour periods, orIf they are required to be away for more than seven days or seven 26‐hour periods during an academic year. In such instances, the Associate Dean for Curriculum (or Chair of Clinical Sciences on the Athens Campus) will work with the student to modify the curriculum to ensure the student meets the educational requirements for graduation.

5. Excused Absence for Health CareMedical students are encouraged to obtain health care and will be excused from course and clerkship activities to seek their own health careAs professionals, when possible, they should choose appointments that interfere the least with educational responsibilities. If such absences exceed one appointment per month, a formal medical excuse must be obtained and submitted.

6. Observance of Religious HolidaysAs a culturally sensitive institution, MCG respects the desire of individuals to be absent for observance of major religious holidays that are personally observed. Students must meet with the Associate Dean for Curriculum, Augusta (or the Chair of Clinical Sciences if on the Athens Campus) prior to the beginning of their rotation to make him/her aware of their religious obligations. After approving the student request, the designated individuals will communicate with the Clerkship Director, Site Clerkship Director (where appropriate), and the appropriate Student Affairs Dean to advise of the excused absence. The Clerkship Director or Site Clerkship Director will advise the faculty member (attending physician) of the excused absence, noting that students have permission to be away from their clinical responsibilities for the religious observance. The time away from the rotation will not impact student evaluations. (If this absence results in significant time away from clinical experiences, students may be required to schedule make-up time.)

“The last day of the clerkship is the day of the NBME Subject Exam. Students must submit all requirements by 8am on the lastday of the clerkship. Clerkships may impose earlier deadlines with a smaller penalty, but requirements submitted after 8am on the last day of the clerkship will result in a grade of “NR”on the transcript until all requirements are complete, and a 4% deduction from the final grade once reported.”

All students will test at the campus that your assigned site is located (not home campus) UNLESS

you contact that regional campus coordinator by the end of the first week of

the rotation to request another campus. No exceptions.

You will work until at least 12:00pm the last Thursday of the rotation unless you

receive permission to travel back to your home campus for testing.

NBME Subject Exam Conversion-2017-18 Quarter 1

◦ The 70th percentile raw score is set to convert to 90.

◦ The 30th percentile raw score is set to convert to 82.2.

◦ The 5th percentile raw score is set to convert to 70.

◦ A linear relationship is then created for all other converted scores.

◦ The raw score is neither a percent correct nor a percentile; which is why the conversion is needed.

◦ Conversion and cutoffs are calculated using the Quarter 1 national data for the first three months of an academic year and the Academic Year national data for the balance of the academic year.

MCG Retake Policy

◦ Students will be permitted to re-take 1 subject exam with the possibility of raising the grade by 1 letter grade.

(This policy applies to exams that students have passed, but would like to attempt to improve their performance on). Academic Year national data is used to calculate cutoffs and conversion scores on the retake.

◦ Students may retake up to two NBME subject exams if they fail, with the potential of raising the grade to a C.

Student Patient Encounter Log• Expected to log patients as you see them and not wait until the end of the

rotation (progress will be monitored throughout the rotation).

• Expected to log all patients with a minimum of 30 different patients for successful completion of the clerkship

• All patients must be logged before 8:00am on the last Friday of your rotation in order to not receive a grade of “NR” and a grade deduction of 4%.

Clerkship Grade Appeal Policy (revised by Phase 3 CC 8/22/17)If a student feels an evaluation, including comments or final grade, in a clerkship is incorrect and does not represent the their true performance, the student must begin the appeal process by following the steps in the order outlined below.

Step 1: Discuss a ConcernAs soon as possible after a final grade is posted in One45, the student must discuss the concern with either the Clerkship Director or the Site Clerkship Director (if the student was assigned to a regional campus for the clerkship).

Note: If the Site Clerkship Director also served as a preceptor during the clerkship, the student should discuss the concern directly with the Clerkship Director.Note: A student must submit any written appeal, Step 2, within two weeks after a final grade is posted on One45. Thus, this step must be completed prior to that deadline.

The student should not discuss the concern with any other faculty member (e.g., the attending physician, preceptor, or resident) who taught in the clerkship. A violation of this policy will result in a student forfeiting the right to appeal the grade. Many times the student’s concern can be resolved after a conversation with the site/clerkship director. If after this discussion, however, the student’s concern is not resolved the student may proceed to a formal appeal of the grade.

Step 2: Appeal a GradeWithin two weeks of the posting of the final grade in One45, a student must submit written reasons the student believes would support a change in the grade, including objective documentation when available, to the same Clerkship Director or Site Clerkship Director with whom the student has discussed the concern. If submitted to the Site-Clerkship Director, the Clerkship Director must be copied on this submission. The same Clerkship Director or Site Clerkship Director will review the student’s appeal and, after appropriate investigation and consideration, one of the following will occur:

The Site Clerkship Director will provide the findings of the investigation to the Clerkship Director. The Clerkship Director will then make a decision about the appeal and will create a written document that reflects the investigation and decision about the appeal, ORThe Clerkship Director will make a decision about the appeal, and will create a written document that reflects the investigation and decision about the appeal.

If necessary (e.g., a conflict of interest exists), the Clerkship Director may appoint an advisory ad hoc committee of at least three faculty members to review the appeal and make a recommendation to the Clerkship Director. Within two weeks of receiving the student’s written appeal, the Clerkship Director will make a decision about the appeal, notify the student in writing (may be electronic) of the decision, and notify the appropriate regional faculty and staff of the decision.

Step 3: Appeal the Decision of the Clerkship Director If a student has concerns regarding the decision of the Clerkship Director, the student may appeal the decision within one week of receiving notice of the Clerkship Director’s decision. Requests for further appeal must be made in writing to the appropriate Department Chair (or to the Associate Dean for Curriculum in Augusta if the course is interdepartmental). The Department Chair or Associate Dean for Curriculum may choose to decide the appeal independently or may appoint an advisory ad hoc committee of at least three faculty members who did not serve on the ad hoc committee listed under Step 2 above. The ad hoc committee will make a recommendation to the Department Chair or the Associate Dean for Curriculum. The Department Chair or Associate Dean for Curriculum will make a final decision and provide notice in writing to the student within two weeks of the written request for appeal at this level.

Step 4: Appeal of the Decision of the Departmental Chair or Associate Dean for CurriculumIf a student has concerns regarding the decision of the Department Chair or Associate Dean for Curriculum, the student may appeal the decision in writing to the Vice Dean for Academic Affairs within one week of receiving notice from the Chair or Associate Dean for Curriculum. Typically, appeals at this level are for procedural concerns only. The Vice Dean for Academic Affairs may decide the appeal independently or appoint an advisory ad hoc committee comprised of at least three faculty members who did not participate in any of the earlier appeal processes. The ad hoc committee makes a recommendation to the Vice Dean, who will make the final decision. The student will be notified of the decision in writing within two weeks of submitting the (Step 4) appeal. This is the final level of appeal for a grade.
