HOW TO CREATE A MONTHLY DUE REPORT

• This is the Calibration Records List

• Select at the top on List

• Go to the Connect and Export on the Tool Bar and then select on Export to Excel

• Once you click on Excel this bar will open on the bottom of screen

• This takes you to Excel where this window opens with Enable and Disable. Click on Enable.

• This is complete report that shows every piece of Measuring Equipment

• This is the far right hand side of the report.

• To run a Monthly Due, select on the month that is coming up.
• If you click on the 3 dots icon you’ll get a drop down of all months in the year.

• Here’s the drop down with all the months.

• Once you click on the month the system will automatically deliver to you what needs calibrating for the month.

• You now want to generate a report to Excel. Select on List.

• Again go to Connect and Export at the top tool bar.

• This bar opens on the bottom and again select on Open.

• When Excel opens select on Enable.

• Just like anything else you email, select on Save and Send.
• Ready to send the report to all who need to know this to take action.

• Send as attachment when this window opens.

• Email opens and now you can send it to whom you want.

TAKE AWAY - • This presentation was done to show you what will take place each month that will
indicate what needs to be calibrated. • Quality will generate the report and send it to all pertinent personnel.• It will be up to the parties in Operations to take the responsibility in locating and to
determine what will be the outcome of these items.• Suggest all items be kept up to date on calibrations. Many items show that they are
pass due. This doesn’t look good to Customers if a certificate is requested, an API/ISO Auditor or in house Quality.
• After this is put into motion, it is the responsibility of the departments to keep up with this when you receive your report. If equipment is kept out of date a Corrective Action will be issued and sent to the respective department to ensure the problem is taken care of. You typically have 30 days to get it off the floor into calibration if nothing is done then an inquiry will be sent to the next highest level of authority. And it keeps going forward until the requirement is met.
• If you do not want to have certain equipment calibrated on their due date; you will need to pull these items off the floor and put in a locked cabinet until you decide to have them calibrated. Same goes for if you want to wait until you have several to send at one time, pull them and lock them up until ready to have calibrated.
• A locked cabinet ensures they won’t accidentally be used in shop, taken offshore and will alleviate any Corrective Action being issue.
