COURIERS

Kentucky based offices are provided with a labeled courier box. Use proper storing methods

for the specimen. Call your designated Solaris sales representative or call Solaris Diagnostics

directly to request a pick-up. Place samples in the courier box at the end of the day. A courier

will pick up the samples in the evening and deliver them to the lab after hours.

SHIPPING UPS AND FEDEX

Offices that ship samples will use UPS or FedEx. Solaris will supply your office with pre-paid

return shipping labels and laboratory paks. Multiple samples can be placed in one pak but

must be individually packaged. Use one supplied pre-paid label per pak and seal it.

If you are on office that ships blood samples, you will be provided insulated mailers and ice

packs. Place the samples and the ice pack in the insulated mailer to keep the blood cold. The

mailer goes inside of the UPS/FedEx pak. Use one supplied pre-paid label per pak and seal it.

After the sample is ready to ship, call your designated Solaris sales representative or call

Solaris Diagnostics directly to request a pick-up. A Solaris employee will schedule a

UPS/FedEx pickup for a timeframe that suits your office hours.

ACQUIRING A PORTAL

1. Call Solaris Diagnostics at 844-550-0308.

2. Provide your name, the clinic you are calling from, and an email address.

3. A link will be sent to the email provided. Clicking on it will direct you to the portal.

4. Enter the username provided and the temporary password: Welcome1!

5. Follow the prompt to reset the password. The new password must contain a capitol

letter, a number, and special character (Exp. Solaris1$).

6. Once you confirm the password, click the save button in the top-right corner.

USING THE PORTAL

1. Go to https://solaridx.limsabc.com.

2. Enter your login information.

3. Select the Accessioning Tab from the blue sidebar.

4. You can filter the types of reports using the tabs at the top of the screen.

(B in the image below.)

5. To view a patient report, click on the printer icon in the requisition column.

(C in the image below.)

6. After viewing a patient report from the New Report tab, it will move the patient row to

the All Tab.

COLLECTION INSTRUCTIONS

1. Using laboratory gloves, remove the swab from its plastic packaging. Avoid

touching the swab below the pink molded breakpoint. This could lead to

contamination and inaccurate test results.

2. Carefully insert swab into the opening of vagina, about two inches. Gently rotate

the swab for 10 to 30 seconds. Make sure swab touches the walls of the vagina to

ensure adequate moisture is absorbed.

3. Insert the same swab into the anus (about 1 cm).

4. Withdraw the swab without touching skin.

5. Once completed, insert the swab into its media vial, swab end first.

6. Holding the swab shaft close to the rim of the tube, and keeping the tube away

from your face, break the applicator shaft at the pink breakpoint line.

7. Screw the cap on tightly to prevent leakage.

STORAGE INSTRUCTIONS

1. Place the sample container in the biohazard bag.

2. Complete the Infectious Disease Requisition and print out patients’ demographics

page.

3. Confirm that the information on the requisition (patients’ name and date of birth)

matches the patients’ identifiers on the sample container.

4. Place the requisition, patients’ demographics page and sample in the biohazard

bag.

5. Store at 2 to 4 °C until your office is ready to ship all samples collected that day.

PATIENT PREPARATION

*YOU WILL NEED TOURNIQUET, GLOVES, AND ALCOHOL SWAB IN HANDS REACH OF WORKING AREA*

1. Properly Identify patient (ID, Name, and DOB)

2. Complete the clinical requisition form with physician and patient’s signature, for consent to draw.

3. Print out Patients demographics page.

4. Observe antecubital Region (Front of the Elbow) for a preferred venipuncture site. (The best sites for venipuncture are usually the superficial veins in the upper arms. Specifically, these veins are the median cubital vein, the cephalic vein, and the basilic vein)

5. Apply Tourniquet 3-4 inches above venipuncture site and feel for pressure behind the vein for good blood flow. (If the vein feels bouncy when pushed on, you have found a good site for venipuncture)

6. If the vein doesn’t bounce very well, or patient has little veins with little to no pressure when pushed on, its best to use a 23 G butterfly needle to keep from causing bruising or damaging the vein.

7. If the vein is bouncy and big you are safe to use a standard straight 21 G needle.

8. Apply Gloves

ORDER OF DRAW

Determine the test ordered on the requisition form and determine which tubes are needed for the ordered test.

Use this order of draw as a guide for the test tubes being used for your patient.

1. The first tube slid into the tube holder should be your Yellow/ Tiger Top- Serum Separator

Tube. (Fill this tube)

2. The second tube, if needed, to be slid into the tube holder should be the Light Blue. This

tube contains sodium citrate and is used for coagulation assays. (Fill this tube)

3. The last tube to be slid into the tube holder is the Lavender tube - Whole Blood with EDTA

anticoagulant. (Fill this tube)

*All tubes should be inverted 5-8 times after samples are collected. *

COLLECTION INSTRUCTIONS

Have the needle with tube holder, tubes needed, gauze, and adhesive bandages in arms-reach of

working area.

1. Screw tube holder on the preferred needle that will be used.

2. Place your finger below venipuncture site to anchor the vein, ask patient to make a fist.

3. Puncture the vein at a 30-degree angle or less.

4. Use correct order of draw while switching tubes to collect specimen.

5. Release tourniquet before removing needle.

6. Withdraw needle and apply pressure on site with gauze.

7. Discard used sharps in a sharp’s container.

8. Ensure bleeding is controlled and apply adhesive bandage.

9. Label tubes correctly in front of patient, then verify information is correct with patient.

10. Spin SST (Red top/Yellow top) tubes in centrifuge to prepare for shipping at 3500 RPM for

15 minutes.

*The SST tubes in the centrifuge should be correctly balanced in order to make the machine spin the blood

evenly. If you have an uneven amount of tubes, you may place an unused/empty tube in one of the spaces to

ensure you get an even spin. Tubes should be centrifuged within 30 min after collection.

STORAGE INSTRUCTIONS 1. Place samples in safe biohazard bag for transportation and store with Ice-Paks to keep

specimens cool.

2. Place requisition form and patients’ demographics page inside the bag with sample(s).

3. Store at 39-degree Fahrenheit until your office is ready to ship samples collected that day.

4. When samples are ready to ship, store them in insulated mailers with ice packs.

5. Your samples are ready to ship.

COLLECTION INSTRUCTIONS

1. Remove the swab from its plastic packaging. Avoid touching the fecal swab below

the pink molded breakpoint. This could lead to contamination and inaccurate test

results.

2. Pass stool into a clean, dry pan (Potty hat).

3. Collect a small amount of stool by inserting the entire swab tip into stool sample

and rotate it.

4. Remove and examine the swab to make sure fecal material is visible.

5. Once completed, insert the swab back into its media vial, brush end first.

6. Holding the swab shaft close to the rim of the tube, and keeping the tube away

from your face, break the applicator shaft at the pink breakpoint line.

7. Screw the cap on tightly to prevent leakage. Store the swab at 2 to 8 °C until it is

ready to ship.

COLLECTION INSTRUCTIONS

1. Consult with your physician to determine site location. Wash the site with saline

and wipe lightly.

2. Using laboratory gloves, remove the swab from its plastic packaging. Avoid

touching the swab applicator below the pink molded breakpoint as this could lead

to contamination and inaccurate test results.

3. Consult with your physician about collection method. Generally, roll the swab on

the site by applying appropriate pressure. Try to get enough material on swab for

accurate test results.

4. Once completed, insert the swab back into its media vial, swab end first.

5. Holding the swab shaft close to the rim of the tube, and keeping the tube away

from your face, break the applicator shaft at the pink breakpoint line.

6. Screw the cap on tightly to prevent leakage. Store the swab at 2 to 8 °C until it is

ready to ship.

COLLECTION INSTRUCTIONS

to contamination and inaccurate test results.

2. The patient shouldn’t have urinated for at least one hour prior to specimen

collection.

3. Insert the specimen collection swab 2 to 3 cm. into the urethra.

4. Gently rotate the swab clockwise for 2 to 3 seconds in the urethra to ensure

adequate sampling.

5. Withdraw the swab carefully.

6. Once completed, insert the swab back into its media vial, brush end first.

7. Holding the swab shaft close to the rim of the tube, and keeping the tube away

from your face, break the applicator shaft at the pink breakpoint line.

8. Screw the cap on tightly to prevent leakage. Store the swab at 2 to 8 °C until it is

ready to ship.

COLLECTION INSTRUCTIONS

1. Clean the nail with alcohol wipe.

2. Appropriate samples are infected nail clipping, infected whole nail, infected dried

COLLECTION INSTRUCTIONS

1. Request the patient to clear the nasal sputum.

2. Using laboratory gloves, remove the swab from its plastic packaging. Avoid

touching the swab applicator below the pink molded breakpoint. This could lead

to contamination and inaccurate test results.

3. Ask the patient to tilt his/her head back. Insert the swab approximately 1-2 cm into

the nostril.

4. Rotate the swab against the inside of nostril for 3 seconds. Apply slight pressure

with a finger on the outside of the nose to help assure good contact between the

swab and the inside of the nose.

5. Once completed, insert the swab back into its media vial, brush end first.

6. Holding the swab shaft close to the rim of the tube, and keeping the tube away

from your face, break the applicator shaft at the pink breakpoint line.

7. Screw the cap on tightly to prevent leakage. Store the swab at 2 to 8 °C until it is

ready to ship.

COLLECTION INSTRUCTIONS

1. Using laboratory gloves, remove the swab from its plastic packaging. Avoid

touching the swab applicator below the pink molded breakpoint. This could lead

2. Carefully insert swab into the opening of vagina, about two inches Gently rotate

the swab for 10 to 30 seconds. Make sure the swab touches the walls of the

vagina so that adequate moisture is absorbed by the swab.

3. Withdraw the swab without touching skin.

4. Once completed, insert the swab back into its media vial, brush/swab end first.

5. Holding the swab shaft close to the rim of the tube, and keeping the tube away

from your face, break the applicator shaft at the pink breakpoint line.

COLLECTION INSTRUCTIONS

1. Wash hands with soap and warm water.

2. Females: Spread the labia (folds of skin) apart with one hand and wipe with a

towelette. Wipe from front to back. Repeat this process a second time with a fresh

towelette. Continue holding the labia apart.

Male: Wipe the end of penis with a towelette. If uncircumcised, retract the foreskin

first.

3. Do not touch the inside of collection cup. Allow a small amount of urine to fall in

toilet bowl.

4. Collect the urine stream into sterile collection cup.

5. Peel off white sticker on lid of sterile urine cup exposing black needle. Take C&S

tube inserting top of Tube onto exposed black needle. Urine should then begin to

transfer from sterile cup to yellow top C&S tube. C&S tube should have a

minimum of 2ml of urine for testing.

6. Discard left over urine in sterile cup, sterile cup is not needed for testing. Only

yellow top C&S tube is needed for STD testing.

urinalysis is ordered as well, the urine cup is also required for testing.

5. Make sure tops are secured on both devices. Store the containers at 2 to 8 °C until

they ready to ship.

4. Using laboratory gloves, a sterile needle should be used to unroof the top of the

vesicle.

5. A sterile swab is then used to vigorously swab the base of the lesion— applying

enough pressure to collect epithelial cells without causing bleeding—and collect

vesicular fluid. It is important to collect infected epithelial cells from the base of

the lesion because they contain a significant amount of the infection.

6. Swabs must be placed individually into separate, empty tubes to avoid

contamination. Place swabs directly into tubes. Do not place transport medium

into the tube; the specimen MUST be kept dry. Tubes must be individually labeled

and must be resistant to breakage.

7. Screw the cap on tightly to prevent leakage and place the swab at 2 to 8 °C till it is

ready to ship.
