Chapter I
Introduction
This guide is designed for SoftExpert Software SA customers and partners. and aims to provide essential
information on what's new about SE Suite 1.3 version.
Prerequisites
In order to upgrade to SE Suite 1.3 version, it is necessary that the SE Suite 1.0 version or an upper
version of it is installed. In case you are not in SE Suite version 1.0 and wish to migrate, contact
SoftExpert Software SA at the e-mail [email protected].
Restrictions
Pay attention to the following restrictions before continuing SE Suite updating:
Internet Explorer 6: SE Suite is not supported in Internet Explorer version 6 anymore.
Java 1.6: The client stations must have 1.6 Java version installed.
Activation key: The license keys used so far will no longer be valid and a new one has to be
informed when updating to SE Suite 1.3. Request the new license key to SoftExpert Software SA
beforehand.
Database: SE Suite is no longer compatible with SQL Server 2000 and SQL Server Express
anymore.

Chapter II
Ergonomics and Standardization
Several improvements have been implemented so as to enhance standardization and ergonomics in SE
Suite. Among them are:
1. Buttons on the lower part of side menu: The buttons that in SE Suite previous version were found in
the upper part of side menu bar, right above components list, are now placed on the lower part of this bar.
Such change allowed the system to have a new look and be similar to products already existing in the
market.
2. To-do tasks: New information is available on SE Suite workplace. This information refers to the amount of
pending records of authenticated user. In order that the to-do tasks are accounted, user must configure the
type they wish to account, through the desktop editor or in the to-do tasks screen itself. This information
can be used as a shortcut for the to-do tasks if user clicks on it.
3. Favorites: New information is available on SE Suite workplace. This information refers to the amount of
favorite records of authenticated user. This information can be used as a shortcut for the favorites screen if
user clicks on it.
4. User menu: The user menu in SE Suite previous version was found in the upper part of SE Suite
workplace, on the left corner of it and, now it is on the right side.
5. "My menu" shortcut: In order to include a new screen in "My menu" list, a button was created in SE

Suite browse bar.
Resource to customize toolbar
SE Suite relies on a button that allows the toolbar customization. With this resource it is possible to
configure the toolbar in order to display only the relevant buttons, within the needs of each company.
New Browse bar
SE Suite has now a new browse bar which allows users to access a specific menu or retrieve saved
searches in an easy and quick way. To do this, enter menu name or desired view at the browse bar and all
available options will automatically display. Remember that each screen is named with an exclusive code
which makes it easier for user to enter information.

View records in SE Suite
Through navigation bar, it is also possible to retrieve information already registered in SE Suite. Enter
desired information in the navigation bar to perform view on the "ID #", "Name" and "Description" fields from
SE Suite main objects.
Components Corporate Workplace
The Corporate Workplace is the default dashboard proposed by SoftExpert that allows user to monitor
important information related to their work routine. User can create a Specific Workplace where they can
build their own dashboard, based or not on the Corporate Workplace.

Favorites
Records that have any importance level to user can be classified as "favorites". This classification is easily
and quickly performed. User only has to click on the respective record icon. Favorite records can easily be
viewed.
Search fields in hierarchical structures
SE Suite view hierarchical structures - "Browse" tab screen - offer a search field to retrieve information
contained in it. Information retrieval will be performed in all view hierarchical structure levels.

New way to navigate among components
SE Suite enables users to access a menu from other component without using the components bar on the
left side of the screen. To do this, use the shortcuts in SE Suite navigation bar:
To-do tasks e-mails configuration and standardization
SE Suite displays a screen so as to user customize the content of e-mails to be sent by each component.
Apart from that, the sent e-mails layout was updated from SE Suite components to-do tasks on.

New engine to generate charts
The new engine to generate charts offers a series of new resources to increase the information analysis in
SE Suite. All synthetic searches and other resources that already supported charts will be fitted with this
new engine.
Constant values in the searches
SE Suite provides users with the option of filling out the search fields with constant values, that is, the
search fields used to view are no longer static, as they were in previous versions. When loading a search
previously saved, search fields in which constant values were used will be filled out with updated
information, such as: actual date (TODAY), authenticated user name (NMUSER), etc. Remember that SE
Suite provides users with a legend button containing all contant values that can be used.

What's new about technology?
Among technological novelties developed to SE Suite 1.3 version are:
Installation and updating
SE Suite installation and updating processes were fitted with the following requirements:
Support instances creation in a server using different product versions (release environment, try-outs,
development);
Process of database balance simplified, by clicking less times on it;
Wizard much more intuitive, information and messages regarding all steps;
New validations before and after installation and updating in order to guarantee the solution perfect
operation;
Online product activation integrated to CRM;
Resources amount (memory and processing);
Support to Windows 2008 and 64 bits environments;

Support to IE9
Users will be able to use SE Suite new version in the Microsoft Internet
Explorer 9 browser. For further information on other browsers supported, go

SE Suite release to Firefox browser in Linux
workstations
All SE Suite components were released to be used with Mozilla
Firefox browser in workstations that have Linux operational system.

4.1 - SE Form
SE Form is a system that automates businesses processes based on forms, thus improving the
efficiency, customer assistant and down time for investiment return, ensuring compliance with the
organization regulations. SE Form is tied to BPM Suite solution SoftExpert Software SA [Business
Process Management].
Component main resources:
Entity record
It allows to create entities, relationships and fields, so as to ensure the persistence of form information in
the database.

Form record
It has the drag and drop resource which makes it easier to create forms layouts.
It has the resource of automatic alignment to the form components.
Support to the following components: checkbox, radio button, selection list, input text type, number,
date, grid, fieldset, title and image.
Relationship among selection lists
It allows to create selection lists that retrieve values from other entities.
Filter selection field
It enables to create a selection field from another field value. E.g: State - City (after selecting a State,
display only the correspondent cities).
Forms image and title elements
Possibility of creating files with companies backgrounds, logos, etc.

View form execution by the modeler
Facility to validate the layout and the rules, simulating the form execution using a button available on the
modeler toolbar.
Field of grid type (table)
Possibility of creating a grid type field (entity with N - N relationship) with the alternative of being able to
configure the fields that will compose it, as well as the size and name of its columns.

Calculated field
Possibility of performing calculations with fields values and showing the result in another form field.
Fill out form via execution menu
Possibility of filling out values in the entities from the Form menu on Execution Record.
Rules for the form fields
It allows to create rules to events (click, list edition, fields input and output). It is possible to execute
actions on form fields to each event. E.g.: enable, disable, hide, etc.

Execution in SE Workflow
Possibility of filling out forms during the process execution in SE Workflow component. This way, each
activity can have different forms filled out, related to the same process.

4.2 - SE Incident
SE Incident is focused in quality management and control of the organization services, products and
processes and goes from incident identification step, passing through contention measurement
monitoring, to resolution and conclusion.
Component main resources:
Management process of flexible incidents
It offers management processes of pre-configured incidents, however, it allows to configure process
flow, modeled by SE Process component, so as to enable adaptations to the company specific needs.

It provides a set of features that enable organizations to manage and control the quality of services,
products and processes, from identification, passing through contention measurements monitoring, to
the resolution and conclusion.
It allows any person, anytime, to report the situation related to quality as incidents, nonconformities,
deviations, variances, improvement opportunities or suggestions.
It allows to create various incident categories and processes flow individually per category.
Priority configuration
The system allows not only the priority definition by urgency and impact, but also by any other parameters
and formulas.

Any incident record can be associated to a problem in any process step, according to configuration.

SE Asset in order to associate the IT asset related to the incident registered.

Checklist in any process step
It enables to configure different checklists to any step of the incident management process.

The system brings many ways of viewing incidents and their status through reports, pre-configured charts
and BI cube.

4.3 - SE Problem Analysis
SE Problem is designed to help in determining and treating root causes of problems related to IT,
quality, health and security, thus supporting organizations from various segments to identify and treat
their business aspects which may impact in their services and products quality.
Component main resources:
Configuration of customized processes to treat problems
It enables to create customized flowcharts with specific forms to every process step.

Problem type
Records are classified according to the type of problem in order to quickly retrieve and identify the problems
data.
Problems record
It allows to register problems in order to investigate, analyze and act on their root cause.
Notification e-mails
Automatic e-mail sent to users, so that to notify responsibilities, activities, delays and general notifications.
Action plans
It allows to associate specific action plans which are in any problem step, once it is previously configured.
The action plan may contain both corrective actions and preventive actions.

Incident association and other problems
It enables to associate various incidents with problem record, thus indicating that they are all caused by
only one problem. Apart from that, it is possible to relate a problem to other problems.
Cause analysis association
It offers innovative and intuitive graphic tools to analyze root cause, using drag and drop resources. The root
cause analysis or investigation can be performed in any step of problem resolution process, thus ensuring
the process flexibility.
Checklist in any process step
It allows to configure different checklists for any management problem process step.
View, reports, charts and BI cube
System brings various ways to view problems, relying on tools such as: reports, pre-configured charts and
BI cube.

4.4 - SE Storeroom
SE Storeroom is focused in stock, storeroom and inventories management. It was developed to add
value to processes designed for meeting maintenance and manufacturing demand, so that to allow
objects (supplies, items or waste) to be available in the correct places, if it is necessary to use them.
Component main resources:
Storeroom record and view
Apart from registering, SE Storeroom allows users to view storerooms with all data storage management.
Integration with other SoftExpert components*
It offers operations of event, transfer, balance adjustment, object processing and shipment from the following
modes: supplies (SE Supply*), items (SE PDM*) and waste (SE Waste*).

Events control
It enables users to control all kinds of events that may occur in the storerooms: objects event (objects input
and output in the storeroom), objects repository event, objects transferring among storerooms, balance
adjustment, processing and shipment.
Repository events
Apart from moving storeroom objects, system allows to move repositories containing all objects - such as
boxes, containers, drums, among others.

Control on storage level from storeroom objects
It enables to configure stock minimum amount, repositories capacity and reposition places for each
storeroom.
Events and stocks view
It is possible to view events occurred in the storeroom objects (inputs, outputs, balance adjustment), as well
as stock inventories thus providing current amount and values per storage place.

List of stocks and orders to be received.

4.5 - SE Time Control
SE Time Control is an automated system designed for timesheet, billing control and resources
planning. Its features make it extremely easy to perform the resources time control for any activity or
service, as well as choose the appropriate people according to the position or competence desired, set
hours that can or cannot be billed and compare estimated revenue regarding the activity cost.
Component main resources:
Resources management
Resources can be composed of employees or assets.
It allows to allocate generic resources instead of choosing a specific user or asset to perform
estimations or to indicate lack of resources. A generic resource can be later replaced by a user or
asset.
It allows to associate functions and ability levels with resources.
It enables to analyze the use of assets through assets analysis by work and allocation status.
It allows to generate reports on assets associated with a project or activity.
It enables to retrieve people according to their ability or competence and immediately verify their
availability to the future.

It allows to balance the projects budgets, the need of internal and external resources, deadlines and
capability available.
It allows to generate project team, timesheet spreadsheet, billing and payment reports.
It allows to monitor the planned versus the actual, in the current time.
It allows to perform the resources allocation plan based on the availability or on the competence.
It enables to schedule meetings, control the employee's assiduity and request the meeting's minute
signature.

Management of activities not associated to projects
It allows to create activities with costs, revenue and deadlining estimation.
Process automated in order to plan, execute and conclude task.
It allows to associate resources with tasks and view estimations in actual time as in the timesheet.
It allows to perform the resources allocation plan based on the availability or on the competence.
It allows to generate project team, timesheet spreadsheet, billing and payment reports.
It enables to evaluate the activity progress based on the conclusion percentage.
It allows to verify work status in actual time, as well as all documentation on-line.
Ensure that deviations are identified and corrected as soon as possible.
It enables to schedule meetings, control the employee's assiduity and request the meeting's minute

Timesheet
It allows to monitor employees and third parties timesheet using a complete and on-line easy-to-use
timesheet spreadsheet.

spreadsheet.
It enables to control time automatically through a timer or a barcode reader device.
It allows to add comments or describe the work performed which is associated with timesheet.

It enables to approve timesheet having customizable approval route.
It enables to monitor records of hours that can or cannot be billed.
The spreadsheet brings the activities destined to user, however; other activities may be associated if
allowed to.
The spreadsheet can be configured so as to use overtime rules.
Detailed and summarized view of all time records using different reports.
Billing
Billing values may be specified in projects, activities, roles, users or assets, including fixed values or
costs per hour.
It allows to bill against projects or activities not related to projects.
Workflow customizable in order to approve payment and billing reports.

5.1 - SE Action
Component main resources:
ATTENTION!
The Ergonomics and Standardization requirements do not apply completely to SE Action
component.
To-do tasks
Both the SE Action component hierarchical structure and its to-do tasks relationship have the same
visual pattern as other SE Suite components. This change applies only to "To-do tasks" container and
does not affect any pop-up* menu or screen from SE Action component.
The execution and action implementation verification to-do tasks are now displayed in pop-up*screens.

Workplace*
SE Action workplace default contains the following widgets:
My activities: it displays users' to-do tasks grouped by deadline.
My team activities: it displays users' to-do tasks and their active subordinates' to-do tasks grouped
by deadline.
Occurrence retrieval: it enables to retrieve occurrences by number, title or description.
* This is one of not many SE Suite 1.3 common requirements that also apply to SE Action.

E-mails
The following items were released in patch 1.2 version:
the logs storage from e-mails generated by SE Action (available in SE Configuration to view);
the SE Action e-mail's addressees occulting.
From SE Suite 1.3 version on, the e-mails notifying to-do tasks sent by SE Configuration component
scheduling may have some of their data exhibition and sequence changed due to e-mails customization
(available in the new SE Administration component menu).
Occurrences approval history
History from occurrence steps* approval route with cycle creation in each rejection.
* Occurrence ID #, disposition/containment planning, investigation planning, cause analysis, action plan planning, effectiveness
verification and standardization planning.
Actions verification history
History of implementation verification from actions of occurrence action plans* with cycle creation in each
rejection.
* Disposition/containment plan, investigation plan, action plan (correction/prevention) and standardization plan.
General changes in occurrence data
It was released in patch 1.2 version, the change that does not reflect in the occurrence when executing to-
do tasks that enable to change occurrence record, configurations changes performed in the respective
classification. From SE Suite 1.3 on, approval fields are no longer displayed when registering the
occurrence ID # in a classification that (1) does not allow to indicate the origin, (2) that does not have ID #
approval, and, (3) while it is not possible to conclude occurrence in the ID # approval.

5.2 - SE Action Plan
Component main resources:
Template for action plan
Action plan templates may be created to easily reply similar records throughout the company. When
planning a new action plan, chose to create a "blank document" record or to use a template previously
registered.
Configuring dependencies among activities (predecessor)
It will be possible to link action plan execution dates, just as it is performed with projects (SE Project
component).
New interface for the action plan input
The new spreadsheet displays the 5W2H style, offering more flexibility in the activities input and other
information on the action plan.

Gantt chart
The component new version supports the Gantt chart, optimizing to view and control the action plan
activities:

Allow to associate a new action plan when action plan being registered is not effective.
Allow to associate a new activity (linked) when the activity being registered does not show desired

5.3 - SE Administration
Component main resources:
ATTENTION!
Changes were performed in this component menus and positions and user has to configure
access group again.
Access group to department and positions
It is possible to associate access groups with department positions registered in SE Suite. To do this, add
access groups to the respective positions displayed in the data screen new tab screen. In the previous
version, the access group release was performed only per user.
To-do tasks transfer
The To-do tasks transfer screen was remodeled and it now provides users with resources that simplify the
use of it. The new screen has search fields on its left side and it is possible now to retrieve the to-do task to
be transferred more precisely.

5.4 - SE APQP-PPAP
Component main resources:
Addition of "n" controls to the plan control features
It allows to associate various methods to control the characteristics from the plan control operations.
Previously, the relationship was one to one. The control method is based on process effective analysis.
Improvements in the capability charts
New graphic interface to the capability studies charts, this way providing high customization, improvement
and precision in the analysis performed (see Ergonomics and Standardization) section. The charts are
generated from “Results” tab screen on the “Sampling Spreadsheet” screen.
Ribbon in plan control
New graphic interface, simpler and more intuitive for users that operate the plan control structure.

5.5 - SE Asset
Component main resources:
ATTENTION!
Changes were performed in this component menus and positions and user has to configure
access group again.
Asset Template
The component new version now features the creation of asset templates, which are used as models for the
creation of new equipment, machines, tools, among others. Apart from that, it will be possible to require
assets* through the template.

Approval route for assets downtime records
It will be possible to associate an approval route to execute assets downtime records. SE Asset then,
generates the downtime record approval to-do task for route members:

Warranty control
It will be possible to enter purchase date, associate the warranty contract* and the asset validity.

5.6 - SE Audit
Component main resources:
Integration with SE Incident component
Created a new field in SE Audit component general parameters screen which allows to choose between SE
Incident integration or SE Action, when registering and treating occurrences identified in audit. The
integration with SE Incident is similar to the already existent integration with SE Action, however; it is not
possible to view incidents in SE Audit. New customers will be able to implant SE Audit already integrated
into SE Incident. Current clients will be able to keep integration with SE Action and choose integration with
SE Incident later.
Notification of "to be started" to-do tasks
From SE Suite 1.3 version on, the "to be started" to-do tasks are daily monitored. Once the estimated date
to start one of audit steps is reached, the audit status changes and respective responsible users are
notified. Remember that this monitoring process is performed through a service executed every day at
00:01. This service is configured when accessing SE Audit component for the first time.
Improvement in the Management and Execution menus
Remodeled the screens from Management and Execution menus which now offer search fields plus "quick
search" and "save search" resources.
Audit general changes
When using the "Save and exit" button in audit, data confirmation will display to allow the audit to be sent to
the next step. If audit is in the "to be started" step and the "Send audit to next step", button is hold, audit
will be sent to approval, to next step, or will be concluded (instead of just having its own step started as in
SE Suite 1.2).

5.7 - SE Business Intelligence
Component main resources:
Pre-configured signals
In order to better highlight the information in the analysis environment SE Business Intelligence offers a list
of pre-configured signal rules. Such signal rules can be saved when generating users' profiles and can be
exported and/or imported. The rules available in this version are:
Highlight cells: it allows users to highlight the cells contained in an interval of values, into the
analysis environment. For example: highlight cells whose values are higher than 10 or highlight the ones
whose values are between 20 and 30, etc.
First/last rules: it allows to highlight the first or last values in the analysis environment. For example:
it signals in the analysis environment the cells that have the 10 first values or the ones with the 10 last
values, etc.
New measurement
It enables to generate new measurements in OLAP multidimensional analysis. The new measurements
created are saved in the profile files and in the offline analysis generation.
New visions in views
It allows logged and other system users to generate a view with rules, charts and other configurations. It is
available in SE Suite views, thus user can have a BI list while performing views. Remember that each view
may have different dimensions, charts, signals, etc.

Support to Windows 7 in the authentication integrated with DS
From SE Suite 1.3 version, client stations that run with Windows 7 can use the integrated authentication
resource with an AD server without previous configuration. This Windows version was not released so far
and it was necessary to perform the respective configurations in order not to allow the use of integrated
authentication.
AD synchronization preview
After configuring the necessary parameters to synchronizing SE Suite users' database with AD server, it will
be possible to monitor all users found through mapped parameters. The preview of these users enables
manager to have a basic understanding about records to be synchronized.

Graphic comments (Markup)
It will be possible to insert graphic comments in the files supported by SE Viewer (DWG/DXF and JPEG,
TIF, BMP, GIF images). The button responsible for inserting a graphic comment can only be used by users
that have access permission granted through the document data screen. When viewing an electronic file
with graphic notes, SE Viewer will display so as to monitor notes inserted by users.

Category data screen remodeled in order to make its use easier and more intuitive.
Revalidation
Created a new menu item responsible for the documents validity configuration. Once it is configured, the
validity can be applied to many different categories.

without the need of performing the download to the local machine.

Resource to watermark configuration
Created a new menu item responsible for the documents watermark configuration. So far, the watermark

Indexing control
Created a new type of control to documents, named "Indexing". Such control enables documents that do
not have revision control to have one "more" step before being released. For example: when registering a
document whose category has the indexing control checked the initial status of this document record will
be INDEXING. If the category does not have the indexing control however, the document initial status will be
RELEASED. Indexed documents may or not pass through approval step.
Prevent revision approval with controlled changes in the electronic file
Created a new field in the system general parameters screen. The following verification steps are performed
in the revision to-do tasks execution:
If the [Releasing of revisions with controlled changes is not allowed] option is checked in the
general parameters screen;
If user who is executing the to-do task is the last participant in the revision cycle;
If an electronic file is marked.
If the three above conditions are true, the button in the to-do task execution screen, which allows to accept
revision, will be disabled thus forcing the revision to return to the draft step.

Created a new functionality that enables users to request copies to those responsible for documents, even
users that do not have distribution copy access.
To-do tasks e-mails link
The to-do tasks notifications e-mails that are part of the "Revision execution" group received a link that
allows to access the SE Document respective screen.
Facility to associate the document keywords
The document data screen received a new functionality that aims to facilitate and simplify the way keywords
are associated to the record. To do this, the user must inform the keyword name in the respective field. In
the document keyword is being registered, the system retrieves it automatically in the already created
records which are not yet associated with document. User has to hold the [ENTER] key on the keyboard in
order to associate word with document. In addition to that, the document data screen offers a "shortcut" to
add new keywords.

Briefcase
After registering a document transmittal form, user must export documents to a directory in order to be later
related to the physical mean (CD, DVD, etc.). System will save all documents from document transmittal
form in the directory selected by user. In addition, transmittal form data and document data will be saved in
the sebriefcase.xml file and in the sebriefcase.exe application. When executing the
sebriefcase.exe application, user will be able to search document transmittal form per ID # and name
in the exported documents. The application has view control per quadrants with preview and metadata
options. When clicking on the viewing ray the electronic file opens in the machine default application.

Until the SE Suite 1.2 version it was possible to create only project, process or asset FMEAs. SE Suite 1.3

Possibility of classifying FMEAs per type as object involved in the analysis: project, process, asset or
schedule. Attributes as well as information about revision and characteristics of every FMEA are stored in
the type.
Addition of "n" functions to a failure mode
Possibility of associating several functions with the failure modes presented in the FMEA. Previously, the
relationship was one to one.

SE Inspection now has a management panel to control receiving. Such control can be performed through

receiving, no matter if logged user takes part in the receiving flow or not. In this panel it will be possible also
to create management charts to monitor open receiving statuses.

institutional, strategic map and structural diagram are now manipulated through a unique screen, using
current ergonomic elements that increase the productivity in planning.

New interface to view SE Performance component charts, providing high customization, improvement and
precision in the performed analysis (see Ergonomics and Standardization section). This tool will enable a
progressive shift in the supply of new types of charts for the system.
Target/measurement approval
The manager may be informed of the targets and / or results prior to publication to other users. In case of
rejection, the responsible user receives the execution to-do task again, followed by the respective
explanation. The value is only published after approval of the manager as flow configuration.
Formula editor
New formula editor that allows more possibility of indicators composition to determine a result. The use of
the formula editor is similar to Excel formula editor even allowing for conditional, mathematical and
statistical operations. Another important advantage is the possibility of using variables from other SoftExpert
components, thus providing an effective integration.
Auxiliary targets calculated
The auxiliary targets which are an extra field to input information like benchmark, may also receive the
formula editor benefits. This input manual field can now become a calculated field according to the user's
needs.
Range configuration
The formula editor assists other system features such as range configuration. The achievement percentage
can be calculated through the standard method or by a method to be defined through the editor.
Measurement frequency based on event
In addition to a range of indicators frequency of reading ranging from daily to annual, the SE Performance
now has a timeless choice. Through this option user can configure when the next reading will be performed,
by labeling it with an ID #. Ideal to measure indicators associated with events.

The Scorecards cascading can now be performed directly using the sub-scorecards. A Scorecards
hierarchical structure can be built by keeping the local processing and individual organization however,

It is the Scorecard lifecycle last step. Once the revision concept was implemented, the Scorecard
conclusion/closure applies to those Scorecards with lifetime defined. It will no longer be necessary to
inactivate a Scorecard; just finish its execution.

gateways :
Parallel (AND): they are the old fork and join connectors that are now also named gateways, BPMN

released.
OR Exclusive (XOR): when executing the first input, process keeps on executing only one output.
The output is executed according to rules defined through SE Suite formula editor.
Complex: Inputs and outputs are both pre-configured through conditions to verification (in the inputs)
and formulas (in the outputs).
Basic Workflow modeling (Basic Workflow)
A new modeling type displays and allows the creation of processes, without swinlanes having own
symbology. The resource enhances the creation of basic processes.

Evaluation of controls
It is now possible to evaluate controls, in the same way risks evaluation is performed. There are many
methods available, from matrix to quantitative methods considering formulas to group evaluation criteria.
Risk and Controls periodic evaluation
The risks re-evaluation, which was previously performed in each new revision of risks plan, can now be
performed into the same revision. Monitoring charts can be generated in order to enhance the monitoring of
the risk evolution. The same functionality applies for the controls evaluation.

5.27 - SE Workflow
Component main resources:
Using methods to prioritize processes execution
It provides a menu to configure evaluation criteria and method to be used.
It allows user to define in which steps (activities) the critique can be changed.
It will be possible to define in the process data, which matrix (evaluation method) should be used in the
process instance.
It will be possible to change the SE Workflow to-do tasks priority inside a process activity.
Reopen concluded or canceled processes
It allows user to reopen a process instance previously concluded or canceled. An instance reopening can
be performed similarly to the process return, in which an item is selected in order that the process is
returned and the subsequent items canceled. As performed in the current process, the reopening occurs in
one item already executed in the instance.

Inclusion of comments and attachments through the starter/manager in the
process monitoring
It enables the starter and the manager to insert comments and attachments in the process in progress,
regardless the step they are in. Such action can be performed through monitoring to-do tasks and/or
process supervision.
Gateways automation
It allows the forks execution and conditional j oins considering rules implementation to conditional
expression, dynamic activities duration and evolution for the execution matrix.
Automatic task execution
Possibility of executing a task automatically just as a pre-defined time is met. To do this, it is necessary to
fill out default values in the blank attributes.
WebServices processes start and system tasks execution
Created a service that enables to start processes through calls via WebService.
Possibility to request WebServices while executing tasks.
Task executor defined through formula (dynamic executor)
An executor can be defined according to the specific rules stipulated to each activity. To do that, it will be
possible to use the formula editor in order to build the rule that will define the task executor type. Each
formula may have more than one attribute to help in choosing desired executor.

Activity duration defined through formula (dynamic duration)
The duration can be defined according to the specific rules, stipulated to each activity. To do this, it will be
possible to use the formula editor in order to build the rule that will define the activity duration (dynamic
duration). An activity that has the respective control configured may have its duration redefined during the
process execution in SE Workflow component.
Association of process instances
Possibility of associating processes instances in some SE Suite objects, including the Workflow (a
process instance that has many instances associated). The configuration of objects to be associated with
the process instance must be done in the process activities modeling (SE Process component). However,
the objects association is performed through the SE Workflow task execution to-do task.

Task automatically associated with user (load balancing)
The load balancing is executed through the automatic association of an activity with a group, with user from
this group that has the lowest number of execution to-do tasks or the lowest number of estimated execution
hours. It is possible to configure this option per activity, if the rule for automatic association is the lowest
number of to-do tasks or estimated hours to the task execution. The system also provides to the process
manager, the resources to execute a specific task associated with a group, as well as their activities and
hours figures.
