1 Getting Started

Introduction

Welcome to the Renalog RM Dialyzer Reprocessing Management software. This software is a Windows-based dialyzer reprocessing management package that provides capabilities to analyze and manageautomatic and manual dialyzer reuse operations. Renalog RM is designed to be used to support yourRenatron Dialyzer Reprocessing System, and is linked through one or two interface modules. A scanner isattached to each module so that you can automatically input data from dialyzers, Renatrons, and yourauthentication badge.

Renalog RM features include:

Powerful – Renalog RM power is associated with its ability to process large amounts of varyingpatient and dialyzer information.

Flexible – Renalog RM’s ease of use is a result of providing you with an easy-to-read, graphicalinterface. Context-sensitive help is available at every menu option and window control.

Separate Administrator and Technician Modes – A separate Administrator mode allows programadministrators access to security, management, and configuration features and restricts techniciansfrom changing key program parameters.

Extensive Report Features – Renalog RM provides over thirty standard reports that can be printed,viewed, and exported to editable file formats. You can also use detailed search criteria to createreports specific to your needs.

Log into Renalog RM

To log into Renalog RM:

1. Open Renalog RM by highlighting the icon on your desktop and double-clicking or pressing Enter.

The Login window is displayed.

2. Enter your user ID in the User ID field.

3. Enter your password in the Password field.

4. Select Administrator or Technician from the Mode drop-down list. Administrator – When you log in as an Administrator, Renalog RM displays the

Administrator windows allowing you to do such things as configure startup and shutdownsequences and enter dialyzer manufacturer, doctor, and location information.

Technician – When you log in as a Technician, Renalog RM displays the Technician windowsallowing you to do such things as reprocess dialyzers and assign dialyzers to patients.

5. Press Spacebar to check the Change Date/Time check box to open the Windows Date/TimeProperties window.

The first time you log into Renalog RM, the following message is displayed and you will not be ableto change the system date and time:

Change the System Date and Time

To change the system date and time, follow these steps:

1. On the Login window, press Spacebar in the Change Date/Time check box.

The Change Date/Time window is displayed.

2. Enter the new date and time in the New Date/Time field.

3. Contact Minntech technical support.

4. Provide the Technical Representative with the key displayed in the Your Key field and the new dateand time that you entered.

The Technical Representative generates an activation key while you are on the phone with him orher.

5. Enter the activation key that the Technical Representative has generated in the Activation Keyfield.

6. Select OK to change the system date and time.

Navigate in Renalog RM

The following lists describe the keys you use to navigate through the Renalog RM application with thekeyboard. You can also use a mouse to perform any actions in Renalog RM.

On windows and in fields:

Get Help

Open Help in Administrator Mode

To open the Renalog RM Help System from the menu bar in Administrator mode, follow these steps:

1. In Administrator mode, select Help (Alt+H) from the menu bar.

2. Select Contents and Index from the Help menu.

The Help Topics: Renalog RM Help window is displayed.

Find a Topic in Help

Use one of the following to find a help topic:

Select the Contents tab to browse through topics by category.

Select the Index tab to see a list of index entries: either type the word you're looking for or scrollthrough the list.

Select the Find tab to search for words or phrases that may be contained in a Help topic.

Open Help in Technician Mode

1. Press F1 to display a topic associated with the current field or button.

–or–

Press Shift+F1 to display a topic associated with the current window.

The help topic for the current window or field is displayed.

2. Use the up and down arrow keys to scroll up and down the help topic.

3. To view more information about a related topic, press the Tab key to highlight the topic you wantand press Enter.

Copy Information from a Help Topic

1. In the help topic window, select Copy (Ctrl+C) from the Edit menu (Alt+E).

2. In the document where you want the information to appear, click the place where you want to putthe information.

3. Select Paste (Ctrl+V) from the Edit menu (Alt+E).

Print a Help Topic

1. In the help topic you want to print, select the Print (Alt+P) button.

The Windows Print dialog box appears.

2. Press Enter to print the topic.

You can print a group of related topics by highlighting a book in the Help Contents and thenselecting Print.

Use the Find Tab

Search for Words in a Help File

1. In Help, press the Tab key until the Contents tab is highlighted with a dotted line, then press theright arrow key twice to highlight the Find tab.

Note: If this is the first time you've opened the Find tab, follow the instructions on your screen tocompile a word list.

The Find tab is displayed with a list of words.

2. In the first text box, type the word(s) you want to find. Matching words appear in the list below thetext box.

3. Press the Tab key until the list of matching words is highlighted, then highlight the word(s) youwant to look for using the up and down arrow keys, and press Spacebar to select them.

4. Press the Tab key to move to the bottom list box, select the title you want to view using the up anddown arrow keys and press Enter to display the topic.

Note: The text of each topic found contains the word(s) you looked for, even if the word(s) are not inthe topic title.

If you want to look for more than one word, separate them with spaces in the first text box.

When you look for hyphenated words, be sure to type the hyphen.

To set specific search criteria, select Options (Alt+O).

Search for a Phrase in a Help File

1. In Help, select the Find tab, and then select Options (Alt+O).

2. Select The Words You Typed In Exact Order by using the up and down arrow keys to highlightit, and then click Enter.

If this option is unavailable, recreate the word list by selecting Rebuild (Alt+R) on the Find tab andthen choosing Customize Search Capabilities. Make sure Include Phrase Searching is checked.

3. In the text box type the words you want to look for. Topics that contain the phrase you specifyappear in the bottom list box.

4. Select a title and press Enter to display the topic.

Note that the text of each topic found contains the word(s) you looked for, even if the word(s) arenot in the topic title.

Mark a Topic as Relevant to a Search

1. In Help, search for words or phrases in the Help file.

2. In the bottom list box, highlight the topic titles containing the information you are looking for andpress Spacebar to check the boxes.

If this option is unavailable, recreate the word list by selecting Rebuild (Alt+R) and then choosingCustomize Search Capabilities. Make sure Support Similarity Searches is checked.

Note: The topics you mark as relevant will be used when you select the Find Similar button.

Find Similar Topics

1. In Help, search for words or phrases in the Help file.

2. In the bottom list box, highlight the topic titles containing the information you are looking for andpress Spacebar to check the boxes.

3. Select Find Similar (Alt+M).

If this option is unavailable, recreate the word list by selecting Rebuild (Alt+R) and then choosingCustomize Search Capabilities. Make sure Support Similarity Searches is checked.

4. Press the Tab key to move to the bottom list box, select the title you want to view using the up anddown arrow keys and press Enter to display the topic.

Note: You can search for similar topics only if you have marked topics as relevant.

2 Startup SequenceYour program administrator sets the windows that are displayed during the startup sequence in theconfiguration settings in the Administrator module. See Set Up Startup/Shutdown Information on page10-7 in the Using the Administrator Module section of this manual.

Note: Throughout this manual, whenever Renatron appears, it refers to all Renatron models. Sectionsreferring to automatic functions only apply to Renatron II or Renatron II 100 series models.

Follow these steps to go through the startup sequence.

1. Verify that the Calibration Cell is attached to the Renatron.

2. Turn on the water supply and check static water pressure reading and record it (should be between20-55 psi or 1.38-3.79 bars).

3. Verify that there is sufficient Renalin Solution in the container to reprocess the dialyzer that isinstalled on the Renatron and that the Renalin Solution is not expired. Approximately 2" of RenalinSolution is required. Verify that the uptake hose is connected to the container.

4. Turn the power on to the components in the following order: Printers

Monitor

Computer

Interface modules

Renatrons

Note: You can use a surge protected, multiple switch power strip with a single switch to powereverything on at once.

5. If the Active Renatron warning window is displayed, select Clear Active Renatron to display theClear Active Renatron window.

The Clear Active Renatron window is displayed.

Caution: If your PC shuts down due to a power failure or similar occurrence, investigate the statusof each Renatron to determine if you want to continue or restart the startup sequence.

If both the PC and Renatrons shut down, you will need to clear all active Renatrons whenyou restart the startup sequence.

If you clear a Renatron in this instance, none of the automatic data retrieval processeswill be enabled.

6. Select the buttons corresponding to the Renatrons you want to reset to Ready for Use by pressingthe Tab key to highlight it and Spacebar to select it.

7. Select Next to proceed to the next step in the startup sequence.

The Renalin Verification warning window is displayed only if Renalin containers need attention.

8. Select Connect to display the Renalin Verification connection window if your programadministrator enabled it to record the connection information associated with each new or existingRenalin container attached to a Renatron.

The Renalin Verification connection window is displayed with the Renatron status, Renalincontainer status, and expiration dates for active Renatrons if your program administrator enabled it.

9. Select the button corresponding to the Renatron connected to the Renalin container you want toadjust to display the Renalin Connection window.

10. In the Renalin Connection window, enter the container number in the Container field or scan thebarcode on the Renalin container label.

11. Enter the date you diluted the Renalin for the selected Renatron in the Dilution Date field. Thisfield is disabled if the selected Renatron is using Renalin 100.

12. If necessary, edit the date you connected the Renalin container to the selected Renatron in theConnect Date field.

13. Select Accept to accept the changes and return to the Renalin Verification window.

14. Repeat steps 9-13 for all Renatrons requiring Renalin attention.

15. Select Next to proceed to the next step in the startup sequence.

The Service Clean/Rinse Procedure (Rinse Mode) window is displayed if your programadministrator enabled it and you performed a service cleaning/rinse procedure during the previousshutdown sequence. For more information on performing the Service Clean/Rinse procedure, referto the Renatron Instruction Manual.

16. Select the buttons corresponding to the Renatrons you want to rinse the cleaning solution from bypressing the Tab key to highlight it and Spacebar to select it.

The status of any Renatron you cleaned with cleaning solution during the last shutdown sequenceshould display Service Cleaning.

17. Verify that Rinsed is displayed in the Method drop-down list box to indicate that you have rinsedthe cleaning solution from the selected Renatron.

18. Select Next to save the settings and update the status of the selected Renatrons to Waiting forSanitize and proceed to the next step in the startup sequence.

The Sanitize Renatron window is displayed if your program administrator enabled it.

19. Select the buttons corresponding to the Renatrons you want to sanitize at startup by pressing theTab key to highlight it and Spacebar to select it.

20. Select the method of sanitizing as follows: 10MIN Dwell – (Default) Select this to expose the machine’s fluid pathways to Proportioned

Renalin Solution for a minimum of ten minutes.

Caution: You should select 6HR Dwell only if you do not plan to use the selected Renatron thesame day.

6HR Dwell – Select this to expose the machine’s fluid pathways to Proportioned RenalinSolution for a minimum of six hours.

21. Select Next to save the settings and update the status of the selected Renatrons and proceed to thenext step in the startup sequence.

The Startup Calibration window is displayed.

22. Select Automatic or Manual.

If you selected Automatic, the Automatic Calibration window is displayed. Go to step 23 in thisprocedure.

If you selected Manual, the Manual Calibration window is displayed. Proceed to step 28 formanual calibration instructions.

23. When green light is lit on interface module, scan the barcode label on the calibration cell.

24. Scan your authentication label.

25. Scan the barcode label on the Renatron.

26. Press the START PROCESS button on the Renatrons you are calibrating.

The Renatron processes the calibration cell and displays the PROCESS COMPLETE in thePROGRAM STEP display window when it is finished.

27. Press the RESET button on the Renatrons you have calibrated to record the information in thedatabase.

28. Select the buttons corresponding to the Renatrons you want to calibrate at startup by pressing theTab key to highlight it and Spacebar to select it.

29. Enter the volume indicated on the calibration cell used to calibrate the selected Renatron in theCalibration Cell Volume field.

30. Select the buttons corresponding to the Renatrons you verified calibration for.

31. Enter the current volume from the calibration result of the selected Renatron in the CurrentVolume field.

32. If necessary, edit the date and time that the calibration cell was calibrated in the Date/TimeCalibrated field.

33. Select Next to proceed to the next step in the startup sequence.

The Water Verifications window is displayed if your program administrator enabled it.

34. Enter the static water pressure from the in-line pressure gauge before you turned on the Renatron inthe Static Water Pressure field. It should be no more than 55 psi (3.79 bars).

35. Enter the dynamic water pressure you recorded from the water supply gauge at machine step 04 inthe Dynamic Water Pressure field. The dynamic water pressure should be between 20-55 psi(1.38-3.79 bars).

36. If necessary, edit the date and time the water pressure was tested in the Date/Time Tested field.

37. Select Next to proceed to the next step in the startup sequence.

The Water Cultures list window is displayed if your program administrator enabled it.

38. Enter the site where the specimen was taken in the Location field. For example, Renatron 3, waterroom, etc.

39. Enter the results of the water culture test in the Results field.

40. Enter the date the test was performed in the Tested Date/Time field.

41. Select the culture that was tested for from the Type drop-down list box.

42. Select Save to save the water culture results to the database.

43. Select New to add a new water culture record.

44. Repeat steps 38-43 in this procedure until you have entered all the results.

45. Select Next to proceed to the next step in the startup sequence.

The Dialyzer Verification window is displayed.

46. View the dialyzers listed on the window and attend to them as necessary.

The statuses are as follows: Precleaned Dialyzers – Dialyzers that have been run in preclean mode but has not been

processed.

Expired Dialyzers – Dialyzers that have reached their preset shelf life.

Dialyzers Not Processed – Dialyzers that have been assigned a barcode, but have not beenprocessed.

47. Select Next to finish the startup sequence.

3 Shutdo wn SequenceYour program administrator sets the windows that are displayed during the shutdown sequence in theconfiguration settings in the Administrator module. See Set Up Startup/Shutdown Information on page10-7 in the Using the Administrator Module section of this manual.

Follow these steps to go through the shutdown sequence for the end of the day.

1. If the Active Renatron warning window is displayed, select Clear Active Renatron to display theClear Active Renatron window.

The Clear Active Renatron window is displayed.

2. Select the buttons corresponding to the Renatrons you want to clear by pressing the Tab key tohighlight it and Spacebar to select it.

3. Select Next to proceed to the next step in the shutdown sequence.

The Dialyzer Verification window is displayed.

4. View the dialyzers listed on the window and attend to them as necessary.

The statuses are as follows: Precleaned Dialyzers – Dialyzers that have been run in preclean mode but has not been

processed.

Expired Dialyzers – Dialyzers that have reached their preset shelf life.

Dialyzers Not Processed – Dialyzers that have been assigned a barcode, but have not beenprocessed.

5. Select Next to proceed to the next step in the shutdown sequence.

The Service Clean/Rinse Procedure (Clean Mode) window is displayed if your programadministrator enabled it. For more information on performing the Service Clean/Rinse procedure,refer to the Renatron Instruction Manual.

6. Select the buttons corresponding to the Renatrons you want to perform the service cleaningprocedure on.

7. Verify that Cleaned is displayed in the Method drop-down list box to indicate that you have addedthe cleaning solution to the selected Renatrons. This sets the status to Service Cleaning when youselect Next.

8. If necessary, edit the date and time that you performed the service clean procedure on the selectedRenatron, or accept the current date and time.

9. Select Next to save the settings and update the status of the selected Renatrons to Service Cleaningand proceed to the next step in the shutdown sequence.

The Sanitize Renatron window is displayed.

10. Select the buttons corresponding to the Renatrons you want to sanitize that do not currently have astatus of Service Cleaning.

11. Select the method of sanitizing as follows: 6HR Dwell – (Default) Select this to expose the machine’s fluid pathways to Proportioned

Renalin Solution for a time consistent with the disinfection time indicated in the Renalin ColdSterilant labeling. You should select this only if you do not plan to use the selected Renatron thesame day.

10MIN Dwell – Select this to expose the machine’s fluid pathways to Proportioned RenalinSolution for a minimum of ten minutes.

12. Select Next to save the settings and update the status of the selected Renatrons and proceed to thenext step in the shutdown sequence.

Renalog RM displays the Reminder window.

13. Wipe down all exterior surfaces with 1% Renalin Solution or full-strength Actril for surfacedisinfection.

4 Reprocess DialyzersThe Dialyzers menu allows you to perform all the reprocessing functions: automatically or manuallyreprocess dialyzers, clear active Renatrons, assign dry packs, reassign dialyzers, set up to preprocessdialyzers, manually fail dialyzers, view information about selected dialyzers, and reactivate previouslyfailed dialyzers.

Automatically Reprocess Dialyzers

To automatically reprocess dialyzers connected to your Renatrons, follow these steps:

Note: To use the Semi-Automatic Reprocessing function, there must be at least one available Renatronwith a status of Ready for Use.

Note: Automatic reprocessing can only be performed on Renatron II and/or Renatron II 100 Seriessystems.

1. Make sure you have gone through the complete Startup Sequence, if it was enabled by your programadministrator.

2. Make sure you have installed a dialyzer on a Renatron.

3. In Technician mode, select Dialyzer to display the Reprocessing Menu.

4. Select Process Dialyzers.

6. When green light is lit on interface module, scan the barcode label on the dialyzer to be reprocessed.

7. Scan your authentication label.

8. Scan the barcode label on the Renatron for the cycle that is to be run as follows: To select a complete reprocessing cycle, scan the Renatron serial number barcode label on the

Renatron. After the third label is scanned, the computer automatically sets the appropriateinformation for this dialyzer.

To select the pre-clean option, scan the barcode labeled Pre-clean instead of the Renatron serialnumber barcode label.

Note: The labels may be scanned in any order. Once scanned Renalog RM displays the patient ID, thestatus of the Renatron, and the dialyzer number for each Renatron.

9. Press the START PROCESS button.

10. If a VOLUME FAIL or PRESSURE FAIL message appears, refer to the Renatron InstructionManual for additional instructions. Pressing the RESET button will fail the dialyzer and print theappropriate failed dialyzer label.

11. When the process complete message is displayed, press the RESET button. The PROGRAMSTEP display will indicate step 98 until the labels are printed.

12. Select Quit or press F10 to stop automatic reprocessing. Select Yes to stop automatic reprocessingwhen the system prompts you.

Reprocess Dialyzers with the Semi-Automatic Option

To reprocess dialyzers with the semi-automatic option, follow these steps:

9. Select the port number of the Renatron from the Renatron Number drop-down list box.

10. Select Accept to save the settings you entered and return to the Automatic Reprocessing window.

11. If a VOLUME FAIL or PRESSURE FAIL message appears, refer to the Renatron InstructionManual for additional instructions. Pressing the RESET button will fail the dialyzer and print theappropriate failed dialyzer label.

11. In the Current Volume field, enter the current volume of the selected dialyzer as indicated by theRenatron.

12. Select Yes from the Did this Dialyzer Fail? Drop-down list box if the current dialyzer failed.

13. Select Accept to save the settings you entered.

If you indicated that the dialyzer failed, the Manual Reprocessing fail code list window isdisplayed.

14. Highlight the fail code you want to use and double-click or press Enter.

15. Select Accept to accept your entries.

Enter a New Note

To add a new note, follow these steps:

1. In Technician mode, select Notes on the navigation bar to display the Notes window.

3. Enter the subject of the note (up to 25 characters) in the Subject field.

Generate Reports

To generate reports, follow these steps:

1. In Technician mode, select Reports on the navigation bar to display the Reports menu.

2. Select the button of the type of report you want to generate (Reuse, Dialyzer, Patient, etc.).

The appropriate list window is displayed.

Select Search Criteria

Use this window to select or delete existing saved report selection criteria or create new criteria. TheSelect Search Criteria displays up to twelve previously saved report criteria selections. For example, youcan select the Dialyzer Failure Group by Month report and enter Maximum Uses as the only fail codereason you wish to report on. You can name this version as Maximum Use Failures and save it as asearch criteria name to run at a later date.

Then, anytime you want to rerun this report, just select it from the saved list on the Select SearchCriteria window.

To create search criteria, follow these steps:

1. In the Select Search Criteria window, type the new search criterion name in the text box.

2. Press Enter to save the new search name or highlight an existing report criterion and select OK.

Note: Items displayed in gray are not available for selection.

To customize a report on the Selection Criteria window, follow these steps:

1. Select the check boxes for the following to include the date filters in the reports: Last Reprocess Date

2. Enter the starting date and the ending date for the range you want to report on in each of the Fromand To fields.

3. Select the Use Number check box to include the filter for the report.

4. Enter the lowest number of uses in the From field and the highest number of uses in the To field.

The Reprocessing Journal Statistics report displays the number of preprocesses, precleans, reprocesseswithout use, reprocesses after use, total cycles, and failed dialyzers within the date range you specify.

To generate the Reprocessing Journal Statistics report, follow these steps:

1. In Technician mode, select Reports on the navigation bar to display the Reports menu.

2. Select Reuse.

The Reuse Reports list window is displayed.

3. Highlight Reprocessing Journal in the list and double-click or press Enter to select it.

8 Print Ne w LabelsThe Print New Label menu allows you to print information, barcode, authentication, calibration cell, andfailed dialyzer labels.

Print New Information Labels

To print a new information label for a specific dialyzer and patient, follow these steps:

1. In Technician mode, select Print New Label on the navigation bar to display the Print New Labelmenu.

3. Enter the search criteria as follows: To search for a patient name associated with the failed dialyzer, enter the name in the in the

Last Name field.

To search for dialyzers that failed within a specific date range, enter the starting date of therange in the Fail Date Range field, and enter the ending date of the range in the Through field.

9 Perform Daily Care TasksThe Daily Care menu allows you to perform all the daily care functions in Renalog RM service cleaningprocedure, sanitize Renatrons, verify calibration, verify water pressure, set Renatrons out for service,record water culture test results, verify Renalin, verify dialyzers, and back up the database.

Perform the Service Clean/Rinse Procedure

The Service Clean/Rinse function of Renalog RM allows you to document the Service Clean/Rinseprocedure as defined in the Renatron Instruction Manual.

To document the Service Clean/Rinse procedure in Renalog RM, follow these steps:

1. During the Service Clean/Rinse dwell time, in Technician mode, select Daily Care on thenavigation bar to display the Daily Care menu.

2. Select Service Clean/Rinse Procedure.

6. Upon completion of the Service Clean/Rinse procedure, in Technician mode, select Daily Care onthe navigation bar to display the Daily Care menu.

Sanitize Renatrons

The Renatron must be sanitized in accordance with the Renatron Instruction Manual.

Use the following steps to document the sanitization of Renatrons:

1. In Technician mode, select Daily Care on the navigation bar to display the Daily Care menu.

2. Select Sanitize Renatron.

The Sanitize Renatron window is displayed.

3. Select the buttons corresponding to the Renatrons you want to sanitize.

5. Select Accept to save the settings and update the status of the selected Renatrons to Sanitize.

Automatically Verify Renatron Calibration

To automatically verify the Renatron calibration, follow these steps:

1. In Technician mode, select Daily Care on the navigation bar to display the Daily Care menu.

2. Select Calibration.

3. Select Automatic.

The Automatic Calibration window is displayed.

4. When green light is lit on interface module, scan the barcode label on the calibration cell.

5. Scan your authentication label.

Note: The labels may be scanned in any order.

7. Press the START PROCESS button on the Renatrons you are calibrating.

The Renatron processes the calibration cell and illuminates the PROCESS COMPLETE messagewhen it is finished.

8. Press the RESET button on the Renatrons to record the information in the database.

9. Select Close to close the Automatic Calibration window when you have finished viewing thecalibration.

Manually Verify Renatron Calibration

To manually verify the calibration of Renatrons, follow these steps:

1. In Technician mode, select Daily Care on the navigation bar to display the Daily Care menu.

Verify Water Pressure

To verify the water pressures, follow these steps:

1. In Technician mode, select Daily Care on the navigation bar to display the Daily Care menu.

2. Select Water Verifications.

The Water Verifications window is displayed.

3. Enter the static water pressure you recorded from the in-line pressure gauge before you turned onthe Renatron in the Static Water Pressure field. It should be 20-55 psi (1.38-3.79 bars).

4. Enter the dynamic water pressure you recorded from the in-line pressure gauge at machine step 04in the Dynamic Water Pressure field. It should be 20-55 psi (1.38-3.79 bars).

5. Enter the date and time you tested the water pressure in the Date/Time Tested field.6. Select Accept to save the settings for the water verifications.

Set Renatrons Out for Service

To indicate that specific Renatrons are out for service, follow these steps:

1. In Technician mode, select Daily Care on the navigation bar to display the Daily Care window.

3. Select the buttons corresponding to the Renatrons you want to indicate is out for service.

4. Select Accept to save the settings and update the status of the selected Renatrons to Out forService.

Record Water Cultures

To edit an existing water culture record or to create a new one, follow these steps:

The Renalin Verification window is displayed with the Renatron status, Renalin container status,and expiration dates for active Renatrons.

4. In the Renalin Connection window, enter the container number in the Container field or scan thebarcode on the Renalin container label.

5. Enter the date you diluted the Renalin for the selected Renatron in the Dilution Date field. Thisfield is disabled if the selected Renatron is using Renalin 100.

6. If necessary, edit the date you connected the Renalin container to the selected Renatron in theConnect Date field.

7. Select Accept to accept the changes and return to the Renalin Verification window.8. Repeat steps 3-7 for all Renatrons requiring Renalin attention.

Document Renalin Container Adjustments

To document your Renalin container adjustments, follow these steps:

1. In Technician mode, select Daily Care on the navigation bar to display the Daily Care menu.

2. Select Renalin Adjustments.

The Renalin Adjustment window is displayed.

3. Select the Renatron number attached to the container you wish to adjust from the Renatron drop-down list box. Once a Renatron has been selected, the Container field is automatically filled in.

4. Enter the amount of the decrease in Renalin in milliliters in the Adjustment (Milliliters) field.

5. Enter the description of the adjustment of up to 25 characters in the Adjustment Reason field.

6. Select Save to save the adjustment.

Verify Dialyzers

To verify that no dialyzers need further attention, follow these steps:

1. In Technician mode, select Daily Care on the navigation bar to display the Daily Care menu.

3. View the dialyzers listed on the window and attend to them as necessary.

4. Select Close to close the Dialyzer Verification Screen window and return to the Daily Care menu.

Back Up the Database

To back up the database, follow these steps:

1. In Technician mode, select Daily Care on the navigation bar to display the Daily Care menu.

2. Select Backup Database.

The Backup Database window is displayed.

3. Select Backup to back up the database file to the selected drive displayed in the backup path.

Note: Be sure to use the appropriate backup medium. Minntech recommends a ZIP disk to back up yourdata. When using a ZIP disk, the disk is ejected from the drive automatically when the backup iscomplete.

10 Using th e Administrator ModuleThe Administrator module provides tools and utilities to configure and manage program performance.

Set Up Configuration

The Setup menu allows you to set up general program information, export and backup information, failcodes, Renatron numbers, and configure the Startup and Shutdown sequences.

General Setup

To set up the general configuration for Renalog RM, follow these steps:

1. In Administrator mode, select Setup from the menu bar.

2. Select Configuration Information from the Setup menu.

3. Select General Setup from the Configuration Information submenu.

The General Setup window is displayed.

Note: The center name can only be entered when you install Renalog RM.

4. Enter the failure percent for the dialyzers in your center in the Failure Percent field. The acceptablerange is 80%-95%.

5. Enter the number of labels you want to print for each reprocessing job in the Number of Labels(processed) field.

6. Enter the number of labels you want to print for each failed dialyzer in the Number of Labels(failed) field.

7. Select the program you want on the Renatron for low-flux from the Low Flux Program drop-downlist box as follows:

CH – Select this for mid-range/high-efficiency, and Hemophan type dialyzers with a KUF of 8-15

00 – Select this for low flux dialyzers with a KUF of less than 8

8. Enter the number of days until your dialyzers expire in the Days Until Dialyzers Expire field.

9. Enter the default volume for calibration cells in the Default Cal Cell Volume field.

10. Select the type of pressure measurement you use (PSI or BARS) from the Pressure Measurementdrop-down list box.

11. Select the Lock Out Other Apps check box to display only the Technician Module screens when auser logs into Technician mode. All other non-Renalog RM programs will be unavailable while youare running Renalog RM in Technician mode.

12. Select the communications port on your computer that interface module 1 is connected to from thefirst Interface Module 1 Com Port drop-down list box.

Note: If no com port is selected, Renalog RM will display an error message.

13. Select the communications port on your computer that interface module 2 is connected to from thesecond Interface Module 2 Com Port drop-down list box.

14. Select Label Setup to open the Label Setup window to configure label and report printer settings.See Label Setup below for details.

15. Select Save to save the general settings.

Label Setup

To set up the label settings for your label printer and to set a default report printer, follow these steps:

1. On the General Setup window, select Label Setup.

The Label Setup window is displayed.

2. Select Zebra TLP 2844 from the Label Printer Name drop-down list box.

3. Select Other Printer from the Label Printer Type drop-down list box.

4. Select Portrait from the Orientation drop-down list box.

5. Select the Send Label Dimensions to the Printer check box to send the label dimensions you set tothe printer.

6. Enter the space in twips (1/1440th of an inch) in each of the margin fields according to the tablebelow:

Note: These settings only apply to the Zebra TLP 2844 model label printer.

7. On the Label Setup window, select Default Printer to set up you printer for printing reports.

To set up the export and backup pathnames, follow these steps:

1. In Administrator mode, select Setup from the menu bar.

2. Select Configuration Information from the Setup menu.

3. Select Export/Backup from the Configuration Information submenu.

The Export/Backup Setup window is displayed.

4. Enter the path for the export file or select to browse for the path on your computer.

5. Enter the path for the export file or select to browse for the path on your computer.

6. Select Save to save the settings.

Fail Codes

To add new or change the status of existing fail codes, follow these steps:

Note: Select the Show All check box to display both active and inactive fail code records.

Renatron Numbers

If you are replacing an existing Renatron with a new Renatron, you must first place the existing Renatronout for service in the Renatron Out for Service window in the Daily Care area of the Technicianmodule. This will place the Renalin container on hold. Once the Renalin container has been placed onhold, you can enter the new Renatron serial number and scan the Renalin container.

To assign Renatrons to the corresponding ports on the interface module, follow these steps.

1. In Administrator mode, select Setup from the menu bar.

2. Select Configuration Information from the Setup menu.

3. Select Renatron Numbers from the Configuration Information submenu.

The Renatron Numbers window is displayed.

4. Enter the serial number of each Renatron in its corresponding port field.

5. To set a Renatron back in service deselect the Out for Maintenance check box.

6. Select the 100 Series check box to indicate that the current Renatron is a Renatron 100 that usesRenalin 100.

7. To unlock the selected Renatron when it has used more than 125% of the usable Renalin in theattached container, clear the checkmark from the Locked checkbox.

8. Select Save to save the settings.

Startup/Shutdown Setup

To enable the windows you want to include in the startup and shutdown sequences, follow these steps.

1. In Administrator mode, select Setup from the menu bar.

The Startup/Shutdown Setup window is displayed.

4. Press Spacebar to check the Service Rinse Procedure check box to display the Service Clean/Rinse Procedure window at startup.

5. Press Spacebar to check the Sanitize Renatron check box to display the Sanitize Renatronwindow at startup.

6. Press Spacebar to check the Startup Calibration check box to display the Calibration window atstartup.

7. Press Spacebar to check the Water Verifications check box to display the Water Verificationswindow at startup.

8. Press Spacebar to check the Water Cultures check box to display the Water Cultures window atstartup.

9. Enter the number of weeks you want to elapse between water culture tests in the Week(s) on field.

10. Select the day of the week you want to perform the water culture test from the Weeks on Dayselection drop-down list box.

13. Press Spacebar to check the Service Clean/Rinse Procedure every check box to display theService Clean/Rinse Procedure window at shutdown.

14. Enter the number of weeks you want to elapse between service cleaning procedures for eachRenatron in the week(s) on field.

Note: If you select to perform the service cleaning procedure for more than every week, you can onlyselect one day a week.

15. Press Spacebar to check the days of the week you want to perform the service cleaning procedurefor each Renatron.

16. Select Save to save the settings.

Set Up Dialyzer Manufacturer Information

To create new and edit existing manufacturer records, follow these steps:

1. In Administrator mode, select Setup from the menu bar.

2. Select Dialyzer Manufacturer Information from the Setup menu.

The Dialyzer Manufacturer Information window is displayed.

Note: Select the Show All check box to display both active and inactive dialyzer manufacturer records.

3. Select New to add a new dialyzer manufacturer.

–or–

Highlight the manufacturer you want to edit from the Dialyzer Manufacturer Information list.

4. Enter the manufacturer’s name for the selected record in the Manufacturer field.

5. Enter the nominal volume for the selected manufacturer’s dialyzer in the Nominal Volume field.

Nominal volume indicates the blood priming volume of the dialyzer’s blood compartment at zerouses and zero reprocesses. This value can be obtained by using the average volume of preprocesseddialyzers as indicated on the Preprocessed Dialyzer Average Volume by Model Number Report.

6. Enter the absolute minimum volume the selected dialyzer can reach before it fails in the MinimumVolume field. Leave this field blank if you do not want to use an absolute minimum volume.

The absolute minimum volume is a fixed number that you set so that a dialyzer will fail at a certainvalue, which may be higher than the calculated minimum volume. This is used as a safeguardagainst allowing dialyzers to be used with minimum volumes below what a physician mayprescribe.

7. Enter the ultrafiltration rate for the selected dialyzer in the KUF field.

8. Enter the model number for the selected dialyzer manufacturer record in the Model field.

9. Enter the maximum number of times the selected dialyzer can be used before it expires in the MaxUses field.

The maximum number of uses associated with a specific patient can override this value. RenalogRM uses the lesser of the two numbers to determine the maximum number of uses the dialyzer canhave.

10. Enter the cost of the selected dialyzer in decimal format in the Cost field (optional).

11. Select the Active check box to set the status of the selected dialyzer manufacturer record as Active.

12. Select Save to save the settings.

Renalog RM displays the following message

13. Select OK to save the dialyzer information.

14. Select Close when you have finished adding and editing dialyzer manufacturer records.

Set Up Location Information

To create new and edit existing location records, follow these steps:

1. In Administrator mode, select Setup from the menu bar.

2. Select Location Information from the Setup menu.

The Location Information window is displayed.

Note: Select the Show All check box to display both active and inactive location records.

3. Select New to add a new location.

–or–

Highlight the location record you want to edit from the Location Information list.

4. Enter the name for the selected location in the Location Name field.

5. Select the Active check box to set the status of the selected location record as Active.

Set Up Calibration Cell Information

To create new and edit existing calibration cell records, follow these steps:

Edit Patient Information

To create new and edit existing patient records, follow these steps:

1. In Administrator mode, select Edit from the menu bar.

2. Select Patient Information from the Edit menu.

The Patient Information window is displayed.

Note: Select the Show Inactive check box to display inactive patient records.

3. Select New to add a new patient.

Highlight the patient record you want to edit from the Patient Information list.

If you need to search for the patient’s last name, type the first few letters of the patient’s last namein the Search field. Renalog RM scrolls down the list to the first matching name. Use theBackspace key to clear one letter at a time to edit your search. The list will continue to scroll to theclosest match.

Caution: When using search, do not press Enter until you have highlighted the record you want toopen.

4. Enter the identifier of the patient for the selected record in the Patient ID field.

5. Enter the first name for the selected patient in the First Name field.

6. Enter the last name for the selected patient in the Last Name field.

7. Enter the middle initial for the selected patient in the Mid Init field.

8. Select the Similar Name check box to indicate that the selected patient has a similar name to one ormore patients.

9. Select the doctor associated with the selected patient from the Doctor drop-down list box.

10. Select the location associated with the selected patient from the Location drop-down list box.

11. Select the Active check box to set the status of the selected patient record as Active.

12. Enter the maximum number of times the dialyzer associated with the selected patient record can beused before it expires in the Max Uses field (optional).

Renalog RM defaults to the maximum number of uses set in the dialyzer record, unless you haveentered a lower number in the patient record for maximum uses.

13. Select Save to save the settings.

14. Select Close when you have finished adding and editing patient records.

To edit existing active dialyzer information, follow these steps:

9. Edit the number of times the selected active dialyzer has been used in association with the selectedpatient ID in the Uses field, if necessary.

10. Edit the number of times the selected active dialyzer has been reprocessed in the Reprocesses field,if necessary.

11. Edit the current volume for the selected active dialyzer in the Current Volume field, if necessary.

12. Change the program associated with the selected active dialyzer from the Program drop-down listbox, if necessary.

13. Select the name of the technician who edited the active dialyzer information from the Techniciandrop-down list box, if necessary.

Manage Security

User Group/User Setup

Program administrators can create new user groups and set rights to user groups. User groups allowprogram administrators to set rights for a group of users without needing to set rights for individual users.

To set up a group, follow these steps:

1. In Administrator mode, select Administration from the menu bar.

2. Select Security from the Administration menu.

3. Select User Group/User Setup from the Security submenu.

The Group Setup window is displayed.

4. Select New to add a new user group.

Highlight the group you want to edit from the Group Setup list.

5. Enter the identifier of the new group in the Group ID field (only enabled when entering a newgroup).

The changes to the group record are displayed in the Group Setup list.

8. Highlight the new record and select Users to add users to the group.

9. Select Rights to set the rights for the group.

Add Users to a Group

Program administrators can add users to a group. To add users to a group, follow these steps:

1. On the Group Setup window, highlight the group record you want to add users to.

2. Select Users.

The User Setup window is displayed.

3. Select New to add a new user record.

–or–

Highlight the user you want to edit from the User Setup list.

4. Enter the identifier of the new user in the ID field (only enabled when entering a new user).

5. Select the group you want to associate the user with from the Group ID drop-down box.

6. Enter the user’s first name in the First Name field.

7. Enter the user’s last name in the Last Name field.

8. Enter the user’s password in the Password field.

9. Select the level of security the user is allowed to access from the Auth Level drop-down box, asfollows:

High – Requires a user to enter a valid user ID and password during certain operations in theTechnician mode.

Medium – Requires a user to only enter a validated user ID during the certain operations in theTechnician mode.

Low – Requires no authentication.10. Select the Active check box to make the user active.11. Select Save to save the record.12. Select Close when you have finished adding and editing users.

Set Access Rights for a Group

Program administrators can grant access rights to groups. It is not advisable to modify rights foradministrators as this can cause access problems.

To grant access rights to a group, follow these steps:

1. On the Group Setup window, highlight the group record you want to modify rights for.

2. Select Rights.

The User Group Access Rights window is displayed.

3. Select the boxes of the menus and submenus of selected user group you want to grant access to.Uncheck a box to remove access rights.

You can also select Select All to grant all rights to the selected group or Clear All to grant no rightsto the selected group.

4. Select Close when you have finished setting group access rights.

Delete a User Group

Program administrators can delete groups. The Admin and Technician groups cannot be deleted.

To delete a group, follow these steps:

1. In Administrator mode, select Administration from the menu bar.

2. Select Security from the Administration menu.

3. Select User Group/User Setup from the Security submenu.

The Group Setup window is displayed.

4. Highlight the group you want to delete on the Group Setup list.

5. Select Delete to delete the selected group record.

6. Select Close when you have finished deleting user groups.

Archive the System

To archive history records for a specific date range, follow these steps:

1. In Administrator mode, select Administration from the menu bar.

2. Select Archive/Unarchive from the Administration menu.

The Archive/Unarchive window is displayed.

3. Select Archive tab to display the archive window.

4. Enter the starting date of the range of records you want to archive in the Start Date field.

5. Enter the ending date of the range of records you want to archive in the End Date field.

6. Select Archive to move the files to the archive tables.

7. Select Close when you have finished archiving files.

Unarchive the System

To restore archived history records for a specific date range to the system, follow these steps:

1. In Administrator mode, select Administration from the menu bar.

2. Select Archive/Unarchive from the Administration menu.

The Archive/Unarchive window is displayed.

3. Select Unarchive tab to display the unarchive window.

4. Enter the starting date of the range of records you want to unarchive in the Start Date field.

5. Enter the ending date of the range of records you want to unarchive in the End Date field.

6. Select Unarchive to move the files from the archive tables to the system.

7. Select Close when you have finished unarchiving files.

Back Up the Database

To back up the database:

1. In Administrator mode, select Administration from the menu bar.

2. Select Backup Database from the Administration menu.

The Backup window is displayed.

3. Select Backup to back up the database file to the selected drive displayed in the backup path.

Note: Be sure to use the appropriate backup medium. Minntech recommends a ZIP disk to back up yourdata. When using a ZIP disk, the disk is ejected from the drive automatically when the backup iscomplete.

View and Print User Logs

To view and print logs of user login activity, follow these steps:

1. In Administrator mode, select Administration from the menu bar.

2. Select User Log from the Administration menu.

The User Log window is displayed.

3. Enter the search criteria as follows: To search for user login activity within a specific date range, enter the starting date of the range

in the Login Date From field, and enter the ending date of the range in the Login DateThrough field.

To search for user login activity for a specific user group, select the group ID for the useractivity you want to view from the Group ID drop-down list box.

To search for user login activity for a specific user, select the user ID for the user activity youwant to view from the User ID drop-down list box.

4. Select Retrieve to display a list of user login activity.

Note: If you select Retrieve without entering any retrieval criteria, the system displays all the logrecords.

To search for user edit activity within a specific field, select the name of the editable field in theselected table that contains the edit records you want to display from the Field Name drop-down list box.

To search for user edit activity for a specific user, select the user ID for the edit activity youwant to view from the User ID drop-down list box.

4. Select Retrieve to display a list of user edit activity.

Glossary

Term Definition

1% Renalin Solution A solution by volume resulting from the user’s addition of AAMI quality water(also known as a 100x dilution.)

AAMI Quality Water Water that meets or exceeds the following requirements:

AAMI/ANSI Standard for Hemodialysis Systems

Pre-filtration through a 1.0 micron or smaller filter

Active Record Patient, dialyzers, or doctors currently being used in the reuse program.

Archive The procedure that allows you to remove records of a specific date range fromRenalog RM data files, putting it into a set of archive files. The reduction inthe data load allows your computer to run more efficiently and faster.

Archive Data Files These are the files that contain dialyzer and reprocessing history informationthat has been removed from the Renalog RM data files.

Backup Disk All data is copied to a diskette, usually at the end of the day (more than onediskette may be required). It is recommended that you archive data if morethan one diskette is required for backup. See Archive.

Current Volume The volume determined during the reprocessing of a used dialyzer.

Fail Code Also known as Fail Descriptions. There are four preprogrammed fail codes:Volume, Pressure, Maximum Uses, and Patient Archived. Sixteen more can becreated by users with program administrator security rights.

Inactive Record Patient, dialyzers, or doctors not currently being used in the reuse program.The records are not deleted, but remain in an inactive file.

Preclean A Renatron cycle used for dialyzers that by appearance would probablyvolume fail (Renalin sterilant remains in the dialyzer for a period of time notexceeding two hours).

Preprocess Refers to the cleaning, disinfecting, and performance testing of a new dialyzerprior to its first use. Preprocessing establishes the actual blood priming volumefor an unused dialyzer.

ProgramAdministrator

An administrator that manages and maintains the Renalog RM system.

ProportionedRenalin Solution

The solution proportioned by the Renatron reprocessing system used incleaning and sterilizing the reprocessed dialyzer.

Renalin 100 A concentrated solution for use with the Renatron II 100 Series System.

The concentrated solution manufactured by Minntech Renal Systems which isdiluted by the operator for use with the Renatron Dialyzer ReprocessingSystem, or for other uses in environments administering dialysis care.

Renalin Solution 21% solution by volume resulting from the operator’s addition of AAMIquality water.

Renalog RM DataFiles

These are the files that contain patient data, inactive patient data, dialyzer data,dialyzer manufacturer data, and reprocessing history.

Renatron And automated system for rinsing, cleaning, and testing hollow fiber dialyzersand for delivery of Proportioned Renalin Cold Sterilant solution to thedialyzers.

Restore Overwrite data on the hard drive from diskette.

Search Criteria Information that is used to find the data you want to view.

Starting Volume The initial volume determined during preprocessing of a new dialyzer (or themanufacturer’s volume specifications, if the dialyzer is not preprocessed).

Twip A twentieth of a point or 1/1440th of an inch.

Unarchive The process of putting the archived data back into the Renalog RM database.You may use this if you want to run reports on data that has been previouslyarchived.
