    Preface

    The RITE Online Institution Preparation Guide is designed to help Program Directors, Program Coordinators

    and Proctors prepare to ensure all systems are in place prior to exam administration. Note that this year

    exam week has been extended to accommodate institutions’ requirements for safe physical distancing of test

    takers.

    Below is a comprehensive list of the items your program will need to complete to prior to and during exam

    administration. If you follow this list and meet the target dates listed, your program will be sufficiently

    prepared come exam week.

    Please review this information closely well in advance of exam week.

    Timeline to Prepare for Testing

    ADVANCE PREPARATION Target Date

    1. Ensure all contact information for Program Directors, Program

    Coordinators, and Proctors is current before RITE registration.

    • Log in to your AAN account to verify all contact information is current and correct.

    • If you are a new Program Director, Program Coordinator, or Proctor, create a user account at AAN.com so you will receive all RITE correspondence.

    Pro tip: Verify with residents that they have completed an AAN membership application; if they already have an AAN membership, confirm with them that their

    information is current and correct.

    2. Register for the RITE exam October 12 – December 4, 2020.

    • Look for an email from AAN with a personalized link to access your program’s RITE registration webpage. If you do not receive an email with this link, contact AAN at [email protected].

    • Verify with residents that their NYIT is correct before you register them by accessing the PGY to NYIT table here.

    • Verify the correct program number is entered if you are registering residents for both Adult and Child Neurology programs, as program numbers can differ even at the same institution.

    *Pro tip: To receive the member rate for RITE registration, ensure neurology program dues for 2020-2021 are paid in advance of registration. Disclaimer: Refunds will NOT be provided if you register at the nonmember rate and then complete membership application/dues. Please plan accordingly prior to registering residents for the 2021 exam.

    3. Reserve a room for RITE administration week.

    • Testing dates: February 9 through (including) 17, 2021

    • An extended testing period is being offered in 2021 to accommodate your institution’s recommendations for ensuring a safe environment for exam administration.

    • Ensure the room is conducive for a proctored environment that is free from distraction and that allows for your institution’s recommendations for physical distancing.

    Pro tip: Remind residents in the weeks prior to exam administration of your institution’s requirements (physical distancing, masks) for a safe testing environment.

    4. Connect with your institution’s technical support staff to identify key contacts to assist with preparation for exam administration

    • Reserve enough hardware and backup hardware for use during exam administration.

    • Identify residents who plan to use personal laptops for exam administration and schedule time for your technical staff to meet with them to inspect their laptops for compatibility.

    Your institution’s technical support staff serves as your first point of contact in the event of a technical error during exam administration. AAN staff may be able to assist with Surpass support during business hours on exam administration days, but staff cannot address connectivity, firewall, or hardware issues.

    Pro tip: Schedule time with your institution/facility technical team to ensure institution firewalls are addressed well in advance of exam administration, as this can delay or prevent download of the RITE.

    5. Recheck the accuracy of resident information before registration closes.

    • Confirm the accuracy of resident registration information, especially NYIT,

    program ID number, and date selected to sit for the RITE.

    • Residents must sit for the exam date selected at the time of registration

    and cannot change exam dates onsite or after the cancellation deadline.

    Pro Tip: Remind residents of the cancellation date, as no changes can be made

    after this date.

    6. Schedule time with your institution’s technical support staff to prepare computers for exam administration.

    • Review system requirements and ensure the computers being used for exam administration meet these requirements.

    • Verify all computers to be used for exam administration are working properly.

    • Note: The exam administration software cannot be installed on a Mac computer.

    • Ensure access through institution firewalls/anti-virus software is addressed on all computers or that SecureClient is set as an exception before downloading the exam administration software.

    • Verify that internet connections will be tested and verified as working prior to exam administration.

    • Verify that you have received your log in credentials (username, password) in an email from Surpass. If you do not have your credentials, check your junk or spam email folder first, then contact AAN at [email protected].

    • Download the exam administration software (SecureClient) on all computers being used for exam administration and run the practice test on the computer being used by the proctor. Do not wait until exam week to run the practice test.

    Pro Tip: Allow up to 30 minutes per computer to complete the installation

    process. If SecureClient was installed last year, check for software updates and

    reinstall if necessary. Create a shortcut to SecureClient on the computer desktop

    for easy login. For troubleshooting tips, click here and select Secure Delivery.

    ONE MONTH FROM EXAM ADMINISTRATION TARGET

    2. Submit special accommodation requests to the AAN if they are not

    identified at registration.

    • Submit requests in writing no later than January 8, 2021, to [email protected] with the following information:

    • Resident name, AAN Member ID

    • Detailed accommodation request (eg, additional time and/or breaks)

    • Confirmation that the resident will remain in a proctored environment, free from access to study materials

    Pro Tip: Submit accommodation requests early if possible so extended times and/or breaks can be approved well in advance of exam administration.

    3. Read the Proctor’s Manual and familiarize yourself with procedures for exam administration.

    • Review the examination schedule and the administration instructions/script.

    • Review the procedures for pausing the exam and scheduled breaks.

    • Review the procedures for test completion to ensure you know how to recognize if a test has not been uploaded for scoring.

    Pro Tip: Breaks and pausing the exam are the two most common questions received during exam administration week. Contact AAN at [email protected] with any questions before exam administration to avoid disruption during testing.

    ONE WEEK FROM EXAM ADMINSTRATION TARGET DATE

    1. Print your program’s Invigilation Pack(s) from Surpass and review the Proctor’s Manual again.

    • Review the instructions on how to print your program’s Invigilation Pack.

    • Review and confirm that all residents for your program are listed on the Invigilation Pack. If you are proctoring two programs (Adult and Child Neurology programs), ensure residents are listed under the correct program.

    • Store the Invigilation Pack in a secure area. The information is confidential and should not be shared with residents before exam administration, as it includes the exam keycodes.

    Pro Tip: Contact AAN at [email protected] immediately if there is an error or missing information on the Invigilation Pack.

    1. Prepare the exam administration site.

    • Ensure you have the printed Invigilation Pack, Proctor’s Manual, a few spare sheets of paper, a pen, and a timing device (eg, cell phone, clock).

    • Ensure the computers are turned on and working; verify internet connectivity.

    • Ensure your testing site follows your institution’s recommendations for safe test administration (eg, physical distancing of seats) and that any other requirements (eg, masks, hand sanitizer) are available.

    2. Log into Surpass and open the Test Administration tab.

    • Click on the Invigilate tab. Recall that “Invigilate” means “monitor” or “proctor.”

    • Verify that your residents all appear on the program screen; if you have more than one program (Adult and Child Neurology), check both program screens.

    • Toggle to the second screen by clicking the dropdown Centre Name and entering second program number.

    Pro Tip: Be sure to refresh your screen often throughout so you do not have to re-log into SecureClient.

    3. Launch SecureClient on each computer.

    • Verify every computer is connected to the internet.

    • Write the exam PIN number on a white board or chalkboard so all residents can easily see it.

    4. Open the exam administration site to receive residents

    • Follow check-in procedures as described in the Proctor’s Manual.

    • Ensure residents follow your institution’s recommendations for physical distancing and any other requirements (eg, masks, hand sanitizer) as they select a seat to take the exam.

    • Ensure resident cell phones, backpacks, purses, or other personal materials are stored away from their seats.

    • Remember: on-site registration and walk-ins are not allowed.

    System Requirements for Computers

    Please share this information with your institution’s technical support staff as soon as possible to ensure your computers meet these requirements.

    of free memory while the application is running)

    Internet Browser You must have one of the following Internet browsers installed on each computer being used: • Internet Explorer 9 to 11 • Google Chrome: 64 • Mozilla Firefox: 58 • Microsoft Edge: 41 A connection of 2Mbps or greater is needed for every 30 candidate tests taking the exam at the same time. This ensures candidates are not affected by connection issues during test delivery. The use of 3G cards may not guarantee a constant bandwidth and therefore does not meet the minimum requirements. Depending on the size of the exam and number of candidates taking the exam at the same time, download speeds and submission times may be affected.

    Applications You must close the following applications before SecureClient can be run: • Excel

    How to Download and Install SecureClient

    1. Verify system requirements for computers have been met and recall that SecureClient

    cannot be installed on a Mac computer. Also be advised that depending on the computer

    and the internet speed, installation may take 15 to 20 minutes per machine.

    2. Ensure your institution’s technical support staff has addressed firewall/anti-virus software

    issues (ie, turned off on the computers used for exam administration or that SecureClient is

    set as an exception before downloading the software).

    • Confirm “Full Control” is granted to the C:\Users\Public\SecureClient parent folder and

    all subfolders

    • Confirm “Everyone” is checked in the list of users. This can be reviewed by right-clicking

    the SecureClient folder, choosing properties, and clicking on the Security tab.

    • Disable any anti-virus and firewall software.

    • Ensure all necessary URLs have been whitelisted:

    o https://devaan.surpass.com o https://devaan.surpass.com/launchtest o https://aan.surpass.com o https://aan.surpass.com/launchtest

    • Set proxy value to “false” in the SecureClient proxy.xml.

    3. Be sure to save all documents in a folder off of your desktop.

    4. Verify you have administrator rights to install SecureClient, then log in as administrator

    here: https://demo.surpass.com/launchtest.

    5. Select the Secure Delivery tab in the upper right corner.

    6. Select the Download Secure Client tab. The program may take a few minutes to download.

    7. If this message appears, select “Keep,” then select “Run.”

    8. If prompted, enter the administrator password. Note: Consult your institution’s technical support staff during this step, as AAN cannot assist, advise, or enter this password for you. After you select “Run,” the InstallAware Wizard will run. Select English-UK, then “OK.”

    9. Select “Next,” then make note of the destination file where SecureClient is installed, as you will need to open it from this location.

    10. Once you press “Next,” SecureClient will install. Press “Finish” when the installation is complete.

    11. In some situations, your computer may be required to download .NET Framework 3.5. If this window appears, select “Download and install this feature.” Once complete, locate SecureClient on your computer C:\Users\Public\Surpass\SecureClient (unless a different path was selected during the installation).

    12. If you would like to create a shortcut to Surpass for the desktop, right click SecureClientInitialRun.exe, which is located in the C:\Users\Public\Surpass\SecureClient folder (or other destination if you select a different pathway).

    How to Login to a Practice Test

    1. Click on the SecureClient icon on the computer desktop or click on SecureClientInitialRun.exe in the C:\Users\Public\Surpass\SecureClient folder (or alternate folder you designated during the installation).

    2. Enter the keycode and click OK.

    3. Confirm your details, then select “Confirm.” If the details are incorrect, inform AAN

    immediately at [email protected].

    4. Read the “Agree to Terms” screen, select “Yes, I accept,” and then “Confirm.”

    5. Enter your PIN and then select “Enter.”

    How to Complete a Section of the Exam

    1. When residents have completed a section of the exam, the Finish This Section box will appear. If they are finished and wish exit the section, they select “Yes I would like to finish this section.” Remember: Once residents complete a section, they are locked out and cannot return to that section.

    2. Select “Finish Section” to exit the section. They will be prompted again to verify that they wish to exit the section. Once they have selected finish again, they cannot return to that

    section.

    How to Search in the Invigilate Tab

    Proctors use the Invigilate function in Surpass to monitor the progress of the exam. The Search and

    Filter tools can be used to look up residents to, for example, pause their test or if an infringement

    has occurred, to void a test.

    1. Log into Surpass at https://aan.surpass.com with your User Name and Password.

    2. Once you have logged in, select the Test Administration tab in the black bar at the top of the screen.

    3. Select the Invigilate tab at the top of the screen, just under and to the right of the Surpass logo; this will open your program’s list of residents registered for the exam.

    4. To search for a specific resident by name in the Invigilate screen, select down arrow in the Candidate column, enter the resident first and last name as it appears on the Invigilation Pack, then select the magnifying glass icon.

    How to Use the Pause and Resume Function to Control Breaks

    The Pause and Resume functions allow Proctors to pause an exam so a resident can take a break during exam administration, if needed. The pause function will save the resident’s place in the exam but will not add additional time to the overall testing window for the section. Remember: Extended breaks, such as those requested as an accommodation, must be approved by AAN in writing well in advance of exam administration.

    1. Once you are in the Invigilate screen and have identified the resident you want to pause, click on the line in which the resident appears so the line is highlighted. Note the status State column will have this green icon when test administration is underway.

    2. Select the Pause button at the bottom right of the screen.

    3. After you press the pause button for the selected resident, the status State column will

    change from the green icon to a red icon .

    4. To resume the exam for a resident, click on the line in which the resident’s name appears so the line is highlighted. Note the status State column will have the red icon when the test paused.

    5. Select the Resume button on the bottom right of the screen. The State column will change from the red icon to the green icon to signal that test administration is now underway again.

    How to Manage the Break Between Parts I and II Residents are allowed a 45-minute between parts I and II of the RITE. This break is encouraged but not mandatory, as some residents may wish to “test through” or have a shorter break. Because residents will complete part I at different times, the break will start and end at different times. How to manage the break may be a discussion you have with residents before they begin part I.

    1. A timed break begins after completion of the last section of part I. A countdown clock showing 45 minutes will appear on the screen. This 45-minute break cannot be taken at any other time than between parts I and II.

    2. If you wish all residents to begin part II at the same time, announce that part II of the exam will begin at a specified time, regardless of when they finish part I. This means that some

    residents will have longer than 45 minutes for the break.

    a. Advise residents to notify you as soon as they select Finish once they complete part I of

    the exam before they leave the exam room.

    b. Search for the resident’s name on the Invigilate screen and highlight the line in which the name appears. The State column will have a coffee cup icon showing, which means

    the timed break has begun.

    c. Next select the Pause button on the bottom right of the screen, as previously described. The icon in the State column will change from the coffee cup icon to the red pause icon

    . This step is repeated for each resident as he/she completes part I.

    d. When residents are back at the designated start time for part II, highlight the line in which the name appears and select Resume. The coffee cup icon will appear again. At this time, the resident should select Resume Test in the countdown screen. Part II will

    then begin.

    3. For residents who wish to “test through,” advise them to select Resume Test as soon as the countdown clock appears or at any time after it begins the break countdown. They can then begin part II but will not have the opportunity to take the 45-minute break or the remainder of the break at any other time during part II.

    4. For residents who wish to take a shorter break or if you agree to staggered breaks based on the time they complete part I, remind them they are responsible for managing the 45-minute

    break and for resuming the test on time. Once the 45-minute break ends, the timer for part II starts.

    How to Void a Test

    If a resident makes an infringement such as talking during the exam, you have the option

    to void the exam. This action completely erases all the answers the resident has provided

    and locks them out of the exam. Use extreme caution and use only in circumstances in

    which there has been a gross violation of policy.

    1. Once you are in the Invigilate screen and have identified the resident, click on the line in which the resident appears so the line is highlighted.

    2. Select the Void button on the bottom right of the screen.

    3. Select the reason for voiding the exam from the dropdown menu. If you select Other, briefly state the reason for the void.

    4. Verify the exam has been voided by checking for an icon in the State column.

    How to Print an Invigilation Pack

    The Invigilation pack contains important information for exam administration and reporting, including the Attendance Register, the Invigilation Report, and the all-important Test Keycode Slip, which lists the keycodes residents need to log in to the exam. See examples of the documents at the end of this Guide.

    1. Login to Surpass using your username and password.

    2. Select the Test Administration tab in the black bar at the top of the screen.

    3. Select Invigilate and confirm that your program’s residents are listed on the screen.

    4. Select residents either individually until all are selected or by using the Select All button.

    5. Next, select the Print Invigilate Pack button next to the Select All button.

    6. A small dialog box will appear. Select Create Invigilation Pack Using Selected Tests.

    7. Select all the options, under Keycode Slips, select One Keycode Per Page. then select Finish. By selecting one keycode per page, you can distribute keycodes to individual residents at the start of exam administration.

    8. Once the pack is created, review and confirm that all residents for your program are listed. If you are proctoring two programs (Adult and Child Neurology programs or multiple programs within the same institution), ensure residents are listed under the correct program. There will be a separate Invigilation Pack for each program number. This will save time and the potential for additional costs if rescoring is required due to an incorrect program registration.

    9. Save and/ or print the Invigilation Pack by selecting the save or print icons at the bottom of the Attendance Roster. Save the pack in a secure area on your computer and when printed. The information is confidential and should not be shared with residents before exam administration, as it includes the exam keycodes.

    10. Contact AAN at [email protected] immediately if there is an error or missing information on the Invigilation Pack.

    How to Ensure a Test is Completed

    Ensuring residents’ responses to the exam are recorded is as important as registering for and launching the exam. If you do not confirm that the responses have been uploaded to Surpass, responses may be lost and sometimes irretrievable. This can happen if SecureClient is removed from the institution’s computer before the exam administration period ends. In these cases, there is nothing to be done to recreate or retrieve responses.

    1. Before closing the Invigilation screen, verify that all exams for that day are marked as Finished.

    2. Review the State column to ensure there is a green checkmark for all residents who completed the exam that day. The checkmark confirms the exam is finished and the responses have been uploaded.

    3. If you see, a red arrow icon , relaunch SecureClient and wait a few moments, then refresh the Invigilate tab and look for the green checkmark. This step will not “lose the tests,” as they are stored in the computer as long as SecureClient is loaded. If after a few moments the test has not been uploaded (ie, no green checkmark), check the internet connection on the computer. The test will upload once there is an internet connection. If you suspect connectivity is an issue, contact your institution’s technical support staff.
