2 INTRODUCTION

Deliverable 5.3 “ReSOMA Platform” is a document that describes the structure of the web platform as defined by the consortium, the first online version of the ReSOMA website and its visual identity. The deliverable contains the explanation of the first model of the platform that will be implemented and constructed hand in hand with other project’s activities.

The deliverable takes into account the collaborative work performed by the entire consortium during the first two months of activities. The platform will be enriched during the entire duration of the project continuously and going hand in hand with other activities envisaged both in WP5 and in other WPs.

As also agreed with the European Commission the development of the platform, that was initially foreseen as a subcontract, is now an activity directly carried out by the EY team in collaboration with the other partners of the consortium.

3 ReSOMA LOGO

Since the very outset of the project implementation, partners felt the need to quickly design a logo for ReSOMA. Following some early discussions, EY drafted a few options of logos to submit to the whole Consortium during the KO Meeting for final selection.

As Annex 1 shows, different logos showcased different ideas of ReSOMA by stressing the graphic and semantic components of the acronym. A logo is indeed a graphic representation used to identify and promote the recognition of a project/idea. Given this assumption, the logo that partners ultimately chose is a clear and simple image that reports the project name (ReSOMA) with a stylised S that represents the close encounter of two people.

The meeting of people has a double meaning. Firstly, it represents the meeting of EU researchers and stakeholders that is the first objective of the entire project. Secondly, it is the representation of two different persons (a blue and a yellow one) that meet each other despite their differences regarding backgrounds and origins (the colours). The sylised S is also a clear reference to the topics under discussion in the platform that are namely: Migration, Asylum and Integration.

The logo is also available in a version that makes explicit the ReSOMA acronym: Research Social Platform On Migration and Asylum. This version of the logo will facilitate the engagement with the public and with those getting familiar with ReSOMA, particularly on social media.

The colour blue and yellow have been chosen because they are primary colors and recall the colors of the EU flag. A set of primary colors can be combined in varying amounts to produce new and unexpected colours. In the same way, different people (the stylised S) can meet each other and exchange their different opinions in order to create new ones.

Like the integration of colours can give birth to new nuances, the integration of people can lead to new convergences and new scenarios.

The font chosen is Futura Bk BT for its capability to express clarity and definition being straightforward

but not aggressive.

The striking pre-eminence of the S in the logo turned out to be very useful when designing the first round of Ask the expert policy briefs, with a transparent version of the letter featuring in the background of the online publication cover, which allows to quickly identify the line of public products of ReSOMA.

4 ReSOMA - Platform

Consortium members have spent the first three months of the project cycle on planning of the Platform structure (sitemap) as well as for the creation of a first homepage/landing page to present the project.

4.1 RESOMA SITEMAP

The sitemap is the first step in the creation of a functional and well-planned website/platform that takes in account the needs of the entire community of users.

For this reason, a great effort has been made and many rounds of consultations have taken place in order to collect a great number of feedback.

The results is the sitemap below where is possible to see the entire platform areas and sub-areas.

As described in the image the main areas of the platform are the followings:

- Homepage - About ReSOMA - Experts & Info - Ideas - Private Area

The Home page is already active and is accessible at the link http://www.resoma.eu/ . This represents a first version of the project community website/platform in order to start engaging the community. For further information please read the paragraph 4.3 Website Homepage overviews: structure and description. About ReSOMA is a section dedicated to the description of the project and to consortium partners. The sub-area is further divided as follows:

- Project: a section containing the description of the ReSOMA project with its main goals, the reasons behind the project, the work flows and its main deliverable.

- Stakeholder and Partners: a section that collects most important information regarding all the partners involved in the project and main stakeholders that contribute in different forms to project activities.

- Teams/contact: a section with all team members and the main contact for a fast and efficient communication.

This section will be fully available to both logged and not logged users.

Experts & Info is the core section for external communication and for the publication of results to the wide public. The most important sub-sections of this area gives the possibility to navigate the “Expert” database, shows the “Trends & Scenarios” identified from project activities, read “News” regarding asylum, migration and integration, be updated regarding “Events” (included webinars). Moreover, a section is dedicated to the “Policies briefs” to be published as foreseen by the project. This “Expert & Info” area is fully available to logged and not-logged users. The “Ideas” section is a private area accessible only to logged users (experts in the field of asylum, migration and integration, project members etc.). The area represents an important gateway for the development of new ideas in a collaborative environment. One sub-area (called “Macroarea” in the image) is dedicated to the three main sections as the project topics (asylum, migration and integration). A third area – “Input experts” - contains some tools for researchers and experts such as survey tools and their results. This area of the platform is available only to logged users with a certain level of permission. The “Private Area” is mainly dedicated to the management of the “User Profile”. It is also contains an internal “Forum” to manage discussions of the consortium. A “Project repository” is also foreseen for the upload/download of all sort of document necessary during project activities. The private area will be available only to certain users holding permission from the administrator of the platform.

4.2 LEVELS OF ACCESS AND FUNCTIONALITIES

At the early stage of the Platform design, the bulk of exchanges among partners focused on the different levels of access, namely who should get access to what content of the Platform. Overall 4 types of users were identified – 1 public and 3 private (i.e. users who have successfully registered to and logged into the Platform):

- Level 1 users: unregistered public users - Level 2 users: registered experts and stakeholders - Level 3 users: ReSOMA Steering Group Members and Members of Consortium - Level 4 user: Admin of the ReSOMA Platform

In general, registered and logged-in users can access more web modules as well as more detailed levels of information (a schematic outline is featured in Annex 2). All public users who register to the Platform are automatically assigned to level 2. The only level 4 user, the Admin of the Platform, can upgrade the status of users while SG and Consortium members are assigned to level 3 by default. As anticipated in the previous paragraph, based on the membership of users a certain level, the Platform offers different surfing experiences in the form of different content available in different modules. As a result, partners had to discuss the best strategy to embed a number of functionalities that embody the multiple project deliverables, of which the Platform works as a comprehensive container.

- Monthly expert interviews (D5.9) are accessible to all users since they are meant to work as a

dissemination tool from WP5. Partners are still discussing on whether to host the videos directly on the platform or to upload them onto an ad-hoc Youtube channel and embed the links into the Platform.

- Policy briefs (e.g. D1.5 & D1.6) are divided into two groups: public deliverables that are made accessible to all users and public deliverables (also in final draft version) that are made accessible to users from level 2 on in order to persuade people to register onto the Expert Database (D5.1). However, only level 4 users (i.e. the Admin) can upload new documents while level-2 users can be notified about that.

- A Forum section will be set up to foster discussion and ensure the consultative process within the stakeholder community, and that the Consortium get the best expertise into the policy debate as per WP5. In order to populate the Expert Database, level-1 users can read public thread discussions while only level-2 users can post comments. For the moment only level-3 users can start conversations and partners have been discussing whether to open this function to other levels of users. Issues relating to moderation (who should conduct it and how often) will be discussed in the coming months.

- The Ongoing fact-checking Twitter service (D5.7) is embedded into the Platform through a link button. Partners still need to decide whether to embed an additional box showing the feed of tweets.

- The Expert Database (D5.1), that is still being populated via the Platform itself as well as via partners’ networks, will be gradually integrated into the Platform. Partners are exploring the possibility to adopt a tag-based system when organising the profiles in the search.

- The Social Research Panel Survey (D1.1) has been embedded in the Platform through a specific button under the “Deliverable” section.

- An Event calendar will be embedded into the Platform. Partners are still consulting on what kind of events the calendar should feature: project events, Consortium events of AMI-related EU events.

- As one of the most key components of ReSOMA, the Trend Tracking Online Tool (D5.5) can give the Platform a strong added value by providing registered users with a comprehensive topic-specific periodic report on the policy developments in the AMI fields that is highly innovative. Partners are still assessing how to integrate the Tool into the Platform by possibly linking it to the Expert Database registration.

In the development of the Platform and all its functionalities, communication has constituted a major challenge for the whole Consortium. This was mainly due to the high degree of technicality of the development and the fact that the team of developers within EY was not always at the forefront of ReSOMA decision-making processes at the beginning. Developers made clear that because building the actual platform would be a very time-consuming process from the technical point of view, partners should first strategise on the ideal structure of the Platform through sitemaps and then give developers the green light. This idea was long overlooked by partners, who did not necessarily “spoke” the language of developers and expected a draft prototype of the Platform at an early stage, which led to frustration on both sides. Since this could have eventually delayed the go-live of the Platform, ISMU and EY agreed to appoint a EY staff member as a mediator between the two groups. This has both increased efficiency and enhanced communication among partners and developers.

4.3 WEBSITE HOMEPAGE OVERVIEW: STRUCTURE AND DESCRIPTION

The ReSOMA platform is based on Drupal, one of the leading platforms and communities in open source content management and community engagement. The Drupal systems allows enriching the platform with a set of plugins and new functionalities capable of responding to project needs over time.

EY prototyped a first version of the website to ensure that the first project tasks and deliverables are implemented on time, namely the engagement of the Advisory Board and the launch of the Expert Database. As a result many of the graphic features of the website will evolve over time to adapt increasingly more to the evolution of its content. For instance, the people wall (paragraph 4.3.1) will be replaced with picture more relevant to the ReSOMA content.

The current version consists of a landing page very clear and easy to navigate that assures a comfortable user experience. Moreover, this landing page gives the necessary visibility to project on the web and can help in disseminating the reasons behind its actions.

EY has published the website and its contents also thanks to the collaboration of all the partners that have been engaged and have contributed with their inputs along the creation.

The entire platform is conceived by taking into account both the user experience (UX) and user interface (UI) aspects. The User Experience (UX) guarantees a simple and intuitive browsing to users while at the same time engaging them from the emotional point of view, helping them to be part of the project. The User Interface (UI) takes into account the today online fashion standards to guarantee a modern and captivating look&feel in line with web design contemporary trends.

4.3.1 People wall At the center of the “people wall”, the “READ MORE” button engages the users inviting her/him to discover more about the project.

By clicking on the “READ MORE” button, the users reach the section “The project at a glance” (ABOUT) where are available the most important information of the project in a more narrative way.

4.3.5 Section description: Deliverables

In the “Deliverable” section highlight some of the most important deliverables that will be released during project life. As the project reaches maturity, this provisional description will be replaced by the actual list of public deliverables (e.g. reports and briefs) according to the development timeline in Annex 3 (i.e 12/05).

4.4 ACKNOWLEDGE OF EU FUNDING

The official Acknowlegment of EU funding is published at the bottom of the page on the right side. The European Commission logo is followed by the text “This project has received funding from the European Union’s Horizon 2020 research and innovation program under the grant agreement 770730”.

4.5 RESPONSIBILITY AND MAINTENANCE

ISMU is the Lead Beneficiary of this deliverable. EY is responsible for the design and the development of the Platform. However, all partners are engaged and involved in the design of the platform and are involved in content production as well as in the platform’s sustainability after the end of the project. Partners are constantly asked to provide feedback, information, documents and any other material they consider to sustain the platform.

The maintenance activity consists of (at least):

- Periodic Backup of the website (monthly);

- Renewing of the domain name and hosting services (yearly);

- Traffic check (accesses, traffic sources, etc.) for security guarantee (monthly).

Following the release of the first prototype, EY collected feedback from the whole Consortium. Some partners asked to include Advisory Board members in the “About ReSOMA” section. As for the “Experts & Info” section, partners first suggested to separate the tab into “Experts & Policy” (or equivalent names) and a “News & Events” in order not to confuse visitors. It was then suggested to include a feed of relevant news automatically sourced from the Trend Tracking Online Tool, periodic newsletters to be stored in an online library and an event calendar to identify relevant EU events through a crawler. The possibility to adopt a notification-based system when a new publication is uploaded will also be explored. The second and most up-to-date prototype is shown in Annex 4.

As far as language is concerned, partners opted for changing the project description (“In the midst of the worst refugee crisis on a global scale since…”) to make it look more neutral thus avoiding to fuel anti-migrant voices.

Since the development of the first version of the Platform, ISMU launched a strategic debate within the Consortium on how to ensure not only the platfrom’s implementation but also its sustainability during the project life and beyond. Besides having to provide content to make the Platform appealing to users from all levels (e.g. infographics, briefs, events, thread discussions), when proposing and shaping all functionalities partners need have in mind the time and the staff resources required in order to feed the Platform in the long run. Due to their nature and functioning, many Platform adds-on can be designed to be highly automatic (e.g. the calendar) or to require a mixed human-automatic approach (e.g. moderation of the Forum, analysis of the automatically-generated data from the Trend Tracking Online Tool). As T5.2 task leader, PICUM will lead this debate throughout the whole implementation of the Platform.

5 CONCLUSIONS

This deliverable describes the ReSOMA logos and the first version of the platform, which have been created to start engage the wide public and the main stakeholders disseminating project ideas and workflows.

The web site informs any interested stakeholders about the advancements of the project through different levels of access and is being implemented with a set of plugins and new functionalities capable to respond to project needs over time.

In the coming months partners will have to strategise on how to produce content by linking the adds-on to the other project deliverables (Expert Database, Trend Tracking Online Tool, Ongoing fact-checking Twitter Service etc.) and keeping in mind the issue of sustainability in terms of time and staff resources.
