RFPforEventPlannerforCharityGolfTournamentandAnnualPowerofthePurseEvent(SilentAuction)I.OVERVIEWThisRequestforProposal(RFP)isissuedbyTurningPointeSurvivorAdvocacyCenter(TPSAC,formerknownasTurningPointeDomesticViolenceServices).ThepurposeofthisRFPistoestablishacontractwithaqualifiedfundraisingeventplannertomanagetheexecutionoftwo(2)annualeventfundraisers.Thetasksfortheseeventsincludeeventconceptdevelopment,planning,securingsponsorshipsaswellasoveralleventmanagementlogistics(i.e.day-of-eventcoordination,budgetmanagement,programming,implementation,andposteventanalysis).FormoredetailedinformationseetheScopeofWorksectionbelow.II.ORGANIZATIONINFORMATIONTPSACisoneofthelargestdomesticviolencesheltersinthestateandhasrecentlytakenonprovidingservicesforvictimsofsexualassault.Weusethefundsraisedatthiseventforessentialneedsincludingtheoperationoftheshelterandprovidingvitalservicesforourcommunity.TPSACislocatedinShelton,WA.www.turningpointe.org

MissionProvidesafetyandsupportforsurvivorsthroughadvocacy,preventioneducationandactionforsocialchange.III.EVENTDESCRIPTIONS:AnnualCharityGolfTournament(July/Aug2017)TPSACholdsanannualcharitygolftournamentinMasonCounty.LastyeartheeventwasheldatAlderbrookGolfCourseanddrew70golfers.TheTPSACboardwantstogrowandstreamlinethisevent.Lastyearthegrossincomewasapproximately$27k(with18.5knet)andthegrossincomegoalforthe2017fundraisingeventis$50,000.AnnualPowerofthePurse(Nov2017)

TPSACisseekingassistancetocreateanddeliverourannualPowerofthePurseAuctionEventtobeheldinOct/Nov2017atLittleCreekCasinoEventCenter.Theeventincludesalargesilentauction,verysmallliveauctionwithpaddleraiseandwinepull.Theeventiscurrentlygearedtowardwomenasashoppingeventwithalargesilentauctionofgentlyusedandnewpursesaswellasalargeselectionofsilentauctionthemedbasics.Theeventcommitteehassomeideasonhowtogrowthiseventandourgoalistoincreasepubliceducationaboutourcharity,increasenetrevenuesandwhilehostingasuccessfulandfuneventthatisenjoyedbyourdonors.Lastyearthegrossincomewasapproximately$20k(with13knet)andthegrossincomegoalforthe2017fundraisingeventis$50,000.Inordertodothis,weareseekingtheassistanceofaprofessionaleventcoordinator,whoisastrongleaderthatcanworkwiththeEventCommittee,TPSACstaffandvolunteerstohelpcoordinatethesetwoevents.IV.SCOPEOFWORKTorealizetheabove,TPSACseeksaninnovativefundraisingeventplannertoprovidethefollowingservices:GolfTournamentWorkwithEventCommitteeonthefollowingtasks:

• MeetregularlyasrequiredwithEventCommitteetoprovideupdatesonprogress,issues,resourcesandbudgetmatters.

• Developaneventtimelineandworkplan• Establishtheeventdateandhelpdevelopaneventbudget• Assistwithvendoridentification,negotiatingandcontracting• Developandimplementamarketingandcommunicationsplan• Ensuretimelyexecutionofallcollateralassociatedwiththeevent(thisincludes:invitation,letters,

forms,presskits,pressmaterials,tablesigns,sponsorsignage,advertisingmaterials,etc.)• Developsponsorshipstrategyandframework• Trackandensurethefulfillmentofsponsorbenefits–logoinclusion,etc.• Dayofeventmanagementandimplementation• Createandexecutevolunteerdutyprogram,meetingandtraining.• Sponsorshipsolicitationwork(BoardandEventCommitteealsocommittimetosponsorship

solicitationandoutreach)• Submitapost-eventevaluationreportwithrecommendationstoTPSACBoard.

PowerofthePurseWorkwithEventCommitteeonthefollowingtasks:

• MeetregularlyasrequiredwithEventCommitteetoprovideupdatesonprogress,issues,resourcesandbudgetmatters.

• Prepareanauctionproceduredocumentthatwilldetailallaspectsoftheauction’spre-launch,launchandfulfillmentoperations.

• Assistinthesolicitationandsecuringofitems/packages.• PrepareanAuctionrecognitionplanandensurethattheproperinformationisontheAuction’s

donor’slist(packagedescription).• Supportandcoordinateallsignage,bidsheets,arrangeeaselrentalsandsetupdisplays.• Actaspointofcontactwithvenue.

• Manageandcoordinategeneraleventlogistics,suchascatering,venuecoordination,contracts,staging,entertainment,floorplans,seatingplans,décor,volunteers&staffing,technicalequipment,presentations,emcee,managementofguests,andanyotherrelevanttasksasrequired.

• Createandexecutevolunteerdutyprogram,meetingandtraining.• Sponsorshipsolicitationwork(BoardandEventCommitteealsocommittimetosponsorship

solicitationandoutreach)• Submitapost-eventevaluationreportwithrecommendationstoTPSACBoardandExecutiveDirector.
