Global Customer and Business Information Sharing System
Ricoh had begun strengthening system security while migrating to AWS. The company wanted not only to detect threats, but also comprehensive security to respond quickly if an attack should occur.
Implementation of Trend Micro Deep Security provided antivirus as well as a wealth of functions, including vulnerability shielding and integrity monitoring. Ricoh is pleased with the stability as well as the security controls.

Challenge
Since Ricoh was established in 1936, it has manufactured and sold a variety of products
including printing presses, photocopiers, fax machines, laser printers, multifunction printers,
and digital cameras. In recent years, it has provided customers with even more value through
its “Managed Document Service” (MDS).
Many of Ricoh’s customers are global enterprises that conduct business in multiple countries
and regions. To provide solutions to these organizations, each division of the Ricoh group in the
four regions: Japan, USA, Europe, and Asia, Pacific, and China, share information with each
other and provide consistent support.
One of the mechanisms in this process is the Global Customer and Business Information
Sharing System, which the company built with Microsoft SharePoint.
“As the name suggests, it’s a system to share customer and business information. Initially, we
ran the system by hosting its servers in a data center in the US. However, as we continued to
use it, the data center’s service fees and operating costs increased greatly, and it became a
waste of resources. We decided
to move to the cloud, so we
d i d the system migration to
Amazon Web Services (AWS),
which has an impressive track
record for enterprise systems,”
explains Ricoh’s Tomoaki Sakaue.
In conjunction with the AWS
system migration, the company
also decided to enhance its
security. “Customer data and
business information is extremely
confidential. Because of the
growing risk of targeted attacks,
we had to be absolutely sure of
our security measures. Although
AWS provides standard security
functions such as a firewall,
we concluded that functional
reinforcement, such as the ability
to track an attack if needed, was essential,” says Ricoh’s Akio Kizawa.
Solutions
To enhance the security of the Global Customer and Business Information Sharing System
being migrated to AWS, Ricoh adopted Trend Micro™ Deep Security™. Ricoh Japan, which had
experience from several successful AWS-related projects such as “Ricoh Design Service for
AWS” and “Ricoh Managed Services for AWS”, and managed the entire migration project,
proposed Trend Micro™ Deep Security™.
Ricoh was impressed with Deep Security’s comprehensive security. One solution could
provide antivirus, web application protection, vulnerability shielding through intrusion
detection/intrusion protection (IDS/IPS), host firewall, integrity monitoring, log inspection, and
all the functions that the company deemed necessary for strengthened security.
“We were also impressed with the excellent stability. Although modern security solutions
detect problems that have penetrated deep into the system, this often leads to failures which
have a negative impact on the stability of a system’s operations. We proposed the solution with
confidence because it successfully combines system security and stability without any of those
negative impacts,” explains Ricoh Japan’s Tomonori Murata.
Results
The migration of the Global Customer and Business Information Sharing System to AWS
provided Ricoh with a variety of benefits, including huge cost reductions and fast, easy
scalability.
The company uses all the security functions provided by Deep Security to protect important
information. For example, in addition to accurately detecting external attacks and cutting them
off, Deep Security immediately notifies administrators by email when it sees the first
indications of an attack. The administrator can then use the detailed logs provided by Deep
Security to quickly track the attack.
“Another unique benefit of Deep Security is that can be deployed smoothly in the cloud and
on-premises, without the need for any extra steps,” says Murata. Vulnerability shielding also
contributes greatly to the enhanced security. This function uses rule-based signatures to
detect attack packets which target vulnerabilities and block them, even in environments in
which it is impossible to apply official security patches provided by OS vendors. This is known
as virtual patching.
“Managerial departments throughout the world depend on the system, so frequent service
downtime is out of the question. Because we also have to perform testing operations, we have
decided to apply security patches once per month. Virtual patches allow us to operate the
system with peace of mind, even during this period in which vulnerabilities would have
remained if we had used a traditional approach,” says Ricoh Japan’s Hiroyuki Akama.
In the future, Ricoh aims to “combine the consistency of a worldwide strategy with local
affinity and knowledge” while accelerating information sharing on a global scale. “In order to
accomplish this, guaranteeing the security of the system that supports our business will be an
important prerequisite. We expect that the characteristically thorough support of Trend Micro
will steadfastly assist our security measures,” concludes Sakaue.
