    IntroductionWelcome to the RMJM CAD procedures manual.

    This manual sets out the procedures to be applied to all

    projects, with the aim of establishing a common CADstructure, which will allow easy sharing of data and resources.

    These procedures are compulsory. All RMJM staff workingwith CAD are required to comply with them.

    Projects will be subject to regular review (as part of our standard QualityAudits) to ensure that the system is being applied, is working correctly and ismeeting our needs in practice.

    The following object properties must be used:

    Colour

    The colour of AutoCAD objects will be defined BYLAYER. This will enable theirdisplay to be changed when used as an XREF. Changing an object colour willonly be accepted for occasions where the drawing will not be referenced intoany others and in situations where multiple layer definitions would becomeunnecessarily cumbersome.

    Linetype

    In most cases an objects linetype will be defined BYLAYER. Changing anobject linetype is accepted where the drawing is not referenced into anyothers and in situations where multiple layer definitions would becomecumbersome. i.e. Building Services schematic drawings.

    Linetype scale

    An objects linetype scale should never be changed from the default value of 1.(except when using the linetype batting, see Section 1.6 RMJM linetypes)

    1.4 RMJM text styles

    All text must be defined by RMJM text styles. This enables control over alltext in a drawing. The style defines the font used, and the letter spacing. Thetext height will be restricted to the following reproduction sizes:

    Titles and labels @ 5mm

    The character width factor should be 0.8

    No other Text style shall be used without approval from the ProjectArchitect/Engineer and the CAD Manager.

    Do not override the style with the character properties in MTEXT. Do not use Arial or other TRUE TYPE fonts, as they use excessive system

    resources and can corrupt the drawing when plotting throughVIEWPORTS.

    Do not use STANDARD style. Text using this AutoCAD pre-defined textstyle will take on the characteristics of the default standard style when

    inserted into another drawingNote: RMJM Text styles with appropriate scaled values can be added to adrawing by selecting the Set Scale, Text Dim and LT options from the RMJMUtilities menu.

    1.5 RMJM dimension styles

    All dimensions must be defined by the RMJM dimension styles.

    The DIMSCALE variable should be set to the plotted drawing scale. No otherchanges are to be made to the dimension styles.

    RMJM dim styles use the RMJM-DIM text style.

    The following styles are defined in the RMJM templates and should always beused.

    RMJMtick Used for linear dimensions

    RMJMarrow Used for all radial dimensions

    Dimensions must always be inserted on a layer with a D content field.

    No other style shall be used without approval from the ProjectArchitect/Engineer and the CAD Manager

    Note: RMJM Dim styles with appropriate scaled values can be added to adrawing by selecting the Scale, Text Dim and LT options from the RMJMUtilities menu.

    1.6 RMJM linetypes

    Special linetype definitions have been written for RMJM. They are based onthe ACADISO linetype file. The ACAD ISO linetypes remain unchanged, howeverall the other linetypes have been written with definitions of half the normalsize, resulting in smaller dashes etc. Some extra linetypes have also beenadded. Note he RMJM Planting linetype uses a custom shape file calledLandscap.shx. If this linetype is used in our data which is passed onto othersparties, AutoCAD will try to find the file to display the linetype correctly.

    Note: All the RMJM linetypes can be loaded from the RMJM Utilities menu.This will overwrite and re-define existing linetype definitions that share thesame name. A regen will be required to update.

    Linetype scale

    Linetypes will display correctly when the linetypescale (LTS) is set to theplotting scale, and PSLTSCALE to 0

    If multiple viewports showing different scales are used, set the LTS to 1 andPSLTSCALE to 1. This will automatically scale linetypes to the viewport scale.

    Batting

    Note that batting linetype is object scale dependant and cannot be used in adrawing that will be printed at different scales.

    Batting has been configured to display 100mm insulation at a LTscale of 100.If a display of 50mm is required, then the linetypescale of the individual objectmust be changed to 0.5 in the Properties.

    1.7 RMJM templates

    RMJM drawing template files have been set up with default drawing settings.They must be used for all new drawings to ensure compatibility throughoutthe office. They contain RMJM text & dim styles and RMJM linetypes all withthe default scale of 1.

    RMJM BASE template

    RMJM-base.dwt should be used for all base drawings. Appropriately scaledtext and dim styles can be added from the RMJMutilities menu.

    RMJM SHEET template

    Sheet template files are available in a range of ISO paper sizes, and eachpaper size is available in three layout options; portrait, landscape andvertical. The best layout for the project should be chosen and adopted

    consistently

    Drawings must be issued on standard RMJM sheets, unless otherwiserequired by the project leader.

    One member of each project team, chosen by the projectleader, will act as CAD leader to oversee the implementationof RMJM procedures under the assistance of CAD Co-ordinators . They will be responsible for the interpretationand application of the CAD manual to their project.

    The project cad-co-ordinator should ensure:

    An appropriate file structure is used for the project (this will depend onthe network structure of the office running the project)

    the correct use of the RMJM layers the use of appropriate drawing content and structure that only relevant files for the project are retained on the network that issued drawings are saved and stored appropriately for archiving that drawings are issued correctly to consultants for information and use that drawings received from consultants are checked, used and stored

    appropriately

    that the project files are digitally archived at appropriate stages and atthe end of the job

    The project team cad leader should be the first port of call with any problems.They in turn will consult with the CAD Co-ordinators and group/office CADmanager.

    2.1 Drawing content

    It is important to manage the content of CAD drawings and the way that datais incorporated and re-used in a project. Too much data in one file will makethe file cumbersome to operate and impossible to share efficiently. Insteadbreak up the data into smaller drawing files, which can be referencedtogether.

    This requires planning, and a disciplined filename and filing structure, from thestart of the project. Subsequent changes to filenames and /or locations willhave an impact on XREF files .

    File size should be kept small. This speeds up editing and regeneration time.

    Avoid the following which take up valuable system resources:

    Excessive use of Hatch patterns and / or exploded hatching Drawing in unnecessary detail Using multiple Model space viewports Leaving old or irrelevant data in a drawing file Leaving unused data on layers that are OFF rather than FROZENIt is also useful to :

    regularly purge your drawing Audit your drawings

    Save frequently Maximise your resources by restricting the number of drawings open at

    any one time

    2.2 BASE and SHEET drawing files

    All 2D AutoCAD drawings are divided into base and sheet drawings.

    Base drawings contain the project design information. They may be used inmultiple sheet drawings, or may contain data used as BLOCKS or XREFs inother base drawings.

    Sheet drawings are used for issuing design information, either on paper ordigitally, and will contain one or more base drawings, attached by XREF.

    Base Drawings: General principles

    The RMJMbase template file should always be used All objects in a base drawing will be in Model space. The linetype scale (LTS) should be set to the reproduction scale of the

    drawing

    The general arrangement (GA) base drawings for a project contains theprincipal building elements common to all descriptive and work packagedrawings the architecture.

    This might include :

    The principal building structure Walls and openings (doors and windows) external and internal Stairs and services cores

    Room references, levels, section and elevation markers XREF files of the grid, stair cores, WC service blocks and others common

    to each floor. These must be inserted as an OVERLAY

    GA drawings will be XREFd into many other drawings at different scales andshould therefore be kept simple and free from unnecessary text anddimensions.

    A typical element or work package base drawing will contain only elementsspecific to that work package

    This might include: the elements particular to the work package, i.e. a reflective ceiling plan

    might contain the tile and lighting layout

    detail and specification references, dimensions, component details andnotes

    XREF files of the relevant GA base drawing inserted as an OVERLAY

    Sheet Drawings: General principles

    The objects in a sheet drawing are in both Model and Layout (Paper) space.The design information in Model space is presented to a given scale through aPaper space viewport.

    Sheet files should be based on a RMJM sheet template.

    In Model space Base drawings should be inserted as an XREF OVERLAY onlayer 000, at the co-ordinates 0,0,0; at a scale of 1;.

    A typical work package sheet drawing might include:

    XREF files of:

    the relevant GA base drawing the building grid base drawing the relevant work package base drawingAnd in Paper space

    the appropriate standard RMJM drawing title block with ATTRIBUTEScompleted

    one or more viewports showing the design information to a scale (anamed view should be saved for each viewport, and the vieewport locked.

    north sign drawing notes revision notes and cloudsExtra pertinent information to the issue may be added in Model or Paperspace where it is unique to the drawing and will not be cross-referenced toany other drawings, i.e. work package detail references, hatching or specificnotes.

    The file should always be saved in Layout Space ready for plotting.

    2.3 BASE drawing file names

    Drawing names in AutoCAD must be limited in length, whilst identifying, brieflyand concisely, what the drawing contains. The naming of the drawings withinAutoCAD is therefore fundamental to the success of data sharing andexchange.

    A coding system for naming drawings is used, consisting of numbers andcharacters grouped into five fields. It must be applied rigorously and all fieldsmust be completed. Note the grouping of the fields and the location of theseparator hyphens.

    Example base drawing name:

    Field 1 Job / Project number :

    This uniquely identifies the file to the project.

    Field 2 Drawing Type :

    Denotes the type of AutoCAD drawing using the letters

    P Plan S Section E Elevation D Detail

    Field 3 Zone :

    Identifies the zone within the building to which the drawing applies. This isessential for large buildings and multiple buildings on one site.

    Z Will be used for projects with one building and for site wide drawings of amulti-zone site.

    A will be used for the first zone/building in a larger development. Otheralphabetic characters will be used to identify further buildings or zones.

    Field 4 Content :

    This field describes the information contained within the drawing and will usea two letter descriptive code or two digit Ci/sfB elemental code to identifythe nature of the information contained in the drawing.

    Typical descriptive drawing codes are:

    GA general arrangement layout (the base drawing)

    BW information for building warrant

    PL planning information

    SP space planning graphics

    SV survey data

    EX Existing buildings but not survey data

    GR Grid

    CL Columns

    WL Walls

    SK Sketch files

    Ci/sfB elemental codes are used to identify element, component or workpackage drawings, for example:

    21 External walls - primary elements, i.e. blockwork, wall details

    41 External walls cladding / finishes

    63 Services - lighting

    95 External works roads, paving & finishes

    A list of the principal Ci/sfB codes is given in Section 6 for reference.

    Field 5 Location :

    The location code will vary depending on the drawing type.

    Plans :

    Each floor will have a numeric code. The GROUND floor will be 100, the firstfloor 101, and the next 102and so on.

    (No letters should be used - G, B, M etc are not acceptable.)

    Sections :

    Sections through the whole of a zone should be defined with two letters toidentify the section. Sections in one direction should have the same firstcharacter. Further sections in the same alignment should have progressivesecond characters.

    So the first group of sections will be AA, AB AZ,

    and the next group will be BA, BB BZ.

    Sections through part of a zone (eg detail sections through a particular floorlevel) will be a combination of letters and numbers A1, A2 ....A9.

    Again the letter will identify the direction of the section to be consistent withother sections.

    Each elevation will be described by the geographical orientation of theelevation.

    Where two or more elevations have the same orientation they are numberedin order of importance. N1, N2, S1 etc.

    2.4 SHEET drawing file names

    The sheet file name is based on the project drawing number on the paperdrawing. This is made from the following four fields:

    Example sheet drawing name:

    Field 1 Job Number [compulsory]

    This uniquely identifies the drawing with the project. This has becomeincreasingly necessary with drawings issued on line, and is essential forarchiving.

    Field 2 Building Zone [as required by project]A single letter. Used in projects where the building or site is subdivided intozones. [See Field 3, under Base drawing filenames]

    Field 3 Element Code [compulsory and in brackets]

    A descriptive two character code or the Ci/sfB coding is used to identify thesheet number.

    In this case the element code is used to describe WHY the sheet is producedrather than WHAT is contained in the base model.

    Field 4 Drawing Number [compulsory]

    An incremental number based on the following table.

    2.5 Drawing management

    It is important to manage the content of CAD drawings and the way that datais incorporated and re-used in a project. This is achieved through the use ofXREFs. Their use requires planning, and a disciplined filename and filingstructure, from the start of the project.

    To ensure flexibility, ALL XREFs should always be inserted as an OVERLAY,this is NOT the AutoCAD default and must be selected

    Note: it is possible to change the attachment status by double clicking on thisin the XREF management box.

    XREFs should be INSERTED onto layer 0 or 000 The AutoCAD system variable XLOADCTL must be set to 2 to enable the

    file sharing of XREFs, (This option is known as Enable with Copy)

    The AutoCAD system variable VISRETAIN should be set to 1. The drawingcontent of an XREF cannot be changed, however the layer colour, linetypeand layer visibility can be amended, and the altered state retained withinthe drawing

    An XREF should be DETACHED via the XREF Manager if not required andnot ERASED from the drawing

    2.6 Approved BASE drawings (not presently used in Dubai office)

    The use of XREFs to share and overlay drawing information can lead toproblems if we do not carefully identify the status of information.

    The thoughtless addition of new layers to an existing drawing, which is alreadyXREFd into sheets, can lead to layers and information unexpectedly appearingin completed sheets when plotted.

    In addition, other members of the design team need to have available to themlayouts and arrangements which are frozen to reflect a particular stage indevelopment. The use of live information can lead, for instance, to a servicesdrawing being plotted with a door in the middle of a room if the base drawingis in the process of change.

    The following system has been adopted to facilitate the management of XREFdrawings in a multi discipline office.

    Once checked and approved by the Project Architect, all constituentBASE drawings will be renamed and saved as APPROVED drawings in aseparate approved directory

    These drawing must be renamed, by appending to them the letters APE.g.: 2001- PA-GA-100 will be renamed to 2001-PA-GA-100AP

    These drawings should not be modified. Their status should be changedto read only

    These APPROVED drawings may now be safely referenced by others onthe design team directly from the approved directory

    Drawing sheets must only contain XREF base drawings from theapproved directory with an AP suffix

    Work may immediately continue on the live BASE drawing withoutadversely effecting others on the design team

    This system also acts as a quality check on drawings. It ensures thatunchecked or unfinished drawings are not accidentally issued to externalconsultants, as drawing sheets only contain APPROVED drawings.

    2.7 Drawing issue

    All drawing information must be formally issued on RMJM sheets with adrawing issue record form (digitally or in paper form) which identifies thereason for issue, the revision status of the drawing, and the date of issue.

    A master hard copy of all paper issued drawings must be initialled and datedby the Project Leader. If a drawing is re-issued as a revision, this willsupersede the previously held copy.

    It is necessary to keep full size copies of the following drawings, all others canbe kept as A3 (or A2 if un-readable) copies.

    The planning submission drawings, (Building warrant drawings) Any drawings used for legal documents (ownership boundaries etc.) The TENDER drawings The last revision of the CONSTRUCTION drawings AS BUILT drawings2A legible A3 copy must be kept of all issued drawings, and revisions

    2.8 Revision Letters

    Following revision letters have to be used in various stage of drawing issues:

    Upto Tender issue - A,B,C ( Alphabets only)

    From Tender to Construction - T0,T1,T2,T3..

    Construction stage - 00,01,02,03..

    Final Tender issue should be kept as Contract Package. It is necessary tokeep full size copies of drawings as wells as in CDs also.

    A digital copy of issued drawings must be kept in respective issue folders.

    The drawing should have its XREFs bound.

    If the folder is named as the issue date written backwards, the folders willdisplay in date order.

    Eg: 3001 /Tender/2002-06-12 (year/month/day)

    Periodically data kept in the project Archive folder should be removed andkept on CD. Two copies should be made, one held in a central location, in a firesafe or off site, and the other to be kept with the project design team.

    2.9 Digital drawing issue and file sharing

    These may be drawings attached to email, written to CD, or via a projectdedicated Extranet.

    File types suitable for view and ploting only

    If the drawing is for on screen viewing and plotting, the CAD data is notnecessary. A digital plot of the file will be sufficient. The data cannot bechanged or reused. The following file formats are suitable.

    PLT or a PLOT file, often the HPGL2 file format is used DWF or AutoCAD Web Drawing Format, or an eplot PDF or Adobe acrobat fileSharing CAD data

    If CAD data is required that can be re-used by others, the following options

    are available for issuing data. Which you choose will depend on the frequencyof issues, and prior arrangement with the third party.

    Option 1 The base drawing XREFs are BOUND into the drawing sheet.

    Option 2 The drawing is saved using the command eTransmit.

    This command includes the option to save all the files that are used to displayand print a drawing, to a zip file or a chosen directory. XREF paths can beremoved, and the drawing can be converted to older file formats if required.This method has the advantage of including the RMJM pen table and other

    custom files in the saved set. The recipient either opens the drawings directlyfrom the directory, or can choose to file and re-path as required. Multipledrawings can be saved to the same directory, with common files overwritten.This could significantly reduce the quantity of data transmitted. eTransmit isavailable in full AutoCAD from issue 2000i onwards and ACLT 2004.

    It is essential that all project data is filed in a common, coherent systemfor easy access to data. A typical folder structure has been detailedbelow.

    The ADMIN folder will contain documents related the project. The07_transmittals folder will be the only one accessible to all CAD staff.

    The ARCHIVE folder is a temporary storage space before data istransferred to the Archiving System.

    The CAD folder will contain Cad drawings of all disciplines.The 00_Current folder and it's sub-folders under each discipline, shouldat any time contain the latest/working drawings. The folders that followare storage folders for various drawing issues. They should only containdrawing files in bound format and should not be used for working.

    The GRAPHICS folder will contain presentation files and related images.

    Grouping drawing elements onto layers gives users flexibilityover the display of CAD data, and enables control over thevisibility of objects in different viewports and XREFs. Theadoption of a standardised and rigorously applied layeringsystem is an essential element of CAD management.

    RMJM uses a layer naming convention based on BS 1192 Part 5. It must beapplied to all drawings. Layer names are divided into a series of fields. Thesefields enable layer names to be sorted and filtered easily in the AutoCAD layermanager.

    4.2 RMJM layer menus

    To help the setting up of new layers, a bespoke layer menu has been writtenfor RMJM. This enables the creation of layers by selection from a menuhierarchy based on disciple and common building elements. A shortdescription of each layers intended content is included.

    Creating layers from the menu is quick and ensures the correct namingconvention is used.

    RMJM-Colour has been designed for colour plotting. It will plot a variety ofshades of colour and grey tones. The output is considerable different to theAutoCAD screen colour. An approximation can be viewed on screen through alayout tab, configured with Page Setup to display plot styles. Note pen No.255 will display as white (does not plot), if combined with the plotter settingsoverwrite, objects filled with this colour will overlay other content. I.e. on anelevation drawing, contex data such as people can overlay the building withoutthe need to trim. All such content should be held in a separate dwg. And usedas an XREF.

    Before using RMJM-colour.ctb, a reference swatch should be printed on theoutput device.
