GOODWILL MESSAGE FROM NATIONAL COORDINATOR Roy T. Bennett (The Light in the Heart) once said, “Success is not how
high you have climbed, but how you make a positive difference to the
world.” That is why I am elated about this year’s Rotary International
Theme Rotary: ‘Making a Difference’. This I believe could not have been
chosen better.
It is imperative for us to know that, the world thrives on two main kind of profiled persons. The
first I call occupants and the other I call leaders. The mere difference has to do with the fact that,
the latter ensures difference and the former manages patterns. Patterns of the socio-economic
settings within which we find ourselves.
This year’s theme admonishes us not to be spectators but citizens, in the words of our president
Nana Akuffo-Addo. This seeks to ensure that we carve history of a sort in our pledge of serving
humanity. Not just history but one that posterity will forever cherish. PIS, I invite you to join this
move of Making a Difference for the betterment of our societies.
My board and I brainstormed for a theme that would make a positive difference to our small
community, and thus came up with this year’s national office theme: ‘Growth through fellowship
and Increased Awareness’. This theme was chosen because we realized the need for a positive
growth which would encompass the main goals of Rotaract Ghana and Rotary at large.
Briefly, we seek to achieve the following in the coming Rotaract year;
• Firstly, zoning of Clubs would be made paramount, as we have come up with a new
initiative where a number of Clubs would be grouped together to form zones. This we
believe would reduce the financial burden some Clubs face when undertaking projects.
This will also include a national training for the segmented Clubs for the purposes of
enhancing effectiveness in both leadership and membership.

• Secondly, in view of the golden jubilee anniversary celebration of Rotaract which is in
this Rotary year, the Board would like to celebrate the year’s festivities in grand style. This
includes designing a logo to mark the celebrations, paraphernalia and a Rotaract @50 tour.
• We will create sub-domains for each Club in Ghana. It will include customized email for
each club as well as Special boards and committees to be easily accessed by guests and
other Rotaractors.
• Finally, we will form a National Constitutional Review Committee which would review
the Rotaract Ghana bye law and call for its amendment at a meeting for the said purpose.
They will also see to it that all laws and regulations regarding Rotaract are adhered to by
all Rotaractors.

ADMINISTRATION PLAN This plan of action is for the Rotaract Ghana Office for the 2017/2018 Rotary year. The following
measures will be put in place to ensure the proper running of the office and in accordance to the
current needs of Clubs in Ghana which when implemented will ensure effective management.
1. This Administration shall have a Facebook Live streaming of goodwill messages from all
the National Officers from the start of the Rotary year. We shall also launch a Rotaract @
50 logo which will be the official logo throughout the year.
2. National training will be organized at zonal level where all Clubs (Rotaract/Interact) within
each zone will be given training to develop them professionally and also give them the
knowledge and leadership skills needed to serve in their various Clubs.
3. A social trip will be organized as part of the Rotaract @ 50 celebration. This is aimed at
bringing Rotaractors from all Clubs in Ghana together for the purposes of refreshment,
educational and cultural awareness.
4. This administration shall join Rotaractors worldwide to celebrate the Rotaract @ 50 during
the Rotaract Week Celebration. This celebration would be a 7 day event, which would
begin with a launch in the five (5) zones. It would also end with a Rotaract @ 50 Dinner
where about 100 Rotaractors including Rotarians and Interactors are expected to
participate.
5. This Administration shall form a Constitutional Review Board which will review the
current By-Law and also organise an Annual Delegate Conference (ADC) to make
amendments to the By-Law thus, if the need be. We shall on this day also provide financial
statement to the entire Delegates.
6. The Administration shall organize a Handing over at the end of the Rotary year to celebrate
achievements and also reward deserving Interactors, Rotaractors, Rotarians and Clubs.
7. This administration shall do its best to increase the number of Rotaract Clubs within the
Country at least by one. We shall also through fellowship and intensive public education
revive Clubs which are dying off.

National Secretariat 1. The secretariat shall form a Directorate for all Club secretaries before 30th June, 2017. This
is to ensure Clubs send minutes of general and board meetings regularly to the National
and District Office. It will also serve as a medium to send information across to Clubs.
2. The secretariat shall ensure effective and timely dissemination of minutes of general and
board meetings. Minutes will be dispatched within fourteen days after the meeting. Minutes
will be sent through various platforms; mail and other social media platforms such as
WhatsApp.Inc and Facebook.
3. The secretariat will send programme of activities to be announced at Rotary Club meetings
to serve as reminder to Rotarians and increase the likelihood of Rotarians participation.
4. Very vital to this Administration is to intensify the interaction between the Rotaractors and
Rotarians. The Administration shall initiate active participation in Rotary Club activities
and programs to promote collaboration between the two partners in service and also enable
Rotaractors benefit from the vast experiences of Rotarians.
Youth Service 1. This Administration under the leadership of the Youth Service Director, shall form a Youth
Service Board and a Youth Service Directorate (All Youth Service Directors) by 30th of
June, 2017. Each member of the Board shall be assigned a zone and shall be responsible
for checking up on the members of that zone.
2. Under the leadership of the National Youth Service Director, Rotaract Clubs will be
encouraged to appoint a Youth Service Director (Interact Director) to take responsibility
of the Interact Club(s) of their sponsoring Rotary Club. This is to ensure proper records are
kept and also increase Interactor-Rotaractor mentorship which will promote transition of
Interactors to Rotaractors.
3. We expect to increase the number of Interact Clubs in the country by encouraging Rotaract
Clubs (which do not have one) to organize and charter at least one with the help of their
Sponsor Rotary Clubs.
4. The Interact week will be celebrated by bringing all Interact Clubs in Ghana together to
indulge in a series of activities and programmes aimed at developing the Interactors.

International Relations 1. This Administration under the leadership of the International Relations Director, shall form
an International Relations Directorate (All International Relations Directors) by 30th of
June, 2017.
2. Under the leadership of the International Relations Director, proper records of
Rotaractors/Interactors travelling in or outside the country maintained to ensure smooth
stay of fellow partners in service. This is also to increase the knowledge in culture of other
countries.
3. This Administration through the leadership of the International Relations Director, shall
organize Rotaractors and Interactors to the annual District Training Assembly and
Conference at Niger in 2018. We anticipate about 60 participants.
4. We shall also encourage Clubs to secure a Twin Club to promote international relations
and to partake in a service project or activity to benefit the International Rotary/Rotaract
Community.
Monitoring and Evaluation 1. This Administration under the leadership of the M&E Director, shall form a National
Monitoring and Evaluation Board by 30th of June, 2017. Each member of the Board shall
be assigned a zone.
2. Under the leadership of the Monitoring and Evaluation Director, Club projects and
programmes will be monitored and evaluated to ensure successful implementation of
projects and programmes and also to ensure its sustainability.
3. For the purposes of good Club Administration, this Board under the leadership of the M&E
Director will encourage Clubs to undertake quarterly Club evaluation to know where their
strength and shortfalls are. This will serve as a bases for Clubs to learn.
4. This Board shall also evaluate all activities and programmes of the National Office and
give recommendation as and when necessary.
5. The Board shall bring out a criteria for Awards to Clubs and individuals. The Board shall
also institute Personality of the Month with the aim of encouraging members to work
harder. This will be a criteria for awarding the Rotaractor of the year award.

6. The Administration under the leadership of the M&E Director, shall organise a National
Forum to solicit for views for the betterment of the incoming officers.

MEMBERSHIP DEVELOPMENT PLAN Currently, there are a total of 35 Rotaract Clubs in Ghana of which some are inactive and most if
not all have challenges with membership. Similarly, Interact Clubs which are about 15 have
challenges. It is our desire to reduce the challenges associated with membership and increase
membership at Club (Rotaract/Interact) level.
• This Administration under the leadership of the National Membership Director, shall form
a National Membership Board and a National Membership Directorate (All Membership
Directors) by 30th of June, 2017. Each member of the Board shall be assigned a zone and
shall be responsible for checking up on the members of that zone.
• The Board shall ensure regular visit to meetings of Rotary and other Rotaract Clubs by
at least a member and/or a guest from Clubs within each zone. This is geared toward sharing
of ideas and promoting understanding of Rotary/Rotaract at the Zonal level. It will also
help Clubs which are suffering from membership. There will be a reward package to the
Club which sends the highest number of delegation for other club fellowship meetings or
National events.
• The Membership Board shall provide a token to members who have been hospitalized for
more than seven (7) days, death of an active member (member in good standing), weeding
ceremony of an active member and when and active member gives birth. Clubs will
however, be encourage to also take responsibility of their members.
• With respect to attracting and recruiting new members, this Administration shall ensure the
procedures for membership recruitment are met according to the Standard Rotaract
Constitution and By-Law.
• Club Presidents will be encouraged to give roles to members in order to engage them.

PROJECT PLAN The Project Directorate will primarily play the following roles:
1. We will play a strategic advisory role to all Clubs and assist them to come to terms with how to effectively plan and execute projects.
2. We will encourage, support and guide Clubs to apply for Rotary International Outstanding
Projects Awards.
Objectives 1. To coordinate through Zones (5), the execution of at least, one (1) common project in each
half of the Rotary year. All Clubs within each zone are expected to combine resources to execute this project.
2. To help each Rotaract Club within the Country to plan and execute at least one (1) project
at the end of the 2017/2018 Rotary year.
Service Projects As the name of the office suggests, the Directorate is concerned with projects for Rotaract Ghana for the 2017/2018 Rotary year. Here are the proposed policies and activities for the directorate:
• Put together a National Project Board by the 20th of June, 2017 which will be chaired by
the National Project Director, to oversee and facilitate the execution of projects. Members
of this board shall be made Project Coordinators for their respective zones.
• We shall also form a National Project Directorate by 30th June, 2017 which will be made
up of the National Zone Coordinators and all Project Directors and will be chaired by the
Vice Project Director.
• Clubs will be tasked to present their project plans to the National Project Board before 31st
July, 2017. The National Project Board shall offer advice and recommendations based on
the collated project plans from the Clubs. Some Clubs would be advised to collaborate with
some other club(s) to enhance the effectiveness of project execution if the need be.
• The Zone Coordinators shall collaborate with appointed Zone Heads to implement the
Projects scheduled for the zones.
• There shall be a collaboration with the International Relations Director to come up with an
international project to be coordinated by the National Office.
• The Board shall ensure a member from each Club within a zone is present at any Club’s
project within each zone.

MEDIA & PUBLIC RELATIONS PLAN This Administration through the Media and Public Relations Board shall ensure a massive media
campaign with the aim of:
• Attracting right calibre of people to join the club and to contribute their quota in making a
difference in their various communities.
• Provide publicity for zonal projects; to enhance the good image of Rotary and Rotaract as
a whole whilst facilitating the realization of partnerships and sponsorships.
Specific Initiatives • This Administration under the leadership of the Public Relations Director, shall form a
National Media and Public Relations Board which will be chaired by the National PR
Director and will also form a National Media and Public Relations Directorate (All PR
Directors) by 30th of June, 2017 to be chaired by the National Media Director. The Board
shall be responsible for providing training and skills needed to manage PR related issues.
• The Board will work hard to create a subdomain extensions on the main website for all
Clubs in Ghana and also develop an App/Software for Rotaract Ghana.
• Rotaractors will be entreated to brand themselves with any Rotary/Rotaract paraphernalia
on every Wednesday (the day the first Rotaract Club was chartered; 13th March, 1968) and
also during all Rotaract activities.
• Rotaractors will be encouraged to wear their pins at all times when not branded in any
Rotary/Rotaract paraphernalia. However, failure to wear a Rotaract pin at all meetings will
attract a Gh5 fine.
• A weekly news bulletin will be displayed on the National website and shared via some
selected social media thereby increasing the visibility of club activities and also to help
demystify perceptions about Rotaract.
• The Board will work to produce a high-class professional documentary on Rotaract to be
displayed on our website and other social media platforms.
• Effort will be made to get live, in-studio interviews on radio and television stations to get
greater publicity for our projects and create more awareness about Rotaract.

• In collaboration with the Project Board, courtesy calls will be made on humanitarian and
non-governmental organisation to get insight into the work of other partners in service,
promote the club and seek partnership opportunities. In addition to the above, efforts will
be made to visit some governmental organisations.
• The Board shall make available Rotary/Rotaract information on some selected social media
platforms where members will be well informed on the issues of Rotary/Rotaract to
increase their awareness rate and understanding of the organization.
• Ultimately, it is the expectation of the board that all members are actively promoting
Rotaract and its activities. Our conduct, in our engagements with people, should project
Rotaract positively. We should uphold the Rotary values of professional excellence and
high ethical standards, as no other PR campaigns can be more effective.

FUNDRAISING & SPONSORSHIP PLAN This Administration will form a National Finance Board by 30th of June, 2017 which will include
the Immediate Past National Coordinator, Vice National Coordinator and Immediate Past National
Treasurer and headed by the National Treasurer. They will be responsible for proper management
of all National Funds and also ensure proper checks and balances to protect the integrity and funds
of the National Office. All Clubs are to pay their National Dues by 31st August, 2017.
Other Initiatives This Administration under the leadership of the National Treasurer, shall form a National
Fundraising and Sponsorship Directorate by 30th of June, 2017 with the sole aim of raising funds
outside of established revenue sources such as dues, project levies and fines to finance the activities
for the 2017/2018 Rotary year. Some of the revenue generation strategies to be adopted by the
fundraising Directorate are as follows.
• This Directorate will carry out an outreach programme to NGO’s to get support for our
projects and activities. We shall also send sponsorship letters to NGOs, companies and
government agencies to get partners to support our projects and activities.
• We shall organise a Special Fundraising and Auctions at the Rotaract @ 50 Dinner and
Handing Over.
• The Directorate will distribute tally cards to Rotaractors.
• We will also send envelopes to Rotarians and Non-Rotarians for donations.
• Quarterly Financial reports will be distributed electronically via e-mail and WhatsApp.Inc
to Club Presidents with the aim of reducing significantly the amount of money spent on
printing and photocopies.
• Reports will also be presented at the Annual Delegate Conference.
