When you create several reports from the same source data in the same workbook, basing them all on one report minimizes the size of the workbook and the amount of memory used when you open it. The reports all behave independently, however: you can refresh, format, and change the layout of each report separately. The example reports in this workbook are formatted using the Report 5 format. Source data for PivotTable reports
The data to the left was used to create the reports in this workbook. If you scan through this source data, you'll notice that it's difficult to see the trends and results, even if you sort or filter the data. There are just too many records to analyze at a glance.
Compared with the large databases your company may have available, or you may have found on the Internet, this 800-row list is fairly short and simple. Excel can retrieve much larger amounts of data than this, and PivotTable reports are one of the best Excel tools for extracting the significance from a large, detailed data set.
The data is organized in list format, similar to how a query returns database records: each column contains similar data, the columns have headings in the first row, and the list isn't interrupted by any blank rows or columns (although blank cells within the data are OK).

A simple report: total orders for each salesperson
In a few steps, you can compare total sales for each salesperson. This report is easy to create: click a cell in the source data, click PivotTable and PivotChart Report on the Data menu, and click Finish. Drag the Salesperson field from the PivotTable Field List window that appears to the row area (if you're not sure how to do that, just click Row Area in the field list's dropdown and then click Add To). Drag the Order Amount field to the data area, and you're done.
If you want to compare total amounts by country instead of by salesperson, drag the salesperson field out of the report and drag the Country field to the row area instead.
In this report and others in this workbook, the cents are rounded up to whole dollars. To do that for a field that includes cents, double-click the field, click Number, click Currency, and enter zero in the Decimal places field. The report also has the Report 5 format: click the Format Report button on the PivotTable toolbar to apply this format.

Comparing sales one country at a time
The Country field in this report is a page field. You can use this field to display three different pages: individual pages for the two countries, and the (All) page that summarizes data for both countries.
Cell B1 contains the item currently displayed in the page field. To change the page, click the dropdown arrow in cell B1, click the item you want to view, and then click OK.

Sorting the rows from largest to smallest sales
Initially, the items in a field are either sorted in ascending order or displayed in the order received from the source database, depending on the type of source data you use. For example, in the reports on the Order Amounts and Orders by Country worksheets, the names of the salespersons are alphabetized.
In this report, the items in the Salesperson field have been sorted according to their order amounts, using the Sort and Top 10 command on the PivotTable menu (PivotTable toolbar). Once you use this command to sort a field, the field retains the sort order even if you rearrange or update the report. For example, if data for a new salesperson is added within the source data range and you then refresh the report, the row for the new salesperson will appear in the report ranked by order amount.

Finding the top five salespersons in one step
The Salesperson field appears blue because the field has been filtered to display the salespersons with the top five order amounts. The rest of the salespersons no longer appear in the report, and the grand total includes only the top five order amounts.
The field isn't sorted, but you can display a field both filtered and sorted if you want: for example, you could sort the top five salespersons from the greatest to least order amount.
Use the Sort and Top 10 command on the PivotTable menu (PivotTable toolbar) to set these options.
Salesperson Reports Sample Workbook Quarter by Salesperson
This report has two row fields. Quarters is an outer row field; Salesperson is now an inner row field. The report repeats items in an inner row field as necessary for each outer row field item, so the name of each salesperson appears four times, once in each quarter.
If you look at the Source Data worksheet, you'll notice that there is no Quarters column. The Quarters field was created from the Order Date field by grouping the dates in the field, using the Group and Show Detail commands on the shortcut menu. Excel allows you to group dates in several ways including by year, month, or day. You can also use seven-day groups to group by week.
For other types of data, you can create appropriate groupings: you can group numbers by intervals such as tens or hundreds, and you can group other types of items manually, by selecting the specific items to combine.
Salesperson Reports Sample Workbook Salesperson by Quarter
In this report, the positions of the Quarters and Salesperson fields have been swapped, so that Salesperson is now an outer row field and Quarters is an inner row field. This change is very easy to make: click the inner row field and drag it to the left of the outer row field.
From this simple change, the report now breaks down each salesperson's performance by quarter, instead of breaking down each quarter's sales by salesperson.
Which individual orders contributed to Buchanan's first-quarter order amount? You can easily list the records from the source data that are summarized in a particular data cell, just by double-clicking the cell. Excel creates a new worksheet like this one with a copy of the data. You can format, sort, and filter this detail data without affecting the PivotTable report or the original source data.
This feature is available for most types of source data, and is particularly useful with source data taken from external databases, where you don't have a separate Excel source data worksheet to view.
Salesperson Reports Sample Workbook Percent of Total
Showing summarized amounts as a percentage of the total
So far the reports in this workbook have all summarized data by adding up total amounts. The Percent of Order Total field in this report uses another form of summary, called a custom calculation, to present the combined data.
Each value in column D indicates the percentage of the total of all order amounts. For example, cell D5 indicates that Buchanan's first-quarter sales were seven percent of the grand total for all quarters and salespersons.
Excel provides several types of custom calculations for data fields. To see what's available, double-click the Percent of Order Total field and look at the Show data as dropdown list.
This report shows you how to add your own formula to a PivotTable report. The Bonus Amount field displays 15% if the order amount is greater than $20,000, or 10% of the amount is less.
To view this formula, click PivotTable on the PivotTable toolbar, point to Formulas, and then click Calculated Field. In the Name box, click Bonus Amount.
You could easily change this field to calculate the dollar amount of each bonus payment. Change the formula in the Formula box to read as follows, and then click Modify and OK:
After you make this change, you'll want to express the amounts as dollars rather than percentages: double-click the Bonus Amount field, click Number, and set the number format to Currency.
The chart on the Chart sheet is a PivotChart report that provides a graphical representation of the summarized data used in the PivotTable reports in this workbook. A PivotChart report has many features similar to a PivotTable report: you can change the layout, sort, filter, and group the data.
To create a PivotChart report, run the PivotTable and PivotChart Report wizard, in step 1 select PivotChart (with PivotTable), and then complete the steps of the wizard as you would for a PivotTable report. Or, if you already have a PivotTable report that you want to chart, click the report and then click the Chart Wizard button on the PivotTable toolbar.
A PivotChart report always has a dependency on a PivotTable report that provides the data to be charted, called the associated PivotTable report. When you make changes to a PivotChart report, its associated PivotTable report reflects the changes. To allow you to make changes to the example PivotChart report without affecting any of the example PivotTable reports, the PivotChart report was created independently from the source data. The associated PivotTable report for the example is hidden. If you want to see it, point to Sheet on the Format menu, click Unhide, and then click Data for Chart.
A new PivotChart report always appears on a separate chart sheet, because PivotChart reports tend to include lots of data and therefore usually need plenty of space. You can easily move a PivotChart report onto a worksheet, for example to put it on the same worksheet as its associated PivotTable report. Just click the chart and click Location on the Chart menu.
You can use most of the chart type, formatting, and options available for regular charts to customize a PivotChart report. For more information, ask the Excel Answer Wizard about PivotChart reports.
