SANAKO Study 700 TUTOR GUIDE - Introduction

TUTOR GUIDE:

Introduction SANAKO Study 700 is a pure software solution that allows you to carry out a range of pedagogical activities using a number of different media. It provides a platform from which a Tutor can distribute a whole number of resources that will enhance the learning experience. Coupled with in-built classroom management facilities, it is possible to control, maintain and improve your working environment. In addition, there are several add-on modules available to further develop both IT and language skills. This Tutor Guide is designed to give the reader a helpful insight on how to use SANAKO Study 700. It follows an effective philosophy of ‘Why would you want to use the … feature/activity?’, with pedagogical examples, and then ‘How to Use…’ with a practical, step-by-step approach using images taken from SANAKO Study 700 to aid understanding and use. Each page has an overall view (top left) highlighting the area where the Tutor/Student will be focussing on, followed by more detailed ‘close up’ images with instructions.

When doing the two tutor-led activities (in their basic form), it is a good idea to break them down in to 7 simple steps going from the top of the Tutor GUI on the left hand side;

1. Who is doing the activity (select students - Grouping/Preparing the session)? 2. What are they going to do (Activity Selection)? 3. Are they going to listen to anything (Media Source Selection)? 4. Additional options - How are they going to be arranged, what are you recording etc? 5. Start the activity 6. End the activity 7. Clear the session

At your fingertips, you also have access to the Online Help within the SANAKO Study 700 interface (both student & tutor), the SANAKO Virtual Educational Community @ http://members.sanako.com (also accessible from the SANAKO Study 700 tutor interface) and a range of Support Contracts (see address below) for thorough, detailed information and assistance. Nb: The pictures shown are taken from various versions. Therefore, your layout & features may differ slightly if you are operating an older/newer version, or you have different modules.

Getting Started - Opening the Study Tutor

The SANAKO Study solution is no different from any other software application e.g. MS Word in so much as you must launch the program

To do this;

• Double click on the Tutor shortcut on the Desktop (if applicable) • Alternatively, go to; Start, All Programs, SANAKO Study 700, Tutor

• In addition, you may have an icon in your quick launch area • Study will run and, depending on your setup, you will see the screen below

(The Tutor and class selection window will only display if Tutor login is requested at start up in the preferences)

• If the Tutor and class selection window appears, select your name from the list if a file has already been

created/previously saved and click OK • The student positions will now appear in the appropriate classroom layout or alternatively, you can click

Show corridor to add students • If Tutor login is not requested at start up, you will go in to the default classroom layout

The Tutor GUI is split in to two defined areas – the classroom ‘layout’ on the right and the features/activities on the left.

Grouping/Preparing the Session

By default, the students will be in Session A (unless saved otherwise).

Why use different sessions/put students in to different sessions? • To differentiate within a class • To give students different work/activities/tasks to each other - have multiple activities going on in a session • To manage the class • To match students of equal ability • To group students of differing ability to help improve grades e.g. lower with higher ability students

You can add students to a session in 3 ways;

1 • Right-hand mouse click on a student position • 'Move to Session' • Choose a session from A-F • Click the Session tabs A-F to work with the chosen

• Choose the session you'd like to work with from the tabs A-F

• In the 'Select Members for The Session' area click on 'Add'

• Holding the left-hand mouse button down, highlight/drag over the students you want to add or click on individuals

• Students will then be part of the chosen session

Media Sources: Why choose a Media Source?

• To give students relevant material to listen to • To support/reinforce an exercise or activity • To vary the teaching methods/media used

There are several Media Sources available to the Tutor, which can be played out to the student positions. In addition, subject to the activity, you may opt to have no source (None). *Note you may have additional sources depending on your version and setup. Sources available in the ‘Media Source Selection’ drop-down box are:

• Tutor (your voice going through the Tutor’s headset)

• Student (what is being played/recorded on a chosen Student position – click on the student you want)

• File (an audio/visual file (sound only) taken from a network area)

• External source (a device plugged in to a

port/interface on the Tutor PC)

• Audio CD (from the CD ROM drive of the Tutor PC)

• DVD (from the DVD ROM drive of the Tutor PC)

Self-Access* *By default, the students will be in Self-Access mode

Why use/leave students in Self-Access mode? • Give students 'play lists'/choices of files to work through • Allow students to work on a variety of different file types (not just Audio/Visual) at their own pace • Allow students to take files away to work on later

Note – Self Access doesn’t follow the 7 steps as it is primarily a ‘student-led’ activity

Even though the students are in Self-Access mode, you may want to provide them with a 'play list' of files to work through.

To do this, you need to; • Select students

• Select Self-Access from the Activity selection

Why use the discussion activity?

• To perform role plays & pair work • To match students of equal ability • To pair/group students of differing ability to help improve grades e.g. 1 lower with 1 higher ability student • To carry out ‘fact finding’ & ‘get to know you’ exercises • To discuss topics/events

To get the students to discuss (talk to each other) you need to;

• Select students (unless all in same session)

• Select Discussion in the Activity Selection drop down box

• Choose what background sound they are going to listen to (if anything). Select the appropriate Media Source

• Use the slider to decide how many people will speak together e.g. 2s, 3s, 4s. Now decide how they are going to talk together; Fixed – computer gives you the same student positions each time (Session specific) Random – computer gives different student positions each time Select – Tutor decides who is put together. The Record discussions box is very important and should be ticked if you are wanting to save the recordings for future analysis or marking purposes or, use ‘Free mode student recording’ if you want the students to decide when they do the recording

If you want to change how students are discussing e.g. randomise the pairing again, press Pause , choose your method of discussion and then Start again.

• Recording the discussions; tick the appropriate box. When you End the activity, you will be prompted for a name for the folder (the date and time by default) and a destination for that folder. The student’s recordings are then collected as mp3s.

Why use the Web browsing activity/Web browser?

• To launch the internet and direct students to a specific page/site • To listen to internet radio/watch news clips for further listening, observation activities • To use for additional resources (downloading) • To control what students can/cannot access • To carry out ‘fact finding’ exercises

To carry out the Web browsing activity, you need to;

• Select students (unless all in same session)

• Select Web browsing in the Activity selection drop down box

• Choose what they are going to listen to (if relevant). Select the appropriate Media source

• Additional options – there are 2 options here, Open policy and Strict policy. In Open policy, it is possible to add website addresses in to the ‘Denied web pages’ area. Type in the address and click Add. Students are then unable to open those sites. It is possible to; Save your list Open an existing list Print a list Start a new list Remove addresses from the list

• In Strict Policy, you can add web addresses that are ‘Allowed’. A list of links is created and only those sites can be visited. Note; only pages that start with the same address in can be accessed. If a page on a site changes its’ naming convention it will not work. E.g. www.sanako.com/support would work. www.support/sanako.com would not work

To open up the Tutor’s browser, click on the Open my browser button Tutor’s browser Web browser; If you just want to launch the students’ web browser out to them, you can press on the Web browser button

in the middle of the tutor G.U.I. This button is divided in to 2 parts;

- Launch web browser for session (in this case, B). It is colour-coded in the background.

- Launch web browser for all of the students

• Pressing Send will open the student browser on the page the Tutor has gone to

• Pressing Follow will make the student browser go wherever the Tutor goes

• In the Settings , it is possible to block pop-ups and decide whether the students will see their browser’s tool bar or not

Note; the Tutor hasn’t as much control over the Web browser in this way, compared to Web browsing as an activity.

Why use the Tutoring activity + Marker tool?

TUTOR GUIDE:

• To put the Tutors’ screen (inc. voice/what is being played) out to a session for demonstrations, deterrent, were the permissions/software are user specific, model answers/examples

• To annotate pictures/documents/areas of interest on a web page/document shown to students (marker tool)

• To show the work of a ‘model student’ To carry out the Tutoring activity;

• Select students (unless all in same session)

• Select Reading Tutoring in the Activity Selection drop down box

• Choose what they are going to listen to, by default this is Tutor

Note: If you select Student, you can then use a ‘Model student’, display their screen to the session & put out the student’s voice/what they are playing

• Additional options – none available

• Start the activity – press Start

• When the activity is started, the Tutor screen goes out to the

student positions and this window appears Note; this ON THE AIR window is only seen by the Tutor.

• To stop the transfer of the Tutor screen/voice/what is being played, click on Stop transfer

• End the activity – press End

• Clear the session – press Clear session

It is also possible to put the Tutor screen out to the students (minus voice/what is being played). To do this;

• Click on the Screen control button (left-hand-side for session only, right for all)

• Select Tutor screen to students from the options The Marker tool;

• To activate it, press on the Marker tool button • The Marker tool toolbar appears on the screen with the

usual features you would find on a drawing package e.g. Draw shapes, write text, highlight, colour, line thickness, cancel.

• To close it, click on the X.

SANAKO Study Voting Why use SANAKO Study Voting?

• To measure your objectives/success of your lesson • To find out how well the students are doing at various points throughout the lesson (feedback) • To carry out a vote in class (feedback) • To test the students with multiple choice options • To help you to adjust/differentiate your

lesson plan/pace of lesson

To create a Vote, you need to;

• Click on the Voting button (session) (all)

• The Voting window will then appear (see right)

• Insert a question or statement in the ‘Question’ box provided

• Now choose how many multiple choice options the students will have by selecting the appropriate option – A..B (2 choices) A..C (3 choices) A..n (max of 10)

• Clicking on the ‘Choices’ area (above)(starting in the space for choice A) brings up a window to insert text for that choice (see left). To add the other choices, cli + Next ck Apply

. When done, click Close . You will also need to tick the check box of the correct answer.

Live feedback: This can be used alongside other features where feedback is necessary. A common feature used is ‘Talk’

to ask them questions. To get the students to report back in Student feedback, you need to;

• Click on the Student feedback button • This will then reveal the percentages display above the button

Quick features – Talk, Whiteboard, Messages & OneNote™ & Ask student names

In the middle of the Tutor GUI, you will find the Features area. Each button is divided in to two. The left side (icon) is session specific and colour-coded in the background according to the session being used (ABCDEF). The right side (grey button) is for ‘All’ and if you leave your mouse over either, it will tell you this. ►Talk Why use the Talk feature?

• To speak to the whole class or session, giving information/instruction • To avoid disturbing others (session specific) by talking to individuals or groups

To talk to the students;

• Click on the Talk icon/button (session specific) (all)

• ‘Talking to Students’ will then be fully visible • To adjust the volume, move the slider accordingly

Talk to individual; • Left click on a student and then on Discuss

►Whiteboard Why use the Whiteboard?

• To annotate a picture for/with the students • To draw something and show to students

To use the Whiteboard feature;

• Click on the Whiteboard icon/button (session specific) (all)

• The Whiteboard will then appear on the Tutor’s and Students’ screens

• The Tutor can then add pictures and/or use the drawing tools

• Students immediately see the changes and can freely contribute

►Messages Why use the Messages feature?

• To send information/instruction to students (individuals/sessions/all) • To ask questions • To get answers/thoughts/responses back from students • For students to ask questions to the Tutor

To send Messages;

• Click on the Messages icon/button (session specific) (all)

• Write your message in the window that appears • Decide who it is going to be sent to from the options in

the drop-down box (All, Sessions, Individuals) • Click Send

The students then get a message on their screens

• If they want to reply back, they can by clicking on Reply • The Tutor then sees the reply in a box next to the

Student positions in their GUI • If they click on the message, they

can then choose to Close message or Reply to Message

• In addition, within the Tutor message window, it is also possible to Close student messages (at Student end) after a certain amount of time (default 10 seconds)

• The tutor can also close their message window after sending and • It is also possible to close all the previous messages sent by students instead of having to click on

individual ones

• A student can send a message to the Tutor at any time by clicking on the envelope button on their player

• To save time at the start or before a lesson • To assist a student who cannot/does not know how to

• To get the attention of the students (individual/session/all) • To prevent the students (individual/session/all) from accessing material/programs and to stop them doing

To Lock the students for a session/all, you need to;

• Click on the PC Control icon/button (session) (all) • Select one of the Lock options from the choices available • To lock the keyboard, screen and mouse, click Lock PC. This will leave a black

desktop on the student PC • To lock just the screen, click Lock screen. This will leave a black desktop on the

student PC (Often used in conjunction with Student application, or activities to remove distractions).

• To lock the keyboard and mouse, click Lock keyboard and mouse. This will leave the student desktop

looking ‘normal’

• When the using a Lock option, the student position on the Tutor GUI displays this icon

To use the Lock operations for an individual, you need to;

• (Left) Click on an individual student to get this window • Click on PC Control and from the choices, select your Lock option and

follow the steps above ►Show student application Why use the Show Student application feature?

• To ensure the students have the Player up on their PCs • To save lesson time • To help students who aren’t IT Literate or have educational needs

► Launch program Why use the Launch program feature?

• To ensure the students have the correct program open to work on • To save lesson time • To use in conjunction with lock screen (remove distraction)

To launch a program for a session/all, you need to;

• Click on the PC Control icon/button (session) (all) • Select Launch program from the options available

• In the Program launch window write or

browse for the .EXE of the program you want to launch e.g. WINWORD.EXE. You will normally find this in C:\Program files\...\...

• Ticking Add path will force all students to open the program from the same install path, thus removing any possibility of it not launching (assuming it is installed)

• Normal, Maximized and Minimized will launch the program in the selected format

• When you have found the program, click Launch • It is possible to add a shortcut by clicking Save program shortcut to shortcuts list. That way, you do not

have to browse for it every time. Click on the shortcut that appears and it will launch • Launched programs can also be closed. Select the program and click on Close . Close all will

close every program you have launched To use the Launch program for an individual, you need to;

• (Left) Click on an individual student to get this window • Click on PC Control and from the choices, select Program launch and

follow the steps above

► Block applications Why would you want to block applications?

• To prevent a student/several students/session/all from using certain applications that may distract or give an unfair advantage

• To allow a student/several students/session/all specific applications only • To keep students task orientated • To control the environment

To Block applications, you need to;

• Click on the PC Control icon/button (session) (all) • Select Block applications from the choices available • The Block applications window now appears (below)

Note; it automatically scans for applications that are already open & adds them to the lists The window is split in to two halves; Prevented applications & Allowed applications.

• At the top, select whose machines you wish to prevent/allow applications on e.g. Session or individual student

• Click on ‘Add application to the list’ to select a specific one. Then type the name of it in to the window that appears. It will put it in to both lists

• Alternatively, by clicking on ‘Add all currently open applications in student computers to list’ , it will scan for whatever is open & add to both lists

• Tick or un-tick applications as required • Click on either Prevent (will close all selected

applications instantly) or Allow • It is also possible to save Prevented & Allowed lists by clicking on the relevant disk icon • Save to the defined area • To open a saved list, click on the relevant open folder icon

Alternatively, to use the Block applications for an individual, you need to;

• (Left) Click on an individual student to get this window • Click on PC Control and from the choices, select Block applications and

follow the steps above

These features involve viewing, monitoring and interacting with different screens. ► Autoscan, Monitor, Control and Collaborate Why use the Autoscan, Monitor, Control and Collaborate features?

• To observe what a student is doing/watching/accessing (Autoscan, Monitor) • To listen to, gauge and mark the level of student conversation/work (Autoscan,

Monitor, Control, Collaborate) • To work with a student remotely (Control, Collaborate) • To manage the class/individuals (Control, Collaborate) • To operate controls for individuals (Control, Collaborate)

To use the Autoscan, Monitor, Control and Collaborate features for a session/all, you need to;

• Click on the Screen control icon/button (session) (all)

• Select Autoscan from the options available

• You will then get a screen up that shows a student PC and this will show (by default) a different position every 10 seconds

You then have several options available to you;

• Monitor will stay on the selected student until you move from it. You can move on by pressing Autoscan again or move to the next/prev s student iou

• Remote control will allow you to take complete control of the student PC – Tutor can then get the student back on track, write in their documents and open/close programs

• Collaborate will give the Tutor and student joint control of the keyboard and mouse – Tutor can then work with the student to get the desired outcome

Why use the Homework feature?

• To hand out work for students to take home • To collect in work done by the students that they have brought in • To ensure work started in class is taken home by students to finish

Note; the Homework feature is accessed in various ways including the Files area, by clicking on an individual or the main way, the Homework button in the Tutor GUI. By clicking on the satchel symbol , you will get the same window that appears when you click on the main Homework button To use the Homework feature, you need to;

• Click on the Homework icon/button (session) (all) • This will bring up the Homework window (below)

• Select who you want the homework to go to at the top of the window e.g. All students, session or individuals

• To add files for the students to take away, click on Add handout files to traget students

• Browse for the chosen files & OK. These will now appear in the students Homework area on the student player (below)

• It is also possible to remove selected files from their

Homework list or all of the files

• To enable the Tutor to check if they have the correct file, it is possible to open it by clicking on the file in the list & clicking Open selected files to myself

double-clicks on it & is then prompted to save it to a location e.g. pen stick/portable hard drive

• On return of the work, the Tutor decides on the pathway & folder name in to which the work will go (date & time by default). Note; you may want to have some for of naming convention based on who you are and what work is being collected to keep things tidy & ordered

• Clicking on Allow returning will then open a window on the Student position (below)

• The student then will then browse

to where they have saved their finished homework, Open & Send it it. At which point (if successful), thestatus will change to ‘

Delivered’

• The Tutor can then see the files in

the folder and take them away for marking

Finally, to allow students to move on & access work outside of the Homework tab, the Tutor has to click on Disable returning

& Close the Homework window

To use the Chat feature for a session/all, you need to;

• Enable the chat – this makes the Chat window appear at the Student end as well

• Write your text in the box at the bottom of the page and press the Send button. Whatever is written will instantly appear at the student end

• At the Tutor, the conversations can be Saved , Printed or Cleared (to start again)

• On the student player, they can write their message

in the box at the bottom and press Send • This is then seen immediately at the Tutor end • Students can also send messages to other people in

the session by clicking on them in the Participants area (the Tutor will see any conversations)

Why use the SANAKO Study Video Live Module?

• To play out a DVD/TV/Satellite to students in real time • To use as an additional media source for a variety of activities • To ‘digitize’ whole or sections of an audio visual source e.g. DVD, Satellite TV

Please note, QuickTime™ version 7.1 or later MUST be installed on all machines for this to work To use the SANAKO Study Video Live Module for a session/all, you need to;

• Click on the Video stream icon/button (session specific) (all)

• This will open the Video stream selection window • From here, you need to select your source – File

stream or Live stream

‘File’ is an mpeg file that has already been created and is stored on the Video streamer itself. ‘Live’ will play out whatever source is plugged in to the Video streamer box in real time.

• If you select ‘File’, choose one from the generated

list and ‘OK’ it. QuickTime™ will then start on both Tutor and Student machines for you to follow/watch the file.

Note: Students have no control over the file or Stream

• If you select ‘Live’ and you want to digitize the clip/what you want to watch, tick the ‘Save the stream to a file’ box before clicking OK

• Give the file a name otherwise be default, it will label it with the year, time and date • To finish, click on the Video stream button again

To manage the content of the SANAKO Video streamer you need to;

• Open up a browser window and type in the address of the video streamer either as the IP address (which may have been changed to fit in with your school’s addresses) or http://videostreamer

• Insert the username and password (by default, this is ‘admin’ and sanakovideo) but this may have been changed by yourselves and then ‘Login’

• At the Welcome page, navigate to the ‘File Management’ page

• Any files that you have saved previously will now be listed. You then have the choice to either ‘Remove’ or ‘Rename’ any of the files you select.

Just as with any file system/storage area, you need to keep it maintained and up to date. If there is material on there that you no longer use, then remove it. The SANAKO Video Streamer has 75Gb of storage and converts the files in to mpeg4 format. You should be able to manage the content of the SANAKO Video Streamer from anywhere on that network (subject to your own restrictions) providing it is switched on. We advise that it is NOT turned off.

TUTOR GUIDE: Voice Insert

Why use Voice Insert?

• To add answers/oral contributions to recordings (students) by creating gaps at the appropriate points • To add comments to students recordings (Tutor) for feedback and marking purposes

To use the Voice insert feature, you need to; • Ensure a file is loaded – you can double click on

one in My/Session Files

• Click on the Voice insert button - it is now displayed on the Student player and the button is illuminated

• The student is then going to alternate between

the green play/pause button and the pink

record/pause record button • Play the Program track and listen • Record voice in appropriate place • Repeat these 2 steps

Note - It is advisable to play the file, pause it – this gives the Student time to; A – think about their response B – not get confused with which buttons to press.

• An easy way of remembering, is to think “green, green, pink” – Play, Pause, Speak • When finished, stop, play it back and you will hear Program track, followed by student track and so on. E.g.

Question, followed by answer, followed by question…

• To save, click on the Save button - the only option available is an .mff file. This will save it in the Q, A, Q, A format

Recording audio lesson material

Why record your own material?

• To create a library of oral questions • To keep the lessons topical • To create exercises that suit your own teaching style

It is recommended that the recording is done at the Tutor position (Tutor player) due to the ease of use of the interface. In order to record your own material you need to;

• Double click on the icon in the bottom right corner of the Tutor screen just to the left of the clock and the Tutor player will appear as shown below left in the compact mode. Or the Start, Programs, SANAKO Study pathway, Tutor Player

• To start your recording click the icon

• To stop your recording click the icon

• To save your recording click the icon and select where to save your work and what it should be called

It is recommended that you save your recording to the shared network area to which students normally go to when working in lessons. You should always take great care in naming your recordings so as to ensure that students know what the file is for and that you know (in several weeks mon

or ths time) what the recording was for.

The previous instructions can also be used by the students to record their own voices. This can be useful for allowing students to practice recording their presentations and then saving their work to take home and listen to.
