WILLIAM J. “JODY” BILLIARDVice President, Operations Finance and Chief Accounting Officer, Coca-Cola Bottling Co. Consolidated (USA)Financial Reporting and Budgeting: Seriously, You Need What, When?

Monday 10 June: 09.00 - 10.00

Coca-Cola Bottling Co. Consolidated (CCBCC), the largest independent Coke bottler in the United States, relies on software, such as Excel and PowerPoint, to compile and communicate budgets and financial results with its own management on a routine basis. Historically, this has meant hand-banging (and headache-causing) Excel-based reports for distribution. As a result, CCBCC implemented Spreadsheet Server to alleviate the headaches of manual reporting and continues to expand its usage both within and without the Finance and Accounting disciplines.

• Background of our company, its operations, its vision, its opportunities and its challenges

• Laugh (and cry) about the unrealistic requests and deadlines executives give our finance and accounting staff

• Tools and reporting improvements we have made not only to survive but thrive

• Options to help your staff maintain sanity in a data insane world

• Encouragement for budgeting and reporting transformation

Join us for a day-in-the-life of managing expectations of executives and employees who find comfort in the most widely deployed financial software in the world - Excel!

SIMON CARPENTERChief Customer Officer, SAP AfricaA Thought From SAP: Are You Ready for Asymmetrical Warfare?

Tuesday 11 June: 08:30 - 09:05

As a CFO you know your role is changing, yesterday’s “bean counter” is now a resource steward, strategic counsellor and change agent. Why? We are living in a world characterised by Volatility, Uncertainty, Complexity and Ambiguity (VUCA). In Zulu the word means “wake up” and that is what we need to do. Organisations in a “VUCA” world need a set of capabilities well beyond those we know from the industrial era.

This presentation will unpack the concept of “VUCA”, how it is moving from its roots in asymmetrical warfare into mainstream business (much like the concept of business strategy before it) and the capabilities required for success.

JASON SPRUNKGlobal Business Readiness Leader, Rockwell Automation Inc. (USA)We’re Live on SAP! Oh Wait, There’s More to do. Keeping Your Super User Community Alive and Well

Monday 10 June: 10.00 - 11.00

Long after the go-live has come and gone and the ‘temporary careers’ of the super users have ended and the fanfare and excitement has ended, the task of keeping the super users community alive and well is often overlooked. Yet the super users are a vast source of knowledge and process improvement opportunities that need a formulated, structured approach to keep alive and well.

Super users are critical for preparing the organisation for success at go-live. After go-live, super users often disperse and the value of the community quickly dissipates. Creating a framework to sustain the community is fundamental to keeping the community alive long after the project team has come and gone.

Learn the steps that are needed to keep the informal (or formal) community alive and well, from assigning a community facilitator, to creating a calendar of events.

• The role of the super user community facilitator

• Creating a calendar of events and activities to sustain the community

• Embedding the super users into the on-going support and improvement life-cycle of your SAP system

• Best practices and techniques to help senior management move beyond the informal need and into a formal, recognised program

LUIGI BIANCO Executive Head Finance: Planning, Measurement and Control, Nedbank Limited Achieving Planning Excellence at Nedbank - Doing Away With Frustrating Manual Processes by Moving Towards Automated Planning and Reporting

Tuesday 11 June: 14:25 - 15:25

In the past at Nedbank Limited our planning processes were a huge manual task - we used large, complex excel models for our planning (80 meg). The manual nature of running these processes caused much frustration and long hours for the teams involved who had to work late into the night verifying and validating reports. This also bred distrust in the data because of the high risk of error through manual intervention. The expense around manual maintenance was significant. Also, the data could not be checked properly nor distributed to the executive team in time to allow meaningful conversation around the reports to take place.

We had a real need to change and improve these processes and we implemented SAP’s Business Planning and Consolidation application and have seen our planning processes transformed in that there is now:

• A high level of automation and accuracy • Reduction in the time spent validating the data, increased time to analyse

and present meaningful information• Automated reporting - change across 80 units can be done in 10 minutes• Not a need for teams running the process to work late into the night to

prepare reports• A reduced team to run the process and these resources are now invested

SPECIAL GUEST SPEAKER: ACHMAT HASSIEM Shark Attack Survivor and Swimming LegendImpossible is Nothing!

Monday 10 June: 16:30 - 17.30

Shark attack survivor, Achmat Hassiem, lost his lower leg to a Great White shark in 2006, while participating in a lifeguard training session at Sunrise Beach in Muizenberg. Since then, Hassiem has made an amazing recovery; learning to walk with his prosthetic leg, competing in the Beijing 2008 Paralympic Games, the 2010 IPC World Swimming Championships in the Netherlands as well as the 2012 London Paralympics, where he won a bronze medal in the 100m butterfly. Hassiem is captain of the Western Province swimming team and has led them to victory for four years running.

Hassiem enjoys inspiring his audience and his natural storytelling ability and charisma ensure that his motivational talks are memorable. He brings to life his experiences and how he overcomes his challenges with perseverance, focus and a positive attitude. The sports management graduate hopes to encourage people to believe in their dreams and to strive for them whatever it takes. Achmat shares a strong empathy for those who have to work a little harder to achieve their goals.

In his words - anyone can achieve the impossible.

.00New Ways to Improve the End-User

Experience in SAP ControllingJanet Salmon - Chief Product Owner for Management Accounting, SAP AG (Germany)The SAP controlling transactions are some of the oldest in SAP ERP and many of the user interfaces are looking dated. In SAP Enhancement Package 6 for SAP ERP 6 SAP began work on modernising the user interface, offering side panels that provide additional information within traditional transactions, rebuilding the transactions for master data maintenance and providing a new approach for project and cost center planning.

• Discover how SAP has modernised the user experience for the maintenance of cost centers, internal orders and activity types using SAP Floorplan Manager to allow you to configure the UIs and remove unwanted fields

• Discover how the classic project planning and cost center planning transactions have been modernised to take advantage of new options to run SAP BW-IP locally to build planning applications that are easier for occasional users to work with but are completely integrated in SAP ERP

• Learn how to set-up roles to display transactions and reports that end-users need in the SAP NetWeaver Business Client and to use side panels to enhance the transactions within these roles with pertinent information

Intercompany Reconciliations - Business Process Problem or IT Design Issue?Tim Atkins - Senior SAP Consultant, ConVista Consulting (Pty) LtdThe key lies in the business process design and common understanding of business rules and definitions. How this is mirrored within the IT landscape will greatly impact on the organisation’s ability to identify and manage mismatches across entities in the group. The solution which supports the process end-to-end is architected across SAP FI and BPC, with rich reporting and analysis tools.

At the heart of the solution to this business problem lies clever engineering of the process with a common understanding of definitions and treatment of the data. This topic will be explored and evaluated as part of this presentation, with examples of solutions to support the case studies.

Project Possibilities: From Capital and Customers to Corrective Work and CostingGrant Robinson - Corporate Finance Manager, Powerlink Queensland (Australia)Powerlink owns and operates the high voltage transmission network in Queensland and spends over $700 million per annum building and maintaining the system. The vast majority of this expenditure is managed through SAP Projects. SAP Project System provides versatile functionality that can be exploited in many ways including projects for self-constructed assets, turn-key projects for customers, major refurbishments of plant, simple cost collection and internal cost allocations.

• Project System integration with other SAP modules - FI/CO, Financial Assets, Investment Management, Sales & Distribution, Timesheets, Materials Management and Resourcing

• Using SAP Project System for capital works, customer works, maintenance works and internal costing

• SAP Project System management reporting in ECC 6 and BI

• What works well - and what doesn’t!

New GL Profit Centers Enable Financial Statements for Non-Statutory Business UnitsDeon Valks - Business Analyst: FI, TSB Sugar RSA (Pty) LtdPrior to availability of the New GL functionality, business areas provided the mechanism for reporting and managing non-statutory business units within a legal entity. The associated business area clearing was time-consuming and risk-prone, which meant that this was usually done only at month-end. Profit centre accounting in the New GL however provides real-time, balanced profit centre transactions as well as document splitting to enable accurate profit centre distribution of balance sheet items such as customers and vendors.

• Business area functionality contrasted with profit centres in New GL

• Added value through real-time document splitting and zero-balancing

• How organisational structures and naming conventions support profit centres

• Integration between controlling and the New GL and related reporting capabilities

How ArcelorMittal Achieved SAP Authorisation Compliance by Following Soterion’s Road Map to Business Ownership Dudley Cartwright - Director, Soterion TechnologiesAchieving SAP authorisation compliance remains an allusive goal for many companies due to the complexity of SAP authorisations, resulting in firms constantly being over-exposed to access risk violations. Is your finance department being required to sign-off on immaterial access risks that they do not agree with or fully comprehend? Business is required to take ownership of the access risks in their area - this is not an IT problem. ArcelorMittal share how they achieved SAP access risk and authorisation compliance.

• Assessing the current access risk status of your authorisation environment

• Accelerate the cleaning up of your authorisation solution through clever data analytics

• Customising your access risk rule set to monitor risks applicable to your environment

• Defining suitable default mitigating controls to simplify and expedite the mitigation process

• Ensuring business ownership of access risk with the “less is more principle”

Are Your Finance Users Struggling With Fully Leveraging the SAP System?Suzanne Harilall - SM Finance Systems and Business Development, Toyota SA MotorsWould you like to learn how the Toyota Finance Division used the principles of Kaizen to improve its knowledge and counter effects of staff turnover, changing business conditions, knowledge erosion? This presentation will show how we:

• Used finance resources to build a bridge between business and IT

• Improved self-reliance to level up our SAP knowledge

• Facilitated change point management

• Made SAP an enabler for finance to become more relevant and efficient

• Are now becoming business advisors as opposed to traditional “number crunchers”

The decision was made to choose FNB and at the same time to change the front-end system so that:

• All creditors payment runs, payroll payments and treasury payments were done via the FNB host-to-host solution

• EFT files were sent host to host without human intervention to enhance security and reduce business risk

• The system is used for local payments (creditors, treasury and salaries) for all plants

Impala Platinum built the host-to-host cockpit and the program controls sending and receiving of transactions, reporting, keeping track of user ID’s and integrates with the SAP PI module, allowing for better banking.

• Intelligence vs. reporting - what’s the difference?

• Identify the issues keeping the company’s executives awake at night

• Correlate these to the business driver and related key performance measures

• Provide intelligent information in real-time

Improve Accessibility of FI Documents Through PSRM and Workflow Solutions Christiaan Pieters - Principal ERP Analyst, City of Cape Town The City of Cape Town introduced Public Sector Records Management (PSRM) for FI during 2012. PSRM is used for recording supporting documentation for FI journals and AP invoices and credit notes. PSRM is a document management module (standard SAP) where all supporting documents can be viewed while logged into SAP (direct access from any report or view transaction). Users and auditors do not have to request copies or travel to the archives to view documents. Together with this a new multi-level workflow process was introduced to do away with manual approvals.

The process before 2012 involved manual documents compiled with supporting documents, going office to office for approvals, capturing in SAP and enquiries and audits.

The new processes involve multi-level workflows doing away with manual approvals, time and money saving and system security.

Taking the Spreadsheets Out of Your Close Process Janet Salmon - Chief Product Owner for Management Accounting, SAP AG (Germany) The SAP Financial Closing Cockpit helps you to move the lists of tasks to be ticked off during the period close from a spreadsheet and into SAP ERP. While it can simply be a to-do list with status monitoring, it can also be used to automate the close process by initiating the various jobs.

But what about the tasks that you can’t automate? Spreadsheets are often the glue holding the whole close process together whether you are calculating the impairment of assets, preparing FIFO postings or keeping track of your goods in transit and goods movements between affiliated companies. All these spreadsheets can be obsolete from EhP5.

Finally, there’s a lot of ticking and tying between general ledger and sub ledger. Discover scripting options with SAP Central Process Scheduling (integrated with the SAP Financial Closing Cockpit) that allows automation of such checks.

Moving From Manual Spreadsheet Supplier Reconciliations to Automated Reconciliations in SAPSean Brown - Senior Financial Manager, Dis-Chem & Henry Curtis - Founder and Product Developer, BEST Standard SAP does not include functionality to process supplier statements. Learn how Dis-Chem moved from manually ticking off paper statements and producing reconciliations in spreadsheets, to an automated solution in SAP. The enabler is the SAP certified add-on module called BEST - and a methodical approach by Dis-Chem management to maximise SAP capability.

We’ll show how Dis-Chem has reduced costs and improved controls by automating the reconciliation of hundreds of thousands of creditor lines every month.

• Electronically processing external and inter-company supplier statements in SAP

• Automatic matching to creditors, but also parked, held, GR/IR and linked customers

• Reconciling the statement to the payment and to the creditor ledger

• Digitising reconciliation approvals in SAP and moving away from paper

• Using the statement to automatically validate and if necessary, block supplier payments
