1 General Description
Seamless is a SharePoint Application (provider add-in) for project collaboration, which is used without
additional plug-ins in the web browser. Seamless combines a coherent set of Office 365 and
SharePoint features for project work.
1.1 Seamless Online and On Premises solution
Whether it's on SharePoint Online from Office 365 or SharePoint On Premises, it's always about storing
and accessing data, programs, and applications over the Internet rather than storing them on your
computer's hard drive or on a server. The On Premises Software Delivery model is installed and
operated on the internal server and computer infrastructure of a company.
1.2 Main differences between Online and On Premises solution
Online:
• Utilizes SharePoint Online, Office Graph and Office 365
• Uses the Graph API for current data per project
• Runs in Azure
On Premises:
• Runs in a SharePoint 2013, 2016, or 2019 environment
1.3 General Requirements
Please make sure you have the latest version of Mozilla Firefox, Chrome, Edge or Internet Explorer 11
or 10 installed. Mac OS Safari also supports the browser.
1.4 What is Office 365
Office 365 is Microsoft's productivity suite. It includes the locally installed tools for daily work such as
Word, Excel, PowerPoint, Outlook, OneNote, Skype for Business, OneDrive for Business or OneNote. In
addition, it offers the collaboration services such as the Exchange mail system or the collaboration
platform SharePoint in the Microsoft cloud online version. Furthermore, apps are available for all
mobile platforms to access data and information in Office 365 anytime and anywhere via smartphone
or tablet. Thus, Office 365 offers a technical variety that is demanding for the user and is not always
intuitive.

1.5 What is Seamless
These are the main goals of Seamless :
• Self-Service - Project teams should be able to quickly start on content of their project work
rather than focus handling SharePoint
• Dashboard - quick overview of project status
• Standardized & Simple - uniform, simple and self-explanatory tools for project work on all
devices
• Efficiency - all relevant information and functions can be reached with just a few clicks and
short loading times
The Seamless app combines a selected set of SharePoint and Office 365 tools for project work aiming
at allowing employees to focus on content. With the self-service functions, project managers quickly
create uniform, user-friendly and mobile ready workspaces equipped with the tools relevant to each
project. Internal and external team members can be easily invited and authorized to participate. This
makes Seamless the central entry point for daily collaboration with internal and external partners. All
relevant information, documents or tasks can be reached with one click.

1.6 Installation on the device
Seamless is browser-based and does not require an installation on your device. However, we
recommend using the latest version of Office 365 Pro Plus on your workstation.

3 Seamless Client Interface Overview
3.1 Seamless Structure
Seamless essentially comprises two views of the project data:
• Seamless Overview: includes quick access to project information and content relevant to the
registered person
• Seamless Site: Homepage of the respective project

3.2 Seamless Overview
Assuming you have the necessary permissions, you can access the seamless overview of your
organization https://YourTenant.sharepoint.com/sites/seamless. Should you not be able to reach
the page, please contact your IT support.
Subsequently, you will be guided step by step through the various elements of the Seamless Overview:

4 Seamless – Header

The header includes: - the company logo, which acts as a home button for the current site,
- seamless search for finding projects, documents, and people,
- the app launcher for direct access to other corporate Web applications,
- and your user profile.
The header section is available in all seamless pages with the same functionality.
The functionalities of the header section elements will be described in more detail below:
4.1 Company logo
Click on the company logo to get to the Seamless Overview of the current workspace. If you are on the
Seamless Overview, it will be reloaded when you click on the logo.
4.2 Seamless Search
The Seamless Search is a full-text search with which users can search for workspaces, documents and
employees. By entering a valid search term in the search window, the first elements of the search areas
in which the term was found are displayed.

By clicking on «Show all» you can call up further results with the search term. Additional filter functions
also support further narrowing of the search result.
4.3 App Launcher
The App Launcher allows the integration of links to applications inside or outside the company. This
allows quick access to the appropriate applications.

4.4 User Profile
The User Profile identifies the logged in user. The opened user profile displays the personal details and
allows for corresponding adjustments.

4.5 User Context
The central navigation element of Seamless is the user context. It allows the user to directly access the
relevant workspaces, documents and tasks and is identically available in all Seamless workspaces.
By clicking on «My Projects» you open the view with the «Followed» projects.
• Click on the element to open the workspace
• You can also open the workspace or select the «Follow» function via the element menu

The «My Projects» view shows the list of all projects to which you have access as a logged in user:
• Click on the element to open the workspace
• You can also open the workspace via the element menu or set the «Follow» function.
• By clicking on «Follow», the project will also appear in the view of your «Followed» projects in
the future.
• Workspaces appearing in green are active, those appearing in grey are closed

Via the menu item «My Documents» in the context menu, you can display your «Followed» and
«Recently edited» documents.
The element menu offers the following shortcuts:
• Show in Browser
• Edit → opens document in the local Word Application
• Properties
• Stop Following

The «Recently edited» view contains the documents that were last edited by you as logged-in user.
The result will be updated approximately every 15 minutes.
The element menu offers the following shortcuts:

• To workspace

Under «My Tasks» you will find all tasks relevant to you as logged in user from all your workspaces.
This view shows you, which tasks are still open, which tasks are pending today and which tasks are late.

5 Seamless Homepage - Body
In the Body section below the header of the Seamless Homepage you will find the three apps
«Workspaces», «Documents» and «Tasks». Their contents have the same structure as the user context
and include the following contents and views:

o View of documents last changed by the user

5.1 Seamless Workspace
Seamless workspaces have the same header as the seamless homepage. In the Body section you will
find the apps with all tools relevant for work.
How to create a new workspace
Press the button “Add” in the footer of the workspace. This will open a new window, where the
workspace details can be entered.

In the «Create Workspace Menu» enter Workspace Name and ID, then select the Workspace Type
from the dropdown menu. Select «Create» button. A message in the top righthand corner will appear,
stating that you have successfully submitted your workspace for creation.

Once your workspace has been approved, you can enter the workspace information app to set up your
new workspace.
5.2 Workspace Information
The Information app has an app view and a
detail view. The App view is displayed by default
in the workspace.

5.2.1 Workspace settings detail view
The detail view can be opened by all members of a workspace. However, only workspace owners have
the rights to customise settings.
In the header of the detail view, there are the three sections «Information», «Settings» and «Tools».
In the section «Information» you will find the following master data of the workspace: parent
workspace, life cycle, manager, deputy, workspace name, start date, end date, description, customer
and organisational unit. This data can only be adjusted by the workspace manager.
A workspace can be closed via the status switch. After closure, all data will remain, but they can not be
modified. If necessary, however, the workspace owner can reactivate the project status.
Only the Manager and his Deputy have the authority to customize the workspace information.
Information can be easily edited by clicking on the respective field and type the required information.

The section «Settings» shows the following information about a workspace: Modification date,
modified by, creation date, created by, storage usage, visible and external sharing.
External sharing can be used to configure the workspace for sharing with external partners. Sharing
within the company is always possible.

In the «Tools» section, as «Manager», you can control the tools available in the workpace. Seamless
includes a collection of apps that are continually evolving. Workspace managers can select favoured
apps via the Tools section in Seamless and make them available to the members in the respective
workspace.
New workspaces are available with a sub-set of Seamless apps, controlled by the Seamless Admin. If
you have any questions, please contact the Seamless-Responsibles.

Use the respective switch to activate or deactivate the various apps. If you unlock an app and create
data in it, they will remain in the workspace, even if the app is disabled at a later stage.
By clicking on the info sign in the footer, further information about the respective tool will appear.
After you have selected your tools, click on the tickmark on the top right corner, to confirm your tool
selection or on the cross to cancel it.
Attention: Loading data for each app affects the loading time of the workspaces. The more apps you
provide in a workspace, the longer the loading time. Therefore, we recommend offering only those
apps in the workspace that you will be really using in the project.
To return to the workspace, click on the cross in the top right corner of the header section.

5.2.2 Follow a workspace
You can use the «Follow» button to control whether a workspace is available in the quick access on the
start page and in the user context.
If you have marked a workspace as «Followed», it appears in the shortcut in the Workspace app on the
start page. There you can also change the status directly.

5.2.3 Team
By clicking on the «Share» button in the top right hand corner of the window, you can invite other
members to your workspace.

Enter email addresses of the members you would like to invite to your workspace. They will be added
automatically as «Members» and will be able to participate in the workspace. Via the dialog you can
invite several people at once.

If you want to change the status of a collaborator from «Member» to «Deputy», you can change the
name of the deputy in the workspace settings under «Information». Please note that only the Manager
and his Deputy can invite new members to a specific workspace
5.3 App Behaviour
For the work with SharePoint lists, tools for creating and editing items are made available directly in
the Seamless Apps. By using the Links App as an example, we describe below the behavior of apps
interacting with SharePoint lists.
5.3.1 Create new element
Via the button «+ Add» in the app footer you can create a new element. Seamless switches
automatically to Sharepoint, thus you can enter and save the details of your element directly in the
SharePoint view.

After the link has been captured, by clicking on the save button, it will be added to the links displayed
in the links card. To return to Seamless, press on the company logo in the top left hand corner.

After you have captured a link, it will immediately appear on the app view. The Context Menu element
offers quick functions. In the current example, editing the link.

5.3.2 Deleting elements
To delete an element, select “Edit” from the contect menu. This will lead you to the SharePoint view of
the elemt. You can then delete the element directly in this view.
5.4 Documents App

employees and external co-workers, the app is

Work Breakdown Structure Detail View
To get to the detail view of Work Breakdown Structure click either on the app header or select «Detail
View» from the app footer.

Detail view offers you an overview over all work packages in a workspace, who they are assigned to,
when they are due and what their progress is. Each item has a short cut menu with the options Show
in Browser, edit and complete.
In addition, there is a menu in the top righthand corner with the elements collapse/expand, add new
work package, go to work breakdown structure in SharePoint, print detail view.
To close detail view and get back to the workspace view, click on the cross in the top righthand corner.
