Other: Demonstrated abilities to use a computer at a minimum of 50 words per minute, operate a multi-line phone system, and communicate with people of various ages and backgrounds. ENTRY SALARY: Determined by the Board of Directors DUTIES: A. Receptionist 1. Operates a multi-line phone system including the automated attendant and voice mail systems. a. Maintains the automated attendant and voice mail features of the phone system in working order. 2. Locks and unlocks the office doors and file cabinets. 3. Maintains a neat and professional reception area. 4. Handles agency mail: a. Retrieves, sorts, and delivers incoming mail on a daily basis; b. Retrieves, stamps, and mails outgoing correspondence; c. Maintains postage meter. 5. Maintains the agency appointment books: a. JOB OPENING

POSITION TITLE: Part-time Secretary/Receptionist, 27.5 hours per week

DUTIES:A. Receptionist

1. Operates a multi-line phone system including the automated attendant and voice mailsystems.

a. Maintains the automated attendant and voice mail features of the phone systemin working order.

2. Locks and unlocks the office doors and file cabinets.3. Maintains a neat and professional reception area.4. Handles agency mail:

a. Retrieves, sorts, and delivers incoming mail on a daily basis;b. Retrieves, stamps, and mails outgoing correspondence;c. Maintains postage meter.

5. Maintains the agency appointment books:a. Schedules client appointments;b. Cancels and reschedules client appointments due to illness, weather, or otherconflicting situations.

6. Maintains the cash box:a. Accepts and receipts client fee payments;b. Acts as the petty cash custodian, distributing and documenting distribution ofpetty cash.

B. Client Contact1. Serves as the first point of contact for all SASC clients:

a. Greets clients in a prompt and friendly manner;b. Ascertains the needs of the client and refers the client to the appropriate staffperson for services.

2. Gathers client demographic and financial information in accordance with agency policies.

3. Maintains all client contact and information in accordance with the Federal Confidentiality Regulations and HIPAA Regulations.

C. Clerical1. Copies and collates forms, client files, and other records as assigned.2. Completes word processing as assigned.3. Maintains an inventory of SASC’s printed materials.

a. Maintains a master of all printed materials.4. Maintains the filing system for storage of client files:

a. Maintains client files for seven years in accordance with agency proceduresb. Maintains DOT clearance files perpetually;c. Disposes of outdated files in accordance with agency procedures.

D. Other1. Coordinates the urinalysis program.

a. Maintains adequate urinalysis supplies;b. Facilitates urinalysis pickups.

2. Attends all staff meetings, in-services, and trainings as scheduled.3. Will be available to work up to four evenings per week.4. Conducts self in a professional manner at all times. Presents self as a healthy role model to staff and clients of the agency as well as to the general public.5. Performs other duties as requested by the Executive Director, the Business Manager, or the Clinical Director.
