Startel Secure Messaging Plus

This document describes how to configure and use the Startel Secure Messaging Plus (SM+) application to ensure the privacy and security of messages exchanged between Secure Messaging Plus subscribers, and, in a Startel system, between agents and qualified handheld devices.

At the time of this writing, Secure Messaging Plus is supported for Apple handheld devices running iOS 7.1 or higher (iPhone®, iPad®, or iTouch®), and AndroidTM devices running Android 4.0.3 Ice Cream Sandwich or higher. AndroidTM 4.1 Jelly Bean or higher is preferable for better performance.

WHAT IS STARTEL SECURE MESSAGING PLUS?

Secure messages can be sent or received by logging into a Startel Secure Messaging Plus Website, or by using a qualified Apple® or AndroidTM handheld device running the Startel Secure Messaging Plus App. (To exchange secure messages between handheld devices, both devices need to have the SM+ App installed.)

Secure Messaging Plus can be used independently of the Startel CMC system. However, when integrated with a Startel CMC, Secure Messaging Plus messages can also be exchanged with agents via the Startel Agent Interface application. When messages are exchanged with Agent Interface, subscribers have the benefit of communicating directly with the agent to confirm or request additional information. They can also “file” messages directly from their device or through the SM+ Website.

Startel Secure Messaging Plus (SM+) is a High-Security messaging system that allows subscribers to exchange sensitive information via messages that are encrypted in transit and at rest. Additional features, like Expiring Messages, Password Requirements, and Remote Wipe, add extra security to ensure that private messages always remain private.

SYSTEM REQUIREMENTS• For CMC: CMC 12.2 build 1227 or higher.

• For Apple SM+ App: Apple iPhone, iPad, or iTouch, iOS version 7.1 or higher.

• For Android SM+ App: Android device running Android 4.0.3 Ice Cream Sandwich or higher, or Android 4.1 Jelly Bean or higher (preferable for better performance).

• For SM+ Website: Chrome, Internet Explorer 11 or higher, or Firefox.

Key SM+ Features & Benefits

FEATURE BENEFIT

Encrypted Messaging Messages and attachments are safely encrypted on servers, devices, and in transit.

Message Expiration Senders have the ability to determine when a sent SM+ message expires. Messages can expire when marked by the reader as read or filed, or in a selected number of days. Messages that do not have a defined expiration date will expire within a defined default period (not to exceed 30 days).

Password Protection Expiring passwords and forced lockouts help protect a user’s data and account.

Multiple Device Support SM+ can be registered on up to 3 handheld devices (smartphones and tablets) per subscriber. It can also be accessed via the Internet.

Multiple Operating System (OS) Support

SM+ is compatible with the latest versions of AndroidTM and iOS® (iPad®,iPhone®, iTouch®).

Support for Image and Audio Attachments

SM+ messages can include image and audio attachments.

Remote Wipe Capability If an SM+ registered handheld device is lost or stolen, a Wipe command can be issued from the Web to remotely erase all SM+ App data stored on the device.

Message Status Tracking Subscribers can track when a message from their device was sent, viewed, read, and filed.

Detailed Reporting Real-time reports on subscriber usage can be run by both subscribers and SM+ Administrators.

Full Audit Trails When SM+ is used in conjunction with a Startel CMC system, messages are fully tracked and archived.

Accessibility SM+ messaging is easily accessible using a Web browser, Apple® handheld, or AndroidTM handheld running the SM+ App.

Privacy Policy Startel does not disclose, sell, or distribute users’ personal information to any third party.

SECURE MESSAGING PLUS SET-UPTo fully implement Startel Secure Messaging Plus, a number of simple set-up procedures must be performed—some by an SM+ Channel Partner or Sub Company Administrator, and some by SM+ subscribers.

SM+ Channel Partner Administrator accounts for the SM+ Website are set up by Startel upon signing up for the service. Instructions for performing additional set-up procedures are provided in the topics that follow:

Installing the SM+ App on an Apple® or AndroidTM Handheld (page 18)

NOTE: When SM+ Messaging is NOT integrated into a Startel CMC System, configuring SM+ device information in Client Maintenance is NOT required.

Secure Messaging Plus Website Users

A Secure Messaging Plus Website is central to Secure Messaging Plus. The SM+ Website can be used by three types of users: Subscribers, Sub Company Administrators, and Channel Partner Administrators.

What you can do, and the options available to you in the SM+ interface, differ depending on which type of SM+ user account you have.

• SM+ Subscribers can use the SM+ Website to send, retrieve, and manage their own SM+ messages. They can also make changes to their SM+ account settings, edit Contact details, and run reports on their message history.

• SM+ Sub Company Administrators can do everything subscribers can do, but they can also add and manage SM+ subscriber accounts for their own company or group. They are also able to run reports associated with one or more subscribers in their group.

• SM+ Channel Partner Administrators can do everything SM+ Sub Company Administrators can do, but they can also add and manage all subscriber accounts, including SM+ Sub Company Administrator accounts. They are also able to run reports for one or more SM+ subscribers for whom they provide service (including reports that can be used for billing).

Note: Only Startel can create Channel Partner Administrator accounts.

If you are an SM+ Sub Company or Channel Partner Administrator, see page 9 for details on how to add SM+ accounts.

Adding SM+ Subscriber Accounts

If you are an SM+ Channel Partner or Sub Company Administrator, you can create and manage SM+ Subscriber accounts. An SM+ Subscriber account must be set up for each SM+ user who will use Secure Messaging Plus.

Follow these steps to add SM+ Subscriber accounts:

1 Go to the SM+ Login page using the URL: https://secureplus.startel.com.

2 On the login page, enter your Channel Partner/Sub Company Administrator User name and Password.

3 Click to access the SM+ Website:

4 Click Users on the SM+ menu bar.

The Password field is case sensitive; the User name field is not.

Now a Users page opens, listing any users who have already been added.

5 To add a new user, click to display a page like the following.

6 In the New User screen, configure settings as described in the following table.

7 When you’re finished, scroll down and click .

New User Settings

Setting Instruction

User name Enter the User name that the subscriber will use to login to the SM+ Website and/or SM+ App (for example: john smith, or [email protected], or 9495558796).

Notes:

This value is NOT case sensitive. That is, any letter case can be used when logging in to the Website or App, no matter how it’s entered here.

User names must be unique among all names in the SM+ service. Consider using email addresses or phone numbers as User names.

First name Enter the subscriber’s first name.

Last name Enter the subscriber’s last name.

Display name Enter the name that should represent the subscriber when he/she exchanges messages with other subscribers.

Email address Enter the subscriber’s email address.

Account Number Enter the account number associated with the subscriber.

POLICY SETTINGS

Disabled Select this checkbox if you want to disable a subscriber account.

Maximum log on attempts

Enter a number to indicate how many unsuccessful login attempts should be allowed before the subscriber will be locked out of the account. (See Account lockout time.)

Device limit Enter a number to indicate how many devices the subscriber should be allowed to register using the SM+ App (maximum, 3).

Note: SM+ messages for a subscriber are synchronized between all of their registered devices and the SM+ Website.

Account lockout time (minutes)

Enter a number to represent how long (in minutes) the subscriber should be locked out of the SM+ Website if he/she exceeds the specified Maximum Log on attempts.

Web session inactivity time (minutes)

Specify how many minutes of inactivity on the SM+ Website should be required before the subscriber will need to log in again to resume activity.

Expire message Expire message settings control when messages that are sent by the subscriber are expired if the message sender or receiver does not manually expire them from the SM+ Website or handheld device.When a message is expired, it is permanently removed from all handheld devices (both sender’s and receiver’s), from the SM+ Website, and from the SM+ database.

Two checkboxes are available: On read, and On file. You can select one, both, or neither.

• Check the On read checkbox if you want messages sent by the subscriber to be expired when they are marked as Read by the message receiver.

• Check the On file checkbox if you want messages sent by the subscriber to be expired when they are Filed by the message receiver. (This setting applies to messages sent from Agent Interface or to another subscriber. Messages filed by an agent will not affect a subscriber’s messages.)

Notes:

Settings configured here are default settings that the subscriber can change, if necessary, when logged in to his/her SM+ account.

Expiration preferences can also be set on a per message basis. See page 25 for details.

Max message expiration time

Under this heading, specify a default expiration time—expressed using any combination of Days, Hours and/or Minutes (not exceeding 30 days)—for sent messages that are not expired by other means (on read, on file, or manually).

Password management

Do the following under the “Password management” heading to configure Password settings for the subscriber:

1 Select ONE of the following:

• Select No restrictions on using previous passwords if the subscriber should be able to specify a previously-used password if prompted to choose a new password.

• Select Cannot use previous number of passwords (0 = no restrictions) if you want to prevent the subscriber from using recently-used passwords if prompted to choose a new password. Then enter a number. For example, enter 2 if the user should not be able to use the last two passwords that were used. Enter 5 if the user should not be able to use any of the five last-used passwords, and so on.

2 Do ONE of the following:

• Select Passwords are valid forever if you NEVER want the subscriber’s password to expire.

• Select Passwords expire every number of days (0 = forever) if you want the subscriber’s password to expire after a defined period. Then enter the number of days after which the password should expire.

3 To set the password for the user, make sure the Set password checkbox is checked. (It is checked by default.) Then type the desired password in both the Password and Confirm Password fields.

4 Notice that the checkbox labeled Password must be changed at next log on is checked by default. When this option is checked, the user will be required to change the password upon logging in for the first time. If you do not want to force the user to set his/her own password, clear this checkbox.

Editing and Deleting SM+ Subscriber Accounts

Once an SM+ Channel Partner or Sub Company Administrator has added a subscriber account, the account can be reopened for editing by simply clicking on the User name in the Users list. If necessary, an SM+ Channel Partner or Sub Company Administrator can also delete a subscriber account (and the subscriber’s messages) by simply clicking the associated feature.

If a subscriber is deleted from the Users list, any SM+ messages that the subscriber may have had on his/her handheld device will be automatically removed. (The subscriber will need to manually remove the SM+ App from the handheld.)

NOTE: Subscribers can edit some of their own Account information using features on the SM+ Website or the SM+ App on a handheld device. See page 31 for details on editing from the Website. For information on editing on the handheld, refer to the SM+ User’s Guide for the Apple or Android handheld device.

Adding SM+ Companies and Sub Company Administrators

If you are a Startel Channel Partner Administrator, you can create and manage SM+ Companies and Sub Company Administrator accounts. A user with a Sub Company Administrator account will be able to add and manage SM+ Subscriber accounts associated with his/her own company or group.

Follow these steps to add a Company and Sub Company Administrator:

1 Login to the SM+ Website using your Channel Partner Administrator User name and Password.

The Startel Secure Messaging Plus Website opens:

2 Click Companies on the SM+ menu bar.

Before You BeginTo perform this procedure you will need an SM+ Channel Partner Administrator User Name and Password (provided by Startel Corporation).

A page like the one shown below opens, listing any “sub companies” that have been added, if any.

3 Click to open a page like the following:

4 In this page, fill in the Company name field with the company or group name.

5 Make sure the Set Password checkbox is selected. Then define a User Name and Password for the Sub Company Administrator.

6 If you want the Sub Company Administrator to select a different password the first time he/she logs into SM+, select the checkbox labeled Password must be changed at next log on. (This is checked by default.)

7 When you’re finished, click Save to save and return to the Companies screen, where the new company is now listed:

And note: The Sub Company Administrator associated with the company will now also be listed in the Users screen, as shown in the sample screen below:

Installing the SM+ App on an Apple® or AndroidTM Handheld

Secure Messaging Plus subscribers who want to use an Apple or Android handheld device to send and receive SM+ messages will need to download and install the Startel Secure Messaging Plus App from the Apple iTunes Store (for Apple) or Google Play (for Android).

When the App is located in the appropriate App store, it will look something like this.

To download and install the App, the subscriber simply needs to tap Free, and then, when presented with the option, tap Install to install the App.

Once the App has been downloaded and installed on the device, the subscriber will be able to use his/her Secure Messaging Plus User name and Password to Login and use the application.

Complete details on both installing and using the SM+ App on the Apple and Android handhelds can be found in the following documents:

These documents can be found on the Startel Partner Portal at www.startel.com/partner-portal-login.

Before the subscriber will be able to log in to the App on a handheld device, he/she will need to be supplied with an SM+ User id and Password.

Configuring SM+ Transport Information in Client Maintenance

If a Secure Messaging Plus subscriber is also a client or member associated with a Startel CMC system, an SM+ transport can be configured for the subscriber in the CMC Administrative Controls software.

• Transports for SM+ subscribers associated with a client are configured in the SMP(s) tab of the Client Maintenance Client Info element.

• Transports for SM+ subscribers associated with a member are configured in the SMP(s) tab of the Client Maintenance Members element.

Follow these steps to configure an SM+ Transport for a subscriber associated with a client:

1 Select in the Admin Controls Home page to launch the Client

Maintenance plug-in.

2 Select the appropriate client.

3 Select Client Info in the left pane of the Client Maintenance screen (under the Client Set-up heading).

4 When the Client Info screen opens, select the SMP(s) tab to open the SMP list screen:

5 Click (Add) on the Client Info toolbar.

NOTE: Member SM+ transports can also be configured in the Member Maintenance plug-in. When you configure an SM+ transport in the Member Maintenance plug-in, it is automatically added to the Client Maintenance Members element, and vice versa.

Note: To configure an SM+ transport for a member instead of a client, follow these basic instructions, but access the SMP(s) tab in Member Maintenance or in the Members element of Client Maintenance.

A dialog box like the following opens:

6 Configure settings as described in the table below.

7 When you’re finished, click to save and close, or

to save and then configure an additional SM+ transport for the client.

Setting Instruction

Description Enter a description for the SM+ Subscriber transport. For example, Dr. Hanson’s iPhone. This is what will identify the transport to the Agent who will send a message to the subscriber.

User Enter the subscriber’s SM+ User name.

IntelliForm Format If necessary, select the appropriate IntelliForm Format for the subscriber. As Displayed on Screen is selected by default. Additional formats will only be available if they’ve been added using the Client Maintenance IntelliForm Report Format element.

Send Client ID Select this checkbox if you want the Client ID to be the first line of the message that is sent to the Subscriber. (For example, Client: 1234)

Auto File Select this checkbox if you want messages sent to the SM+ subscriber to be automatically filed after the message is successfully transmitted.

Disable This checkbox, when selected, prevents a message from being sent to this SM+ subscriber transport from Agent Interface. This feature is useful if you do NOT want to remove a Secure Messaging Plus transport for a subscriber, but, instead, want to disable it temporarily.

Private for IntelliSite Select this checkbox if you want to designate the SM+ transport as one that will only be viewable on the IntelliSite by users who are authorized (in the IntelliSite Access Control plug-in) to view “private transports.”

Logging in to the SM+ Website

Follow these steps to log in to the SM+ Website:

1 Go to the SM+ Login page using this URL: https://secureplus.startel.com

2 On the login page, enter your SM+ User Name and Password. (Only the Password field is case sensitive.)

3 Click .

The Website opens to the Messages section. In the sample screen below, you can see that there is one unread message from a subscriber named Mary Scott.

See page 23 for information on exchanging SM+ messages.

Note: Note the orange “new message” banner at the top of the screen. No matter where you are in the SM+ application, a banner like this will appear if you have one or more new messages waiting.

Exchanging SM+ Messages

Follow these steps to send, read, and manage SM+ messages on the SM+ Website:

1 Log in to the SM+ Website (see page 22).

The Website opens to the Messages section. New messages from a particular subscriber, if any, are indicated by a blue number in parentheses. If a (1) is shown, one new message is waiting. If a (2) is shown, two new messages are waiting, and so on.

Subscribers with whom you have exchanged messages are listed in the Recipient column. In this sample screen, there is one (1) new message waiting from sender Mary Scott.

2 Do ONE of the following in this screen:

In a Message Conversation page, you can read new messages, send a message, and see previously viewed and sent messages that have not yet expired.

You can also mark messages as read, file messages, and “expire” messages.

Major features are highlighted in this sample screen.

When a message expires, it’s removed from all devices as well as the SM+ Website and database.

Left-justified messages on a gray background are messages that were SENT TO YOU.

Right-justified messages on a blue background are messages that YOU HAVE SENT.

New messages that have NOT been viewed are shown in boldfaced text.

Messages that have been viewed are marked with the

icon.

Marking Messages as Read, Filed, and Expired Checking the checkbox associated with a message selects the message.

• Marking a selected message as Read lets the sender know that you have read the message. (This applies only to received messages.)

• Marking a selected message as Filed files the message.

• Expiring a selected sent or received message immediately removes the message from all locations, including the other party’s handheld device(s) and the SM+ database.

Send a Message

Note on Step 3If you do NOT indicate an expiration preference for a message, it will expire (be removed from ALL locations, including the SM+ database) per the Expiration settings that have been set up for your SM+ subscriber account (if it is not manually expired by you or the recipient). See below for details on manually expiring messages.

Follow these steps to send a message from the Message Conversation screen:

1 Type up to 1024 characters in the white text field at the bottom of the screen.

2 If you want to send an audio or image attachment with the message,

click , and then select the file you want to attach.

3 If you want to set an expiration preference for the message, do any of the following:

• Specify a date in the date field if you want the message to expire on a specific date. (Dates can be typed in, or selected from a pop-up calendar.)

• Select on read if you want the message to expire upon being marked by the receiver as Read.

• Select on file if you want the message to expire upon being filed by the receiver.

4 When you’re ready to send the message, click .

Expire Existing Messages

When a message is “expired,” it is removed from ALL devices containing the message, and removed from the SM+ Website and database.

You can expire both Sent and Received messages from a conversation.

Follow these steps to expire one or more messages:

1 Check the checkbox associated with each message you want to expire. (If you want to expire ALL messages in the conversation, select the checkbox labeled Select All.)

2 Click .

File Messages Received from Agent Interface

Messages received from Agent Interface can be filed from the Message Conversation screen.

To file one of more messages:

1 Check the checkbox associated with each message you want to file.

2 Click .

Notes:

If you apply the File feature to messages not sent from AI, the status of the message will be seen as Filed.

If you apply the File feature to a message that YOU sent, there will be no effect, but you will see a warning stating that sent messages cannot be marked as Filed.

Mark Received Messages as ‘Read.’

Received messages can be marked as “Read” to let the sender know that you have read the message.To mark one or more messages as Read:

1 Check the checkbox associated with each message you want to mark as Read.

2 Click .

Notes:

If you apply the Mark as Read feature to a message that YOU sent, there will be no effect, but you will see a warning stating that sent messages cannot be marked as Read.

Checking the Select All checkbox selects all messages in the conversation. If you use this checkbox, only messages that were received will be affected by the Mark as Read command.

Refresh the Page with New Messages

If one or more new messages are received from a sender associated with the open Message Conversation, you can see the message(s) by clicking

.

Go Back to the Main Messages Screen

To close the Message Conversation and return to the main Messages

screen, click .

Starting a New Conversation

Follow these steps to start a new conversation from the SM+ Messages screen:

1 Log in to the SM+ Website (see page 22).

The Website opens to the Messages section.

In the Messages screen, any current conversations are listed, with SM+ subscribers with whom you have exchanged messages listed in the Recipient column.

If any unviewed messages from a subscriber are waiting to be read, you will see a blue number in parentheses after the subscriber’s name. The number tells you how many unviewed messages are waiting.

Using the SM+ Contacts List

Any time you send a message to a new SM+ subscriber (that is, a subscriber to whom you have never before sent or received a message), the subscriber’s Contact information is automatically added to your SM+ Contacts list.

A new contact is also added to your Contacts list whenever you receive a message from an SM+ subscriber for the first time.

To open your Contacts list, you simply select Contacts at the top of the Secure Messaging Plus screen.

From the Contacts list screen you can:

• Click a User name to display Contact Details containing an input field where you can change the user’s Display name.

• Click the icon for a contact to view the current conversation with the contact, or start a new conversation if there is no conversation currently ongoing.

Note: There is no Add feature for the Contact list. Contacts are added automatically when you send or receive a message from a subscriber.

Updating SM+ Account Settings

Selecting Account Settings at the top of the SM+ screen displays a page where you can change various settings associated with your Secure Messaging Plus Subscriber’s account.

If you change Name settings, the changes are automatically applied to the Contact lists of other subscriber's whose lists include you as a contact.

The Device notification frequency setting determines how often the handheld will receive a notification for each message that is received until it is viewed.

Expiration SettingsExpire message settings affect when a subscriber’s sent messages are automatically “expired” if they are not manually expired by you or the message recipient using the Message Conversation Expire feature (see page 25).

• If you select the On read checkbox, sent messages are expired when they are marked as Read by the message recipient.

• If you select the On file checkbox, sent messages are expired when they are filed by the message recipient.

• Max message expiration time—expressed as Days, Hours, or Minutes—specifies a default expiration time for sent messages that are not expired by other means (on read, on file, or manually).

When a message is expired, it is removed from all handheld devices (both sender’s and receiver’s), from the SM+ Website, and from the SM+ database.

Using the Change Password FeatureSelecting Change Password from the Account Settings screen allows the subscriber to change his/her SM+ Password.

Using the Devices FeatureSelecting Devices from the Account Settings screen lists all the subscriber’s registered SM+ handheld devices.

Wipe and Delete options allow the subscriber to remotely wipe (remove) SM+ messages and attachments from any listed handheld, or delete the SM+ registration from a handheld (which also wipes the SM+ device).

• To wipe all SM+ data from a device, click Wipe. When a confirmation message displays, click Wipe again (or Cancel to cancel).

• To delete the SM+ registration from a device, click Delete. When a confirmation message displays, click Delete again (or Cancel to cancel).

NOTE: A “strong” password containing numbers, a special character, and both upper and lower-case letters is recommended.

NOTES: After using the Wipe command, logging in to the handheld SM+ App with

valid credentials will return wiped messages (that have not expired) to the handheld.

Performing a Delete does not uninstall the SM+ App from the handheld. An Uninstall operation will need to be performed separately.

If a user sends a Wipe command from the SM+ Website while also logged into the SM+ App on the handheld, messages and attachments are deleted from the device, and the user is logged out of the App. If a Wipe command is sent when the SM+ App is closed or the user is not logged into the App, the Wipe will execute on the handheld the next time the App is launched.

Running an SM+ Plus Report

Selecting Reports at the top of the SM+ screen displays a page from which you can run a Secure Messaging Plus report.

If you have an SM+ Channel Partner Administrative Account, or a Sub Company Administrator Account, you can run a report for any subscriber that you administer. You can run a report for a single subscriber, or any number of multiple subscribers.

If you have an SM+ Subscriber Account, you can run a report for your own user account.

Two types of SM+ reports are available: Detailed and Summary.

• A Detailed report shows you detailed information about when messages were sent, received, viewed, expired, etc. during a selected time frame. (Message text is NOT included in reports).

• A Summary report shows how many messages were sent and received by a user during a selected time frame.

See the topics that follow for more information on running reports.

Note: Expired message audit trails are included in reports, but reports do NOT show the text associated with those messages, or any messages.
