OPERATOR TRAINING

OBJECTIVES

Operator Training and forklift trucks – you can’t have one without the other. This

module focuses on the fundamentals of Operator Training. It will dispel many of

the myths you may have heard about Operator Training and will give you the

foundation you need to answer questions that your customers may ask you about

Operator Training requirements.

This module will present information pertaining to:

! OSHA’s revised powered industrial truck operators standard

! A definition of who must have Operator Training

! A definition of a qualified trainer

! A description of required Operator Training program content

! How often an operator must be evaluated to comply with OSHA standard

! Certification requirements

! Enforcement Statistics

! A Business Case Scenario to support Operator Training as a separate

business unit within the dealership

OSHA STANDARD

On December 1, 1998, the Occupational Safety and Health Administration

(OSHA) published a standard that revised the existing requirements and issued

new requirements to improve the training of powered industrial truck operators.

The standard, 1910.178(l), became effective on March 1, 1999. Full employer

compliance became mandatory in December, 1999. This new standard is

intended to reduce the number of injuries and deaths that occur as a result of

inadequate Operator Training. The powered industrial truck Operator Training

requirements will apply to all industries where trucks are being used, except

agricultural operations.

SCOPE OF STANDARD

The scope provisions of 1910.178(a), which are based on ANSI B56.1 – 1969, cover:

… fork trucks, tractors, lift trucks, motorized hand trucks, and other

specialized industrial trucks powered by electric motors or internal

combustion engines.

It does not apply to compressed air or nonflammable compressed gas-

operated industrial trucks, farm vehicles, nor vehicles intended primarily

for earth moving or over-the-road hauling.

This scope covers general industry, construction and shipyards.

REASON FOR NEW STANDARD Powered industrial truck accidents cause approximately 100 fatalities and 36,340

serious injuries in general industry and construction annually. It is estimated that

20 – 25% of the accidents are in part caused by inadequate training. 1

The previous OSHA standards required Operator Training but did not define the

type of training or authorization required. With the new regulations that took

effect in 1999, OSHA estimates that the new rule will prevent 11 deaths and

9,422 injuries per year.2

PERFORMANCE-ORIENTED REQUIREMENTS

Forklift Operator Training requirements are performance-oriented to permit

employers to tailor a training program to the characteristics of their workplaces

and the particular type of forklift operated. Hence the terms, “site specific” and

“truck specific” have become synonymous with the new regulations.

WHO MUST HAVE OPERATOR TRAINING?

Every potential operator must be trained to operate a forklift truck prior to using

one. This includes part-time operators, seasonal operators, substitute workers,

service technicians and, yes, even forklift sales people must be trained. Bottom

line is, if you operate a forklift, you must be trained.

It is the employer’s responsibility to ensure that each forklift operator is

competent to operate a forklift safely, as demonstrated by successful completion

of the training and evaluation specified in the OSHA standard. If an operator

operates more than one type of forklift truck, then training must address the

unique characteristics of each type of truck the employee is expected to operate.

When an attachment is used on a truck, the operator must have instruction on

how to safely operate the truck using that particular attachment.

Prior to permitting an employee to operate a forklift truck (except for training

purposes), the employer must ensure that each operator has successfully

completed the required training.

WHO IS QUALIFIED TO BE AN OPERATOR TRAINING TRAINER?

OSHA standard 1910.178(l(2)(iii) offers one sentence to describe a trainer’s

qualifications:

“All Operator Training and evaluation shall be conducted by persons who have

the knowledge, training, and experience to train powered industrial truck

operators and evaluate their competence.” It does not specifically list the type of

knowledge and previous training or number of years of experience a trainer must

have prior to teaching Operator Training programs.

Although attendance at a Train-the-Trainer program is not required, many

Operator Training trainers elect to participate in such sessions due to the

additional knowledge they gain from an experienced instructor. Hyster Company

offers a Train-the-Trainer program each year through the Aftermarket Training

Department. Trainers who attend the program become more familiar with the

OSHA standard, learn how to navigate through the Productivity in Motion CD,

participate in a hands-on application review of pre-shift checks, lift truck

operations, course layouts and operator evaluations. They also have an

opportunity to network with other trainers and to learn successful ways to market

their own Operator Training programs.

TRAINING PROGRAM CONTENT

OSHA stipulates that training shall consist of three things:

1. A combination of formal instruction (e.g. lecture, discussion, interactive

computer learning, video tape, written materials),

2. Practical training (demonstrations performed by the trainer and practical

exercises performed by the trainee), and,

3. Evaluation of the operator’s performance in the workplace.

TRUCK RELATED TOPICS

In 1910.178(l)(3)(i), OSHA spells out the truck related topics that make-up the

training program content:

! Operating instructions, warnings, and precautions for the types of truck the

operator will be authorized to operate;

! Difference between a forklift truck and an automobile;

! Truck controls and instrumentation: where they are located, what they do,

and how they work;

! Engine or motor operation;

! Steering and maneuvering;

! Visibility (including restrictions due to loading);

! Fork and attachment adaptation, operation, and use limitations;

! Vehicle capacity;

! Vehicle stability;

! Any vehicle inspection and maintenance that the operator will be required

to perform;

! Refueling and/or charging and recharging of batteries;

! Operating limitations;

! Any other operating instructions, warnings, or precautions listed in the

operator’s manual for the type of vehicle that the employee is being

trained to operate.

WORK-PLACE RELATED TOPICS

Work-place related topics appear under 1910.178(l)(3)(ii) and include the

following:

! Surface conditions where the vehicle will be operated;

! Composition of loads to be carried and load stability;

! Load manipulation, stacking, and unstacking;

! Pedestrian traffic in areas where the vehicle will be operated;

! Narrow aisles and other restricted places where the vehicle will be

operated;

! Ramps and other sloped surfaces that could affect the vehicle’s stability;

! Closed environments and other areas where insufficient ventilation or poor

vehicle maintenance could cause a buildup of carbon monoxide or diesel

exhaust;

! Other unique or potentially hazardous environmental conditions in the

workplace that could affect safe operation.

HOW OFTEN MUST AN OPERATOR BE EVALUATED?

A myth that often surfaces when people talk about Operator Training incorrectly

states that annual training is required. That’s just not true. Another

misconception involves the assumption that the operator must take a test to

secure an operator’s license. The standard does not require testing and does

not require employees to be licensed. Evaluation of an operator’s performance

can be determined by a number of ways, including a discussion with the

employee, an observation of the employee operating the forklift truck, written

documentation of previous training and a performance test. An evaluation of

each forklift operator’s performance must be conducted at least once every three

years, UNLESS, it is determined that the operator needs refresher training.

Certain conditions dictate whether or not an operator is required to take refresher

training. Refresher training is required if:

1. The operator has been observed to operate the vehicle in an unsafe

manner, or,

2. The operator has been involved in an accident or near-miss accident, or,

3. The operator has received an evaluation that reveals that the operator is

not operating the truck safely, or,

4. The operator is assigned to drive a different type of truck, or,

5. A condition in the workplace changes in a manner that could affect safe

operation of the truck.

CERTIFICATION REQUIREMENTS The employer must certify that each operator has been trained and evaluated as

required by the standard. The written certification record must include:

1. the name of the operator;

2. the date of the training; or evaluation;

3. the identity of the person(s) performing the training or evaluation.

Employers who evaluate an operator’s performance more frequently than every

three years may retain the most recent certification record; otherwise, written

certification records must be maintained for three years.

ENFORCEMENT STATISTICS If you’re wondering if OSHA really enforces the new regulations, the numbers tell

it all. Between December 1, 1999, when the new OSHA standard went into

effect, and January, 2001, OSHA:

! Levied $1.5 million in fines for employer infractions of training rules;

! Issued 1,055 citations to employers;

! Determined there were 890 violations that posed a substantial risk of

death or serious physical harm;

! Conducted 63 inspections involving workplace fatalities from lift truck

operations.3

Forklift training compliance is serious business for OSHA and they want to make

it serious business for any employers who have forklift trucks and operators.

Although OSHA imposes fines on non-compliant employers, OSHA’s true

mission is to reduce forklift related deaths and injuries through safety conscious

training. As a forklift dealer, you have a major opportunity to promote a program

that is in everyone’s best interest.

BUSINESS CASE SCENARIO

OPERATOR TRAINING – A CUSTOMER SERVICE OPPORTUNITY Per figures estimated by the Industrial Truck Association (ITA), there are

1,350,000 forklift trucks operating in the United States and Canada combined.

With that many trucks in operation, think of the number of operators who require

training and consider the market potential our dealerships have to provide

Operator Training classes and/or Operator Training materials!

Not long ago, we polled some of our dealers to find out the average cost per

person for Operator Training. The average training fee per person for a full day

training session is $116. The training typically consists of a half day of classroom

training followed directly by a half day of hands-on practical training.

Given a hypothetical scenario that suggests there may be as many as 20,000

forklift trucks in your sales region, if you could capture 10% of that market share,

your dealership has the potential for generating revenues that are close to

$260,000. This “what-if” scenario includes the assumption that the average

number of operators per truck is 1.5 and that 74% of the operators require

training. (That 74% figure came from the same dealers we polled regarding

average training fees.) The following chart gives you the same scenario in a

visual format:

Keep in mind that the revenue figure doesn’t take into consideration the

dealership expenses that are required to deliver the Operator Training program.

These expenses may be in the neighborhood of $55,000. The following chart

details a typical list of expenses.

Even after expenses are deducted from the revenue, a dealership has the

potential for making a gross profit in excess of $200,000 !!

You may look at that figure and say, “Yeah, but how do we actually get set-up to

deliver Operator Training?” That’s where we can help you out.

PRODUCTIVITY IN MOTION CD & VIDEO

Hyster Company has developed an array of Operator Training materials to

Motion, covers Class I through Class V and is available in CD or video format.

The CD kit is embedded with the Class I – V video and has an enhanced

comprehensive Class I through V training video tape, pre-printed, hard copies of

items featured in the video kit can be purchased separately, including the VHS

videotape.

PRODUCTIVITY IN MOTION CD

PRODUCTIVITY IN MOTION CD SYSTEM REQUIREMENTS As noted in the previous section, the Program Administration function of the Productivity in Motion CD training program was developed to help the trainer organize and store training data more efficiently. The leading-edge technology tools of the Program Administration component include features such as training session set-ups, test generation, and session tracking. These tools will ensure that the effectiveness of your trainer will be dramatically increased. Before getting started on learning how to use the CD Program Administration function, you should check to be sure your computer has the capability for running the CD program. The Productivity in Motion Operator Training CD requires the following minimum system configuration:

• Microsoft® Windows® 95, Windows 98 (first or second edition), Windows NT® version 4.0, or Windows 2000® operating system

• Personal computer with an Intel® Pentium® II 233 MHz or equivalent higher processor (Pentium II 350 MHz recommended)

• If running Windows 95 or 98: 32 megabytes (MB) of RAM (64 MB recommended)

• If running Windows NT 4 or 2000: 64 megabytes (MB) of RAM (128 MB recommended)

• 300 MB of free hard disk space (an additional 10 MB if Apple QuickTime player installation needed)

• Sound card with speakers (16-bit audio recommended)

• Super VGA monitor and adapter capable of displaying 16-bit color

• Microsoft mouse or other pointing device

• 24X CD-ROM drive for software installation only

• Apple QuickTime player version 3.0 or higher (if not found, the installation program will automatically install QuickTime player version 5)

Load the CD based on the Installation instructions that come with the CD kit.

USING THE CD PROGRAM ADMINISTRATION To start the Program Administration, click Start, point to Programs, point to Hyster, and then click Hyster Administration.

When the program opens, you will notice five tabs along the top of the window. Use these tabs to access the various sections of the program. The Welcome tab is also the opening tab, where you may also access the Help file. From the Session Setup tab, you can create and edit training sessions. The other tabs are: Groups and Trainees, Tests, and Reports. All of these functions are discussed later.

ENTERING TRAINEES AND GROUPS

The Groups and Trainees tab allows you to add trainees to the database and organize your trainees into groups, streamlining your session setup. Later, this will allow you to create reports on specific groups quickly and easily. When you come to the Groups and Trainees tab, you will see that the screen is broken into two major sections: one for creating and editing individual trainees and one for creating and editing groups of trainees. Above each window is a search field that can be used to find a particular trainee or group by entering a name in the field. For this program, Trainees are defined as all persons scheduled to be trained on one or more trucks. Groups are departments or designated areas of responsibility within a company for which training is to be conducted. Groups usually consist of two or more trainees.

FILTER FEATURE The search feature of the Groups and Trainees tab uses a filter system to function more efficiently. The filter system changes the list of trainees or groups so that only those trainees or groups who have the letters or name entered in the filter can be displayed. For example, if you entered the name Kevin in the Trainees Filter field, all trainees with “Kevin” somewhere in their name would be displayed. To display all trainees or groups, leave the Filter field blank. This is also a progressive search. As soon as you type "K", the list will show only trainees with a “K” anywhere in their names. After entering "Ke", the list will show only trainees with "Ke" in their names. By the time you have typed "Kevin", only trainees with the string "Kevin" somewhere in their names will be displayed.

Note that Edit Trainee and Delete Trainee are unavailable until you select a trainee. Similarly, Edit Group and Delete Group are unavailable until you select a group. To select a Trainee or Group, simply click on the Trainee’s name or Group’s name listed on the window.

TRAINEES

The left side of the window (Trainees) will list all the trainees that are currently saved in the database.

ADD A TRAINEE To add a new trainee to the list, click Add Trainee. The Trainee Editor window will appear.

Enter the information on that trainee. You may wish to use the trainee’s Social Security Number (SSN) as their employee number if none is available. For either the Trainee or Supervisor, you may enter up to 50 characters in the Employee Number, up to 20 for their Last Name, up to 10 for their First Name, and one for their Middle Initial. (The Record ID and Date Created are done automatically.) Note: An Employee Number is not required for the supervisor. When you are finished, click OK. This will save the trainee’s information in the program’s database. If you click Cancel, you will be asked to confirm that this is what you wish to do.

Click OK to quit the Trainee Editor window; click Cancel to return to the Trainee Editor.

EDIT A TRAINEE If you need to edit a trainee’s information, click on that trainee’s name to select it, and then click Edit Trainee. This action brings up the Trainee Editor window (shown above), which now contains the selected trainee’s current data. From this window, you can change important information about the trainee, such as the trainee’s name, employee number, supervisor information, etc. Click OK to save this information to the database. If you click Cancel, you will be asked to confirm that this is what you wish to do. This is the same as in the Add Trainee function. Click OK to quit the Trainee Editor window and lose all changes.

DELETE A TRAINEE To delete a trainee from the database, click on the name to select the trainee and then click Delete Trainee. You will be asked to confirm that you want to delete all information about this trainee from the database.

Click OK to delete the trainee; click Cancel to abort.

GROUPS

The right side of the window (Groups) shows a list of all groups stored in the database.

ADD A GROUP To add a new group to the list, click Add Group. The Group Editor window will appear.

Enter a name for your group, then select the trainees you wish to add to that group. You must enter a Group Name for your group before you will be able to save your group’s information. (The Group ID is done automatically.) When you are finished, click OK to save the group’s information to the database.

EDIT A GROUP If you need to edit a group’s information, click on that group’s name to select it, and then click Edit Group. This action brings up the Group Editor window (above), which now contains the selected group’s current data. From this window, you can change the group’s name and add or remove trainees to or from the group. Click OK to save the group information; click Cancel to exit without saving changes.

DELETE A GROUP To delete a group from the database, click on the group name to select that group, and then click Delete Group. You will be asked to confirm that you want to delete all information about this group from the database.

Click OK to permanently delete the group from the database; click Cancel to abort.

ENTERING SESSION INFORMATION

A session is a collection of training information about each group trained at a specific date and location. When you create a session, you collect information, such as the names of the trainees, the test template used, the trucks they will test on, and so forth into a single storage unit. The Program Administration allows you to create and track an unlimited number of sessions using either the CD-ROM or Video format. To set up or view a session, click the Session Setup tab. This tab gives you, the trainer, a complete overview of your training session. A list of sessions is in the Current Sessions box on the left. Information on that session, including general session information, the trucks and attachments associated with that session, and the groups and trainees assigned to that session, is on the right. Click a session name to select it, and the information will appear on the right in the General Information, Trucks, and Trainees boxes.

Please note that all functions except New under Current Sessions are unavailable until you select a session.

NEW SESSION To set up a new training session, click New in the Current Sessions box. New session information similar to that shown in the figure below will appear in the General Information box. As this is a new session and no Trucks or Trainees have been assigned, these boxes are empty. Let’s begin by filling in the General Information on this new session.

Enter a session name for the training session you plan to give in the Session Name box. Sessions can be named anything, but something logical will probably be most beneficial. In this example, we called our session “Employee Orientation”, as this briefly describes the training session. If you are using this program as part of a training program for more than one company, you may wish to enter your company’s name here. Select the planned training date from the Session Date calendar. This box is automatically filled in with the current date. If the training session will be given on a different date, select it instead. See the figure below.

Next, enter the Company Name and Department Name of the company being trained in their respective areas. Now select the Training Format, either CD-ROM (the default) or Video. To complete your session’s General Information, select the training template you will use for the training from the Training Template list. You must select at least one training template in order to add trucks to your session. The program is shipped with the following training templates installed:

• Basic Module (Class I – V) – this is the default selection

• Class II

• Class III

• Container Handling When you are finished, click Update Info to add your new session’s general information to the program database. You must click Update Info or all of your session’s general information will be lost. Here is our finished session’s General Information section.

Although your new session’s general information is now complete, we need to add trucks and trainees to make this a complete training session. Adding trucks and attachments to your session and assigning trainees and groups to a session will be covered shortly.

EDIT SESSION If you wish to edit a training session, select it from the Current Sessions list, then click the box under General Information that you wish to edit. When you are finished, click Update Info to add your new session to the program database. Be sure to click Update Info, because if you forget to do so, all of your session edits will be lost. Note: The program will not allow you to delete a Training Template if there are

trucks of that class still listed in the Trucks section. You will see a warning that you must delete all trucks of that class before you can delete that template and select another. Once you select another template, click Update Info before adding trucks or you will revert to the previous template selection.

ADDING TRUCKS TO YOUR SESSION Now it is time to add the lift trucks you plan to use in your training. Using our sample session from Entering Session Information, let’s add trucks and attachments to this session.

Trucks with attachments are indicated by a + sign in a box next to the lift truck icon and truck name. You may view the list of attachments by clicking the + sign to the left of that truck’s icon and name. Collapse the list by clicking the - sign next to that truck’s icon and name.

ADD TRUCK If you are creating a new session, the Trucks box will be blank. To add a truck to the list of assigned Trucks, click Add Truck. This will open the Add Truck window.

The Session box will indicate the name of the currently selected session. Using the arrow to access the drop down menu, choose a truck from the Add Truck list. When you are satisfied, click OK; click Cancel to exit without adding a truck. When you select a truck, the Class is automatically assigned for you by the program. Note that if a particular truck is not on the menu, you have the option to select Other as your truck type. If you do so, the Other Truck window will open, allowing you to specify the type of truck.

Under Truck Name, enter the truck type and click OK; click Cancel to exit without adding a truck type. Once you have entered a truck name, you will be returned to the Add Truck window. Select a Class for your truck and click OK; click Cancel to exit without adding a truck. Note: When adding a truck type designated as Other, it will be available for this

and all future sessions.

DELETE TRUCK To delete a truck from your session, select the name of the truck you wish to delete in the Trucks box, and then click Delete Truck.

Click Yes to confirm that you want to delete the truck from your session; click No to cancel.

In addition, when deleting a truck type designated as Other, you will be asked to confirm that you wish to completely remove it from the database if this truck has no other references to it in the database. Click Yes to remove it completely from the database and all future sessions; click No to delete it from this session only.

ADD ATTACHMENT If the trucks indicated for training have attachments, you should add them now. Click a truck to select it, then click Add Attachment.

The Session box will indicate the name of the currently selected session. Choose an attachment from the Attachment menu and click OK. You will see that the attachment has been added to the truck. Please notice that one option is to select None from the Attachment menu. You may add more than one attachment per truck if applicable to your situation. In addition, you may add different attachments to two or more of the same type of truck.

DELETE ATTACHMENT To delete an attachment from your session, select the name of the attachment you wish to delete from the truck in the Trucks box, and then click Delete Attachment. Click Yes to confirm that you want to delete the attachment from your session; click No to cancel.

ASSIGN TRAINEES AND GROUPS TO A SESSION Complete your session setup by adding the groups and trainees you plan to include in your training.

DELETE GROUP FROM A SESSION To delete a group from your session, select the name of the group you wish to delete from the groups in the Trainees box, and then click Delete Group.

Click Yes to confirm that you want to delete the group from your session; click No to cancel. Note: Deleting a group also deletes all trainees assigned to that group. The program automatically saves your session data to the database as you enter it, so there is no need for a separate save function. At this point, you have completed your session setup. Congratulations!

TESTS

The Test tab allows you to set up the tests you plan to use. You may create and administer as many tests as needed, which are generated from a large database of approved questions for each training template. The program will also generate answer keys that can be printed for assistance in grading. Once the tests have been graded, you may add the trainee’s scores into the program for tracking and report generation.

The first thing you need to do here is select a session from the list at the top. None of the functions will be enabled until you select a session. Here, we selected our “Employee Orientation” session.

Once you select a session, any previously created tests will be shown in the Tests list. Click Make Test to create a new test from scratch. If you wish to review the scores of an existing test, select the desired test from the Tests list. The program will then display a list of the trainees assigned to that session and their test scores on the right.

MAKING A NEW TEST To create a new test, click Make Test. The Make Test window will appear.

Enter the name of the test in the Name box, then select the number of questions you would like to use in your test. The window will indicate the available number of Multiple Choice and True/False questions stored in the database. Type or select the number of Multiple Choice questions you would like to ask on your test, then the number of True/False questions. Your test may consist of only multiple choice questions, only true/false questions, or a combination of both. Note: You cannot assign more questions than are stored in the database, nor

can you assign the entire database to one test. When you have finished creating the test, click OK. You will not be able to create your test until you have completed both of the following:

• Entered a name for your test

• Chosen at least one multiple choice question or at least one true/false question

In short, every test must have a Name and at least one Multiple Choice or one True/False question, or a combination of the two question types.

Here, we created a test called “Practice Test” with five multiple choice and five true/false questions. Once you have created a test, you will probably want to print copies for distribution before you begin the training session. See View Test and View Key below for instructions on how to print your tests. Note: The program does not offer you the capability to “pick and choose” test

questions by design. The program chooses test questions strictly at random.

DELETING A TEST If you need to delete an old or unwanted test, select that test’s name from the Tests list and click Delete Test. Click Yes to confirm that you want to delete this test; click No to cancel.

VIEW TEST AND VIEW KEY Here you may view a test or key before you print it. Select a test from the Tests list and then click View Test to view the test or View Key to view the test key. The test will appear in its own window. If you are viewing a test key, the correct answers will appear in bold print.

Buttons along the top of this window allow you to print the test, zoom in and out, and move forward and backward through multiple pages.

In addition, you may use the mouse to zoom and scroll. Hold down the SHIFT key, then use your left and right mouse buttons to go to the next or previous pages. Hold down the CTRL key, then use your left and right mouse buttons to zoom in or out of the page. You may also resize this window as necessary. In addition, if you click and drag anywhere on the test or key, you can move around within the window, allowing you to pan around the test or test key to see the entire item.

TRACKING TEST SCORES Enter the test scores here so you may track your trainee’s progress.

You may have noticed that all of the trainee’s names have a red background. This indicates visually that no score information has been entered for that trainee. The names will appear with a white background once you enter test score information for that trainee. A blue background indicates the name of the currently selected trainee. To begin, you must first select a session from the list at the top if you have not already done so. Next, select a test from the Tests list. All trainees assigned to that session will appear in the Scores list.

INPUTTING OR EDITING TEST SCORES To input new scores or edit existing test scores, select a trainee from the list of trainees assigned to the selected session. You will need to input the following information for each trainee:

• The Reason for the training (select from the list):

• New Operator (the default)

• Three-year Evaluation

• Refresher - Improper Operation

• Refresher - Near Miss or Accident

• Refresher - Unsatisfactory Evaluation

• Refresher - New Equipment

• Refresher - Change in Workplace

• The number of Times Evaluated (1 to 99) for that trainee

• The trainee’s Test Score • Whether the test was Oral or Written (the default is Written)

When you are finished, click Update so your changes are saved to the database. Repeat this process for each trainee. Note that the program will not let you enter a score that is greater than the possible score. For example, if you have 10 questions on your test, the highest score you may enter is 10. This is also indicated under Possible. The Percentage information is automatically calculated by the program. Here is an example, using our Employee Orientation session.

REPORTS

CREATING AND PRINTING REPORTS Creating reports is one of the most valuable and powerful aspects of the Program Administration. You can create a report on any session and then print certificates and wallet cards.

To begin, specify a session you would like to report on from the Sessions list at the top. Until you do, the program will default to <Select a Session> and none of the buttons will be enabled. If the session information is incomplete, you will be unable to view or print the wallet cards or certificates. Be sure you have completed all information, including the test scores and reason for training for each trainee in the session.

THE PRINT PREVIEW WINDOW All items here are also displayed in a print preview window. (This window is shown separately for Outline, after clicking Print.) As with View Tests and View Key, buttons along the top of this window allow you to print the test, zoom in and out, and move forward and backward through multiple pages.

In addition, you may use the mouse to zoom and scroll. Hold down the SHIFT key, then use your left and right mouse buttons to go to the next or previous

CERTIFICATES A certificate is the trainee’s diploma for satisfactorily completing the training session and evaluation. The trainee’s name, date, company name, and department are automatically filled in with the appropriate training session information. On the certificates, there are blank spaces for the instructor’s and supervisor’s signatures, as well as spaces for the instructor to specify what trucks were included in the training.

Clicking Select All selects all trainees, whereas Clear All removes the selection for all trainees for the session. Invert inverts your selection. If you want to update your print preview window in the Certificates area, click Refresh. If you wish to use the existing pre-printed certificates as provided in the Video format program, select the Use Pre-Printed Certificates box before printing. WALLET CARDS The employer may be given wallet cards to issue to the trainees once they have satisfactorily completed a lift truck Operator Training course. The trainee’s name, company, and department are automatically filled in with the appropriate training session information. Blank spaces are available for the employer-authorized signature, trainee’s signature, the date, and the employer’s training report date. Wallet cards print eight to a page, which can be printed on any weight paper or 8.5-by-11-inch cardstock and cut into individual cards. If you wish to print the cards on pre-cut stock, the cards are formatted to fit on Avery® Name Badge Inserts #5390, available at most office supply stores. Be sure to consult your printer’s manual for the type and weights of paper it can handle.

• Session Date

• Training Format used

• Training Templates used

• A list of all trucks and attachments

• A list of all groups and trainees In addition, each trainee is listed individually by name with the following information:

• The name of the tests included in the training session

• The reason for the training

• How many times they were tested

• The maximum possible test score

• The percentage of correct answers

When you click Export, the information may be exported as a Rich Text Format (RTF) file or as a Portable Document Format (PDF) file, selected from the Save as type list. The RTF file can be opened in a word processing program, keeping the formatting intact. A PDF file can be printed, sent by e-mail, or posted to the Internet, but cannot be easily altered. Adobe Acrobat Reader (available free from http://www.adobe.com/products/acrobat) is required to view or print a PDF file.

We strongly recommend you print a report on each session.

PROGRAM ADMINISTRATION SUMMARY

That pretty much does it for mastering the Program Administration function of the Productivity in Motion CD. Like any new software program, the procedures for using the Program Administration may seem complicated at first. But, the more you use the program the easier it gets. The best way to learn the program is to begin at the beginning and to move through the instructions, slowly, in a step-by-step fashion. The key to successful mastery of the program is practice, practice, practice.

When you actively sell Operator Training be sure to include these benefits in your sales pitch. If you do your homework, you shouldn’t have any trouble convincing your customer to allow you to handle all their Operator Training needs. And if you satisfy your customer by fulfilling their Operator Training needs, you’ll have more opportunities to get your foot in the door to pursue other selling situations, such as parts and service agreements. The benefits you give your customer will return to you in the form of additional revenue to your dealership and will also give you a sense of personal satisfaction for having met OSHA guidelines and for making an impact in the reduction of future forklift accidents.
