Your payment transactions – Now and in the future

SEPA – Single Euro Payments AreaThe migration period for the payment transaction systems that were in effect to date for mass payments transacted in EUR will end on 31/01/2014 for all European countries in which the euro is the official cur-rency (in 2016, this will also apply to non-euro countries).

For us in Germany, and in particular for companies, this means that •  You can no longer submit files for transfers and direct debits in the DTA data media exchange format;

the only files that will be accepted after the migration end date are XML format files,•  You will need both the IBAN and BIC when making payments in EUR,•  You will be able to use debit notes only in combination with the new SEPA process•  … etc.

We have compiled the following directive to guide you through the migration of your payment trans-action processes. The mandate status and sequences must be updated for mandate managementThe return handling processes, collection notices and other collection processes have to be adaptedUse of the electronically accessible return information as a so-called pain.002 (file)

In conjunction with SEPA, the direct debit related processes will change fundamentally. In order to be able to initiate direct debits, you will need a unique creditor identification number from the German Federal Bank and a mandate from the debtor. Mandates contain a lot more information than the current direct debits do (including a clear mandate reference). Before you initiate direct debits, you will have to inform the debtor by sending a pre-notification. The direct debit as such will no longer be due upon presentation. Instead, you will have to observe specific preliminary periods that apply to a fixed due date depending on the type of direct debit and sequence. Given the above, your debtor mandates will have to be managed in a structured manner.

Step 6aMigration/implementation of the basic SEPA Direct Debit/Core Direct Debit (similar to the current direct debit authorisation process; “Einzugsermächtigungsverfahren”)

F Debtor’s direct debit authorisation on hand

F It is not mandatory to obtain a new SEPA mandate. A migration of the existing direct debit authorisation is possible

In the case of a first time direct debit, the SEPA Core Direct Debit must be presented to the bank of the debtor no later than 5 days prior to the due date; in the case of a subsequent direct debit, 2 days prior to the due date (presentation deadline). To ensure this, the direct debit must be submitted to the executing bank in due time. Financial service providers have to be available for this process. Please make sure you always comply with the cut-off times for submissions (www.hvb.de/cutoff).

Step 6bMigration/implementation of the SEPA Business Direct Debit – direct debit B2B(similar to the current direct debit authorisation process)

F Direct debit orders from the debtor are on hand

F Obtaining SEPA business direct mandates

F Obtaining of a SEPA mandate is mandatory (migration is not possible)

F In this case, one additional point to observe is that the debtor must provide the creditor with the original and must also archive a copy of the former with the latter’s debtor bank for the verification of direct debits

Unlike the direct debit, the SEPA B2B or Business Direct Debit is permitted only between non-consumers. The presentation period for the initial and subsequent direct debit is generally one day. Financial service providers have the option to be available for this service. We recom-mend you check first whether the debtor’s bank has in fact implemented this process. Returns based on objections within 8 weeks are not possible. The mandate must be archived with the bank of the debtor, which will conduct a verification in conjunction with each direct debit. Please make sure you always comply with the cut-off times for submissions (www.hvb.de/cutoff).

Step 6cImplementation COR1 Direct Debit/direct debit with shorter preliminary periods (cross border use currently limited)

The presentation period for the initial and subsequent direct debit is generally one day. Financial service providers have the option to be available for this service. General availability of this service through financial service providers in Germany is scheduled for November 2013. Other SEPA countries do not offer a full coverage so far. However, it is necessary to verify whether the bank of the Debtor has implemented this process.. Given this situation, we absolutely recommend the implementation of the SEPA basic direct debit core DD. With the exception of the due date differences, the processes to be observed are identical with the core direct debit. Please make sure you always comply with the submission cut-off times (www.hvb.de/cutoff).16

The notification is archived along with the existing direct debit authorisation

Written information (format and communications channel at your discretion) sent to the debtor, which includes your credi-tor ID, the new mandate reference and the time of migration/ first direct debit. In this case, the date of notification will subsequently be considered the mandate execution date

If I submit a SEPA format, how do I avert the need to con-duct preliminary checks to determine whether a benefi-ciary bank is SEPA-enabled before I initiate a transfer?If a bank is not SEPA enabled, we will automatically convert your SEPA submission into a payment format the bank can accept.

How can I work around the requirement to constantly im-plement the latest SEPA format in my systems?In the German customer-bank format, UniCredit accepts all versions on behalf of you (you may have to check how other banks handle this).

A migration of DTE payments is not required: how can I nonetheless migrate my urgent payments (e. g. DTE) to the XML format now?Use our urgent XML payments using eBanking order type CCU, which will arrive at the beneficiary’s end on the same day.

How can I convert my DTA format payment transaction file into the SEPA XML format? In order to convert files that are in the current DTA format with account number and bank routing code into SEPA XML files with BIC and IBAN, use one of our eBanking products or our mandate management system.

Order types for your electronic accessYour electronic access of your UniCredit Bank AG accounts is already prepared for SEPA. In accordance with the existing authorisations, the users (user IDs) already in place have been assigned the following additional order types automatically or by your order.
