1. Prior to installing package, enable Chatter and Actions in Publisher & confirm My Domain is set

Chatter & Actions in Publisher are required for Match My Email package. Salesforce.com requires users of Lightning to set

My Domain in order to have access to custom managed apps and components. Click here for more about this

Salesforce.com requirement.

1.1. Navigate to Setup Home > Feature Settings > Chatter > Chatter Settings. Confirm for Chatter Settings at top that box is checked for Enable.

1.2. Scroll down on screen to Action in the Publisher section and confirm that boxEnable Actions in the Publisher is checked. If not, click Edit, check these boxes, and Save.

1.3. Confirm that My Domain is set by going to Lightning Setup Home > Settings >Company Settings > My Domain

1.4. If My Domain steps have been completed, the screen will appear as below. Proceed to step 2.0. If not completed, it is necessary to follow the instructions as presented by Salesforce.com. Please wait until steps are completed and domain is deployed to users before proceeding

2. Install MatchMyEmail Application Package in Salesforce.com

2.1. Click the following link or paste it into browser window:

*Those using Enterprise and Unlimited editions of Salesforce have the option of installing into Sandbox by using the

link below. If MME is to be deployed into production later, all steps will need to be repeated at that time.

2.2. Choose Install for All Users and click Install. If you choose Admins Only, you may have additional steps to expand package to other profiles in the future. It is best to Install for All Users now, and utilize permissions to control access.

In some cases, you may get a message that the install is taking a bit longer than expected to install. Simply click Done

and you will receive an email that the install is complete.

3. Proceed with Match My Email account setup

3.1. After install, you may see a screen with link to proceed with Match My Email setup. If the app took a long time to load, you will also have received an email message as is shown below. In either case, please use the Click Here link.

4. Match My Email Setup Wizard

4.1. Agree to Master Subscription Agreement and click Next. You can click the link to read or open in a new tab.

4.2. If you/your company is located within the European Union, please choose that option. Otherwise, choose the United States as location for your data storage and processing. Click Next.

4.3. In next step, click Allow to allow access to your Salesforce organization. This will establish you as the Match My Email Cloud Admin who will manage the overall account.

4.4. Choose the email provider of Office 365 Global Admin and click Next.

4.5. Upon jump to an Office365 sign in screen, please sign in to or choose the account of an Office365 Global Admin. The connection to Office365 is setup here and must be done using credentials for a Global Admin.

4.6. The next screen will list the permissions that Match My Email requires to connect and setup additional users. Scroll to bottom of list and click ACCEPT.

If difficulty is experienced with initial setup of Office365 using Global Admin credentials, you may need to delete/redo

the Email Service connection with steps via this link.

4.7. As the Match My Email Cloud Admin, you have a choice.

4.7.1. If, as the MME Cloud Admin, you only want to manage MME for other users and not match email from your own email account, delete out any choice so field is blank and click NEXT. Jump to 4.8.

4.7.2. Or, if you do want to import and match your email, use the drop down and choose your email address from the list and click NEXT.

4.7.3. Match My Email will automatically begin running the initial import. It will connect to default folder choices of Inbox and Sent Items and bring copies of message from last 24 hours into Email Cloud. As indicated, please wait for import to be done. Then click Next.

4.8. Match My Email account setup is complete. Click Finish.

You will jump to a view of Match My Email Cloud within Salesforce. Please proceed with steps for setting

up the app within your Salesforce organization.

Please note: Users that do not have Lightning Experience enabled for their organization, whether they are using it or not, may

see an error. This does not affect function of the app, but you will need to add the webtab manually via + and ‘Customize My

Tabs’ in Salesforce if it is desired.

5. For Enterprise & Unlimited Editions Only: Change Match My Email objects’ Page Layout

5.1. Go to Setup Home > PLATFORM TOOLS > Objects and Fields > Object Manager and click on the label Email Message where you see the API Name Email Message (MME__EmailMessage__c).

5.2. In left menu, click on Page Layouts and then click on Page Layout Assignment button top right.

5.3. On the next screen, click Edit Assignment.

5.4. On the left, click the top Profile name, hold the shift key down, and click the last Profile name to select all Profiles. For Page Layout to Use choose the 2nd option for UE/EE (Unlimited/Enterprise editions). Click SAVE.

5.5. Repeat these steps from 5.1 for Email Message Related Object.

6. Add Email Messages custom object to page layouts

These steps should be followed for each of the objects (Leads, Contacts, Accounts, Opportunities, Cases) being used in the

Organization. Some organizations may not use all of these objects. Below we begin with Opportunities.

6.1. Lightning Pages steps are here. For Salesforce Classic Users, refer to steps beginning with 6.2.

6.1.1. Go to Setup Home > PLATFORM TOOLS > Objects and Fields> Object Manager. Scroll to find Opportunity label and click on it.

6.1.2. On left sidebar, click on Lightning Record Pages. If you see a page listed as in screenshot below, click on that page name and jump to step 6.1.3. If you do not see pages listed, follow steps below to activate your Lightning Record Page first.

To activate your Lightning page, in this example Opportunity is used, go to your home menu and click on Opportunities. In the list, click any Opportunity name.

In viewing that Opportunity, click the Setup icon top right and choose Edit Page in menu.

First, it is necessary to Save the page. Click the Save button.

After saving page, a window will appear prompting activation of the page. Click Activate button.

In the window for Activation of record page, select the page and click SAVE.

Back in the record’s Edit Page screen, you will see the Activation button is now blue. Again, navigate to Setup Home

>PLATFORM TOOLS > Objects and Fields > Object Manager and click on Opportunity. In left menu click on Lightning

Record Pages, and as in the screenshot in 6.1.3, the newly activated page will be listed. Click on that name.

6.1.3. After clicking on the Lightning Record page name, on next screen click Edit button

6.1.4. On the left Lightning Components sidebar, scroll down to Custom-Managed and locate Email Messages. Drag it onto the page. A recommended position is inside the white Activity widget under Past Activity as shown in screenshot. Ignore the MME EM Helper component. Once placed, click Save, and wait until change is saved. Click Back button. For this same object, jump to 7.0 for additional and optional steps.

6.2. Salesforce Classic steps for Adding Email Message custom object to Page Layouts

These steps place a Visualforce component on object page layouts. This component is a custom object and is feature rich.

6.2.1. Click Setup in Salesforce (either next to username or in drop down menu). On left sidebar, in App Setup section (may be called Build section), click Customize > Leads (as an example) > Page Layouts.

6.2.2. Click Edit for the page layout used for Leads. Only one may be listed. For each of the page layouts used, Click Edit and perform the following steps.

6.2.3. Scroll under Fields and click Visualforce Pages. Click and drag Section down onto page below as desired. Often, users place it at bottom of green highlighted area. The green line guides placement.

6.2.4. Once placed, a Section Properties window will appear. For Section Name type in "Email Messages". Leave Detail page checked. Uncheck Edit Page. Click the button for 1-Column. Click OK.

6.2.5. At top, find the component MME Email Messages. Drag it down into the newly added section. A blue box will appear. Double click in the blue box (or click the wrench tool in the top right corner) to open properties.

6.2.6. In the Properties window, change Height to 400, check box for Show scrollbars and click OK. At top left of viewing area, click SAVE to save changes to page layout being edited.

Repeat steps from 6.2.1 for all page layouts that are used for each record type, and for all standard object types (Contacts, Accounts, Opportunities and/or Cases) that are used.

7. Optional: Add Mobile Cards for Email Viewing on Smartphones

7.1. In Lightning, still within Object Manager for Opportunity, in left menu click on Page Layouts. In list, for the layouts you use expand the drop down far right and choose Edit. If using Salesforce Classic, you are already in Page Layouts area.

7.2. In the top left of the viewing area, scroll under Fields to find Visualforce Pages and click on it. Options to the right will change.

7.3. Click on MME Mobile Email and drag it down into the Mobile Cards section. A dark green line will guide placement.

7.4. After placing, you will see the component as a blue box. Double click the blue box to open properties. Set height to 44 pixels and check the box for Show Scrollbars. Click OK.

7.5. Click Save at top left of viewing area. You will return to list of Page Layouts. Proceed to 8.0.

8. Optional: Convert to Match My Email’s Send Email button

Match My Email’s button will appear at top of screen when viewing email in Lightning and in bottom menu in Salesforce Mobile. It provides the ability to send, reply, reply all and forward email from within Salesforce and MME’s custom object.

8.1. For the same page layout in Lightning, click Edit again.

8.2. At top left, click on Mobile and Lightning Actions. If the Salesforce Mobile and Lightning Experience Actions section below does not already show items it contains, hover over grey area. It will highlight as blue, click the wrench icon to open the section for edits.

8.3. There may be several actions for Send Email. Hover over each to find the MME custom button indicated by MME in the name. Drag it into the Salesforce Mobile and Lightning Experience Actions section. We recommend placing first.

8.4. Click on any pre-existing Send Email and Send an Email buttons, one at a time, drag to the top Fields area to remove them. Click Save at top left to save changes.

8.5. Repeat steps from 6.1 for other objects (Lead, Account, Contact, and Case objects) used in Salesforce.

9. Optional Lightning Only: Turn on Email Messages tab visibility for desired profiles

The Email Messages (Lightning) tab will show a full list of all matches made into Salesforce records. It will only be visible and

available to profiles for which the setting is Default On.

9.1. Go to Setup Home > ADMINISTRATION > Users > Profiles and click on a profile name. (If you are unable to edit the profile this way, click Edit to left of profile name instead.)

9.2. Click on Object Settings within which Custom Tab Settings can be found. (This assumes the view is Enhanced Profile User Interface. If not, scroll down on screen to Custom Tab Settings.)

9.3. Find Email Messages (Lightning) in the list. The Tab Setting should be Default On. If it ishidden or Default Off, then click the label for Email Messages (Lightning). Click the Edit button and use change to Default On. Click Save. Upon returning to Profiles > (profile name edited) > Object Settings, the Tab Settings for Email Messages (Lightning) will reflect the change made

9.4. Repeat from step 9.1 for all desired profiles.

10. Add Match My Email tab to Navigation Menu

10.1. For Lightning, determine the Navigation Menu you use by going to your main Salesforce screen. Take note of the name top left. In this example, it is Sales. If using Classic, jump to 10.2.

10.1.1. Go to Setup Home > PLATFORM TOOLS > Apps >App Manager.In the APP Name column, find the correct line indicated as Lighting type and Active. Click the drop down far right and choose Edit.

10.1.2. Choose Select Items at top. In Available Items, scroll down to Match My Email. Select and click top arrow button to move to right. Click Save and then Done.

10.1.3. When you return to your main screen, you will now see Match My Email in the menu list. Clicking on it will automatically log you in to your account to view the Email Cloud.

10.2. In Salesforce Classic, Click the “+” sign on web tabs bar (at right of Home, Leads, …)

10.2.1. Click "Customize My Tabs" (button positioned in the right side)

10.2.2. Select "Match My Email" from Available tabs and use ">" to move to Selected tabs. Click SAVE.

11. Optional Lightning Only: Add Email Message (Lightning) to Salesforce mobile navigation

11.1. Go to Setup Home > PLATFORM TOOLS > Apps > Mobile Apps >Salesforce>Salesforce Navigation.

11.2. Move Email Message (Lightning) from Available to Selected on right. Click Save.

12. Recommended Best Practice: Add Ignore Rule in Match My Email Account for Internal Email Domain

While not required, we strongly recommend as a best practice that you add an ignore rule for an email domain. This is a

protective measure against unnecessary or unwanted matching of internal email into Salesforce.com records that might contain

employee email addresses.

12.1. In Salesforce, click on the Match My Email webtab. Click the Cog for settings and then More Settings.

12.2. Click on Ignores and click +New to add a rule.

12.3. Fill in the pop up window as follows and click SAVE.

For Address to Ignore: type email domain which is everything after the

@ symbol. In the example [email protected], the domain field

would contain acmecompany.com.

For Ignore Type: confirm Skip Address is showing.

For Direction of Address: click the button for Any

User to Apply to: choose All Users in drop down.

13. Optional: Adding Users to Match My Email Account

Cloud Admins can create for any Salesforce User an import from the User’s Office 365 account.

13.1. In Salesforce, click on the Match My Email option to open the interface. At top right, click the Settings icon and then More Settings

13.2. In left menu, click Users. From list of Users pulled from Salesforce, click on the User to be added. To the right, choose Email Imports, then click the + button to add a new import.

13.3. To the right, the details for the import will show. The email service as connection to Office365, the User’s account as the email address for connection and the folder options below. Automatically selected are Inbox and Sent Items, but these can be modified at this time. Click Create at top.

Within 20 minutes, Match My Email will begin to import and match for this user. The user can then sign in to Match My

Email by clicking the tab in Salesforce menu to view their portion of the Email Cloud.

This completes set up of Match My Email. For assistance with set up or for questions, contact [email protected].

If colleagues are unable to see matched email data, enable custom object permissions at the profile-level or adjust permission

set assignments at the user-level.
