1 Glossary of Terms
Term Description
Group Is an entity into which vehicle(s) are assigned through the administration suite. Viewing and reporting is performed at Group level. Individual vehicles can then be selected if required.
POI Points of Interest – this is a defined area, created as a circle or polygon by the user. Alerts and reports can be created based on entry/exit of a POI.
Idle Period of time when the vehicle engine is running but there is no vehicle movement being detected.
PDF Portable Document Format - A type of file that can be used to transfer information. The file size is usually very small and it has increased security as it will not allow the content to be easily edited.
CSV Comma Separated Values - file stores tabular data (numbers and text) in plain-text form and can be downloaded and used in applications such as Microsoft excel.
Assets Assets – These are components such as dallas tags, or driver tags which can be used to identify who is driving a particular vehicle.
GPS Global Positioning System (GPS) is a space-based satellite navigation system that provides location and time information in all weather conditions, anywhere on Earth where there is an unobstructed line of sight to four or more GPS satellites..

2 Introduction
This User guide is designed to aid the user through the key elements of the Silent Witness Tracking
Web Portal.
Silent Witness is an innovative solution that puts you (as a business) in control of managing your
vehicles and drivers in addition to monitoring driving behaviours, vehicle health and insurance. Our Telematics Portal is available 24/7 which allows real time access whenever you need it.
Whilst using this guide please keep in mind that many functions and features are dependent on
permissions and may differ from the screenshots provided. For example, when configuring a report the user may only see the date column if they have access to one group and vehicle, however, a user
with access to multiple groups and vehicles will see three columns (group, vehicle and date).
2.1 Site Structure
Dependant on the User Type and access rights that have been allocated, The below shows the portal menu along with the available options (dependent upon user permissions)
Available pages may include
Feature Description
Map Ability for the user to view vehicle(s) on a single map view. The vehicles which are displayed are initially selected via the groups hierarchy and if required the view can be tailored by selecting/de-selecting specific vehicles
Proximity Ability for the user to locate the proximity of vehicles within the selected group to an address entered by the user.
Today Provides for a single vehicle, key information that relate to the vehicle activity for TODAY. These include current location, details of current journey, speed summary and a list of all completed journeys
Reports A suite of reports that enable the user to report on key elements associated with their vehicle / drivers.
Admin Ability for the user/administrator to manage the administration elements of the system.

Available pages may include
Group Selection Allows you to select the group within the hierarchy to view the chosen vehicles
Vehicles
Shows the vehicles in question including:
Vehicle icon
Time last reported
Parked or in a journey along with the speed.
Any inputs that have been set.
Last known location.
Service ID (for administrator use only)
Assets Ability for the user to view driver tags that have been set e.g., temperature or Dallas.
POI’s Provides location based alerts when entering and exiting a specified location.
Order and select All vehicles in the chosen group can be selected or deselected or the selection can be inversed. The vehicles can also be ordered by Registration, street or vehicle type
Total Vehicles in group Shows the total amount of vehicles within the group selected.
2.2 User Types
There are 2 different user types, which can be allocated to a particular user
Type Description
Driver
This provides the user to view information for a specific vehicle (Driver). The available pages and reports are limited, but provide the relevant information to enable Driver Behaviour and Performance to be monitored.
Limited Administration rights may be assigned.
Fleet User
This provides the user with the ability to view and report on all allocated vehicles. A full set of pages and reports will be available.

3 Login Page
The web portal is accessed by using the following web address:
http://tracking.silentwitness.co.uk/
Once this has been navigated the following is displayed:
Enter your username and password. Once entered select the Login button.
If you have forgotten your username or password please contact the Silent Witness Support Team via
the following:

The support team can provide you with the original password or create a new one.

4 Page – Map [Fleet User]
When the Fleet User logs in, the initial (default) screen that is displayed will be the Map Page. Access
can also be gained by selecting the Map icon.
This will show the vehicles live location when your chosen group/vehicles have been chosen.
Initially NO vehicles will be displayed and the user will select the Group they want to view, this is achieved by:
Selecting the group here
The hierarchy structure is then displayed
From this list (structure), the user can select the group that they want to view. Once selected the assigned vehicles are then displayed
The user then has the option to select either Vehicles (displayed as default) POIs, or assets.

Display Vehicles
The user then has a number of options of how to select or view the required vehicle(s). The selection can be made from the top menu
The default selection is time with the vehicle with most recent update being shown at the top of the list. The page automatically refreshes every 30 seconds, this refresh can be paused by using the ,,
however by default NO vehicles are selected.
Individual vehicles can be selected by clicking on the vehicle information box within the vehicle list, as a vehicle(s) is selected the vehicle information box is highlighted in Blue
Additional vehicles can be selected / deselected by clicking on the required vehicle information box.
As the vehicles are selected / deselected the map automatically resizes to provide the highest
possible zoom level to display all selected vehicles. If multiple vehicles are selected at the same time then the map will zoom to an area which is less detailed in order to show the location of each vehicle.
Display POIs
Once the user has created a POI (via the admin option or from the GPS Journey report) it will be
displayed within the POI list (more details on setting up POI’s further in the document)
The user has all the choice to select the POI from the alphabetical tab selector or use the ? to show created POIs.
Assets
Once Assets have been set up by the administrator, they can be viewed in the assets tab.
Examples of assets are temperature sensors and Dallas fobs to show who is driving the vehicle.
This will pause the automatic refresh of the page (vehicle positions)
This will select ALL the vehicles that have been assigned to the selected group
This will clear the highlighted vehicle list
This will invert the selection, selected to deselect or deselect to select
This will sort by registration (Vehicle ID)
This will sort the vehicles by the date/time the last update was received
This is the number of vehicles in the selected group

4.1 Vehicle Information Box
Within the Vehicle Information there is key information relating to the vehicle
Direction of travel
Registration Vehicle ID (set within Admin)
Date and Time of last update
Current Location
Vehicle Icon (set within Admin)
Parked
Moving with current Speed
Idle
Temperature
Immobiliser
Automatic door locking feature
4.2 Map Navigation
Note: when a map refresh occurs then the map will automatically resize to the highest
possible zoom level for the vehicles selected. It is therefore recommended that the option is used if particular map activity is being carried out by the user. It can be very
frustrating when a specific location is found only for it to disappear when the next refresh occurs. Standard mapping tools are available to navigate the map along with a street view
option.
The zoom is set to ‘automatic’ as default which means that as you zoom in the view
automatically changes from Road View to Satellite view. The user can change this by selecting the different options in the top right hand corner.
In addition to these, the following options are available via your mouse:
Hold down the left Mouse button will allow the map to be moved
Double Click left Mouse button will zoom in
Scroll Button on the Mouse (if available) can be used to zoom in and out

5 Page - Reports
The Reports page can be displayed by selecting the Reports icon . In the table below there is a
small selection of the overall available reports that are most commonly used with a brief description
of its content.
The available reports are then displayed to the user; the required report can be selected by clicking on the description or icon.
Once the required report has been selected, a report generation screen is displayed.
5.1 Report Generation
All the reports use a standard generation process which involves:
Vehicle(s) selection
Initially NO vehicles will be displayed and the user will have to select the Group in which the vehicle(s) they want to report on is contained. This is achieved by:
Selecting the option. The hierarchy structure is then displayed:
From this list (structure), the user can then select the group in which the vehicle(s) they want to
report on is contained. Once selected the assigned vehicles are then displayed

As vehicles are selected, the count of the number of vehicles is incremented
Note: some reports can only be run for a single vehicle at a time, and a single day at a time
Date selection
The user has the option to select from the following default options:
o Today
o Yesterday
o Last Week
o This Month
o Last Month
o Custom – maximum of 31 days can be selected.
To set the custom date & time, click into the From and To boxes.
When selected a ‘pop up’ calendar is displayed
From this calendar the user can select the required date and time.
Once the date / time selection has been made, the to and from boxes are updated to reflect the
selection.
Distance selection
The user has the option to select from the following default options:
o Miles (Default)
o Kilometres (KM)

Generating the Report
Once the user has selected the required vehicle(s) and the date/time range, the report format option
is then selected. Once selected the report generation icon is then displayed
Report Format selection
The user has the option to select from the following default options:
o WWW – displayed as part of the web page
o PDF – displayed on a separate page as in pdf format
o CSV – option to save or view (via spreadsheet software [excel]) the report.
Note: some reports can only be produced in some of these formats
5.1.2 Odometer Report
Can be run for Multiple vehicles
This report provides the user with the start and end odometer readings and the distance travelled for the selected vehicle(s) for the selected date period as per below.

5.1.3 GPS Journey Report
Can be run for Multiple vehicles
This report provides the user with the start and end odometer readings and the distance travelled for the selected vehicle(s) for the selected date period. The first screen displayed shows the ‘high’ level detail for the vehicle(s)
At this point the user has a number of options to see more detailed information relating to a vehicle:
By selecting the down arrow, details of the journeys can be viewed,
By selecting the up arrow, details of the journeys are closed.
From this display the user can see the overview of each journey. The options available to the user are:
Use the Push Pin icon to set the start or end location as a POI. The user can enter a name and set a radius for the POI. We recommend a minimum of 200 metres
Use this icon to display the detail of the route in a pop up window. This is displayed as points on a map as well as a list of all the updates received from the vehicle. This is called a snail trail.
The scroll options together with the standard map tools (as described in the Map page) can be used so that the user
can view the required information.

5.1.4 Business / Private Mileage Report
Under the Business Private columns the user has the ability to flag a journey as Business or Private. All journeys are defaulted to Private and the user will need to change the status, if required, from Private to Business. This is achieved by selecting the icon and clicking it. This will change the flag
If errors are made, they can be changed clicking on the icon again.
The user will then have the opportunity to print the information relating to the Business or Private
Mileage.
Once the user exits from the report, the flag settings are saved. The user has the opportunity to subsequently go back and change the flag.
Use this icon to display the detail of the route in a pop up window, (snail trail) this is displayed as points on a map as well as a list of all the updates received from the vehicle.

5.2 Speed Limit Report
Can be run for Multiple vehicles
This report provides the user with a list of speeding events, these relate to where the posted speed limit has been exceeded. The first screen displayed shows the ‘high’ level detail for the vehicle(s)
At this point the user has a number of options to see more detailed information relating to a vehicle:
By selecting the down arrow, details of the journeys can be viewed,
By selecting the up arrow, the details of the journeys are closed.
The date/time and location of the speeding event together with the speed recorded by the vehicle with the corresponding posted speed limit.
Use this icon to display the detail of the speeding event in a pop up window, this is displayed as points on a map as well as detail of the location.
The option to print the details in the pop up window is available.
The scroll options together with the standard map tools (as described in the Map page) can be used so that the user can view the required information.

5.2.2 Over speed Report
Can be run for multiple vehicles
This report provides the user with a list of over speed events, when a specific speed has been selected as per below 75mph.
If you follow the steps, select the vehicle (s) you want to run this report on by clicking on them to make them blue and then select the date range at step 2. At step 3 select the speed you want to know has been exceeded, so in this case 75 mph. At step 4 you can choose if you want to see all journeys, or not, and then choose your desired format.
If you choose to include all journeys this is how it will be displayed, with the violations in red:
If you choose to not include all journeys it will purely show the violations, and will be displayed like this:

5.3 Late Start Report
This report works differently to all others as it defaults to select all vehicles within the selected group.
It is automatically run for the current week (starting on Sunday) and the user can select the required day (default is Today)
The screen is then broken down by time slots and displays the vehicles which had their first journey that started within the relevant time slot displays the vehicles that started within the relevant time slot (Ignition On)

5.4 Non Journey / Utilisation Report
This report works differently to all others as it defaults to select all vehicles within the selected group as a default.
The user is then presented with a list of vehicles that have not reported any information for 72 hours.

5.5 Time On Site
Can be run for Multiple vehicles and relates to the amount of time vehicle(s) have spent at a POI or Location.
This report provides the user with a list of vehicle(s) that have visited a selected POI.
Once the user has selected the vehicle(s) and date range the required POI must be selected from a drop down list. The option to select All Locations is also available.
The user has the choice to include/exclude from the generated report vehicles that have not visited the selected POI.
The first screen displayed shows the ‘high’ level detail for the vehicle(s)
At this point the user has a number of options to see more detailed information relating to a vehicle:
By selecting the down arrow, details of the journeys can be viewed
By selecting the up arrow, details of the journeys are closed
If the All Locations option is selected, the report will list ALL locations that the vehicle has visited (ignition OFF / ON). The date, Location, Arrival and Departure Time together with Time on Site is shown.
Where a POI is visited the POI Name is shown in place of the Location Address.

5.6 Daily
Can be run for Multiple vehicles
This report provides the user with a summary of the daily activity for the selected vehicle(s), this includes the start and end times (first & last ignition events), driving / stopped and idle times, distance and the number of stops made. The first screen displayed shows the ‘high’ level detail for the vehicle(s)
At this point the user has a number of options to see more detailed information relating to a vehicle:
By selecting the down arrow, details of the journeys can be viewed,
By selecting the up arrow, details of the journeys are closed.
5.7 Idling
Can be run for Multiple vehicles
This report provides the user with the detail of the journeys made and the amount of idling within each journey and also expressed as a %. The first screen displayed shows the ‘high’ level detail for the vehicle(s)
At this point the user has a number of options to see more detailed information relating to a vehicle:
By selecting the down arrow, details of the journeys can be viewed
By selecting the up arrow, details of the journeys are closed
The Start and End Locations are shown together with journey duration and the amount of idle time within the journey (hh:mm).
Use this icon to display the detail of the journey in a pop up window; this is displayed as points on a map as well as details of the location. The transparent arrow is used to identify where idling has occurred.

5.8 Driver Score
Can be run for Multiple vehicles – 1:1 relationship between Vehicle and Driver
This report allows the user to view the vehicle score and behaviour that is used to construct the score. This is available for individual vehicles. The elements that constitute the Vehicle Score are Acceleration / Braking / Speed Adherence / RPM and Idling. Improvement feedback will be displayed. The first screen displayed shows the ‘high’ level detail for the vehicle:
The detail of a particular vehicle score can be viewed by selecting the registration. This is displayed as a pop up window:
Use this icon to display the feedback for the particular event type.

6.0 Alert History Report
Crash Notification. The Alert history report can be run for multiple vehicles; you can only select a maximum range of 31days. If you select a
longer range, it will be automatically reduced. The type of Alert you wish to see can be selected under Alert Type:
5.9 Daily Finish Report
This report works differently to all others as it defaults to select all vehicles within the selected group.
It is automatically run for the current week (starting on Sunday) and the user can select the required day (default is Today)
The screen is then broken down by time slots and displays the vehicles which had their last Journey that ended within the relevant Time Slot (Ignition Off)

The Crash Notification will show all the crash alerts for the time period selected.
The example below shows that the vehicle is in four separate groups but with one crash alert available for the one week
period.
The Crash documentation can then be downloaded in PDV or CSV format:

Incident Video
The incident video report can be run for multiple vehicles. Select Incident Video from the drop down menu and select Incident
video.
Once the vehicle and time period has been selected, you can find the events grouped by vehicle Reg.
The screen is then broken down by groups where the device can be located, the event type, emails addresses that the events are sent to, a timestamp and the video link.
There are four different event types
Push Button Video – Panic Button alert
Crash video
Harsh Deceleration Video

6.1 Remote Output Activation Report
The Remote Output Activation report can be used along with the admin function Remote Output activation.
A user can deactivate or activate an immobiliser by selecting and selecting Remote output activation. Vehicle selection
will not be necessary as all the vehicles appear:
Once the immobiliser has been activated or deactivated it records the date, user, and action taken. You can view these records
in the Remote Output Activation reports under the report tab.
6.1 Non – Reporting Summary
The non-Reporting Summary report can be used to see what vehicles in a certain group have not been reporting for the last:
4 hours
12 Hours
and over 24 Hours
The report shows the REG, Last Contact time, Last location and the group the vehicle has been
placed in.

7 Page - Today
The Today page can be displayed by selecting the Today icon
This page contains Key Pieces of information for Today for a specific vehicle.
The user must select the required vehicle and the following page is displayed:
The page is broken down into 4 sections.
Current Journey,
The start location together with the current location with the corresponding time
Map View,
The current journey is displayed on the map.
Speed Summary,
This shows the speed profile for the day, it is broken down by hour and displays average and peak speeds.
Today’s Journeys
Displays and overviews all of the Journeys that have been completed that day. Start and End
locations together with time is shown, with duration and distance. The user can use the icon to view the journey in a pop up window, displayed as a map and list of locations were the updates have
taken place.

8 Page - Proximity
The Today page can be accessed by selecting the Today icon
This page provides the user with the ability to locate the vehicles in the selected group in relation to an address entered by the user.
When the Proximity page is selected, the following page is displayed:
The selected group is displayed at the top of the page.
The user then enters the required address into the address box. This can be a postcode, street and town.[DON’T PRESS
ENTER after typing the details]
The system then displays address details that match.
The user then selects the required address, and then presses the Go button . The system then displays all the vehicles within the group on the map, together with the address entered by the
user. The vehicles are also listed with their distance from the requested location.
Once the required vehicle has been located the user has the option to select the route icon and in
a pop up window a route plan is displayed, shown on a map as a direction list. The user has the option to print the details if required.
Note: the distance initially displayed between the vehicle and requested location is ‘as the crow flies’ however when the route plan is produced this is actual distance.
