Skype for Business Created: April, 2015 Wellspan Organizational Learning & Development Page 1 of 2 Skype for Business makes online communication easier by providing instant messaging (IM), desktop sharing and online meeting functionality. Skype for Business Set Up To log in: 1. Click Start 2. Click Search and type Skype; click Skype for Business. 3. Log in using your WellSpan username and password NOTE: You can set Skype to launch automatically from Options in Skype (see To select Skype appearance options) To change Skype for Business appearance options (if desired): 1. Click Options icon - make desired selections 2. When finished, click OK to save and exit To add users to your contact list: 1. Click Find someone and begin typing user’s last name 2. Matches appear below the field 3. Right click desired contact* (see note) 4. Click Add to Favorites or Add to Contacts and then desired group name Contacts. Results with Person icon are from WellSpan network. When available, select results with Person icon. To create a group: 1. Right click Favorites or Other Contacts group line 2. Select Create New Group 3. Type desired name of group and press Enter To move contacts to a different group: 1. Drag contact name to desired group To remove a contact: 1. Right click contact and click Remove from Contact List To determine contact’s availability: Contacts appear with a colored band on the left: Green = available Yellow = away or busy Red = unavailable Gray = offline (not logged in to Skype) To edit your availability and location: Availability: 1. To change your availability manually, click the drop down arrow below your name in the Skype Main Window 2. Click a desired availability option Location: 1. Click in Set Your Location field (just below the availability field) in the Skype Main Window and type your location 2. Locations remain in a list – next time you want that location, click Location drop down arrow and select it. NOTE: Skype syncs with Outlook Calendar (unless you change this setting in Options). When a meeting appears on your calendar, your availability shows as unavailable (Red) and your location displays according to meeting location. NOTE: To hide your location, click the location drop down arrow and click Show Others My Location to uncheck it. Skype for Business Instant Messaging (IM) To begin a conversation with one person: 1. Skype for Business makes online communication easier by providing instant messaging (IM), desktop sharing and online meeting functionality.

Skype for Business Set Up To log in: 1. Click Start2. Click Search and type Skype; click Skype for Business.3. Log in using your WellSpan username and passwordNOTE: You can set Skype to launch automatically from Options in Skype (see To select Skype appearance options)

To change Skype for Business appearance options (if desired):

1. Click Options icon - make desired selections 2. When finished, click OK to save and exit

To add users to your contact list: 1. Click Find someone and begin typing user’s last name2. Matches appear below the field3. Right click desired contact* (see note)4. Click Add to Favorites or Add to Contacts and then

desired group name

Contacts. Results with Person icon are from WellSpan network. When available, select results with Person icon.

To create a group: 1. Right click Favorites or Other Contacts group line2. Select Create New Group3. Type desired name of group and press Enter

To move contacts to a different group: 1. Drag contact name to desired group

To remove a contact: 1. Right click contact and click Remove from Contact List

To determine contact’s availability: Contacts appear with a colored band on the left:

Green = available

Yellow = away or busy

Red = unavailable

Gray = offline (not logged in to Skype)

To edit your availability and location: Availability: 1. To change your availability manually, click the drop down

arrow below your name in the Skype Main Window2. Click a desired availability optionLocation: 1. Click in Set Your Location field (just below the availability

field) in the Skype Main Window and type your location2. Locations remain in a list – next time you want that

location, click Location drop down arrow and select it.

NOTE: Skype syncs with Outlook Calendar (unless you change this setting in Options). When a meeting appears on your calendar, your availability shows as unavailable (Red) and your location displays according to meeting location. NOTE: To hide your location, click the location drop down arrow and click Show Others My Location to uncheck it.

Skype for Business Instant Messaging (IM) To begin a conversation with one person:

1. Point to contact and click IM icon OR double click a contact

2. Type your message in bottom portion of IM window3. Press Enter to send the message

To start a conversation with multiple people:

1. Point to first contact and click IM Icon

2. Click Participants icon in IM window 3. Click Invite More People4. Search for and/or click desired contact and click OK

(repeat until all contacts are listed in IM window)

NOTE: You can add people to a conversation at any time by clicking the Participants icon in the IM window.

To start a conversation with all contacts in a group: 1. Right click the group title row and select Send an IM2. All group members appear at top of IM window

To view and manage previous conversations:

1. Click the Conversations icon in the Skype main window

2. To open a conversation, double click desired row3. To delete a conversation, right click the desired row and

click Delete Conversation (you can multi-selectconversations using Ctrl+Click or Shift+Click feature)

Skype for Business Desktop and Program Sharing You will see audio and video options throughout Skype for Business. Standard WellSpan devices are not equipped to feed audio and video through the computer and therefore these features are not available

To begin sharing your desktop: 1. Start an IM conversation with one or more people

2. Point to the Present icon in the IM window

Click Present Desktop to show your entire desktop.

Click Present Programs to share just an open program (such as Word, PowerPoint or Excel), and then double click the program you want.

Click More, and then Whiteboard to share a whiteboard on which you can write and annotate

Click More, and then Poll to start a polling question and share results with attendees

Click More, and then Q & A to gather and display answers from attendees

To give control of your sharing session to others: 1. On the sharing bar at top of window, click Give Control.2. Click name of a person under Attendees to give them

access, or click Give Control Automatically to give accessto anyone who asks for control

To take back control of a sharing session: 1. Click Give Control again.2. If Give Control Automatically is selected, click it to clear

it. To take back control from a person, click Take BackControl.

Select who can download shared files:

1. During a sharing session, point to the Present icon ,and then click the Manage Presentable Content button.TIP: You know you’re sharing when you see the Sharingbar at the top of your screen.

2. Click the Permissions menu, and then select one of thefollowing:• Organizer, to allow only the person who set up the

meeting to download the file.• Presenter, to allow only the people who the

organizer set up as presenters to download the file.• Anyone, to allow all participants to download the

file.

Skype for Business Online Meeting You will see audio and video options throughout Skype for Business. Standard WellSpan devices are not equipped to feed audio and video through the computer and therefore these features are not available.

To join an online meeting: 1. Do any of the following:

• In Skype main window, above search box, click Meetings icon, and then Join.

• In Outlook meeting request, click Join Skype meeting.• In meeting reminder, click Join Online.• If meeting request includes dial in information, call

in to meeting from a phone.

To schedule an online meeting with a conference line: 1. Reserve a conference line as you normally would2. From Outlook Calendar click New Skype Meeting in

Home ribbon3. Invite attendees, set date/time and subject as you

normally would schedule a meeting4. Click Meeting Options in Meeting Ribbon of Schedule

Meeting window and make desired selections.5. In message section of Schedule Meeting window you will

see a Join Skype Meeting Skype – instruct attendees to click that link at the start of the meeting

6. Add conference line dial in instructions and instructattendees to call in at the start of the meeting

7. Send meeting request as you normally wouldTo conduct an online meeting with a conference line: 1. At start of meeting, dial into the conference line2. Join the Skype Meeting (See “To join an online meeting”).3. Use Skype for Business Desktop and Program

Sharing features (see above) to conduct the online meeting

Manage attendees during the online meeting: In the meeting window, point to the people button. Here are some available of the available features: 1. To manage a single participant, on the Participants tab,

right-click the person’s name and make desired selection2. To manage all, on the Actions tab, click:

Invite More People to add attendees

No Meeting IM to turn off meeting IM

Hide Names to hide the names on the pictures

Everyone an Attendee if you have too manypresenters
