Submitting FormsPlease Plan Ahead!Lodging, meeting rooms and activities fill up quickly. In order to ensure you get the most out of your stay, plan in advance by submitting your Request Forms early. Our Conference Coordinators are here to help you with planning your itinerary and any special needs such as wheelchair accessibility and entry-level rooms. Your group can be divided according to interests and levels, or activities can be planned for the entire group to enjoy.

When turning in the necessary forms, please return them to the Conference Office prior to your arrival. E-mail forms to your assigned Conference Coordinator, or to [email protected]. You may also fax or mail documents to the office.

UPON MAKING A RESERVATIONPay DepositYou will receive a contract via e-mail. Please sign and return with initial payment. The deposit is due when you confirm your reservation with Group Sales.

ONE YEAR PRIOR TO ARRIVALReserve ActivitiesMany activities are FREE and you can make arrangements to participate in them once your group has arrived. However, we strongly encourage you to reserve private group activities in advance. You may make group activity reservations up to one year in advance by completing the Group Activities Request Forms on pages 14-15.

* Activities must be cancelled two weeks prior to the reserved date or you will be charged full price.

SIX MONTHS PRIOR TO ARRIVALFirst Cancellation DateThis is the first deadline to cancel reserved rooms, cabins and nights.

Wheelchair Accessible or Entry-Level Room RequestPlease identify this request on the Room Roster Form (page 6), or call your Conference Coordinator as soon as possible. Lodges do not have elevators.

60 DAYS PRIOR TO ARRIVALFinal Cancellation DateYour deadline to cancel reserved rooms, cabins and nights is on your contract. Failure to meet this deadline will result in forfeiture charges. Please contact the Conference Office with your final numbers (see your contract for penalties).

30 DAYS PRIOR TO ARRIVALMeeting Room & Equipment RequestComplete and submit the Meeting Room & Equipment Request Form (pages 7–8). Meeting rooms are assigned on a space-available basis. Specific meeting spaces are not guaranteed unless stated on your contract. Meeting rooms will be left empty unless setup information is received prior to arrival.

Submit Tax Exempt Affidavit (if applicable) and Billing Information (page 5). This form is required for all groups and must be filled out for EACH visit. Please complete and return to the Conference Office prior to your arrival.

THREE WEEKS PRIOR TO ARRIVALSubmit Group Room RosterComplete the Group Room Roster Form (page 6).

Order Refreshments and SnacksRefreshments can be delivered to your meeting room, boxed lunches can be provided for outings and summer cookouts can be arranged by request (see pages 10–11).

CHECK IN | CHECK OUTYour accommodations will be ready by 6 PM. Please be aware that on exceptionally busy days or holidays, your accommodations may not be available until after 6 PM. Group leaders should arrive prior to the group in order to confirm last-minute details, check the Room Roster and pick up room keys. Registered guests are free to participate in activities until accommodations are ready.

Check out by 10 AMAll groups check out at the front desk. Full payment is required at check out unless you have made prior arrangements with your Conference Coordinator to receive the bill after your departure.

You will receive an invoice detailing all charges posted to the master account. For groups using our online reservation option, individual invoices will be provided.

Our Policies Know Before You GoAlcohol Use | SmokingAll indoor areas at Snow Mountain Ranch are smoke-free. Tobacco use and vaping is only allowed in designated outdoor smoking areas.

We do not sell or serve alcoholic beverages, and alcohol is not allowed in common areas. You may bring your own and consume it in your lodge room, cabin or meeting room. However, the use of marijuana and other controlled substances are not allowed anywhere on-site.

DronesThe safety and privacy of our guests is of the highest priority. For that reason, we do not allow private or commercial drones to be used in the immediate airspace over Snow Mountain Ranch. Limited use may be allowed when the operator has received written permission from the YMCA of the Rockies. This includes use associated with special events, marketing and in film/photo applications.

Lost & FoundDid you leave something behind? If so, call 970-887-2152 x4134. Please be aware that it may take 2-3 days before a found item is logged into our lost & found inventory.

Payment & CancellationsFull payment is due at check-out. We accept Visa, MasterCard, Discover, American Express, checks and cash. Please discuss your payment options with your Conference Coordinator. If you are a travel agent, full payment is due 45 days prior to arrival. You must report the guaranteed number of rooms, cabins, campsites and nights by the date shown on your contract. Please refer to your contract for cancellation fees and forfeitures.

PetsNo pets are allowed in any of our reunion cabins or in most lodge rooms. A limited number of Indian Peaks Lodge rooms are pet-friendly; please contact your Conference Coordinator for details. Pet fees apply. Service animals are always welcome.

Quiet Hours: 10 PM –7 AMFor the comfort of all guests, please respect our quiet hours. Courtesy hours are enforced 24 hours a day.

SignageCampaign-style yard signs or sandwich board signs are allowed if you want to provide directional information to your group members. However, signs may not be taped, pinned or affixed to any YMCA property, including in your meeting rooms. Banners must be pre-approved by YMCA staff.

WristbandsPlease wear your wristband on YMCA property so that we can easily identify you and grant you access to our free and affordable activities.

Altitude

Snow Mountain Ranch is 8,700+ feet above sea level. Give your body time to adjust by limiting physical activity for the first 24 hours. Drink plenty of water and apply sun block often.

Cell Phone ServiceCell phone service is stronger for some service providers on site than others. If you are unable to reach someone (in case of emergency only), call our main line at 970-887-2152, and we will do our best to provide assistance.

Fire RestrictionsIf we are under a fire ban, use of campfire rings and cookout shelters may be restricted. It may also increase regulations on our smoking policies. For the latest fire ban information, contact your Conference Coordinator or our Front Desk.

Linens | Towels | InventoryLinens, blankets, pillows, towels, hair dryers, and soap are provided in all lodges and cabins. Irons and ironing boards are available at the Front Desk. If you would like to learn more about the inventory in our cabin kitchens, please contact your Conference Coordinator.

We do not provide shampoo or conditioner, and recommend you bring your own toiletries. Basic personal hygiene products are available for purchase in our gift shop.

Maid ServiceService is limited. Please ask your Conference Coordinator for details pertaining to your accommodations.

Medical EmergenciesWe do not have medical personnel on staff. The closest urgent care facility and hospital is located 10 miles away in Granby, Colorado.

Snow Mountain Ranch Billing Information During your discussion with Group Sales, an agreement is made to the type of contract you will create for your group/family reunion. If you choose the Online Reservation option, each of your attendees will make their own reservation online under your agreed upon contract terms and each are responsible for their own payments. If you decide not to choose this option, then you, as group leader, are responsible for collecting all payments from your attendees and will pay the total balance due upon departure. Any changes to the billing plan created for your group must be received by the Conference Office at least 30 DAYS prior to arrival.

NO CHANGES TO THE BILLING WILL BE MADE AFTER THAT DATE. ALL RETREAT CABINS WILL BE BILLED AS A UNIT PRICE AND THE TOTAL CHARGE WILL BE THE RESPONSIBILITY OF THE GROUP LEADER. UNIT PRICE WILL NOT BE SPLIT BETWEEN INDIVIDUAL GUESTS.

Mandatory Affidavit of Tax Status

ANY GROUP that makes purchases from YMCA of the Rockies must complete this affidavit and declare their tax status. An original of this affidavit must be completed, signed and submitted prior to check in for each visit.

We DO NOT qualify as non-taxable under Colorado law or we do not have appropriate documentation to that end. We agree to pay all applicable taxes associated with the charges incurred for goods and services provided by YMCA of the Rockies (complete items 3 through 9 below).

Please make copies of this form for each meeting room needed. Chairs and tables are provided at no additional charge.

Meeting rooms are assigned on a first-come, first-served basis, according to group size, needs, room availability and date request is received. Meeting rooms are available from 3 PM on day of arrival until 10 AM the day of departure. Early/late use may be reserved for an additional fee. Any special requests must be made prior to arrival.

If this form is not received before your arrival, the meeting space will be left empty. If setups are requested upon or after arrival, it may not be possible to accommodate requests. However, if we are able to arrange for your setup, $75 to $125 will be charged to your group, depending on room size and complexity of the setup.

Additional meeting room space may be reserved at a rate of $8 per person/per day/per meeting room, based on availability (minimum charge $120 per day). There will be an additional charge each time a meeting room setup is changed.

If your group is staying in cabins, a meeting room IS NOT included in your lodging fee. If you would like to request a meeting room, a rate of $12 per person/per day will be applied (minimum of $180 per day). Additional charges may apply. Availability is not guaranteed. A/V equipment is not included in the room rental fee.

Wi-Fi is available in most areas. Please check with the Conference Office for further information.

Buckboard Grill & Pizza Administration Building Hours vary by season

Offering eat-in or take-out pizza orders, burgers, snacks, appetizers, soup and salad bar, sandwiches, “Signature” items, ice cream and assorted beverages.

Skinny Ski Café Open 11 AM–3 PM weekends and during special Nordic events or holidays.

Stop by the Café on a snowy day to relax and warm up with a bowl of hot soup or chili. Sip a hot cocoa or recharge with a high-energy snack before heading out for more fun in the snow.

All-You-Can-Eat Summer CookoutsTuesday | Wednesday Seasonal availability

Enjoy an evening of food, fun, family and friends at the Mountain Air Cookout Shelter. See page 11 for more information. Advance reservation required.

All-you-can-eat Summer CookoutsPlan early—we start taking reservations in February!Enjoy an evening of food and fun at the Mountain Air Cookout Shelter! Cookouts are Tuesday and Wednesday nights from the third weekend of June through Labor Day weekend, depending on availability. The shelter accommodates 200 people; your group may be sharing the space with others. Reservations are in half-hour increments, but feel free to stay as long as you like.

Activities at Snow Mountain RanchSTAY PASSOne Stay Pass per guest is included in the price of your lodging accommodations. Your Passes will be given to your group when checking in at the Administration Building.

Your Pass should be worn during your stay to allow us to recognize you as a guest, and provide you with access to activities.

YMCA OF THE ROCKIES ASSUMPTION OF RISK/WAIVER OF LIABILITY ADULT ON BEHALF OF A MINOR CHILD. PLEASE READ BEFORE SIGNING.There are risks involved in this activity and/or these activities. Your child need not participate. It is your child’s choice whether your child participates in these activities and to what level. Our philosophy is “Challenge By Choice,” which means your child selects the degree of challenge (if any) to which your child will be exposed. However, in order for your child to participate at any level in these activities you must sign this document, and your signature forever waives your right (and your child’s right) to sue the YMCA of the Rockies (and its directors, staff, employees and other contracted parties) for any injury your child may suffer arising out of their participation in this activity or these activities.

ACKNOWLEDGEMENT OF RISKI acknowledge that there are risks and hazards in any of the activities in which my minor child has chosen to participate. These risks include, but are not limited to: physical injury, trauma, emotional injury, death, and property damage. These hazards include but are not limited to: Falling from a height of up to 50 feet (climbing wall and high challenge course only); equipment failure; interference from other activities in the vicinity; high altitude (above 8,000 feet); and rigorous physical activity and exhaustion. Risks for Tubing include but are not limited to: falling out of the tube; traveling at various rates of speed; collisions with other tubes, tubers, or spectators; collisions with man-made objects such as fencing, collisions with natural objects, collisions with associated equipment, variations in terrain and steepness of terrain, varying surface conditions, slippery walking surfaces, and the use of the tubing lifts.

The activity or activities in which my minor child has chosen to participate may include physical challenges, which, if aggravated by high altitude conditions, may place unusual demands on my minor child’s bodily systems. I acknowledge that this is not an exhaustive list of the risks or hazards my minor child may encounter, and that my minor child may encounter unforeseen situations.

PROTECTIVE HEADGEARI acknowledge that protective headgear (helmets) are available and it is my choice that my child wear that headgear while tubing. __________ (INITIALS REQUIRED)

CERTIFICATION OF FITNESSI certify that my minor child is completely healthy (both physically and emotionally) and capable of participating in the activity or activities. However, I understand that it is solely my responsibility to determine whether there is any medical reason that my minor child should not participate in the selected activity.

WAIVER OF LIABILITYIn order that my minor child may participate in the activity or activities listed above, I forever waive my right (and my child’s right) to sue YMCA of the Rockies (including its directors, staff, employees and other contracted parties) for any injury my minor child may suffer arising out of my minor child’s participation in these activities. I understand that by signing this document all liability of the YMCA (including its directors, staff, employees, and other contracted parties) to myself and my minor child for any injuries my minor child may suffer arising out of my minor child’s participation in the activity or activities listed above will be forever extinguished.
