SoftwareONE PyraCloud Platform Maximize the Value of Your Software and Cloud Portfolio Overview A typical organization will spend 5% of their revenue on IT. A majority of this IT spend, about 66%, is allocated and used strictly for operations. This leaves only 34% of the budget that can be used for enhancing and driving innovation within the IT organization. What if you could reduce the IT Operations spend and use those savings to drive innovation? Effective Software Portfolio Management (SPM) can save organizations up to 30% of their software spend. The savings can be used to drive innovation in an organization. Organizations are also adopting cloud and about 15% of their current IT spend is in the cloud and this is set to increase to 25% by 2025. Cloud drives agility and speed in an organization, as DevOps and Lines of Business can quickly spin up resources, including IaaS, PaaS and SaaS in a timely manner without physically setting up in a traditional data center. But cloud resources, if not managed effectively, can be over budget and not very cost effective. Cloud brings a set of new models – IT loses control as “Shadow IT” can purchase their own resources without visibility to IT teams, new ways of purchasing (credit card, monthly bill) and new consumption models (Pay-As-You-Go). Current SituationAn IT team, various Lines of Business or DevOps in an organization will typically use several different software and cloud vendors – hybrid cloud offerings, multiple clouds or software deployed on premises and cloud. Procuring Effectively and Optimizing CostsPyraCloud platform provides a view of a global catalog across 9000+ publishers/vendors including regional pricing. The catalog can be customized as per active agreements or purchasing requirements. This customized catalog can be used to create enterprise approved shopping lists / software packages or a list of favorites that are commonly purchased. By leveraging this capability, an organization can optimize their software procurement costs taking into account approved software packages and global pricing (considering local currencies and taxes). Software can be transacted on-line with PyraCloud platform and orders can be sent directly to SoftwareONE for fulfi llment.

An organization that has a global footprint can create a list of standard products available for purchase and negotiate the best possible pricing through PyraCloud and SoftwareONE for all of the global locations. Additionally, using the catalog, an organization can enforce corporate standards by presenting users and global leaders with an approved list of products. During the procurement process, SoftwareONE license experts and account managers can be contacted through the click-to-chat functionality for additional advice or guidance.

The PyraCloud Platform provides a centralized view of all organizational quotes, orders and invoices. Quotes can be created using the approved shopping lists options and an approval workfl ow can be established for orders. PyraCloud platform can be integrated to eProcurement systems to automate the quotes and orders process. Additionally, on the invoice side, PyraCloud can be integrated to invoicing systems to automate the payment of invoices.

Additionally, PyraCloud consolidates invoices on a regional or global basis. This reduces the headcount required to manage the purchase order and accounts payable process to insure that they are not out of compliance, or are paying late fees on open invoices. PyraCloud provides a single view into all the open invoices and can fi lter the invoices by country, business unit and cost center to develop a clear view on global and business unit spend.

Manage Software Assets and Contracts / LicensesBy procuring centrally through PyraCloud, an organization will have a view of all their software assets. Additionally, assets not purchased through PyraCloud can be imported or PyraCloud can be integrated with Software Asset Management (SAM) solutions to get a view of all organizational software assets. Once the assets are imported into PyraCloud, it can maintain real-time visibility into software licenses and entitlements in one place.

PyraCloud can track start, end and renewal dates of license agreements along with contract copies, license keys, training vouchers and other supporting documentation. Users can toggle between a graphical timeline view of agreements and a detailed, list view that includes green, yellow and red “status” symbols, providing a visual checkpoint and ensuring that key dates and activities around specifi c agreements are never missed. Additionally, alerts can be tailored to a specifi c person and/or specifi c timeframe and then exported for notifi cation.

In case a publisher requests an audit of your software purchases or usage, the information on software assets, contracts/licenses and consumption can serve as a source of truth during the during the audit process.

Software DistributionPyraCloud’s download center enables the download of media kits and electronic software (standard ISO Packages) from multiple publishers, and keep them in a central repository that already manages all licensing information. The Download Center establishes a centralized management of controlled access to media, ensuring fast and successful downloads and access older versions. PyraCloud provides the ability to download directly or e-mail a time controlled link to users for downloading software packages.
