    EVENT OVERVIEW

    For 18 years, the Pharmacy Assistant National Conference (PA Conference) has been the peak education and networking event for pharmacy assistants. Held annually on the Gold Coast each October, the conference attracts up to 400 attendees.

    The PA Conference offers pharmacy’s frontline a pre-conference workshop, comprehensive two day education program, an exciting social agenda including the ever-popular themed Conference Dinner, and a trade exhibition featuring 40-plus stands showcasing the latest products, services and industry developments.

    CONFERENCE VENUE – SEA WORLD RESORTLocated on the Gold Coast Broadwater, Sea World Resort is a 4-star hotel linked by monorail to Sea World. Guest rooms offer balconies or patios with views of the natural surroundings and free wired internet (free Wi-Fi is also available in public areas of the resort). Resort facilities include outdoor tennis courts, swimming pool with water slides and a kids club. The resort is a short walk to the beach and the popular Marina Mirage Shopping area, and also boasts a world class Conference Centre where the PA Conference sessions and trade exhibition will be held.

    BENEFITS OF SPONSORING - ACCESS & REACHThe PA Conference provides an opportunity for your organisation to access this increasingly important target market in three stages*:

    1. PRE-CONFERENCE – your involvement in the conference and support of the role of pharmacy assistants will be acknowledged by the following methods:

In addition to the conference information the website hosts the Pharmacy Assistant of the Year Award nomination page which is accessed by over 800 pharmacists and pharmacy assistants who visit the site to nominate colleagues or themselves

    d. corporate branding placement on conference eBulletins – these regular eBulletins are sent to an electronic database of 18,000 pharmacy assistants

    e. corporate branding on the following items which will be distributed/on display at the Australian Pharmacy Professional Conference and Trade Exhibition (APP) in May 2018^ (this event is attended by 6,000 delegates) – 2,500 first announcement postcards which will be inserted into the delegate satchels and pull-up banner advertising which will appear in numerous locations around the conference venue

    2. AT THE CONFERENCE – by gaining face-to-face access with 400 delegates at the PA Conference, which can be conducted as follows:

    a. via a trade exhibition stand – each trade exhibitor is invited to participate in the Exhibition Passport Competition, whereby delegates who visit every stand will go in the draw to win a $1,000 Flight Centre voucher

    b. via a session sponsorship which entitles you to present a 30 minute session on the topic of your choice to conference delegates

    3. POST CONFERENCE – acknowledgement of your support in the following publications:

    a. post-conference wrap

    b. post-conference eBulletin

    CONFERENCE DINNER CO-SPONSOR - $5,500 INC GST (1 AVAILABLE) - SOLDFRIDAY 26 OCTOBER, 7.00PM - MIDNIGHT

    The Pharmacy Assistant National Conference Dinner is a themed event and the social highlight of the conference. To celebrate 90 years of the Guild the theme for the PA2018 dinner is ‘90’s’.

    The dinner will take place in Sea World theme park. Pre-dinner drinks and canapes will be served under the stars in the Plaza and will include access to one of the park’s signature rides as well as photo opportunities with one of Sea World’s cheeky sea lions. The party will continue in the Paradise Room overlooking the Sea World ski lake and include live entertainment, a two course meal and drinks.

    Conference Dinner tickets are included in the full registration fee. The Conference Dinner is attended by 350-400 delegates.

    NB: The Pharmacy Assistant of the Year Award winner will be announced at the Conference Dinner. This presentation will take 10 minutes and will include speeches by the Award sponsor (Maxigesic) and the Award winner.

    Catherine is the Events Coordinator for the Pharmacy Guild of Australia, Queensland Branch.

    Catherine joined the team in 2012 and works with the Events Manager in the planning and delivery of some of Australian pharmacy’s most recognised conferences (APP and PA & Pharmacy Connect). Catherine has worked in event management for over 10 years in both the private and public sector managing conferences around the country and internationally.

    Emma is the Events Manager for The Pharmacy Guild of Australia, Queensland Branch, a position she has held since September 2006.

    As the Events Manager, Emma is responsible for the delivery of quality national pharmacy industry events for the Pharmacy Guild, including Australia’s largest pharmacy conference and exhibition, APP, the Pharmacy Assistant National Conference and Pharmacy Connect. During her tenure at the Pharmacy Guild, Emma has been paramount in growing the size and scope of the events she manages and has overseen the growth of the Events Division from one staff member to a team of four.

    Prior to joining the Pharmacy Guild, Emma worked as an Events Manager for event consultancies in Brisbane and Sydney, and was a Senior Conference Organiser for the Royal Society of Medicine (London), one of the UK’s major providers of postgraduate medical education.

    Emma is the mother of two energetic girls and a self-proclaimed exercise junkie who enjoys running half marathons in her spare time.

    GENERAL

    a. Where possible, space will be allocated by The Pharmacy Guild of Australia (TPGA) in keeping with the preferences as to location requested by the exhibitor. However, TPGA does not guarantee the location of any space for an exhibitor and TPGA has an absolute and unfettered discretion to determine the location of an exhibitor. Without limiting the generality of the foregoing, should the floor plan require expansion or retraction, TPGA has the right to make the necessary changes at its sole discretion.

    b. TPGA, as organiser of the Pharmacy Assistant National Conference 2018 (PA Conference), reserves the right to immediately terminate the booking of any sponsor and/or exhibitor found to be in breach of these terms and conditions or those of Sea World Resort (Venue).

    c. Your participation as a sponsor and/or exhibitor at the PA Conference is at the sole discretion of TPGA and is subject to your compliance with these terms and conditions. TPGA reserves the right to amend or replace any of these terms or conditions at its sole discretion and on notice to the sponsor and/or exhibitor.

    d. Participation as a sponsor and/or exhibitor at the PA Conference grants permission to TPGA to provide third parties with the sponsor and/or exhibitor’s company contact and address details, as listed on the acceptance form, for promotional purposes.

    e. These terms and conditions and the signed acceptance form constitute the entire agreement between the sponsor and/or exhibitor and TPGA. Any prior arrangements, agreements, representations or undertakings are superseded on acceptance of these terms and conditions by the sponsor and/or exhibitor.

    f. The sponsor and/or exhibitor acknowledges that it will each comply with all obligations it may have at law, including under the:

    i. Therapeutic Goods Act 1989 (Cth) and any regulations or codes made under that Act; and

    ii. Privacy Act 1988 (Cth), each as amended from time to time.g. Where the sponsor and/or exhibitor provides materials containing intellectual

    property rights to TPGA for the purpose of its participation at the PA Conference, the sponsor and/or exhibitor grants TPGA a non-exclusive, royalty free licence to use such intellectual property rights as are necessary for TPGA to provide the services at the PA Conference to the sponsor and/or exhibitor in accordance with these terms and conditions. The sponsor and/or exhibitor may only use the intellectual property rights of TPGA with the prior written consent of TPGA.

    h. The sponsor and/or exhibitor each warrant that TPGA’s use of any materials provided to it by the sponsor and/or exhibitor will not infringe any intellectual property rights or moral rights of any person nor give rise to any liability to make royalty or other payments to any person.

    i. The sponsor and/or exhibitor must not use or disclose any of TPGA’s information that by its nature is confidential or the sponsor and/or exhibitor knows, or ought to know, is confidential (excluding information in the public domain), except where required by law or to the extent necessary to exercise its rights and perform its obligations under these terms and conditions.

    j. If TPGA supplies anything to the sponsor and/or exhibitor under or in connection with these terms and conditions, the sponsor and/or exhibitor must pay to TPGA an amount equal to any GST for which TPGA is liable on that supply, without deduction or set off of any other amount, and make that payment as and when the consideration for that supply or part of that consideration must be paid or provided, except that the sponsor and/or exhibitor need not pay unless the sponsor and/or exhibitor has received a tax invoice (or an adjustment note) for that supply. TPGA must promptly create an adjustment note for, or apply to the relevant authority for, a refund of, and refund to the sponsor and/or exhibitor any overpayment by the sponsor and/or exhibitor for GST. If a party has a claim under or in connection with these terms and conditions for a cost on which that party must pay an amount for GST, the claim is for the cost plus the amount for GST (except any amount for GST for which that party is entitled to an input tax credit).

    EXHIBITION AREA

    a. The general rule of the PA Conference is to ‘Be a Good Neighbour’ - no exhibits will be permitted which interfere with the use of, or impede access to, other exhibits or impede the free use of the aisle. Apart from the specific display space allocated for an exhibitor or sponsor by TPGA, no part of the exhibition area or its grounds may be used by an organisation other than TPGA for display purposes of any kind or nature. Representatives of the sponsor and exhibitor should be appropriately attired to maintain the professional climate of the event.

    b. Exhibitors and sponsors are required to respect the entitlements of the PA Conference sponsors who have purchased the right to sponsor certain elements of the event (e.g. lanyards, satchels and Welcome Reception). If an exhibitor or sponsor is found in breach of this condition, the offending exhibit or promotional items will be removed from the premises.

    c. Stand construction is restricted to the shell scheme stand provided, unless permission is requested and approved by TPGA event coordinator for a custom stand build prior to Friday 31 August 2018.

    d. All stand lighting must be positioned and directed in such a way as to avoid interference with, or inconvenience to, other exhibiting companies or promotional materials. The TPGA event coordinator will determine what is acceptable in the event of any dispute.

    e. Exhibitors are not permitted to construct stand perimeter walls that, in the opinion of TPGA or the TPGA event coordinator, disadvantage or adversely affect other exhibitors or promotional material. All plans for perimeter walls of any length must be submitted to the TPGA event coordinator for approval prior to Friday 31 August 2018.

    f. Promotional material (i.e. catalogues, brochures etc.) may be displayed or distributed from the exhibitor’s own stand area only.

    g. The exhibitor and/or sponsor must not display or distribute any advertisement, sign, banner, illustration or printed matter which, in the sole opinion of the TPGA event coordinator, is objectionable. The TPGA event coordinator reserves the right to remove such material in his or her sole discretion.

    h. Subletting of stands or portions of stands is strictly prohibited without the prior written consent of TPGA.

    i. No exhibitor or sponsor, or its representative/s, may enter other exhibitors’ stands at any time without prior permission from that other exhibitor. Failure to observe this rule may result in the unauthorised person/s being escorted from the PA Conference with no right of return.

    j. A sponsor and/or exhibitor must not post, tack, nail, screw, or otherwise attach anything to the walls, floors, ceiling, furniture or other properties of the Venue. Costs for repairing any damage to the exhibition hall and associated structures, fittings, decorations or furnishings will be billed to the responsible exhibitor or sponsor.

    k. To avoid noise pollution and inconvenience to others, exhibitors and sponsors must ensure that audio equipment is kept at an acceptable sound level. The TPGA event coordinator will determine what is considered to be an acceptable sound level in his or her sole discretion.

    l. The exterior of any display or structure visible from an adjacent exhibitor’s stand must be finished or suitably decorated at the expense of the exhibitor erecting or installing such a display and must not include corporate or product identity which would distract from the adjacent stand.

    m. The exhibition hall at the Venue has been reserved for exhibition setup and installation during the following hours: 2.00pm to 5.00pm on Thursday 25 October 2018 for exhibitor set up.

    n. All exhibits must be fully operational by 5.00pm on Thursday 25 October 2018. o. Exhibitors have from 2.00pm - 3.00pm on Saturday 27 October 2018 to bump-

    out. Packaged materials may be left on the exhibitor’s stand to be removed by venue staff and stored in the venue loading dock for collection on Monday 29 October 2018. Any material left for collection must be appropriately labelled and is left for collection at the sole risk of the exhibitor or sponsor. Neither TPGA nor the Venue accept responsibility for any material left at the venue by

    exhibitors or sponsors. p. Exhibitors’ stands must not be dismantled or packed in preparation for removal

    prior to the official closing time of 2.00pm on Saturday 27 October 2018. Failure to comply with this requirement may adversely affect the exhibitor’s preferred stand positioning at the next Pharmacy Assistant Conference.

    OCCUPATIONAL HEALTH AND SAFETY AND INSURANCE

    a. To ensure the safety of all participants, fire regulations must be observed. Fire regulations require that all display material be flameproofed. Any electrical installation at the PA Conference must comply with the current Queensland Government workplace, health and safety legislation. Each sponsor and exhibitor must be aware all laws, ordinances and regulations pertaining to health, fire prevention and public safety while participating at the PA Conference. Compliance with such laws is mandatory for all sponsors and exhibitors and is the sole responsibility of the sponsor and exhibitor. All exhibitors must be covered for public liability claims (including coverage for injury to the person and property of others) based on a limit of indemnity of $10,000,000 for any one occurrence.

    b. Exhibitors and sponsors must carry all necessary insurances - including insurances to cover against damage and loss to personal property – in connection with their participation at the PA Conference.

    c. To ensure that exhibitors are adequately covered for public liability claims, the cost of booking an exhibition stand at Pharmacy the PA Conference includes public liability insurance cover from QBE Insurance (Australia) Limited, based on a limit of indemnity of $10,000,000 for any one occurrence.

    This insurance will only cover damage or injury suffered by third parties/visitors on or in the vicinity of an exhibition stand at the PA Conference, from the first day of bump in (setting up) to the final day of bump out (dismantling) at the PA Conference, being from Thursday 25 October 2018 to Saturday 27 October 2018 (inclusive). The exhibitor must not do or permit any act, matter or thing to be done which may invalidate this insurance or which would make this insurance void or voidable. TPGA accepts no liability for any act or omission of the exhibitor that voids this insurance or deems the exhibitor liable at law to any third parties in relation to their attendance at the PA Conference.

    NB This policy provides public liability insurance only and will not cover (for example) claims arising from the sale or supply of products, except for food or drink sold for immediate consumption at the event as refreshments.

    d. Security will be provided, but the provision of security will not be deemed to limit or exclude any liability of the exhibitor or sponsor under these terms and conditions or at law, nor will it, to the extent permitted by law, increase the liability of TPGA, and its employees, agents or contractors, or the Venue and its representatives and employees.

    LIABILITY

    a. The sponsor and exhibitor attends the PA Conference and uses the exhibition space and all other facilities (and uses or provides the stand, equipment and materials in connection with its exhibit) at its sole risk and assumes full responsibility in connection with any liability of any kind arising from its attendance at the PA Conference or in connection with these terms and conditions, whether based in contract, tort, statute or otherwise.

    b. The sponsor and exhibitor each indemnifies TPGA and each of its officers, employees, agents and contractors, including the Venue, (the Indemnified Parties) from and against all loss, damage, cost or expense (including any legal cost or expense on a full indemnity basis), demand, action, claim, judgement, liability or obligation however it arises and whether based in contract, tort, statute or otherwise, which the Indemnified Parties suffer or incur arising out of or in connection with:

    i. a breach of these terms and conditions by the sponsor and/or exhibitor;

    ii. any negligent act or omission of the sponsor and/or exhibitor or its employees, contractors, directors or agents;

    iii. any injury to, or death of, a natural person and any loss of or damage to, the real or personal property of TPGA or a third party caused or contributed to by the sponsor and/or exhibitor, its employees, contractors, directors or agents; or

    iv. any infringement or alleged infringement of any intellectual property right in connection with these terms and conditions or anything used or supplied by the exhibitor or sponsor in connection with these terms and conditions or the PA Conference.

    c. The liability of the sponsor and/or exhibitor to indemnify the Indemnified Parties will be reduced proportionally to the extent that a negligent act or omission of the Indemnified Parties contributed to the damage, expense, loss or liability.

    PAYMENT TERMS

    A 50% deposit for sponsorship and trade exhibition fees is due upon booking with the balance due by 31 July 2018. TPGA reserves the right to cancel sponsor and trade bookings if the full payment is not received by the due date.

    CANCELLATION POLICY

    All cancellations or requests to reduce stand space after assignment, must be made in writing to [email protected]. Cancellations made before 31 July 2018 will receive a 50% refund of the total booking cost. Cancellations after 31 July 2018 will receive no refund. No refunds will be issued until after the PA Conference.

    CANCELLATION, POSTPONEMENT OR RELOCATION OF THE PA CONFERENCE

    a. If TPGA determines, in its sole discretion, that the venue at which the PA Conference is to be held is unfit for occupancy, or that the PA Conference will be materially interfered with by reason of the elements (including adverse weather events or natural disasters), strike picketing, boycott, embargo, injunction, war, riot, emergency declared by a Government agency, or any other act beyond the control of TPGA (Force Majeure Event), then:

    i. TPGA may elect, in its absolute discretion, to cancel, postpone or relocate the PA Conference or terminate the sponsor and/or exhibitor’s booking;

    ii. any obligation of TPGA to sponsors or exhibitors under these terms and conditions will be suspended for the duration of the Force Majeure Event; and

    iii. TPGA will not incur liability for any loss, damage, cost or expense (including any legal cost or expense on a full indemnity basis), demand, action, claim, judgment, liability or obligation however it arises and whether based in contract, tort, statute or otherwise, that may be sustained by exhibitors as a result of such termination of the sponsor and/or exhibitor’s booking or cancellation, relocation or postponement of the PA Conference.

    b. In the event of such termination, cancellation, relocation or postponement, the sponsor and/or exhibitor expressly waives any liability of TPGA and releases TPGA from all claims for damages such that TPGA will have no further liability to the sponsor and exhibitor, except to refund to exhibitors’ prorated shares of the aggregated amounts received by TPGA as rental for exhibit spaces, after deducting all reasonable costs and expenses in connection with such exhibits incurred by TPGA.
