St. John the Baptist Catholic Church Parish Pastoral Council (PPC) Meeting Minutes Thursday, January 14, 2016 PPC Members Present: Matt Sinning, Karen Brackman, Fr. Marc Sherlock, Charles Wright, Gary Chafin, Greg Andrews, Matt Watercutter, Judy Kleman Lesher, Adam Grieshop, Beth Linsenmeyer, Rick Monnier and Mary Chafin. Hospitality: Hospitality for the evening was provided by Greg Andrews. Adult Faith Formation: Rick Monnier presented the adult faith formation. Matt Sinning, chairperson, welcomed everyone and thanked them for attending, and the meeting was called to order at 7:14 pm. PPC Minutes: Matt Watercutter made a motion to approve the minutes of the November 19, 2015 meeting; seconded by Rick Monnier. Motion carried. Ministry Reports: No ministry reports due to discussions regarding the pending retirement of Fr. Frank Keferl. Liaison Reports: Parish Finance Council: No Finance Council Report. Evangelization and Catechesis Commission: Resources are available to the parish from the Paulist Ministry, including webinars and social media. Assistance is needed with Adult Faith Formation for Days of Reflection. Worship Commission Report: No report. Next Worship Commission meeting is January 26, 2016. Youth Representative Report: Adam Grieshop advised that Freshman Retreat will be held in 2 weeks. D.E.C. Report: Deacon Chuck reported on the following subjects: RCIA – Seven people (2 children, 1 teen and 4 adult participants). Right of Acceptance is January 17 th . Coffee with Christ – Off to a rocky start, averaging 15 people at each session. Time of the scheduled sessions seems appropriate. Looking for suggestions of future topics. Luke Bible Study – 20 participants. Have received favorable comments indicating that our adult faith formation is on the right path. First Communion – There are 21 children that will be receiving the Sacrament this year.

Deacon Chuck indicated that the parish is currently exploring in-house certification of Catechists. There will be a Lenten Reflection on February 21st through 23rd featuring Pasquale Talarico. This will be a family oriented program. In addition Deacon Chuck shared information about the Dynamic Catholic “Best Lent Ever” program. Youth Ministry Report: Teri Iverson was not in attendance. However, a summary report was provided (see attached). Pastor’s Report: Fr. Marc Sherlock reminded everyone that Lent begins earlier than usual on February 10th. We will once again be participating in “The Light is on For You” on February 23rd from 7 -9 pm. Fr. reported on the results of the Parish Poll regarding the proposed portico. 29% voted for the portico. 71% voted no. Fr. suggested we table the project for now. Gary Chafin commented on feedback he received from parishioners indicating that they felt they were caught “off guard” by the poll. They voiced concerns that there was no time for consideration, the expense of the proposal, and there was no artist’s rendering of the proposed construction. They were asked to vote in an uninformed state. Matt Sinning agreed that there was no clear picture of how the finished project would look. There was also a concern that the capital campaign payments are coming due, building project costs were not clear and overall bad timing. There was also the point raised that the portico was part of the original church design and it was unclear whether it would be an integrated structure. Fr. advised that there was discussion of an artist’s rendering but it was deemed too costly. The purpose of the poll was merely to gage interest and willingness to fund the project. Fr. also explained that the proposed location was moved to the south side of the church due to ECP drop-off/pick-up on the north side, which results in funeral parking being moved to the south side. The portico, if constructed, should be located to accommodate funerals. The portico was on the original plan in 1998 but the overall church construction cost was too high so it was deleted from the plan. Fr was concerned about statements that were made implying that he was dictating how donated money should be spent. Fr. indicated that when money is donated it should be used for the intentions stated. Fr. was looking for interest and a small group stated to him that there was broad interest in the portico project. Fr. Marc advised the council members that Fr. Frank Keferl will be retiring effective July 1, 2016. The Archdiocese has a process to address priest retirements (see attachments). There will be a series of meetings on February 11th to include the affected priests, parish staff and council members. Both parishes have been meeting to prepare for the day when both parishes would have to share one pastor. We will need one representative from PPC and one representative from the Finance Council to serve on the Pastoral Region Coordinating Committee. Fr. advised that 7 priests will be ordained in May. When there is an opening such as is occurring at St. Christopher’s, a list of parishes in need of a pastor is sent out. Priests may make recommendations or nominate themselves. The Archbishop approves the nominations. If one priest is the pastor of more than one parish an associate pastor would be named. In prior times there was an associate pastor in each parish. An associate pastor receives two 3-year assignments before becoming a pastor. Matt Sinning asked why they would be an associate and not a pastor. Fr. indicated it would depend on their prior assignments.

Greg Andrews asked whether St. Christopher’s would have a higher priority due to its size and the fact that it includes a school. Fr. Marc indicated that would not be the case since they are both viable parishes. Gary Chafin asked how having one pastor would affect the mass schedule. Fr. Marc said retired priests can be called upon to assist. Priests from Transfiguration Center enjoy helping out at St. John’s. Our census is up, but our attendance is down averaging 600 per weekend. Fr. said both parishes will need to make adjustments in the long term. There will be a Town Hall Meeting on Tuesday, February 16th at St. Peter’s for all parishioners from both parishes. There will be a presentation by Bishop Binzer and Fr. Wenke followed by a Q&A session. After the joint parish meeting, the listings will be sent out and nominations sent to the Archbishop for approval. Fr. asked for continued prayers during this process. Fr. advised that we would be receiving two video messages from Archbishop Schnurr. One is a personal message of thanks concerning the One Faith, One Hope, One Love capital campaign. The second concerns the Catholic Ministry Appeal. Round Robin: Greg Andrews raised a concern about traffic congestion during Sunday evening PSR pick-up. The line of cars stretches out onto Hyatt St. Matt Sinning recommended putting out cones, making one side of the church the entrance and the other the exit, and that we could utilize parking monitors. Gary Chafin brought up a concern if a family had 2 children in different age classes PSR could occupy your whole Sunday. Deacon Chuck advised that we would need another building to have everyone attend at one time and that homeschooling is an option. Fr. stated concerns from parents about having to pick between religion classes and sports. St. John’s put all classes on Sunday to accommodate, but there are still scheduling conflicts. It would be beneficial for all Christians to agree that there are no youth sports on Sundays (most of the time it is sports clubs and select teams). Gary Chafin asked about the possibility of training for adult servers. It could help for funerals, daily mass and holy days. Fr. will help. Ministry Report for Next Meeting: Next meeting will be a joint session with St. Christopher’s, so no ministry reports. Karen Brackman will provide hospitality for the April meeting, Gary Chafin will present Adult Faith Formation, and Doug Richters will provide the Closing Prayer of Gratitude. Fr. Marc closed the meeting with a Prayer of Gratitude. The meeting adjourned at approximately 9:00 PM. Next Meeting: The next meeting of the St. John the Baptist Catholic Church Parish Pastoral Council will be held on Tuesday, February 11th at 7:00 PM at St. Christopher’s parish.
