ST4 Psychiatry Self-Assessment Verification Process: Guidance for Applicants on what evidence to provide The scores you award yourself in each domain of the ST4 Psychiatry self-assessment in the application form will be verified by an assessor. You need to upload the evidence for each domain where you have scored yourself greater than zero between 21 st September and 6 th October 2020. You will also need to provide a summary of your employment history including any gaps from leaving medical school until the present. This document gives you guidance on how you should assess yourself and what type of evidence is required for each domain. It is strongly suggested that you read this information in full before submitting your application form by no later than Thursday 27 th August at 4pm UK time. You should be aware that if you do not follow this guidance, then your self-assessment scores may be marked down. Instructions for where and how to upload your evidence will be provided in due course. This document has three sections 1. Summary of Employment History 2. ST4 Psychiatry Self-Assessment Verification Process:

Guidance for Applicants on what evidence to provide

The scores you award yourself in each domain of the ST4 Psychiatry self-assessment in the

application form will be verified by an assessor.

You need to upload the evidence for each domain where you have scored yourself greater than zero

between 21st September and 6th October 2020. You will also need to provide a summary of your

employment history including any gaps from leaving medical school until the present.

This document gives you guidance on how you should assess yourself and what type of evidence is

required for each domain. It is strongly suggested that you read this information in full before

submitting your application form by no later than Thursday 27th August at 4pm UK time.

You should be aware that if you do not follow this guidance, then your self-assessment scores may

be marked down.

Instructions for where and how to upload your evidence will be provided in due course.

This document has three sections

1. Summary of Employment History

2. General information about evidence for domains 1-10

3. Specific information about evidence for each domain 1-10

1.Summary of Employment History

• Certain domains are time specific, e.g. Domain question 10 requires evidence from

the past 6 working years.

• This means you need to provide a summary of your employment history including

any gaps from leaving medical school until the present along with your evidence for

each domain.

o You can download your employment history plus any gaps from your Oriel

application form

o You can provide relevant sections from your CV

• It is important therefore that your uploaded employment history is clear and

accurate, otherwise it could lead to evidence being rejected and your scores being

amended.

• Assessors will not be able to access your employment history via your Oriel

application so you must upload this to your self-assessment evidence folder.

• Please see below for some examples of how this information will be used.

Example 1 – Applicant has worked continuously since completing their primary medical degree and

has 5 years working experience in total.

• For Domain 10 which asks for evidence from the past 6 working years, evidence

would be permissible from all years shown below.

• For Domain 6, which asks for evidence from the last 3 working years, evidence

would be only be permissible from Posts 1, 2 and 3 (i.e. from no earlier than August

2017)

Example 2 – Applicant has had periods of statutory leave and a career break since completing their

primary medical degree and has 8 years working experience in total.

• For Domain 10 which asks for evidence from the past 6 working years, evidence would be

permissible from Posts 2, 4, 5, 6, 8, and 9 (i.e. 6 working years)

• For Domain 6, which asks for evidence from the last 3 working years, evidence would be only

be permissible from Posts 2, 4 and 5 (i.e. 3 working years).

• Please note that you should take care with Domain 5, as although it permits evidence from

the past 7 working years, it excludes Foundation and Psychiatry posts and so in this example,

only Posts 6 and 8 would count.

2. General information about evidence for domains 1-10 If the evidence you provide for the Self-Assessment verification does not match the score that you awarded yourself in your application, the assessors will alter the score for each domain where that is the case. Please note:

• the score may be reduced or increased depending on whether you over or under scored yourself. • if there is no evidence for that domain, the score will be adjusted to zero.

If your score is changed and you disagree with that change, there will be a chance to appeal the outcome before offers are made.

• All marks you award yourself in the self-assessment section of your application form MUST be supported by a piece or pieces of evidence that can be verified by

assessors. This means any claim made, such as published articles, any prizes

awarded etc. needs to be backed up by at least one piece of documentation.

• You should upload the minimum amount of evidence possible for that score.

o E.g. if you are first author in 10 peer-reviewed publications as a

postgraduate, please pick the two you are most proud of and upload

evidence for them. Full marks are awarded for more than one first author

postgraduate peer-reviewed publication, so we do not need to see every

publication.

• Please give each piece of evidence a clear title so that it tells the assessor what the

document is.

• Please ensure that evidence is not double counted where this is indicated as not permissible. Please use the evidence where it will score you the most marks.

• Where evidence has been incorrectly double counted by an applicant, assessors will amend your scoring accordingly.

• If you have scored yourself 0 in any domain, you do not need to provide any

evidence.

• You must ensure that any documentation that is not in English has an official translation.

• Please save your evidence as one of the following file types: PDF, JPG or PNG

• Please note that we had originally planned to incorporate your CASC scores into the self-assessment section of the application form as Domain 11. This has now changed and you will be asked to upload evidence of your CASC score to your application at the time of application, or once your results are known on 2nd October 2020.

Probity

• You must remove any patient-identifiable data (failure to do so could be reported to your employing trust or Responsible Officer).

• If we consider that you have seriously over-scored yourself (awarded yourself 5 or more points than you have evidence for), we will make contact with you to investigate further.

• In such instances, we reserve the right to • award of an overall self-assessment score of zero, and • follow the HEE recruitment probity guidance which may result in us contacting your Responsible Officer.

2. Specific information about evidence for each domain 1-10 It is important that you provide evidence to support each of the scores that you awarded yourself in the self-assessment part of the application form. Whilst it is not possible to provide an exhaustive list of acceptable evidence, the table below will give you an idea of acceptable examples. Missing or unclear evidence will be treated as you not having the evidence. It is important to note that you must be concise with the evidence provided.

However, case reports in an electronic publication such as e-BMJ Case Reports should count for a total of one point only, even if multiple case reports have been published.

• Chapter(s) in commissioned books score 4 (first author) or 3 (Co-author). Evidence of the publication should be provided (e.g. photocopy of the title page, printout of a literature search showing the reference).

• ‘in-press’, with evidence, can be scored. Un-submitted, or submitted but not yet accepted, doesn’t score.

10 - Presentations and Poster Presentations in last six working years

5 • Case presentations and journal club presentations are not included as they are part of the curricula requirements.

• For Regional / National / International presentations, evidence needs to be presented of where the presentation occurred (not just the PowerPoint slides) e.g. printout of the meeting, programme which identifies the speaker, letter of acceptance, conference abstract etc. For local presentations, the PowerPoint slides are sufficient.

• Presentations of original research which lead to PhD/MD etc. already credited in Domain 6 can also be credited here. Teaching presentations are

• ‘I have presented at a regional, national or international meeting’: it doesn’t matter where the meeting was held - it’s the body which counts. A national meeting would be organised by a national body e.g. RCPsych, RCP, BMA. ‘Regional’ implies a meeting of a regional organization e.g. NW Division RCPsych (even if held in the hospital where the trainee was working at the time).

• Presentations as part of deanery/HEE teaching for regional trainees, teaching for foundation trainees or medical students are not counted in this section, but can be counted in Domain 7 (Teaching).

• Presentations of audit can be scored here,

however the same audit project cannot be used for credit in both this section and Domain 6 – Clinical Governance, Audit and Quality Improvement as a postgraduate.

• Presentation of a piece of research which has led to MD/PhD credited in Domain 7 – Research can be credited here as well.

** Please note that the maximum number of uploads are intended as a guide. Please be as concise as you can with your evidence, but do feel free to exceed the

higher limit if your situation requires it (e.g. you may now have a different surname from one that appears on a publication or presentation so you may need to

include evidence to show your name has changed).
