Structure
(1) Project ID
The following project ID structure shall be implemented on all projects
1) The first 6 characters shall be the project number followed by a dash
2) The next 2 characters shall be the current year followed by a dash
3) The next 2 characters shall be the current month (month of update period) followed by a
dash
4) The next 2 characters shall be the current day (day update period) followed by a dot
5) The next 2 characters shall be the Schedule Type followed by a dot
i) BD = Bid
ii) BL = Baseline
iii) UP = Update
iv) TI = Time Impact
6) If there is a revision required the revision number will be sequential beginning with one
(1) after a period to separate it from the month

(b) Responsibility Contractor (Global activity code)
The contractor must assign the appropriate responsibility activity code to each activity
within the schedule
The Contractor must request addition of new subcontractors not currently present in the
code dictionary to be added into the responsibility activity code dictionary The
department will attempt to add new contractors from the contact list included with the
submitted preliminary and baseline schedule narratives
A Responsibility global activity code has been established in the Department P6 database
that contains the following code values and names The name of the global activity code
is ldquoTRANS-Responsibilityrdquo Set Max Length for value character to six (6)
NOTE A current list of Responsibility code values and names are attached to the end of
this document Contact the ArDOT CAP Scheduler to request the addition of values and
names not on the list
(c) Station Location (Project activity code) ndash The contractor shall develop a Project Level
Activity Code to be assigned to all activities The name of the project activity code is
ldquoStation Locationrdquo Set Max Length for value character to seven (7)

(e) Unspecified Activity Codes (Project activity code) The contractor may develop and
use any additional project level activity codes deemed necessary to plan and manage the
project in the most efficient manner
(7) User Defined Fields
The contractor shall assign production rates on Primary material that the duration is derived
from through the use of an ldquoactivityrdquo User Defined Field titled ldquoXXxxxx Prod Raterdquo
(XXxxxx = ArDOTCAP project number) according to the associated resources and scope of
work using the 6 character project number in lieu of the xrsquos If two (2) or more resources
with different production rates are assigned to a single activity the Engineer may request the
activity be split so that only one production rate for the corresponding material and scope is
on any given activity
The production rate ldquoactivityrdquo User Defined Field shall be a number Data Type
(8) Resource ID Structure 1) The first 6 characters shall be the project number followed by a dash
2) The next 6 characters shall be the item code (schedule of values line item) followed
by a dash Add leading zero(s) to equal 6 characters if necessary
3) The next character shall be the resource type (L = Labor M = Material E =

(9) P6 Settings Clarifications
The following P6 settings must be used in order for all projects to function and calculate
properly within the ArDOT (CAP) Enterprise environment

already one of the data columns Uncheck the box for each and every resource
assignment within the schedule This can be done by first unchecking the
resource assignment at the top of the list highlighting all resource
assignments and using the ldquofill downrdquo feature to uncheck all resource
assignments
Under the menu item ToolsAdministration Depending on what P6 version you are running
and whether it is web-based you might need to login through the web for Administration
Earned Value settings
o Activity Percent Complete should be Checked
o ETC = Remaining Cost for Activity should be Checked
o At Completion with Current Dates should be Checked

NOTE The intent is to have at least one task for each Work Type activity within

(11) Steps for Updating and Calculating the schedule
(a) Updating the Project

WARNING If any progress is changed on an activity AFTER the above process is
complete the actual material quantities must be re-entered after the progress change
for that activity(s)
2) Actual this Period Units While updating your resource units you need to update the
actual units in ldquoActual this Period Unitsrdquo This column shows the incremental values
for the update

3) Update ldquoActual this Period Unitsrdquo to put in the incremental value for Actual Units
instead of calculating cumulative units for ldquoActual Unitsrdquo
4) As seen in the fig above you just need to input the incremental units used in that
period and the cumulative values are automatically incremented in Actual Units
column Actual This Period Units are reset to 0 every time you store Financial
Periods after scheduling your project
(b) Store Financial Periods
1) Workflow Go to Tools gt Store Period Performance gt Choose your ldquoFinancial
Periodrdquo gt ldquoStore Nowrdquo
WARNING Do not Re-Calculate the schedule after Actual Units have been applied
to the Material resources and before Storing Period Performance This can cause
some of the actuals to change slightly
You can re-calculate the schedule AFTER Period Performance has been Stored
(12) Material Resource Actual Units ndash Balancing Estimate At Complete Units With each
bi-weekly update the total Units Estimate-At-Complete for each Material Resource should
equal the Contract Budgeted Units (quantities)
After applying actual units to all activities for the progress period balance each resource total
units estimate-at-complete by
(a) Obtain the variance between the contract budgeted units and current estimate-at-complete
units
(b) Find the last activity taking place in the schedule for that given resource

(c) Add or subtract the variance from the estimate-at-complete of that resource on the last
activity
NOTE At this point the Contract Budget Units and Current Total Estimate-At-Complete

work using the 6 character project number in lieu of the xrsquos If two (2) or more resources
with different production rates are assigned to a single activity the Engineer may request the
activity be split so that only one production rate for the corresponding material and scope is
on any given activity

(a) Obtain the variance between the contract budgeted units and current estimate-at-complete
units
(b) Find the last activity taking place in the schedule for that given resource
