What and Why

Citation management software can help you:

• Import citations from databases and websites.

• Build and organize bibliographies in almost any style (APA, MLA).

• Format citations for papers.

• Annotate citations.

• Save and organize PDFs, websites and other files.

Three components:

– library that keeps all of your references organized

– browser tool that can grab citation information from a web page

– Word (or OpenOffice) plug-in that produces formatted in-text citations and a bibliography.

Firefox:

Citation styles

Native styles include:

• APA 6th ed. *

• Chicago

• IEEE

• MLA 7th ed.

• Vancouver

APA: Editing citations

• Zotero adds citation information exactly as it comes from a database SO … if the title is in all caps, Zotero captures it that way

• Two strategies:

– Change the citation info before creating a bibliography

– Proofread (a must!) and edit the finishedbibliography

Customize your Zotero styles

• 7,181 styles available in the Zotero Style Repository: https://www.zotero.org/styles

• Zotero with Firefox: click the title of the style & it will import into style list

• Zotero with Chrome or Safari:

– right-click the style

– choose Save Link As

– Open the downloaded file (stylename.csl) while running Zotero, and the style will import

Gathering citations

You’ll see different icons depending on what you’re looking at:

• book icon:

• journal article icon:

• multiple citations (e.g. a page of search results):

Other ways to add content

• Web page –right click > save zotero snapshot

• Add manually – create new item button

Organizing citations: Collections

• Citations can be sorted into different folders, called Collections

• Citations can sit in more than one Collection at a time

• All citations appear in the My Library collection

• To add a reference to a collection either:

– Select the appropriate folder before importing items

– Drag reference to appropriate folder and drop it in

• Deleting a reference from 1 collection does not remove it from your library

Creating bibliographies

(Without Zotero plug-in)

1. Select items

2. Right click to create a bibliography

3. Select citation style

4. Copy to clipboard

5. Paste into document

Bibliographies with plug-in

• If you downloaded Zotero with Chrome or Safari, you have also downloaded the Word plug-in:– To install, navigate to Settings > Preferences >

City and choose "Install Word Add-On."

• If you are using Zotero with Firefox, the Word plug-in can be downloaded here.

• You’ll see the plug-in under Add-ins in Word toolbar

Plug-in commands

• Insert a citation• Edit a citation• Insert a bibliography• Edit a bibliography• Refresh the document• Change document preferences• Remove field code (don't do this unless you're absolutely sure

you don't need to make any more changes to your document!)

Most useful:

1. Insert citation: brings up floating menu bar: choose either predictive typing or Classic View to select item from library

2. Create bibliography: automatically generates bibliography from citations in document
