Dear System 1® User, In this issue, we will show you how to use an often overlooked, but very useful utility called DocuView™. DocuView lets you connect files, URL’s, folders and Directory links to any item in your System 1 hierarchy. Examples of things you can attach are machine train drawings, Installation diagrams, links to datasheets and so on. How to DocuView™

1 First, connect to your System 1 Enterprise and open System 1 display. Navigate to the item in the System 1 hierarchy you would like to attach something to. In my example, I would like to attach a few things to the HP/IP Steam Turbine, Bearing 1 X Probe. Right click on the item in the hierarchy, or in the graphical display

3 The DocuView window will open up. Hint: If only the top part of the windows shows (shown in the yellow box), you can drag the window from one of the corners to enlarge it to see the hierarchy and attachments.

Once you selected the item and right clicked on it, select “DOCUVIEW” from the pop-up menu

We can now add a file or a URL to the selected item, create a folder within the hierarchy or create a link within the hierarchy. We will look at each of these individually.

To add a file, obviously you click the “Add File” button. You then browse to the file you want to add. This file can be on the System 1 server, or on another computer accessible on the network. Hint: Make sure the file resides on a computer that is always accessible and make sure the path to that computer will never be changed.

Once you add the file, it becomes visible under “BRG_1X” in the hierarchy and can be opened by clicking on it.

Now let’s add a URL. This can be a URL to a datasheet, a manufacturer’s website, or anything with helpful information about the item you are attaching it to. One word of caution; if the website administrator changes the URL, you obviously will no longer be able to link to it and will need to update your links.

You can type in the URL, but you most likely don’t have the URL memorized. I like to open the web page and copy and paste the link.

Once the URL is added, you will see it in the hierarchy and can open the link by clicking on it.

So far so good… But, now you’re really starting to like this DocuView tool and want to add lots of useful information to an item… Things can become cluttered in a hurry with all those files and links lumped together under an item. Well, you can organize your files and links in specific folders you create under the item, very much like organizing your information in Windows folders. For instance, you may want a folder for mechanical drawings, one for electrical drawings and one for datasheets. So, let’s take a look at creating a folder under the same item we’ve linked files and URL’s to in our hierarchy (BRG_1X)....

Give the folder a name. You can now add files and URL’s to this folder. Highlight the folder and use the “Add File” and/or “Add URL” buttons just like you did when attaching files and URL’s to the item.

If you prefer to have the folder with information located elsewhere, you can link to the folder using the “Create Link” button. This is similar to the “Create Folder” button, except you are linking to an existing folder with information on the System 1 server or another computer that’s available on your network.

You now see the link shows in the hierarchy

OK, so far so good, but there are a few more options available in the DocuView window. As mentioned before, you can attach things to any item in the hierarchy. If you only want to see the attachments for an item in the hierarchy, make sure the “Show Sub-Level Documents” check box is unchecked. Conversely, if you want to see all attachments from that level down, check the “Show Sub-Level Documents” check box.

Finally, If you are looking for a particular file, you can apply filters to view only the files that meet those criteria. You can check and enter search criteria for only one thing, like search for files containing a certain keyword, or you can filter on two or all three criteria. If you checked “Show Sub-Level Documents”, all files below that point will be searched as well. If left unchecked, only the files attached to the highlighted item will be searched. Note: Searches do not apply to Folders you created or linked items. The searches only apply to items directly linked to an item in the hierarchy.
