Dear Scouting Volunteers: Thank you for your leadership in the forthcoming 2009 Popcorn Sale. We want to thank Weaver Popcorn for sponsoring our 2009 District Banquets to recognize our volunteers. After listening to our volunteers and forming a task force to review ideas we are pleased to present our new plans for 2009. Positive changes for 2009 include: • Meetings on a Program Area basis to save volunteers time and resources. • Sale extended for 60 days-September 3 to November 6. • Have show and sell available for units to use. • Free events for all Scouts who fill up one order form. • 35% Commission without prizes, 30% with prizes. • All Scouts have a goal to fill up one order form or more. See special incentive for the

Scouts. Scout Day events and Bow and Mallow and Marshmallow Blaster items. • Military option to send popcorn to military overseas. This sale can fund your entire year of Scouting with proper planning, motivation and en-gagement of your Scouts. The plan is simple… • Set a unit goal and be committed to that goal. • Set a goal for each Scout based on the unit goal. • Ask every Scout and family to participate. • Conduct a fun unit kickoff. • Schedule “blitz days” to focus your sale on specific coordinated dates. • Pay attention to deadlines. Fact Sheet on the 2009 Popcorn / Trail Mix Product Sale

For Scouting Units What? The only council-level unit fund raiser for the Greater Alabama Council. The campaign has popcorn and trail mix as products to sell. Who with? Trail’s End Popcorn Company—-Trail’s End is sponsoring all of the

2009 District Banquets at no charge to our Scout volunteers. This is a Scout-friendly vendor who invests locally in our Scouting program. Their employees are Scout volunteers in their local Boy Scout council. They are Scout-friendly and supportive.

When? Scouting units will be able to sell the products from September 3rd and

have all orders in by November 6th—-this includes 60 days of selling. Why? This effort is set up for the Scouting units to benefit financially without

the liability of other fund raisers. The GAC assumes all risks with Trail’s End Popcorn. Scouting units set a goal, give their Scouts a goal and benefit from the sale. The GAC organizes the effort, provides the coun cil-level prizes, incentives, etc. for units and Scouts to enjoy. Scouting units in the past have netted as much as $10,000+ by asking all Scouts and their families to do their part in financing the local Scouting program costs. A little effort gives our Scout units a great return in financial sup port.

The Responsibilities of The Unit Popcorn Kernel

Unit Popcorn Chairman Job Description 1. Attend district popcorn sales training session. Pick up forms and information.

2. Work with committee to develop a unit sales goal. Divide that goal into a “per boy” goal.

3. Develop a unit incentive plan for your Scouts or choose PLAN B for Council prizes.

4. Decide when take order, money and prize forms will be due to you.

5. Prepare handouts for Unit kick-off meeting for both leaders and Scouts. Handouts include: a) Timeline showing sale dates, date orders due, time and place for pick-up b) Unit goal and per boy sales goal c) Unit Master Record form(s) to record Scouts’ sales for den/patrol totals d) One order form for popcorn and one prize flyer (money envelope given with popcorn).

6. Hold unit kick-off meeting near date popcorn sale begins. Discuss sales techniques money collection, and safety suggestions. A “Kickoff Kit” of materials is provided free of charge.

7. Collect and total orders from den/patrol leaders on designated unit order due date. Fill out header information and all left-hand side of unit order and settlement form.

8. Give white copy of unit popcorn order and prize order form and statistics to the Council or the district popcorn chairman.

9. Pick up popcorn at the designated site on the district popcorn pick-up day. Make sure to bring vehicles large enough to accommodate your order. You will be expected to verify counts and sign the unit packing slip form acknowledging receipt.

10. Units pick up popcorn on November 18. Scouts distribute popcorn to customers.

11. Remind Scouts of money due dates. Make sure checks are payable to the unit.

12. Collect and tally money by unit money due date.

13. Be an EARLY BIRD UNIT; collect the money for the product at the time of the sale. This cuts your steps from SELL – DELIVER- COLLECT to SELL / DELIVER. Issue one

check payable to Council for “Total Amount Due Council” by December 14, 2009 or turn in the “Money Due The Council” early to receive your unit’s prizes faster. Prizes shipped when unit is paid in full.

Unit Sales Kickoff Meeting Agenda Kickoff Kit Provided

5. Explain that we take the orders, submit the orders to your District Popcorn Chair, pick up the product, deliver the product and pick up the money -- you keep your commission and send the council its portion -- prize order deadline, etc.

6. Special incentives are awarded after your unit account is balanced. 7. Discuss safety while selling 8. Discuss Corporate Sales -- you can hit a company for holiday gifts and hit it big

etc. - unit might have their own incentives and prize opportunities. 11.Thank everyone and remind them of the deadlines. 12.Give out additional door prizes and adjourn. Note: Remember to make the meeting fun, energetic and moving -- no one likes slow and dull meetings.

TIPS FOR A SUCCESSFUL KICKOFF MEETING    1.  Be Outrageous Set the tone upfront that this is going to be a fun meeting!  Have music playing, door prizes etc.  This is about the “boys”.  Have some of the adult leaders dress up in costumes, wear a corn hat if you can etc.  Have Fun—It will be Contagious.  Try to dedicate it all to the popcorn kickoff without any boring an‐nouncements etc.  2.   Make it Educational Show the product and have samples for them to try.  Teach them something simple to remember about one or more of the choices.  For example—” I recommend the 3‐way tin since it has a little of everything”  Suggestive selling works!  Have on of their peers who has had success in the past talk to them about his secrets of selling.  This goes a long way.  3.   Incentivize Them! Roll our and be excited about the council and district level prizes.  Focus on your individual unit incen‐tives!  This needs to be planned in advance by your leadership committee.  For example—it might be a unit sponsored trip to the USS Alabama if the unit reaches their goal.  In addition, you need to have some individual prizes for the top sellers—1st, 2nd, and 3rd place.  Have these at the meeting so they can touch and feel them!  Probably one of the best incentives is a “Pie in your face contest” for every Scout that fill sup their sheet—they get to throw a pie in the face of one of the leaders.  Kids love this and this will go a long way!  4.    Make it Goal­Oriented Roll out your unit goal but focus on the individual goals!  If every Scout fills up one sheet—you will hit your unit goal!  The top selling Scouts will fill up more sheets.  They will remember the goal you set and will work toward it.   5.    HAVE FUN! Keep your meeting exciting!  Stop at a few points throughout to give away door prizes—most of these can be very small but have one big one that will really hit home with them.  At the end of the meeting –save 5—10 minutes to talk to the parents and review some of the pertinent information.  Bring in some ice cream cups or something for the boys while you do this.  The last thing that you should do to close is to give away the big door prize—this can be a remote control car or something.  They will remember that.  If you make a small investment in this program and roll it out with excitement and enthusiasm—you will have a very successful event and be able to fund much of your annual program.  The boys also learn valuable communication and selling skills for the future.  Good Luck!

Military Sales

Instead of buying popcorn, a customer may choose to make a $25 or $40 contribution towards the Military Product Donation Program. The money donated is used to send popcorn to military troops directly from Trail's End. The Scout receives the exact same commission as if actual popcorn product were sold, and the sale is eligible towards prizes and incentive programs.

Selling Tips for Scouts Start by making a list of everyone you know you could sell to. Start with relatives. Ask all the neighbors on your street. Ask them to buy a year’s worth of popcorn or about eight, 15 packs. Statistics show 4 out of 5 houses buy Trail’s End Popcorn when asked. Always be courteous and smile, be neat and clean, and wear your uniform when selling. Introduce yourself by name and unit number when calling on your friends and neighbors. Popcorn is a great gift for Christmas, relatives, and teachers. It makes a great Halloween gift too! When you have made your sale, thank your customer. Keep a list of those who promise to buy later. Call back and don’t get discouraged. Evenings and Saturday mornings are good times to make sales calls. Ask your parents to take an order form and pass it around the office. See if your unit can take orders at your local church after ser-vices. Be careful with your order flier, it is your only sales record.

If you or a parent in your unit is skilled with the computer program Micro-soft Excel, then you might want to develop your own method of keeping up with the den sales in a form similar to the one below. Unit Tips for a Successful Popcorn Sale Set a unit goal to attain during this effort--this will help you in planning your unit program budget and how much your families might save from their per-sonal budgets.

Set a date (sale start date is September 3rd) for your unit’s Popcorn kickoff to get everyone excited and go over the campaign goals, dates, details, how to be successful and turn in dates and deadlines. Have a “sales-oriented” parent speak at the unit kickoff on how to sell and be more successful. This might be the key to more sales and money for your scouting unit.

Educate your parents on the importance of this effort to help keep the cost of Scouting as low as possible.

Ask (expect) each Scout and his family to participate and fill out at least one full sheet. Everyone should share in the cost of paying for Scouting. If half of your Scouts participate, then they are paying for those in your unit who do not participate. This would not appear fair or follow the Scout Oath and Law.

Promote our prize and incentive plan. Remember, Scouts can earn prizes along with your unit earning commissions.

Add to the incentive/prize plan from your local unit. You can add incentives from your Scouting committee. Be creative and remember that the more we motivate our Scouts, the better they will do.

Keep good records of all activity and meet the deadlines of the campaign. Re-member that all incentives are provided after clearing your account with the Greater Alabama Council

Contact local companies or offices to ask them to use our product for holiday gifts to their employees or customers. Landing a corporate sale might mean hundreds or thousands of dollars to your unit.

Remember to contact your District Popcorn Chair or staff professional for an-swers or help during this process. They are here to help you be more successful.

ONLINE ORDERING We strongly encourage you to submit your popcorn and prize orders online. If you must submit

a paper order, all forms needed are available in your unit packet and on the Council website 1. At the end of the sale, collect all the Scouts’ order forms. Add them together. You now have a total for your “Take Order” sale.

2. Go to www.trails-end.com. Click on the “leaders” tab, and then on “Popcorn System.” Enter your username and password and follow the instructions for logging in.

3. Click on “Orders” at the top of the page, then click on “Place Orders.” 4. Submit your order.

Online Help Having problems finding your way around the Trail’s End website? There are now comprehensive help docu-ments available for your support. Once you are logged in on www.trails-end.com, click on the down arrow next to the word “Help” in the horizontal menu at the top of your screen. Then choose the topic with which you need help. There are sample screen shots as well as directions to guide you through.

Orderpopcorn.com Your customers can continue to support your unit’s popcorn sales with year-round sales through the internet. When popcorn is delivered, each Scout should leave behind a thank you card. In addition to say-ing thank you to his customers, this card can have information about Scouting and information about how more popcorn can be ordered on the internet. Instructions to setup this program are in the leader’s section of trails-end.com. Your unit will be assigned a unit code when you sign up. Put this unit code on your thank you cards. Trail’s End will process and ship the order directly to the customer. Customers can order by the case or by individual items. Sales from orderpopcorn.com do not apply to the youth’s fall sale totals, but the unit does receive it's commission. Sales from online can help pay for many things at the unit level

Trail's End Popcorn Ordering System LOGIN / System Setup GETTING STARTED To log in for the first time, open your Web browser and display the Trail’s End page at http://www.trails-end.com / If you need assistance please call Carol Ashworth at 205-969-4250 1. Click on the L E A D E R S Tab

2. Click on the Popcorn System link.

The resulting screen will offer you a space for the username and password provided you by a Popcorn System Ad-ministrator:

1. Type your user ID in the Username box.

2. Press the Tab key.

3. Type your password in the Password box. The system displays your password as a string of asterisks.

4. Click LOGIN. The system displays an Email Verification Page

5. Enter your email address TWICE: In the Enter Email box, type your email address. In the Please Re-enter box, re-type your email address.

6. Change your password – Enter your NEW password TWICE: Think of a new password for your account. In the Enter Password box, type your new password. In the Please Re-enter box, re-type your new password.

7. Click SAVE AND CONTINUE. The system displays a Confirmation Page. Completing Setup of Your Account. After you enter your email address and your new password, the system will send you an email with a confirmation code and a link for you to click to confirm your email address. You need this email information to finish setting up your account and continue into the Popcorn Sales System further. To finish setting up your account 1. Start your email program.

2. Retrieve the confirmation email from Trail’s End. If you do not receive the confirmation email, keep in mind it is system generated by Trail’s End and may be caught by SPAM or Junk Mail filters. You can check these folders in your email program to find the confirmation email, or turn off the filters to finish the process.

3. From the confirmation email, get your account confirmation code or click on the link provided within the message body of the email.

4. The system prompts you to log in, or prompts you to enter your confirmation code. If the system prompts you to enter your confirmation code: From the confirmation email, get your account confirmation code In the Enter Code box, type your confirmation code. Click ENTER. The system prompts you to log in.

5. Log into the system: In the Username box, type your user name (the email address you confirmed in the previous steps). In the Password box, type your password (your new one you created through the confirmation). Click LOGIN to display the Verify Information page:

6. Verify your information by making any corrections necessary and filling required fields (required fields marked with *). Click SUBMIT.

The system logs you in and your account is now activated.

Trail's End Popcorn Ordering System / PLACING ORDER

How to Order Your Unit’s Popcorn To Place a Unit Popcorn Order 1. Click on the ORDERS dropdown from the menu bar 2. Choose the Order from the list you are ready to place. The system displays the Unit Popcorn Order page for the Unit. To increase or place the order for quantities of an item Locate the line for the item to be or-dered. In the Cont box, type the number of containers you want to add to the order. Repeat this process for each item to be ordered. To decrease the order quantities of an item 1. Locate the line for the item. 2. In the Cont box, type a hyphen (-) and then type the number of cases and/or containers you want to subtract from the order. 3. Click SAVE CHANGES. Tip: To view details of adjustments previously made, click View Order Adjustment Details at the far right side of the Order page. Adjustments can be made to Unit orders until the Council places all Unit orders with Trail’s End. Order adjustments may require Council re-approval and the system may display a message stating the order will become “unapproved” as changes are saved. Reviewing ALL Unit Orders and Adjustments This option allows you to review all orders placed on the Popcorn Sales System by the Unit, by Sales Cycle. To review your Unit’s orders: 1. On the Orders menu, click All Unit Orders and Adjustments. The system displays the Consolidated Unit Popcorn Orders page: Click on the REPORTS dropdown for a menu of various reports you can run.

How to Order Your Unit’s Prizes Step 1: Submit your Unit Prize Order to Council 1. On the ORDERS Menu, click Unit Prize Order. The system displays the Edit Delivery Address for Prize Order page. From the drop down box, you can enter the Unit’s default address, the primary contact or enter a Custom Location to which the prizes will be delivered. 2. Click SAVE AND GO TO ORDER The system displays the Unit Prize Order page. Tip: The delivery address can be edited from the Edit link at the top of the Actual Current Order column. 3. In the Actual Current Order column, enter the number of each prize to order. 4. When satisfied with your Unit’s prize order, click SUBMIT TO COUNCIL. The system displays your order. IMPORTANT Once you submit the Unit Prize order to the Council, Changes to the order on the Popcorn System are no longer possible. Any changes following the Unit prize order sub-mission must be made at the Council level. Click on the REPORTS dropdown for a menu of various reports you can run.
