1 Introduction In the past ECR/ECOs were tracked through the WH ECR ECO process in ematrix, although it was not adjusted to EIBU needs. Several fields had to be completed with dummy information in order to complete an ECR (i.e. New Parts/Material, Manufacturing Design impacts, Manufacturing impacts, Logistic impacts). Based on this a new ECR/ECO Process was designed containing all the information needed for EIBU and enabling the traceability of ECR/ECOs within the Project Space. EIBU ECR/ECOs are connected to Project Spaces and Yazaki Parts are connected to EIBU ECR/ECOs. Furthermore, Yazaki Parts can be revised through the execution of ECOs. Before creating ECR/ECOs it is PM's responsibility to set-up the process in the system through the 'Project Summary' area of the Project Space. The Project Summary holds information that will be common to all ECR/ECOs. ECR/ECO intervenients shall also be defined within the 'Members' page of the Project. This is done through the assignment of 'EI-Function' roles to the affected users. When the Project Summary and all the intervenients are set-up, ECR/ECOs can be created.

2 EIBU ECR/ECO Project Summary Inside the Project, under Categories select Project Summary.

In this area it shall be defined what will be common to all the ECRs created against the Project.

The Project Summary tab can be edited simply by clicking on ‘Edit’ below ‘Project Summary’.

After pressing on ‘Edit’ a new window appears and all the fields can be edited according to Project specifications. Press on ‘Done’ to save the changes.

2.1 Add New Part Volume Under the ‘Part Volumes’ tab click on ‘Actions’ and then ‘Add New Part Volume’.

A new window pops-up to search for the Part Volume. The search can be performed based on Customer Part Number or Yazaki Part Number.

After clicking on ‘Find’ tick the PN from the search results and press ‘Submit’.

After selecting the Part Number a description shall be added so that the Part can be easily identified.

Finally click on ‘Create’ and a new Part Volume is added to the Project Summary. The next step is to define the volumes per year by clicking on the edit icon next to ‘Model Year & Volume’.

Click on ‘Edit’ within the Part Volume’s window.

Finally input the volumes according to the period defined on the ‘Project Summary’ tab and press on ‘Done’.

Both Part and Volumes are finally defined within the Project Summary area.

2.2 Add New Exchange Rate Select the ‘Exchange Rate’ tab, click on ‘Actions’ and then ‘Add New Exchange Rate’.

Select the currency, the respective exchange rate and press on ‘Done’.

2.3 Add New Engineering Hourly Rate Select the ‘Engineering Hourly Rate’ tab, click on ‘Actions’ and then ‘Add New Engineering Hourly Rate’.

In the new window define the engineering location, the respective hourly rate, the currency and finally press on ‘Done’.

Note: Changes performed in the Project Summary area will not be reflected on ECRs already created. ECRs already created shall be updated manually.

3 Define ECR/ECO intervenients Select the ‘Members’ tab within the Project’s homepage.

Below ‘Members’ click on ‘Actions’ and then press ‘Edit All’. A new window will pop-up and the ECR/ECO roles can then be defined. Users defined with ‘EI-Function‘ roles will be assigned to ECR/ECO tasks (i.e. the user assigned with the ‘EI-Project Management’ role will be responsible to complete ECR/ECO tasks requested to Project Management). Press on ‘Done’ after defining all the ‘EI-Function’ roles.

Note 1: One user can only be associated to one role. However the same role can be assigned to different users (ie. ‘EI-Engineering’ can be assigned to the PDL and to HW, SW and Mechanical Engineers). The same ECR/ECO task is launched to all the users assigned with the same role. The ECR/ECO is only promoted when all the users complete their respective task. Note 2: Changes performed in the Members area will not be reflected on ECRs already created. To define the Project Summary and the ECR/ECO Members shall be the first step of the ECR/ECO process.

4 EIBU ECR Press ‘Categories’ within the Project homepage and then click on ‘Related EIBU-ECR’.

Click on the ‘Actions’ button and then press ‘Create EIBU ECR’.

Define a Title and a Description to the new ECR and then press ‘Create’.

A new ECR is then created. The ECR consists of multiple tables organized through separate tabs. There’s also a ‘Task Instructions’ area to facilitate the completion of the tasks. This saves the users from searching their respective tables through the several ECR tabs.

More information related to the ECR can be reachable through the ‘Categories’ drop down menu just below the ECR number and state (Top left corner of the ECR).

The parameters defined in the ‘Project Summary’ area of the related Project are copied to the ECR when it is created. Click on ‘Categories’ within the ECR and then selected ‘ECR Project Summary’.

Part Volumes, Exchange Rates and Engineering Hourly Rates cannot be added or deleted from the ‘ECR Project Summary’. These parameters can only be edited in this area.

4.1 Create When an ECR is created it assumes the state of ‘Create’, meaning the first stage of the lifecycle. This can be consulted though the ‘Lifecycle’ command under the ECR ‘Categories’ drop down menu.

ECR members can also be consulted through the ‘Categories’ menu by selecting ‘Related ECR Members’. These users are defined based on the ‘EI-Function’ roles defined in the ‘members’ area of the related Project. Users can be added or deleted from the ECR. To add a new user click on ‘Add Member’ within the ‘Related ECR Members’ window.

To remove users from the ECR tick the checkbox next to the username (s) and then press ‘Remove Members’.

Roles can also be re-defined. Click on ‘Edit’ and then select the appropriate ‘EI-Function’ role corresponding to the ECR member.

In order to return to the ECR homepage press on ‘Categories’ and then click on the ECR number (first row).

After confirming that everything was successfully loaded from the ‘Project Summary’, the ECR creator can start to fill in the information requested in the ‘Task Instructions’ area.

4.1.1 Edit ECR Details The creator shall enter ECR details through the different fields (the ones in red font are mandatory). Select a carline from the list. After pressing on ‘Submit’ a connection between ‘Customer’ and ‘Carline’ is automatically established by the system.

Press on ‘Done’ when all the details are defined. These are stored in the ‘Details’ and ‘Timing’ tab. ‘Edit ECR Details’ will then disappear from the ‘Task Instructions’ area.

4.1.2 Add Part Number Impacted Select the Part Number affected by the ECR. Only the Part Numbers defined in the ‘Project Summary’ area can be considered here. One or more Part Numbers can be selected depending on how many Part Numbers are affected by the change.

Part Numbers affected by the ECR can then be consulted through the ‘PN Impacted’ tab.

ECR total volume is determined by the selected Part Volume(s), the ‘Implementation Date at Yazaki’ and the Period of the ECR (first and last year volumes are automatically adjusted).

4.1.3 Add Affected Items Part Numbers added to the ‘Affected Items’ area will be revised during the ECO. Only top level Part Numbers shall be added as ‘Affected Items’.

Affected Items can be consulted through the ECR ‘Categories’ menu, by selecting ‘Affected Items’. The revision of the Part and the respective state can be checked in this area.

After all the task instructions are completed the ECR creation can be finalized. In the ‘Task Instructions’ area press ‘Complete Creation Task’ and insert a comment on the new window that pops-up. The ECR will then be promoted to the next stage.

After pressing on ‘Done’ no more tasks are requested to the ECR Creator.

The ECR was promoted to ‘Submit’ state.

4.2 Submit In ‘Submit’ state the first task is launched to the user assigned with the ‘EI-Engineering’ role. When the task is launched this user receives an email notification with a link to the ECR. New Task Instructions are created only for the user assigned with the ‘EI-Engineering’ role.

4.2.1 Engineering

4.2.1.1 Fill Add & Delete Table If applicable the Engineer defines what (electronic components) shall be added or deleted from the final good. Click on ‘Fill Add & Delete Table’ and then press ‘Add’ on the ‘Add & Delete’ window.

Select if the component shall be added or deleted from the final good.

Insert the Part Number of the component to be added or deleted.

Select the Top Level PN Impacted by the change.

Input the quantity of components to be added or deleted and press on ‘Done’. The information inserted in this table can later be consulted within the ‘Add & Delete’ tab.

4.2.1.2 Input ED&D Manpower The Engineering Responsible shall input the amount of hours required by the ECR. Manpower resource and location shall also be specified.

Manpower resource, amount of hours and Engineering location can later be consulted through the ‘ED & D Manpower’ tab. ED&D Manpower costs are calculated based on the Engineering Hourly Rates defined in the ‘Project Summary’.

4.2.1.3 Input ED&D Direct Expenses If applicable Engineering can also specify ED&D Direct Expenses and the related cost. From the task instructions select ‘Input ED&D Direct Expenses’.

Direct Expenses are stored within the ‘ED & D Direct Expenses’ tab.

4.2.1.4 Edit ECR Timings Estimated release of Top Level Drawing and other Engineering related timings can be specified though the ‘Edit ECR Timings’ command.

Defined timings are stored within the ‘Timing’ tab under ‘Engineering’.

4.2.1.5 Input Customer Owned Tools If it is an ECR requirement, new customer owned tools can be defined by Engineering. In addition to the tool description, Engineering can also define the number of tools required by the ECR.

Within the ECR there’s also as specific tab for Customer Owned Tools.

The Engineering responsible does not need to complete all the task instructions since some may not be applicable on specific ECRs. After all the applicable inputs are performed, Engineering shall approve its task.

Engineering can cancel an ECR if decided not to proceed with it. In this case an email is generated to the users assigned with both ‘EI-Engineering’ and ‘EI-Engineering Manager’ role. This email shall contain an explanation why the ECR was cancelled.

4.2.2 Engineering Manager After the approval from Engineering a new task is launched to the user assigned with the ‘EI-Engineering Manager’ role. The ECR remains in ‘Submit’ state.

The Engineering Manager shall review ED&D Costs and approve or reject the ECR.

Within the ECR select ‘ECR Cost calculation’ from the ‘Categories’ drop down menu. This table shows the ECR costs incurred by this stage.

The Engineering Manager can also cancel the ECR. As before an email is generated to the users assigned with both ‘EI-Engineering’ and ‘EI-Engineering Manager’ role. This email shall explain why the ECR was cancelled. When the Engineering Manager approves his task the ECR will then be promoted to ‘Evaluate’ state.

4.3 Evaluate

In ‘Evaluate’ state two groups of tasks are launched. The first is launched simultaneously to both Supply Management and Manufacturing.

Only when both tasks are completed a second group of tasks will be launched. These are also launched simultaneously to both Quality and Costing.

4.3.1 Supply Management The user assigned with the ‘EI-Supply Management’ role shall provide ECR timings and, if applicable edit ‘Customer Owned Tools’ and the ‘Add & Delete’ table.

4.3.1.1 Add & Delete Table Supply Management shall complement the information already inserted by Engineering. If Engineering defines the electronic components to be added/ deleted from the top level part number, Supply Management shall define the related cost of each component.

Parameters like currency, incoterm and the country of origin of the electronic parts shall also be defined.

All the inputs from Supply Management will be used to update the ‘Add & Delete’ tab.

4.3.1.2 Edit ECR Timings Timings shall be defined through the ‘Edit ECR Timings’ command.

Timings defined here are then placed in the ‘Timing’ tab under ‘Supply Management’.

4.3.1.3 Input Customer Owned Tools If it is an ECR requirement, Supply Management shall define the cost of building a new customer owned tool.

This information will complement the input previously performed by Engineering. The ‘Customer Owned Tools’ tab is then updated reflecting the cost defined by Supply Management.

After performing the required inputs, Supply Management can approve the task.

4.3.2 Manufacturing Users assigned with the ‘EI-Manufacturing’ role shall provide Manufacturing and Logistics feedback into the ECR.

4.3.2.1 Edit ECR Timings Manufacturing timings are edited using the ‘Edit ECR Timings’ command within the task instructions area. ‘Planned Plant Delivery Date’ is mandatory.

Defined timings are then available within the ‘Timing’ tab, under Manufacturing.

4.3.2.2 Fill Table of Indirect Material If applicable Manufacturing shall define indirect materials required by the ECR. Depending on the purpose of the change, indirect materials can be added or deleted. Unit price and weight shall also be defined.

Indirect Material Cost is calculated by multiplying unit price and weight. This information is stored within the ‘Indirect Material’ tab.

4.3.2.3 Fill Table of Mantime for PCB assy and COMBI If applicable Manufacturing shall define if mantime for PCB assy and COMBI is to be added or deleted as result of the change.

Subtotal costs are calculated based on the defined cycle time and can be consulted through the ‘Mantime for PCB assy and COMBI’ tab.

4.3.2.4 Fill Table of Machine time for SMT, Moulding and Painting Machine time for SMT, Moulding and Painting, or Takt time is defined through this command. Manufacturing shall determine this timing and how many people are required per machine. Depending on the ECR, machine time can be added or deleted.

Machine time related costs are then available through the ‘Machine time for SMT, Moulding and Painting’ tab.

4.3.2.5 Fill Table of Investment New investments can be specified through this command. Manufacturing defines if the investment is to be added or deleted, the type of investment and the respective cost.

Investments defined through this command are copied to the ‘Investment’ tab.

4.3.2.6 Fill Table of Others Manufacturing Logistics inputs shall also be performed by Manufacturing and are defined as ‘Others Manufacturing’.

After pressing on ‘Done’ an emails is sent to the user assigned with the ‘EI-Logistics’ role. This email holds a link to the ECR and states that logistics costs were inserted by Manufacturing. In order to review logistics related costs the Logistics responsible shall check the ‘Others Manufacturing’ tab.

After all manufacturing inputs are performed the task can be approved.

A second group of tasks is only launched after Manufacturing and Supply Management have completed their inputs. These tasks are launched simultaneously to both Quality and Costing. The ECR remains in ‘Evaluate’ state.

4.3.3 Quality Users assigned with the ‘EI-Quality’ role shall approve or reject the ECRs. QA Samples and Documents to be updated in PPAP can also be requested at this stage.

Note: By selecting Reject out of the drop down menu, the ECR is not automatically demoted. To demote an ECR back to ‘Submit’ state, the QA responsible shall select ‘Demote ECR’ from the task instructions area. When all QA inputs are performed the task can be completed.

4.3.4 Costing Users assigned with the ‘EI-Costing’ role shall make the last input in the ‘Add & Delete’ table. For each component to be added or deleted from the top level part number, the related costing evaluation shall be performed.

The ‘Add & Delete’ tab is finally updated with inputs from Engineering, Supply Management and Costing.

After both Quality and Costing have approved their tasks the ECR can be promoted to the next stage.

If engineering re-work is required, all the intervenients in ‘Evaluate’ state can demote the ECR back to ‘Submit’ through the ‘Demote ECR’ command. An email is then sent to the user assigned with the ‘EI-Engineering’ role with a link to the ECR that needs to be re-worked.

After the approval from Costing and Quality the ECR is promoted to the state of ‘Review’.

4.4 Review Two tasks are launched in the state of ‘Review’. The first is for Project Management and, after completed a second task is launched to the Sales responsible.

4.4.1 Project Management Users assigned with the ‘EI-Project Management’ role shall review the ECR and all the inputs made so far. Total ECR cost shall be reviewed through the ‘ECR Cost Calculation’ command within the ‘Categories’ drop down menu.

By clicking on ‘Edit’ within the ‘ECR Cost Calculation’ page, a new window pops-up and safety margins can be defined.

Back on the ECR main page and through the ‘Edit ECR Timings’ command, PM shall also input the date when customer releases the implementation order of the ECR. This is only applicable if the ECR is customer generated.

Implementation order date from customer is stored within the ‘Timing’ tab under ‘Sales & Project Management’.

PM can demote the ECR to ‘Submit’ or to the previous lifecycle state, ‘Evaluate’. If the ECR needs to be reworked by any intervenient in ‘Evaluate’, comments shall be added in the respective text box.

Note: Rework requests can be raised to two different departments as long as they’re placed in the same group of tasks. Therefore an ECR can be demoted to both Supply Management and Manufacturing or to Costing and Quality. If an ECR is demoted to Costing and/ or Quality, no tasks are launched to both Supply Management and Manufacturing. If an ECR is demoted to Supply Management and/ or Manufacturing, tasks are launched to both Costing and Quality when the rework from the first group is completed. PM can also cancel the ECR at this stage if required. An email is then sent to Engineering, the Engineering Manager, Supply Management, Manufacturing and Costing on which PM shall specify the reason why the ECR was cancelled. If there’s no need to rework or to cancel the ECR, PM can approve his task.

The ECR is still in ‘Review’ state and a new task is launched to the Sales responsible.

4.4.2 Sales

If the ECR is customer generated, Sales shall indicate that a quote was submitted to the customer and input the quote’s reference number. A short comment shall also be inserted.

ECRs cannot be promoted to ‘Plan ECO’ state if the ‘Is Cost Approved?’ checkbox is not ticked. An error message returns stating that cost shall be approved before promoting the ECR.

Sales can demote the ECR back to ‘Submit’ state if it requires Engineering rework. If cost is approved and the respective checkbox is ticked, the ECR can then be promoted to ‘Plan ECO’.

4.5 Plan ECO

When the ECR is promoted to ‘Plan ECO’ a task is launched to the user assigned with the ‘EI-Project Management’ role. PM is asked to connect an already existing ECO or to create a new one and connect it to the ECR. If required, it is also possible to cancel the ECR by this stage. If there are no ECOs created PM shall use the ‘Create and Connect ECO’ command.

ECO title, description and the related EIBU Project shall be specified. After pressing on ‘Create’ a new ECO is created and connected to both the ECR and Project Space. To access the ECO through the ECR select ‘Related ECOs’ from the ECR Categories menu.

Like ECRs, ECOs consist of different tables organized through separate tabs. A task instructions area is also available to facilitate the input of information from the different departments. The ‘EI-Function’ roles defined on the Project Space (‘Members’ area) will determine who will be assigned to ECO tasks.

ECOs created from an ECR are immediately connected to it. To check this, select ‘Related ECRs’ from the ECO Categories menu.

If applicable, several ECRs can be connected to a single ECO. Within the ‘Related ECRs’ window, press ‘Add Existing’ and select the ECRs that shall be connect to the ECO.

Note: ECRs can only be connected to an ECO if they are in ‘Plan ECO’ state. ECRs are only moved to ‘Complete’ when the related ECO reaches the state of ‘Release’. Yazaki Parts added as ‘Affected Items’ on an ECR are copied to the ‘Affected Items’ of the related ECO. Under Categories, select ‘Affected Items’.

The ‘Affected Items’ window displays all the Yazaki Parts that will be revised within the ECO (when the ECO is promoted from ‘Create’ to the next stage, ‘Define Components’).

5.1 Create ‘Create’ is the first stage of the ECO lifecycle.

5.1.1 Edit ECO Details The user who creates the ECO is assigned as task owner and shall complete the ECO creation through the ‘Edit ECO Details’ command. Fields in red font are mandatory.

The information added here is then stored under the ‘Change Details’ and ‘Timing’ tab.

After all the required inputs are performed the ECO creation can be completed.

5.2 Define Components ‘Define Components’ is the next stage of the ECO lifecycle.

At this stage the Yazaki Parts defined in the ‘Affected Items’ area have already been revised. The new revision is at ‘Preliminary’ state.

Note: The new revision of the part will be promoted to ‘Released’ by the time the ECO is also promoted to ‘Release’. At ‘Define Components’ Engineering shall describe the change and connect a new release notice to the ECO, if applicable. Engineering timings shall also be defined.

5.2.1 Edit ECO Timings Engineering timings shall be defined through the ‘Edit ECO Timings’ command. In order to complete the task it’s mandatory to fill-in one of the three ‘Release’ items (Mechanical, HW or SW). These are then stored within the ‘Timing’ tab, under ‘Engineering’.

5.2.2 Add Change Description If applicable, Engineering shall provide a verbal description of the change. The situation after and before the change shall be clearly described using the ‘Add Change Description’ command.

For better visualization, pictures from the situation after and before the change can be connected to the change description. Under the ‘Change Description’ tab, select the related change description and press ‘Add Image Before’ or ‘Add Image After’ from the ‘Actions’ drop down menu.

Selected pictures are then placed next to the verbal description of the change.

5.2.3 Add Release Notice If the change leads to a new drawing revision then the related Release Notice shall be connected to the ECO. Press ‘Add Release Notice’ from the Task Instructions area and browse for the related Release Notice.

When connected to an ECO, Release Notices can be consulted through the ECO Categories menu.

If required, Engineering can cancel the ECO at this stage. An email would be sent to the ECO creator and to all the users associated to the ‘EI-Engineering’ role explaining why the ECO was cancelled. ECRs connected to this ECO would also be cancelled.

After adding all the relevant information, Engineering shall approve its task and thus promote the ECO to the next stage.

5.3 Design Work

At ‘Design Work’ two separate groups of tasks are launched. The first tasks are launched simultaneously to both Supply Management and Quality.

Only after the first group of tasks is completed, a second task is launched to Manufacturing.

5.3.1 Supply Management At this stage Supply Management shall confirm the timings previously estimated in the ECR.

Defined timings are then stored within the ECO ‘Timing’ tab, under ‘Supply Management’.

Supply Management shall then approve the task.

5.3.2 Quality Users associated to the ‘EI-Quality’ role can specify required reports and samples/ parts.

If samples/ parts are required, Quality shall also indicate the amount of each sample.

Due date at CSC can also be defined for the delivery of both samples and reports.

Finally, Quality shall indicate its decision in regards to the ECO approval. Note: By selecting ‘No’ next to ‘QA Approval’, the ECO is not automatically demoted. To demote the ECO back to ‘Define Components’ state, the QA responsible shall select ‘Demote ECO’ from the task instructions area. When QA input is finalized the related task can be approved.

When both Supply Management and Quality have completed their tasks a third task is launched to Manufacturing. The ECO is still in ‘Design Work’ state.

5.3.3 Manufacturing Manufacturing is requested to edit ECO timings.

Once the required input is finalized, Manufacturing can approve its task and promote the ECO.

The ECO is then promoted to ‘Review’ state.

5.4 Review In ‘Review’ a task is launched to the PM, who shall review all the inputs performed so far and judge if the ECO can be released.

If the ECO needs to be re-worked, PM can demote it back to ‘Design Work’ or to ‘Define Components’ state. If the ECO is to be demoted to ‘Define Components’, PM shall select ‘Demote ECO to Define Components state’ from the task instructions and insert a comment to Engineering.

Through the ‘Demote ECO’ command ECOs are demoted to ‘Design Work’. This can be executed to the first group of tasks, either to Quality, Supply Management, or both and is determined based on where comments are inserted. After Supply Management and/ or Quality perform the requested re-work, a new task is launched to Manufacturing.

The ECO can also be demoted just to Manufacturing if comments are only defined to this department.

Note: An ECO can only be promoted from ‘Review’ to the next stage if all the connected Release Notices are in the state ‘Approved’. This is to guarantee that the related drawings are also approved prior to the release of the ECO.

PM can cancel the ECO at this stage if its implementation cannot be assured. If this is the case emails are sent to the creator, to Engineering, Supply Management, Quality and Manufacturing presenting a reason why the ECO was cancelled. If everything is all set and all the Drawings and respective Release Notices are approved, PM can approve his task and promote the ECO.

The ECO is promoted to ‘Release’ state.

5.5 Release When an ECO is promoted to ‘Release’ all the ECRs connected to this ECO are finally promoted from ‘Plan ECO’ to ‘Complete’.

Revised Yazaki Parts within the ‘Affected Items’ are promoted to the state of ‘Released’. Previous revisions become ‘Obsolete’.

Logistics is the department which receives the final ECO task at the state of ‘Release’.

For each Yazaki Part added to the ‘Affected Items’, Logistics shall input the respective ‘Target ETD’ date.

The task instruction will only disappear when all the Yazaki Parts have a ‘Target ETD’ defined. This information can later be consulted through the ECO ‘Categories’ menu selecting the ‘Affected Items’ command.

After performing all the required inputs Logistics can then approve its task.

The ECO is finally implemented!
