Message from the Co-chairs of the Saskatchewan Games Estevan Summer 2016

Welcome to Estevan, the Energy City!

The Estevan 2016 Saskatchewan Summer Games will leave a lasting impression on athletes, coaches, officials, volunteers, spectators, and the citizens of southeast Saskatchewan. The success of this provincial multi-sport event is a direct result of many generous supporters and a dedicated team of volunteers, determined to make this a memorable event. A huge thank you and our sincere appreciation to all of you that have played a part.

The goal of Estevan 2016 Saskatchewan Summer Games is to create an athlete-focused event, full of great fun, entertaining competition and sportsmanship. Our volunteers have been working hard to create a ‘once in a lifetime, remarkable event’ for the athletes. Athletes, we encourage you to make the most of your time at the Games. To the spectators and citizens of Estevan, we also want to encourage you to partake in many, many events happening around the city – the sporting events, the Games lounge, and the cultural activities too numerous to mention that are planned throughout the City of Estevan.

Let’s unite, celebrate, and together make Estevan 2016 the most energized Saskatchewan Summer Games ever!

On behalf of Council and our community I would like to congratulate you on being named to your District team. Be proud of this accomplishment and compete hard while you are at the Games! We are proud of the

job our Summer Games committee along with our volunteers have accomplished and we are confident this will be one of the most exciting competitions of your life and an experience you won’t forget!

Please enjoy all that Estevan has to offer you while you are here. We look forward to hosting you and supporting you while you compete for your home District!

You did it, you are here! It is my absolute honour, on behalf of the Saskatchewan Games Council, to congratulate you on making it to the Estevan 2016 Saskatchewan Summer Games.

We truly value the positive impact that a multi-sport games has on all participants. This week you are part of something bigger than your sport; your individual athletic accomplishments will contribute to the successes of your District team.

These games will be filled with great competition and countless memories that you will carry forever. Your experiences will prepare you for all future levels of competition, whether it be provincial, national, or international such as the Canada Games or the Olympics.

The Saskatchewan Games have been a stepping stone for numerous Olympic athletes, including James Avery who played baseball in Beijing and Colleen Sostorics, who competed in athletics at the Saskatchewan Games but won gold in hockey at multiple Olympic Winter Games. There are even Olympic athletes such as Warren Long who share their success by coaching at the Saskatchewan Games.

Thank you, to the energized board members, committee members, and staff people, many who have been working passionately for the past number of years to provide you with this amazing experience. Thank you also to the thousands of Games volunteers, whose dedication, commitment, and energy help make the Games the amazing experience they are.

Since 1972, the Summer Games have brought together athletes from across Saskatchewan to compete and achieve a higher level of physical wellbeing. In front of over 5000 spectators, athletes will test their skills.

On behalf of the Government of Saskatchewan and the Ministry of Parks, Culture and Sport, I congratulate all of the provincial coaches and athletes competing in the Estevan 2016 Saskatchewan Summer Games.

The Saskatchewan Games are a celebration of our province's athletic talent. They are also a spring board for many athletes to go on to compete at national and international competitions like the Canada Games and the Olympics.

Our government recognizes the importance of sports in our everyday lives. Sports grow discipline and self-confidence, encourage teamwork and independence. By promoting healthy and active lifestyles, sports contribute to the strong quality of life we enjoy within Saskatchewan.

As the games start, I know that the dedication and preparation of the athletes will spark energy within them, inspire their teammates, competitors and spectators. Thank you to the athletes, coaches, families and volunteers for all your hard work to Energize the Games.

We hope that you enjoy your stay and have all your goals become reality.The Athlete’s Handbook is your guide to making your Games Experience amazing and is filled with valuable information. Registration & AccreditationMission Staff and Games Ambassadors will greet all arriving busses.

Please note that on initial arrival all busses will unload at the front (main) entrance.

Upon arrival at the Athletes Village athletes, coaches and managers will unload their luggage and will enter through the front main entrance (arrival days only). At that point all sport equipment will be left on the bus and driven around to the designated District storage seacan.Participants will take their luggage with them as ambassadors will show districts to their rooms and provide orientation/tour of the Athlete’s village to each District upon arrival.It is very important all bags be tagged with the athlete’s name, sport and district.The information Center located in the main office will handle the replacement of all lost accreditation.

Mission Centre The Mission Center will host the Mission Staff. All Mission Staff will be provided with a cell phone, internet access, access to fax and copying services, as well as access to computers in the facility. The Mission Center is the school library thus plenty of computers are accessible in the immediate area.

Transportation for Athletes, Coaches & ManagersAll transportation will be provided to athletes, coaches and managers once at the games. A detailed transportation schedule will be made available to coaches prior to the games by District Teams coordinator. Transportation to and from sport competitions and cultural activities will be by school bus with courtesy vehicles on hand if needed. Transportation will not be necessary for events held at the Estevan Comprehensive School, Spruce Ridge School, or Chamney Running Track at Panteluk Field.

All school buses will be loaded and unloaded at the transportation hub in the parking lot behind the school. This area can be accessed via Door 7. If any special transportation request is required that must be coordinated through your teams Chef de Mission.

Athletes VillageEstevan Comprehensive School – 255 Spruce Drive

HoursThe Athlete’s Village is open from 07:00-22:30 daily, with quiet time at 22:30 and lights out at 23:00. All doors are locked after 22:30 and access is only permitted via the main entrance on the south side of the school. All persons entering after 22:30 will be required to sign in. In the case of an athlete or coach unaccompanied by mission staff, they will be held in the entrance until the Chef de Mission is contacted and arrives to escort the athlete or coach to their dorm. Quiet time requires all participants to be in their rooms and lights out will require all lights out and cell phones shut off.

Key times and locations The Information Centre is open from 06:00 to 22:30 daily except opening day, July 24, when the Centre will open at 10:00 and on closing day, July 30, when the Centre will close at 18:00.

Village Information CenterThe information center is open from 07:00 -22:30 daily except July 24 when the Center will be open a 10:00 and on closing day when the Center will close at 17:00. The information Center phone number is (306) 634-4761.

DormsAll athletes, male and female, will be housed accordingly at Estevan Comprehensive School. When Athletes leave their dorms for sport competition in the morning, please ensure that all luggage and other

belongings are on your bed. This will greatly assist with housekeeping to sweep and mop the floors of each dorm room.

There will be no sports equipment other than tennis racquets, shoes (cleats) and swimwear allowed in the dorms at any time. All ball bags, bows, clubs, bikes etc. will be stored in the appropriate district storage area or at the sports venue.

On turn-around day and on the last day of the games, all personal belongings need to be removed from the dorm room by 09:00 and taken to the District’s Storage seacan. This area will be monitored.

Village SecurityAll athletes, coaches, mission staff and guests are responsible for the safe enjoyment of the facility while in the Athlete’s Village. Districts will be held liable for any and all damages caused to the facility. Games have an exclusive no illegal drugs and no alcohol rule. Anyone under the influence of such substances will be removed from the facility. Any theft will be reported to Police. All games venues (sport, cultural and village) are smoke free.

For the enjoyment of the Games and the safety of all participants, security will be diligent in their control of access to the village. Please ensure your accreditation tag is clearly visible at all times.

Village Access ControlThe Host Board, Mission Staff, Security and essential personnel will have access to the facility after hours using a sign in sheet.

WashroomsWashroom facilities in the school may be crowded as there are limited showers at the Athletes’ Village. Please be patient and prompt. Showers are located in the gym locker rooms as well as in shower trailers out exit B and F. Showers will be open from 6:00 AM to 10:00 PM but will be closed for cleaning and will be restricted to only coaches and managers at specific times. Those times will be clearly posted. To avoid waiting athletes should try to shower during no-peak hours or at their sport competition venue when possible.

LockersLockers will be made available to athletes in the athletes’ village. Lockers will be assigned but individuals must bring their own lock. Any locks left on at the end of the games will be cut and the contents inside will be discarded. 11

Laundry ServicesLaundry services are available in the school for emergency use only. Districts will need to provide their own laundry supplies. Contact the information center if required.

Food ServicesTeams who will be late for supper can request that a hot meal be held for only 30 minutes, no longer. To do so the mission staff will discuss with the Local Sport Chair who will then contact the Information Centre.

The first meal of the week is supper on Sunday, July 24th at 16:00 to accommodate the Opening Ceremonies. Athletes will eat in shifts to ease congestion.

• 16:00-17:00 Teams: South East, Regina, Parkland Valley, Saskatoon, Prairie Central

• 17:00-18:00 Teams: North, South West, Rivers West, Lakeland

Please note there will be no supper served on the last day of the games. Lunch will be served until 14:30 on this day.

Grazing will also be available at all times that the cafeteria is open.No back packs, bags, other containers or sports equipment are permitted in the cafeteria. No food or beverage is permitted to be taken from the cafeteria.

Boxed lunch needs have been previously identified. If a specific district team needs a boxed lunch a request must be submitted by the Chef de Mission to Food Services through the Village Information Centre by 12:00 on the day before it is needed.

WaterA water bottle is provided to all athletes, coaches and managers in their welcome bags as bulk water is available at all venues, within the Village and in the cafeteria. Please remember to carry your water bottle with you at all times and be sure to stay hydrated during the Games.

Mission Center All visitors wanting to visit the Mission Center will enter through the main doors at Estevan Comprehensive School and go directly to the Mission Center (Library). If someone wishes to leave a message for an athlete, please encourage them to call their respective District Mission Staff desk and the District representative will pass a message on to the athlete. The Village Information Centre phone number is (306) 634-4761.

ParkingParking for VIPs, mission staff, and games officials is on a first come first serve basis in the south parking lot. Watch for signs. There are designated parking stalls for school staff. Please respect the no parking in this lot and around the facility as your vehicle can be towed/ticketed without notice and at your own expense.

Public parking is available, as indicated in the south lot of the school. Please watch for signs.

The entire driveway is reserved for loading and unloading only. It is deemed an emergency vehicle route.

Please note that there will be limited designated parking for VIP’s, Mission Staff and Games Officials at each sport venue.

Medical Services/PolyclinicMedical Services will be available at each sport venue as well as at the Polyclinic within the athlete’s village. The Polyclinic will be located in the Drama Room in the Estevan Comprehensive School. There will be an area for triage and treatment as well as a room for quarantine/isolation. Hours of operation will be from 07:00-22:00 each day.

A physician will be at the clinic at designated times during the day. The emergency room at the hospital will be used outside of these hours. Physicians or Nurses will be in the Polyclinic from 8:00-22:00. Between the hours of 22:00-07:00 participants will access care at the emergency room.

Upon arrival all prescription medications must be checked in at the Polyclinic. They will be stored in a locked box or refrigerated and will be dispensed by a RN.

District StorageEach district will be provided with storage space in a seacan located at the West side of the Estevan Comprehensive School.Lost & Found

• All found articles should be turned into the Village Information Centre at Estevan Comprehensive School.

• Inquiries about lost articles should be made at the Village Information Centre at Estevan Comprehensive School.

Cultural EventsESTEVAN ARTS COUNCIL: Chalk Logos, Photo Collage and Drop In Crafts for Kids Estevan’s Artist in Residence, Diana Chisholm, has developed two projects that will take place over the week of the games. The first is a street art installation that allows community members, parents and athletes to remix the logos for each summer games event, in various locations, around the city in sidewalk chalk.. The second project will be a photo collage that athletes will be adding to over the course of the week. Drop into to the Art Tent 10 AM to noon Monday Tuesday, Thursday and Friday and do some kid’s crafts with Diana. No registration is necessary for any of these events. ESTEVAN PUBLIC LIBRARY: Mini Golf Library Fundraiser The Estevan Public Library will be hosting an evening of mini golf! The Library will be transformed into a 9-hole mini golf course, featuring themed greens from our Lego Club, Harry Potter Alliance, as well as a glow-in-the dark green! This event will take place Monday, July 25th from 5:00-9:00 PM. Regular library services will be limited during mini-golf hours. Come out and try your luck at a hole-in-one. Prizes to be won! Two tours occur, one at 9am and the second at 1pm. Participants must be over the age of seven and wear closed toe shoes. Any visitor with a pacemaker cannot be taken into the Power Station. This tour is not recommended for those who have a difficulty with stairs. Please keep in mind that the Mine Site portion is weather permitting.
