THE SCHEDULE FOR THE DAY IS:

5.00pm Graduates arrive and register, you will receive your gown and seating assignment upon arrival

5.20pm Student briefing in Ballroom 1

5.45pm All guests, TAFE Queensland staff, family, friends to be seated

6.00pm Ceremony begins and doors close

7.30pm Ceremony closes - Invited to get professional photos (group and individuals)

8.30pm Event ceases

REGISTRATION ON THE DAYPlease ensure you arrive punctually. Registration opens at 5:00pm and you must register prior to the student briefing at 5:20pm.

GRADUATION GOWNSAll graduating students are required to wear a traditional cloth gown and a stole. These will be provided to you on the day at registration. The gown and stole is for use during the ceremony and will need to be returned after the ceremony, before leaving the venue. No valuables are to be left behind in the gowning area. TAFE Queensland does not accept responsibility for loss of property. On the day you may take photos before and after the ceremony in your gown.

GUESTSAll guests must have registered prior to Thursday 28 November 2019.Guests must arrive by 5.30pm for a 6.00pm start. Guests will not be allowed in the Ballroom until 5.45pm.

DUAL QUALIFICATIONSIf you’re graduating with more than one qualification you’ll only need to walk across the stage once.

PHOTOGRAPHYReflex Photography will be available for your portrait needs prior to and after the ceremony. They will be capturing the proceedings during the ceremony as well.Your photographs will be uploaded to the Reflex Photography website www.reflexphotography.com and made available as a FREE high resolution download. These photos will be free of copyright, with graduates able to print, copy and share as they please. The gallery will be password protected for privacy.Password: tafen19

Information will be emailed out once the photos are ready, if you have any questions please direct them to Steve,[email protected].

SPECIAL NEEDS (prams, students and guests with disabilities)If you or your guests have any special requirements, i.e. disability assistance, seating with a space for prams, please let us know as soon as possible by emailing [email protected]. You may be asked to arrive earlier so that we can accommodate your request.

GRADUATION DAYWhat do I have to do when I arrive at the venue?You will need to be present at the registration area no later than 5.15pm. There will be signs up at the venue directing you to registration.You will then receive:

• Your seat number and instructions for the ceremony, which will tell you when and where to assemble for the procession• Your gown for the ceremony• You will then be free to have photos taken or meet with family and friends until 5.20pm when the student briefing will occur in the Ballroom 1.• Guests must be seated 10 minutes prior to the beginning of the ceremony.

What should I do if I am running late for the graduation ceremony?If you arrive late, you need to report directly to the registration area. If you do not arrive at least 20 minutes prior to the ceremony, you will not be able to participate. You will receive a gown for photo opportunities.

Can I leave once my name has been called to the stage?Once you have been called to the stage and been handed your scroll please return to your allocated seat. You are requested to stay until the ceremony has been completed to support your fellow graduates.

Am I allowed to take photographs or videos of the ceremony?Family and friends are more than welcome to take photos and or videos of the ceremony; you must remain seated at all times. There will be a professional photographer available before and after the ceremony – this is an optional service.

Can I keep the gown and cap for the rest of the day/pick it up early?No. The graduation gown is only available at the venue on the day from the time of registration to one hour after the ceremony finishes. Please return the gown to the robing area after the ceremony.

I have changed my name since I graduated. Can I get a new certificate/diploma showing my new name?The name used at graduation will be the name you registered with on the Eventbrite site. The name on your formal Qualification will be the same as that on the TAFE Student Records database. Any changes must be advised in writing with appropriate proof (i.e. birth certificate, marriage certificate, passport etc.). Copies of all documents must be certified. Any new certificates printed will incur a fee. You must contact the Client Service Centre to arrange this. Phone 1300 308 233 or email [email protected].

SEATING AND BRIEFINGAll graduates will be sitting in reserved allocated seating, which will be listed on the card you receive when you register on Graduation day. You will be required to attend the student briefing session at 5:20pm sharp. Once you enter the room for the briefing, we ask you to remain seated in preparation for the ceremony. Once the procession has been completed, graduates will return to an allocated seat, which may be different to your original seat. You will not be sitting with your family and friends; we ask that you remain seated until the conclusion of the ceremony. Please note that a standing area will also be provided.

RECEIVING YOUR QUALIFICATIONYour formal qualification will be posted out to you. Please ensure your postal address and UniqueStudent Identifier (USI) are up-to-date in our system.Please verify this with our Client Service Centre if you are unsure.Phone 1300 308 233 or email [email protected].

OTHER INFORMATIONWhat should I do if I am ineligible to graduate but am near completion?If you are ineligible to graduate, you are unable to attend the 2019 Graduation Ceremony, although we encourage you to register for the 2020 Graduation Ceremony.

Please visit our website (tafeqld.edu.au) or contact our Client Service Centre in May 2020 to obtain details about the 2020 Graduation Ceremony.

How long is the graduation ceremony?The duration of the Graduation Ceremony is between one to two hours depending on the number of graduates.

What should I wear to the graduation ceremony?Please wear smart casual attire under your gown (thongs, sandals, t-shirts or casual wear are not acceptable). Please take into account that the gowns open at the front and expose the lower arms. Appropriate footwear is a must as you may need to walk up and down stairs. If you would like to wear traditional dress under your gown you are more than welcome to.

Am I allowed to bring children?Parents are more than welcome to bring children to the graduation ceremony. Children must be registered to attend and they must be supervised by an adult at all times. Please note that graduates will not be sitting with their guests, so you will need to arrange for someone to mind your children during the ceremony.

HELPFUL GRADUATION TIPS• Don’t be late – there’s a lot to do prior to the ceremony – registering, gowning, photography and student briefing. • Hold onto your seating allocation card – it has your name on it and will assist us to announce your name correctly when you go onto the stage. • You must return all gowning at the conclusion of the ceremony to the gowning area. • Children must be accompanied by an adult who is not the graduating student at all times.
