TEACHING WITH TEAMS: ESSENTIALS CREATING A TEAMS CLASS SESSION
Creating Teams class sessions can be done from Canvas, Outlook, and Teams, but the method you use depends on your purpose and where you want it to be seen by your students. This guide will show you each method and the pros and cons for each.
Setting Up a Meeting from the Canvas Rich Content Editor
To access the Rich Content Editor, click Edit from the top right on any page, announcement, discussion or assignment.
In the new Rich Content Editor, choose the 3 dots to the right of the icon bar, if necessary, and then choose the plug-in icon, or choose the V icon in the old RCE.

This method allows you to create a Teams meeting (and link) anywhere that you can access the Rich Text Editor in Canvas, so this means on a Page, Announcement, Discussion, or Assignment.
NOTE!
It is important to remember that setting up a meeting from the Canvas Rich Text Editor does not create a calendar event for your students.

From the dropdown menu, choose Microsoft Teams Meetings. You must click directly on the line with the icon.
You may get a Sign in message. Proceed with your sign in.
Otherwise, choose the Create meeting link button.

Fill in the Title, Dates, and Times for the meeting and choose Create.
Once created, this message will appear. If you wish to place the link to this meeting in other places, you can choose Copy for later pasting.

NOTE!
DO NOT click Copy before clicking the Meeting Option FIRST to determine the meeting permissions. Once you choose Copy, this box disappears, along with the Meeting options link, and you cannot access it until attendees are added, and you can only get to it in the Teams app.

The link to the meeting will appear within the text field of the Rich Text Editor. Choose Save when you’ve finished adding any other information to the field.

Setting Up a Meeting from the Canvas Course Calendar
Use this method when you want your Teams meeting to appear on the Canvas Course Calendar.
Open your Course Calendar. Make sure that you have your current course selected. Select the date of your meeting or the + sign at the top right of the calendar to add an event.

This will open the Event dialog box. To create a Teams meeting, you need to access the Rich Text Editor, so ignore this view and select More Options.
This will open the Rich Text Editor. Fill in the Title, Dates, and Times for the meeting. It’s important to do this here. DO NOT CHOOSE CREATE EVENT.

TIP
The reason that you must fill in the date and times in both the calendar and here is because these are two separate items. This will only set the Teams meeting event but will NOT set the time on the calendar.
NOTE!
DO NOT click Copy before clicking the Meeting Option FIRST to determine the meeting permissions. Once you choose Copy, this box disappears, along with the Meeting options link, and you cannot access it until attendees are added, and you can only get to it in the Teams app.

When a student clicks on the calendar event, they will see the link.
Setting Up a Meeting from Outlook
This method allows you to create a Teams meeting (and link) on your Outlook calendar, which will also populate to your Teams calendar.
Open your Outlook calendar and right click on the date of your Teams meeting. Choose New Meeting in the dropdown that appears. 01

Send the invitation. The event will appear on your Outlook Calendar. When you click the event once, a box will open with the basic details and the Teams link.
When you double-click the event, it will open to show the full Teams link that you can copy and paste if needed. The event will also appear on your Teams calendar.

To set your meeting options, you must open the meeting in Teams from the Teams Calendar and select Meeting options.
This opens the Options dialog box. We recommend keeping the lobby settings at default, but if you don’t want your students to be able to take control of a meeting, you should change the Who can present? setting to Only me.

Setting Up a Meeting from Teams
This method allows you to create a Teams meeting within Teams, which will populate to both your Teams and Outlook calendars.
Open your Teams app and select the Calendar. When the calendar opens, select + New meeting. Or you can double-click on a date.

Canvas Best Practice
To make session links organized and easily accessible to your students, create a page in Canvas to keep your meeting links and add it to your modules page by copying and pasting all the meeting information.
