1. IntroductionThankyouforacceptingthepositionofteammanager;volunteerrolesareveryimportanttothesuccessoftheteamsandtheclub.Theinformationandtasksthatyoumanageinthiscapacitywillhaveapositiveimpactontheteam.Bybeingorganizedandcompletingtasksinatimelyfashion,thisrolecaneasilybemanagedwithoutinterferinginyouralreadybusylife.Pleaseknowthat,ifatanytime,youhavequestionsorconcerns,feelfreetocontactShellyStonacek,ClubAdministratorat402-215-9525oratclubadmin@gretnasoccer.com.PleaseNote:Itisrecommendedthatyoukeepcopiesofeverythingyoudothatisrelatedtotheteam.Thisisjustagoodresourceforcheckingbackonandwillalsogiveyoupeaceofmindfordocumentingeachtournament,hotelstay,etc.

TeamAccountItisrecommendedthateachteamhasacheckingaccount;pleaseuseabankofyourchoosingoryoucanuseGreatWesternBank.Makesurethattwoindividualsfromtheteam,butnotfromthesamefamily,arelistedontheaccount.Thisaccountwillbeusedtopayfortournaments,futsal,coach’stravelexpensesfortournaments,etc.Ateammaywanttocollectfeespriortoeachseason.Thisbeingsaid,theremayothertimesthroughouttheyearwhenmoneywillneedtobecollectedforvariousevents,extratournaments,etc.Itisrecommendedthatyou“pad”theaccountforincidentalcharges.Thesecaninclude,butmaynotbelimitedto:changefeesongames(whereyouwouldneedtochangethedateofaregulargameduetoconflicts),cancellationofagame,refereecharges,etc.Thesechargescanrangefrom$25.00to$150.00andwillbecollectedattheendoftheseason.Collectionfortournaments,additionalindoorfees,incidentals,etc.willbetheteammanager’sresponsibility.PleaseNote:Inordertobookindoorrentalspace,gototheGretnaSoccerClubwebsiteandclickontheGretnaSportsComplextab.Rentalspaceisbookedonlineandpaymentisdueatthetimeofrentalbyplacingacheck,payabletotheGretnaSportsComplex,intothedropboxinsidethecomplex.Therentalfeewillbelistedonthewebsitewhenbooking.Thecoachshouldhaveanideaofwhattournamentstheteamwillbeattendingsoyoucangetanestimateofhowmuchyouneedtocollectfromeachfamily.Whencalculatingthecostoftournamentfeesperplayer,pleasemakesureyoualsoincludethecoach’shotelroom,mileage/airlineexpenseandfood,ifapplicable.

Itisalsorecommendedthatyoukeepaspreadsheetforyourteamshowingyourcheckingaccountdebitsandcredits,alogofdepositsbypersonandaworksheetforeachfamily.

TeamWebPageEachteamwillneedtosetupateamwebpageontheGretnaSoccerClubwebsite.Thispagewillincludeacalendarwhereyoucantracktraining,games,etc.,aplacetoaddteamphotos,newsarticlesandmuchmore.Itisimportanttousethecalendarportionofyourwebpageandkeepitupdatedsoparentscangotheretolookupinformationontrainingandgames.Ifagameortrainingiscancelled,theteamcalendarneedstobeupdatedtoreflectthisinformationASAP.Teamcampsandtournamentsshouldalsobeincludedontheteamcalendars.Thecalendarshaveafeedfunctionthatparents/playerscanusetoautomaticallysynctheirschedules.PleasegototheGretnaSoccerClubwebpagetoregisterforaccess.http://www.gretnasoccer.com/-“createanaccount”tabislocatedintheupperleft-handcornerofthehomepage.PleasecontactJeffGibson,ourtechnologyspecialist,atjeffgibson23@yahoo.comonceyouhavecreatedyouraccount.Hewillthengiveyouaccesstoyourteampage.PLEASENOTE:Donotincludeplayer’slastnamesontheteamwebpageunlessitisanolderagegroupandisbeingusedforrecruitingpurposesforcollegesandthenyouwillneedthepermissionoftheparents.Aswaspointedout,thewebmanagementofaU16teampagemayrequirequiteabitmoretimethanaU8teampageasinformationiscontinuallybeingpostedforcollegecoachestoreview,etc.Pleasekeepinmindthatnomatterwhatageyourteamis,thewebpageisareflectionofyourteam’saccomplishmentsandteamuniformity.Itisagreatwaytocommunicateschedulesandinformationtoparentssopleasemakesureitisuptodate.Ifyouwouldliketoaskaparentfromtheteamtotakeonthistask,thatisfine.Justmakesurethatyouarecommunicatinginformationtothemontrainingtimes,etc.

4. TeamCommunicationDependingonthecoach,theteammanagermaybethe“communicationlink”betweenthecoachandtheparentswithinformationontraining,tournaments,futsal,etc.Mostcommunicationwilltakeplaceviaemail,butitisalwaysagoodideatohavecellphonenumbersforparentssoyoucangetintouchwiththemduringtournaments,etc.Pleasemakesurethatifyouaregoingtobeputtingtogetheradocumentwitheveryone’scontactinformationonit,thatyouokaythiswithallofyourparentspriortodistribution.

Registrationw/NL&MRLU11-U18teamswillplaythroughtheNebraskaLeagueorNL.Pleasenote:U8-U10teamswillplaythroughtheEasternNebraskaSoccerAssociationorENSA.RegistrationoftheteamwithNLisdonebythecoachorteammanagerattheNebraskaStateSoccerAssociation/NebraskaLeaguewebsite.Thiscanbefoundat:http://nebraskaleague.org/.Whenfillingoutthisform,youmustincludethedatesthattheteamhasconflicts(tournamentdates,coach’sscheduleifcoachinganotherteam,etc.).Reschedules(otherthanweatherrelated)willcosttheteam$25.00(firstreschedule)$50.00(secondreschedule)and$100.00(thirdreschedule).Noteamisallowedmorethan3reschedulesforanyreason.Forfeitingofgames,finesassessedtocoachesorplayersforredcardsorotheroffensesarealsotheresponsibilityoftheteam.Pleasenote:OurDirectorofCoachingdeemsanygamesforfeitedasunacceptable.TheNLregistrationfeeispaidbyGretnaSoccerClubandisincludedintheplayers’registrationfees.MRLregistrationwillneedtobecompletedonlineandthenwillbereviewedbytheMRLassociation.OurDirectorofCoachingwillletteamsknowwhoshouldbeapplyingforMRL.IfyourteamischosentoplayMRL,moreinformationwillbegiventoyouatthattime.

Registrationw/ENSAOurU8-U10AcademyteamswillplaythroughtheEasternNebraskaSoccerAssociation(ENSA).Onceplayersareregisteredthroughtheonlineregistrationsystem,theClubAdministratorwillputtogethertheteam,pertheDOC,andsubmitteaminformationtoENSA.Scheduleswillbepostedthroughthisorganizationandcanbefoundattheirwebsite.http://www.ensa.us/

7. Documentation/PaperworkItisrecommendedthatyoukeepa3-ringteambinderasyouwillhavedocumentationthatwillneedtobeaccessibleduringgamesandtournaments.Youmaywanttouseclearsleevesforholdingimportantdocuments.Someofthetabs/itemsinyourbindermayinclude:

• CopiesofOfficialNebraskaTeamRoster• NotarizedMedicalReleaseFormsforeachplayer• PlayerPasses(needtobebroughttoeachgame)• GameSchedules• TrainingCalendar• TournamentInformation

Allplayersonyourteammusthaveamedicalreleaseformcompletedoncetheyregisterforateam.TheseformscanbefoundattheNebraskaStateSoccerAssociationwebsiteunderthe“Administration”tab–FormsandDocumentsat:http://www.nebraskastatesoccer.org/aboutus/forms.aspx.Pleasemakesureyougivethisinformationtoallofyourparentssotheycangettheseformstoyou.Itwouldbebestiftheparentshavetheseformsnotarizedastherearesomestatesthatrequirethisfortheirtournamentparticipation.(Oncecompleted,keeptheseformsinyourbinder.)BirthCertificates:IfattendingStateCuporatournamentthatasksforcopiesofbirthcertificates,pleaseaskparentstocarryacopywiththem.Itisnowrecommendedthatthesenotbekeptintheteammanager’sbinder.IfyoudodecidetokeepacopywithyouduringStateCup/tournaments,pleasemakesuretheyarereturnedtoparentsfollowingtheeventordestroyed.Aplayer’sbirthcertificateissubmittedtotheGretnaSoccerClubonlyoncetoverifyDOB.GretnaSoccerClubwilldestroyallcopiesofbirthcertificatesreceived.PlayerPass:Eachcoachandplayeronateammusthaveaplayerpass.ThesepassesareprovidedtoyoubytheClubAdministrator,butyoumustdothefollowing:

• Photosoftheirchildcanbeuploadedtoprintontheplayerpassduringregistration;ifaphotoisnotincluded,thena2x2picturewillneedtobeobtainedforthefrontofthepass.Effective2012-2013,signaturesarenolongerrequiredontheplayerpasses.

• Everycoach/playerpassmustbelaminated,hole-punchedintheleft-handtopcorner,alphabetizedandheldtogetheronalargering.Placethecoach’splayerpassinthefront.

• Thesepasseswillneedtobeateachgamesomakesureeitheryouorthecoachisinpossessionoftheseatalltimes.Playerswhodonothaveaplayerpassatgametime;willnotbeallowedtoplayduringthatgame.

PleasemakesureyoukeepextracopiesofyourofficialNebraskaStateteamrosterinyourbinderaswell.Youwillneedtohavethemon-handwhencheckinginfortournaments.

8. LeaguePlayWhentheleaguescheduleisreleased,immediatelyemailacopytoplayersandcoaches.YourteamschedulecanbefoundontheNLwebsiteat:http://nebraskaleague.org/.

Itisagoodideatokeeptrackofwinsandlossesforyourteamasthisinformationisusuallyneededwhenregisteringfortournaments.YoucanalsofindthisinformationontheNLwebsite,butitmaynotbeupdatedasquickly.PlayerpassesandaNLrosterwillneedtobeprovidedtothecoachatleast20minutespriortogametime.Medicalreleaseformsshouldbeavailableatallgames.Itisagoodideatocarryyourbinderwithyoutogamessoyouhaveinformationeasilyaccessible(trainingschedule,tournamentinformation,etc.)Eachteamisresponsibleforprovidinganetandthreefieldflags.Thesewillbegiventothecoachpriortotheseason.Pleasemakesuretheseitemsarebroughttoeveryleaguegame.Leaguesmayfineateamfornotbringingtheseitemstoagame.Thesechargeswillbepaidoutofyourteamaccount.

9. SecondaryPlayersAllsecondaryplayerrequestsmustbeapprovedbytheheadcoach.Secondaryfeesare$100forafullyearor$50.00forhalfayearforallU8-U14playersandsecondaryfeesare$50forallU14-U19players.ThispaymentmustbemailedtotheClubAdministratorat10550S.222ndSt.,GretnaNE68028withacheckmadepayabletoGretnaSoccerClub.Anotarizedmedicalreleaseformisrequiredforsecondaryplayersandshouldbekeptintheteammanager’sbinderalongwiththeirplayerpass.AplayerpasswillbeprintedandmailedfromtheClubAdministratortothesecondaryteamonceallpaperworkhasbeenapproved.PleaseNote:GretnaSoccerClubwillnotallowanyofourplayerstoplaysecondaryforacompetitiveteaminanotherClub.

10. TournamentsThecoachmayrequestthatyoubetheonetoregistertheteamfortournaments.AlistingoftournamentscanbefoundattheNebraskaStateSoccerAssociationwebsiteunderthe“Events”tabat:http://www.nebraskastatesoccer.org/events/tournamentsn.aspxPleasenote:Registeringforoutofstatetournamentsrequiresadditionaldocumentationfromtheteam.Thesemayinclude:notarizedmedicalreleaseforms,additionalcopiesofyourofficialteamroster,guestplayerform(ifneeded)andtravelpermitform(ifthetournamentisinadifferentstate).ThesedocumentscanbefoundattheNebraskaStateSoccerAssociationwebsiteunderthe“Administration”tab–FormsandDocumentshttp://www.nebraskastatesoccer.org/aboutus/forms.aspx.

Whenregisteringfortournaments,itshouldbenotedthatdivisionsinotherstatesmaybedifferentthanNebraskasopleasecheckwithyourcoachortheDOCifyouareunsureofwhatdivisionyourteamshouldberegisteringforatthetournament.Also,somestateshavemaximumrostersize(numberofplayersallowedtoparticipate)thatislessthantherostersizeallowedbythestateofNebraska. Foroutoftowntournaments, leaguegamesandeventswhereanovernightstay isnecessaryteamswillberequiredtopaycoachingstaffexpensesasoutlinedbelow: HeadCoach • Mileage reimbursement is paid at a rateof $.30permile. Thiswouldbe round-trip from

head coach’shome to the field location. If thehead coach rideswith someoneelseanddoesn’tdrive,nomileagereimbursementwillbegiven.

o Ifthedistancetraveledisgreaterthan8hours,airfaremayberequiredandthehead

coach’s airline ticket will be paid for. If the head coach travels by air, mileagereimbursementwillnotbepaid inanyamountforanyreason. Generallyspeakingwe would expect coaches to drive to locations like Denver, St. Louis, Chicago orMinneapolisunlessanairlineticketischeaper.

o If the head coach is traveling by air, it is recommended that he/she travelwith a

parent fromtheairport tohotelandsoccer fields,etc.but if this isnotpossible,arentalcarmaybeneededandwouldbepaidforbytheteam.

• Hotelroomsarepaid100%foraheadcoach.Weencourageteamstopayinadvanceusing

theteamaccounttohelpwithlogistics. • Adailyfoodstipendof$35isprovidedforaheadcoach.Theamountwouldbe$70totalfor

atournamentoreventtakingplaceFriday–Sundayfortheheadcoach.Thedailystipendisbasedoneachnightspentinahotel.

• PleaseNote:Ifarentalcarispaidforbytheteamforthecoachtouse,thennomileageis

paid,justthecostoftherentalcar.AssistantCoach • If possibleassistant coaches should travel toand fromoutof towneventswith thehead

coach.Ifthatisnotpossiblemileagereimbursementispaidatarateof$.30permile.This

wouldberound-tripfromassistantcoach’shometothefieldlocation.Iftheassistantcoachrideswithsomeoneelseanddoesn’tdrive,nomileagereimbursementwillbegiven.

o If the distance traveled is greater than 8 hours, airfaremay be required and the

assistantcoach’sairlineticketwillbepaidfor. Iftheassistantcoachtravelsbyair,mileage reimbursementwill notbepaid inanyamount forany reason. Generallyspeaking we would expect assistant coaches to drive (preferably ride with headcoach) to locations likeDenver, St. Louis,ChicagoorMinneapolisunlessanairlineticketischeaper.

o Iftheassistantcoachistravelingbyair, it isrecommendedthathe/shetravelwith

theheadcoachoraparentfromtheairporttohotelandsoccerfields,etc.butifthisis notpossible,AND thehead coach isnothaving the teampay for a rental car arental car may be needed and would be paid for by the team. The most likelyscenario for the assistant coach to get a rental carpaid forby the team is if theyweretheonlyonesattendingtheeventbecausetheheadcoachdidnottravel.

• Hotelroomsarepaid100%foranassistantcoachalthoughweprefertheassistantcoachto

share a roomwith the head coachwhen at all possible.We encourage teams to pay inadvanceusingtheteamaccounttohelpwithlogistics.

• Adaily foodstipendof$35 isprovided foranassistantcoach.Theamountwouldbe$70

total fora tournamentorevent takingplaceFriday–Sunday for theassistantcoach.Thedailystipendisbasedoneachnightspentinahotel.

***Ifmorethanoneteamwiththesameheadcoachisgoingtoanoutoftowntournamentorevent,teammanagersshouldworktogethertosplitrequiredexpensesbetweentheteamsfollowingwhathasbeenoutlinedabove.Noteamwilleverpayexpensesformorethantwocoacheswhethertheybeaheadcoachoranassistantcoach.***

Therulesstatedabovearerequiredbyteamsforexpensesofcoachesfortournamentandeventtravel.Ifadifferentsituationarisesinregardstocoachingexpenses,itwouldneedtobediscussedandapprovedbyallparentsontheteampriortobeingpaidforbytheteam.

Fortraveltotournaments,leaguegamesandotheroutoftowneventsfamiliesareresponsibleforalloftheirowntravelexpenses,thoughhotelswillbebookedasagroup.Allplayersarerequiredtoattendallteameventsandgames.Ifaplayerisunabletoattendanoutoftownevent,theywillstillberesponsibleforpayingtheirportionoftheregistrationfeesandalltravelexpensesforthecoachesasprescribedabove.

11. TeamMeeting

Itisimperativethatyouworkwiththecoachtosetupateammeetingoncetheteamhasbeenformed.Thiswillgiveparentsandplayersachancetomeeteachotherandwillgiveyoutheopportunitytocollectallpaperworkandteamfees.Youwillwantparentstobringthefollowingwiththemtothemeeting:

• NotarizedMedicalReleaseForm(foundattheNSSAwebsiteunderthe“Administration”tab.http://www.nebraskastatesoccer.org/aboutus/forms.aspx

• Apictureoftheirchildiftheydidnotuploadaphotoduringregistration(asmallschoolpictureworkswell).

• Contactinformationforateamspreadsheet(homephone#,cellphone#,emailaddresses,homeaddress)Makesureifyouaregoingtogivethisspreadsheetouttoparents,thattheyareokaywithothershavingthisinformation.

12. Uniforms

AlluniformswillbeorderedindividuallyonlinethroughSoccer.com.Everyplayerwillreceiveanemailindicatingthe“kit”thatisrequiredfortheirteam.Auniformkitcanvaryperteamsothecoach/teammanagerneedstomakesureeachplayerisawareofthis.Thecostofacompletekitcanrangebetween$115-$163.

13. PracticeJerseysPracticeJerseysarerequiredfortheU11andaboveSelectteams.TheAcademyteamsalsohavetheoptionoforderingpracticejerseysthroughSoccer.com.Thatdecisionwouldbeuptothecoachoftheteam.

14. FinancialAssistanceYoumayencounterafamilywhoneedsfinancialassistance.TheGretnaSoccerClubhasaformalapplicationprocessforfamiliesthatwishtoapplyforfinancialassistance.FinancialassistancereceivedfromtheClubwillonlybeappliedtoregistrationfeesandwouldnotcoverteamfees.InquiriesshouldbedirectedtoShellyStonacek,ClubAdministratoratclubadmin@gretnasoccer.com.

15. FamilyInvolvementProgram(DIBS)Inordertomakeyoufeellikeapartofourorganizationandtohelpkeepourregistrationcostsdown,theFamilyInvolvementProgramisutilized.ByvolunteeringyourtimeandtalenttotheGretnaSoccerClub,youarehelpingourplayersandwethankyouforyourcontributions!This

programisrequiredforallfamilieswhohaveplayersintheJr.SelectandSelectprograms.Thatbeingsaid,wewouldloveallofourfamiliestobeinvolvedandvolunteersoevenifyourchilddoesnotparticipateintheseprograms,pleasefeelfreetosignupforvolunteeropportunities.Ourprogramismanagedusingatoolonourwebsitecalled“Dibs.”Dibsissimplyaplacetoviewavailablevolunteeropportunitiesandtomakeacommitmenttothoseavailableopportunities.JustclickonDibstoseehowyoucanhelp!

• Requirementis6hoursperfamily.• YoumaybuyoutofvolunteeringatthebeginningoftheFallseasonfor$30.00perhour,

Weareaskingthatyou,asateammanager,pleasekeeptrackoftheamountoftimeyourfamiliesspendvolunteering.Someoneelseontheteamcantrackthisfortheteammanagerinordertofulfilltheirrequirementoffamilyinvolvement.CoachandAsst.Coach:Exemptfromtheserequirements.CoachesmustassisttheClubAdministratorandTeamManagerifthereareissueswiththeFamilyInvolvementProgramforafamilyonyourteam.TeamManager:Fulfillsthe6hourrequirement.TeamManagerisresponsiblefor:

• AssistingClubAdministratorinmakingsureteam/playersareregisteredpriortothedeadline.

• Settingupteamactivitiesandensuringuniformsconformtoclubstandards.• AssistCoachandAsst.Coachinday-to-daycommunicationsasCoachrequests.• Ensurescheduleandpostingsareuptodateontheteamwebpage.• AssistClubAdministratortoensureallmessageshavebeenreceivedbyeachfamily.• Manageteamaccount,ifapplicable.

HowtoSignUpforDibs:CreateaGSCloginforourwebsiteifyoudonotalreadyhaveone.LoginandclicktheDIBStabonthetoprowoflinks.OnceinDibs,youcanselectthecategory,activityandtimeslotthatfitsyourschedule.Pleasebeaware,someactivitiesattheSportsComplexmayrequirecoordinationwiththeClubAdministratortoensureaccesstothefacility.Volunteercategories

mayinclude,butarenotlimitedto:Facility/FieldMaintenance,Tryouts,Tournaments,ConcessionStands,Fundraisers,MicroMentoring,etc.U12-U19MicroMentoringThisisagoodwayforthekidsjuststartingoutwithsoccertolookuptothosewhohavemovedupthroughtheClub.ThisoptionwillbesetupinonehourperweekincrementswithourMicroteams.Itwouldbegreatifwecouldhaveatleastonementorperteamfortheseason.TheClubAdministratorwillassignyoutotheteamsratherthantheDibsSystem.Ifyourson/daughterisinterestedinthisactivity,pleaseemailclubadmin@gretnasoccer.com.ThisprogramisavailableintheFallandSpring.
